Present: For Alun Griffiths (Contractors) Ltd. (AG): Simon Dunn (SD), Regional Manager; Toni Massari (TM), Public Liaisons Officer. Eric Gates, Barrow Gurney Parish Council Andy Robbins, Barrow Gurney Parish Council Ed Bradley, Barrow Gurney Parish Council Charles, North Somerset Council and Long Ashton Parish Council Rod Sterland, Long Ashton Parish Council QUESTIONS AND REQUESTS FOR INFORMATION OR CLARIFICATION. 1. The railway underpass under the Exeter line is not within Alun Griffith's Remit, but another Contractor, Kier and that the point of contact for this information would be Alex Fear, North Somerset Council. 2. The A370 Link will open ahead of the rest of the Metrobus, but this is up to NSC. The Kings George Road is scheduled to open by the end of the year. The official contract completion for SBL date is 15th October 2016. July 11 is the date for the link to Cater Road. 3. Works will not be carried out during unsociable hours as a rule; when this is inevitable, AG will send out notices with explanations. 4. The A370 and A38 will not close but, instead, be reduced to narrow lanes 5. There will be no temporary traffic lights on A roads and very little night work 6. Queen's Road and Highridge Common will have 2, 3 or 4-way temporary traffic lights, depending on the type of junction 7. All these roads will be under traffic management during construction, to minimise 'through-cuts' via villages 8. Footpath diversion and signage are Kier's remit, beyond the remit of AG. 9. This highlighted the need for a single point of contact, which will be the Public Liaisons Officer, Toni Massari, between BCC, NSC, WE and AG. Joe Burnell is the North Somerset point of contact for ALL contractors. 10. Parsonage Road; screening after removal of vegetation removed, to attenuate noise/ pollution will remain on the agenda as an urgent item. 11. Publicity about the drop-in session at the Gatehouse Centre was not in the local paper, this omission was due to the fact that it had not yet been published. 12. Consultation with commuters and impact on commuting into Bristol will be using all channels, including the AG Community Website, Facebook Twitter, the Metrobus Newsletter and local press, the Travelwest and WE websites.

13. What if there's a hitch? AG plan to have electronic information and signage to advise ahead; these will include the 0845 number for contact. Online Forums were discussed at the meeting and it was agreed that, providing they are updated as a matter of priority and do not replace other channels of communications, they would be an acceptable, additional medium.

15. How many different contractors are involved in the SBL to Cater Road?• AG are the Contractors for the SBL• Balfour Beatty will be responsible for the tie-in of the Metro Bus AVTM. • Kier for the railway underpass.

16. Signalling falls within AG's remit17. NSC and BCC commission signalling, but AG understand that buses have priority18. Risks of delays are factored into the delivery plan; for that reason, although AG aim to

complete by 11th July, the official completion date of 15th October, to allow for those risks that have been identified and for a contingency risk factor.

19. External dependencies that could lead to delays and are outside AG's control:Network Rail is a key risk factor; if there is no underpass the road stops. Extreme weather is another, However, AG is a self-delivery contractor, rather than a contract management firm and so have greater control over the deployment of resources and manpower to reduce risk. As a Design & Build Contractor AG do not have to rely on the client for design details, so there are fewer delays. Kier's delivery programme will be harmonised with our own to co-ordinate, at this Thursday's meetings. The output will be a combined programme and establish a single points of contact. NOTE: It was agreed that, if further issues arising Councillors and AG representatives will hold further meetings and in the meanwhile use the Forums to put questions for Toni to relay to SD and other Managers. Once Toni starts full-time, at the beginning of March, the 0845 number will be diverted to her mobile during weekdays and at night and weekends to the emergency, out-of-hours number.

20. How will traffic lights be powered and will they break down and get stuck on red?SD: they are battery-powered. The batteries are fairly theft-proof. AG will have a maintenance monitoring patrol all sites in 4-hour cycles, to check on all kinds of security and operational issues, including traffic lights.TM: the out-of-hours number is there precisely to allow local communities to report issues. Perhaps we should make that explicit in our communications.

21. Confirmed that work on the roundabout at the A370 will ends by Dec. 201522. Client instructions on specifications in respect of noise mitigation include landscaping,

and a noise barrier near an elderly residential home.23. AG site offices will be located at:
