OverviewScenarios can be used for extensive and structured documentation. Scenarios are the appropriate tool when describing a project, an application or general connections between systems. The user of Docu Performer builds up such Scenarios and uses them to create bundled and structured documentations. During the creation of a Scenario it’s possible to insert objects with existing comments from different systems. Those objects can then be combined with images, text elements, list elements or even Word files. Finally, the Scena-rio can be exported in Word, PDF or HTML formats.

The general procedure is as follows:• Creation of Scenario templates for various use cases• Creation of a folder structure for the organization of the Scenario• Assignment of the necessary authorizations based on the folder structure to relevant users• Creation of Scenarios based on the created templates• Export of Scenario

Access to ScenariosLicense: Users of the Docu Performer can create Scenarios, if the Commenting Module is licensed. In case of multiple landscapes, only objects can be insert to a Scenario via the Scenario Designer, whose system is licensed for the Commenting Module. For example: If you extended your BW license with BPC, you can only insert BPC objects into a Scenario if the Commenting Module is also licensed for BPC.

If the Commenting Module is licensed for a system, can be checked in the “About” window.

User Management: In addition, it‘s necessary to allow the access to Scenarios via the user settings. Scenarios are structured in folders. It‘s possible to grant users permissions to specific folders. The user only has access to the Scenarios in the authorized folder. Further, there is the possibility to restrict the rights of a user regarding the editing interactions (change, delete, create) of a Scenario.

Users can be authorized for certain folders of the Scenarios-folder-structure in the User Management. The user then only has access to the relevant folders.

Creating a ScenarioScenario FoldersScenarios can be created in the area „Documentation“ or „Commenting“. If you want to create a Scenario, at least one Scenario folder must be created first. The folders can be build up hierarchically via subfolders. Within a Scenario folder, several Scenarios can be created.

Designing ScenariosScenarios can be edited in terms of their structure and their content via the Scenario Designer in the area “Commenting”. The Scenario Designer 2.0 has two modes: The “Edit Mode” and the “Overview Mode”. The structure of the Scenario can be created and edited in the Edit mode. In doing so, it’s possible to combine Scenario-specific text elements, list elements and images with SAP objects and their comments and structure them in chapters and subchapters. The content of individual items can be accessed via the context menu.In the Overview Mode, all chapters are displayed with their content. This mode functions as a preview of the Scenario content for the user (except of the SAP objects and the lists of the SAP objects). It’s possible to edit the content of the structure items but not the structure of the Scenario itself. Via double-clicking of an item, Docu Performer scrolls to the right place in the overview.

Changing and Saving the Scenario StructureThe Edit Mode is activated by default if you open a Scenario in the Scenario Designer. At the same time editing of the opened Scenario is blocked for other users of the Docu Performer. It‘s possible to insert structure items and objects into the Scenario via drag-and-drop. The editing of the structure can be saved by the save button in the toolbar. It‘s necessary to save theunsaved edits if you want to execute the following actions:• Export of a Scenario• Switch to the Overview Mode• Initial editing of comments of the added/unsaved SAP objects• Initial editing of the added/unsaved structure items

Structure items in the ScenarioYou can find the structure items in the tab „Structure items“. They can be inserted to the Scenario structure via drag-and-drop. You can use the following items to build up the Scenario structure:

• Rich Text: This text items offer formatting options, tables, images, hyperlinks and more.• Image: Insert images into the Scenario via this structure item.• Text Box: Add unformatted one-line texts via this item.• Multiline Text Box: Add unformatted multiline texts via this item.• Page Break: Force a page break on a certain point of the next page via this item (e.g before each chapter of the first level).• Lists of SAP-Objects: These lists insert a table with SAP objects (e.g create an overview list of all objects of the Scenario).• MS Office Word Document: Add a Word file to the Scenario, the file will be integrated to the Scenario during the export.

Structure items have a language-independent technical name and a language-dependent description.

SAP entities in the ScenarioSAP objects can be added to Scenarios to integrate technical documentations and the comments of relevant SAP objects. Before an ob-ject can be assigned to a Scenario, it must be synchronized via the SyncTool. An object can be assigned multiple times to a Scenario. In this case, all instances of this object will be highlighted in the color magenta. The assignment of objects to a Scenario can be executed via the Scenario Designer in the Edit Mode. You can insert entities of the entity box via drag-and-drop to the structure of the Scenario.

The following characteristics can be selected for each SAP object:• Export Comment: You can set here whether the comment of the object should be integrated into the Scenario. A separate icon with

a round speech bubble symbolizes that the comment of the SAP object has been edited.• Export tech. Documentation: You can set here whether a detailed tech. documentation should be integrated to the Scenario.

Further settings can be executed via the icon at the right end of the line: Documentation of the entire data flow (downwards) with optional restriction to a certain level. Docu Performer inserts a technical documentation of all entities to the dataflow. The detail degree can be defined via a setting variant.

The following characteristics can be selected additionally for entities, which are part of a dataflow:• Export Dataflow (as network): You can set here whether the data flow should be displayed in a network view. You can define

further settings via the icon on the right end of the line: Export of the data flow in layers, restriction of certain levels, display of Look-Ups.

The following characteristics can be selected additionally for Calculated Key Figures:• Export of the completely resolved formula: This characteristic ensures that the disaggregated formula of nested Calculated Key

Figures will be insert to a Scenario.

The following characteristics can be selected additionally for Process Chains:• Overview of sub Process Chains: This characteristic integrates an overview of the called Process Chains.

The following characteristics can be selected additionally for Roles:• Export of Assigned Users: This characteristic integrates a list of the User of a Role to the Scenario.

The properties of SAP objects can be changed in their order by drag-and-drop, which also determines the sequence in the exported Scenario. The properties of an object can also be transferred to other objects in the Scenario structure using the context menu. As soon as a property is activated for an object, this is indicated by an icon on the object.

SAP objects can be added to the Scenario structure in the “Entitities” tab.

For each SAP entity different settings can be chosen, which affect the exported Scenario. The set properties for a selected SAP entityx can be transferred to further SAP objects via the context menu.

Modeled Entities in the ScenarioEntities included in modeling projects of the Docu Performer can be integrated by selecting the corresponding modeling project from the entities tab in the first drop-down list. The object type can then be selected in the second dropdown. The listed objects can be inserted into the Scenario structure by drag-and-drop.

3rd Party Objects in the ScenarioManually created 3rd party objects can be integrated into the Scenario by selecting „3rd Party“ in the tab „Systems & Projects“. The object type can then be selected in the second dropdown (select Object type). The listed objects can be inserted into the Scenario structure by drag-and-drop.

Language Selection in the Scenario DesignerThe language selection in the Scenario Designer converts the following:

• The description of a Scenario• The description of structure items• The description of SAP entities• The comments of SAP entities

When exporting the Scenario, you can select the language for the export separately.

Using the dropdown menu, the language can be set centrally.

Assigning Entities to a ScenarioSAP entities can also be inserted into a Scenario from outside the Scenario Designer. This assignment is made via the context menu “Scenario Assignment and Usage”. A dialog box opens with two tabs: “Assign to Scenarios” and “Show Usage in Scenarios”. This is possible from the following locations:

• Entities tab (including relations)• Data Flow View (tree and network)• Analysis: Analysis Reports: Resolve Transport Lists• Analysis: Where-Used Analysis: Where-Used Analysis for BW Entities• Analysis: Analyze/Compare Elements

The tab „Assign to Scenarios“ shows the Scenario folders and contained Scenarios and allows you to assign the previously selected objects to the selected Scenarios via the button „Assign“, so that these objects are inserted into the respective structure of the Scena-rios. The objects are always inserted into the chapter „Unassigned“, unless there is an assignment rule that corresponds to the added object.

The tab „Show Usage in Scenarios“ displays the previously selected objects and the Scenarios in which an object is used. A drop-down menu allows you to select a specific Scenario so that all uses of this Scenario are selected. The „Unassign“ button can be used to remo-ve the assignment of an object to a Scenario, so that the object is removed from the Scenario structure.

Assignment RulesIt‘s possible to define assignment rules for structure items of a Scenario. The SAP objects that correspond to the defined rules are automatically assigned to the structure item if you insert them to the Scenario. The assignment rules are applied, if SAP objects are integrated into the Scenario outside of the Scenario Designer or if you tick the checkbox. Assignment rules are either user-defined or based on a layer. In both cases, the same properties are used for restriction.

SAP objects can be assigned to a structure item using the following properties:

• Object type: Restriction to objects of one or more object types.• Technical Name: Restriction of objects which technical name has a certain character at a certain position.• InfoArea: Restriction of objects of a certain InfoArea.

The assignment rules can be accessed via the context menu of structure items. Once an assignment rule has been applied to a struc-ture item, this rule is displayed in the respective row in the Scenario Designer. The icon of the restricted object type is displayed next to the structure item.

The assignment rules mode can be activated/ deactivated by the corresponding checkbox.

„Unassigned“ Structure ItemObjects that have been added outside of the Scenario Designer and do not correspond to the defined assignment rules are placed below the „Unassigned“ structure item. Even if the button for assignment rules has been activated in the toolbar of the Scenario Desi-gner and the added object does not correspond to any rule, the object is first inserted below the unassigned structure element. These objects are highlighted in orange and won‘t be included in the documentation if you export the Scenario. If these unassigned objects should be part of the export, they must be inserted into the regular structure of the Scenario. You can either create appropriate assign-ment rules for this (context menu of the structure item), or you can insert the objects manually into the structure.

Scenario TemplatesCreating Scenario TemplatesScenario templates can be created and managed under „Templates and Variants“ > „Scenario Templates“. The structure and contents of the Scenario templates are designed in the Scenario Designer, identical to designing Scenarios. To gain access to the area for managing the Scenario templates, the role of the user must have authorization to save Scenario templates.

Scenario Templates in Scenario DesignerScenario templates can be opened via „Templates and Variants“ > „Scenario Templates“ in the Docu Performer, or can be selected direc-tly in the Scenario Designer if the role of the user has the authorization to save Scenario templates.

Using the radio buttons in the Scenario Designer the user can change between Scenarios and Scenario templates.

Creating a Scenario based on a TemplateTo create a Scenario based on a template in the creation dialog of a Scenario, the wanted Scenario template must be selected in the corresponding dropdown.

Using the dropdown menu an existing template can be chosen for a new Scenario.

Export a ScenarioScenarios can be exported from the Scenario area or the Scenario Designer. Entities contained in the unassigned structure element will not be included in the Scenario export. The Scenario can be exported as Word, PDF or HTML. If necessary, the Scenario must be saved before the export. Furthermore, a connection to the used SAP systems is required. Basic settings for the export can be set in an export dialog:

• Settings Variant: This setting determines the level of detail of a technical documentation.• Word Template: This setting determines the used Word template and thus the visual• appearance of the exported Scenario.• Comment Variant: This setting determines the exported comment chapters of comments of SAP entities.• Comment Language: This setting determines the language of the exported comments.• Version: At this point you can insert a manual version for the export. This version name can be inserted into the Scenario as a book-

mark in the Word template.• Export Source:

• As defined in the Scenario: This documents the SAP objects from the system from which they were inserted in the Scenario.• Another option is to select a defined system level. In this case, the SAP entity is documented from the system that corresponds to the

selected level. If an object does not exist in the system under the technical name, no documentation is created for the object. The sys-tems must have assigned system levels under „Administration“ > „Maintain SAP System Description and Level“. If a system level exists more than once, the SAP entity is documented from the system, which is in the same system landscape as the system from which the object was originally added.

Changes in version 15The previous Scenario implementation has been improved by various changes and extensions:

• Folder structure for organization and authorization of Scenarios.• Scenario objects are displayed in the Scenario overview.• Complete export history for each Scenario.• Selection of templates is conducted when creating a Scenario instead upon first opening.• Objects assigned to a Scenario are directly grouped into the Scenario structure, whereas removed objects aren’t anymore.• Support of Business Objects and HANA Objects when working with Scenarios.• Templates and Scenarios can be chosen separately within the Scenario Designer.• Editing and Overview mode: Using the Editing mode, the structure can be created and edited fast and comfortably. The Overview

mode displays the content of a Scenario clearly.• The assignment rules mode can be activated or deactivated. Therefore, the Scenario can be created manually or in accordance with

the defined assignment rules.• Expended possibilities when defining assignment rules: SAP objects of a certain InfoArea can be assigned to structure elements or

chapters.• Central language selection to set the language for texts and descriptions.• Simplified saving when editing Scenarios.• Export of the entire data flow can now be created for each SAP object instead of a global export dialog.• Existing Word documents can be included into the Scenario structure.
