Students

Class Roll

Fixed

The class roll report indicates the eldest child in the family with an asterisk. Where a family had only one child at the school the child was not being identified as the eldest child. This has been corrected.

Class Roll

Improved

A selection option to INDICATE CHILD ON REPORT and select either the OLDEST or the YOUNGEST child has been added. The legend at the bottom of the report will indicate if the selection is to identify the eldest or the youngest child in the family. Previously the report automatically identified the eldest child. The report selection form has been redesigned to provide room for the additional selection option to indicate the oldest or youngest child in the family

Custom Medical

Improved The option to select by student start date has been added to the report.

Medical Report Improved

The option to select by student start date has been added to the report.

Rank in System or Family Report

Improved

The options to select by Family Group, Family Name, Class or Home Group have been added to the report. An option to insert a page break between groups has been added.



Lessons

New

A LESSONS module has been added to the PEOPLE menu. LESSONS lets you setup SCHOOL PERIODS, LEARNING AREAS, SUBJECTS and the CLASSES the student is attending. There are 3 reports on the lessons menu. • SUBJECTS. Lists the Subjects, Curriculum Level,

Curriculum Model and Learning Areas. Also lists the Domains if you are using VELS.

• CLASSES. Lists the Teacher, subject and students • COORDINATORS. Lists the teacher details and

Coordinator Group Note: Schools using the Timetable Interface The CLASSES and SUBJECTS areas in the LESSONS module are populated by the TIMETABLE INTERFACE from your First Class or Time Chart timetable. Schools running Reporter Pro or SAS2000 Reporter Schools using Reporter Pro or SAS2000 Reporter do not see the LESSONS menu. Your classes, subjects and coordinators information are in Reporter Pro or SAS2000 Reporter.

Student Subject

New

The ability to update the SUBJECT field on the student record from the CLASSES information in the LESSONS module has been added. The subject field is used by the FEES module. This will enable you to bill the students by Subject.

1. FIND the students 2. Select EDIT mode 3. Right click on the SUBJECT field and select to

either • UPDATE FROM “ACTIVE REPORTING

PERIOD”. Updates only the student record you are on.

• GLOBAL UPDATE FROM “ACTIVE REPORTING PERIOD”. Updates all the selected student records

Note: Schools using the Timetable Interface The CLASSES and SUBJECTS areas in the LESSONS module are populated by the TIMETABLE INTERFACE from your First Class or Time Chart timetable.



Student Activities

Improved

The ability to copy students from one activity to another has been added. This is useful when the same group of students are continuing an activity in the next term. To copy the students:

1. Create the new activity 2. Click on the activity with the students to be copied. 3. Drag it to the activity to copy to. 4. A menu will appear to select if you want to

• COPY STUDENTS • COPY STAFF • COPY STUDENTS AND STAFF • CANCEL COPY

Awards

Improved

The student selection has been changed to make selecting multiple students for an award easier. Select to ADD a child to the Award and a LOOKUP STUDENT AND ALUMNI form opens.

Drag the students for the award to the right side of the form. Enter the CITATION and ISSUER. Click DONE when finished.



Enrolments

End of Year

Improved

The option to SHOW ACCEPTED STATUS ONLY has been added to the MERGE ENROLMENTS function in the END OF YEAR ROLLOVER process. When ticked only enrolments with a status of accept will be listed on the form.

Improved The student’s Indigenous Identifier has been added to the export.

Student Activities

New A Student Activities export has been added. You can select to export the student activities by term or by year.

Period Attendances

Absence Roll Report

Improved The option to run the Absence Roll report for the current year has been added.



Fees

Statement Print

Improved

The ability to have several different statement comments has been added. You can select which comment you want to print on the statements.

The available comments are listed in the dropdown. For comments that you do not need to retain select the (ONE-TIME COMMENT) option from the dropdown and enter the comment. To add comments that you want to re-use click on the COMMENTS… button and add the comment to the list.

Bills Report

Improved

The options to selec t the report by PAY FREQUENCY or CLASSIFICATION have been added. The ability to run the report for selected fee items has been added.

Student Fees

New

The new LESSONS module has been linked to the SUBJECTS field on the student record for billing. Refer to the section Students, Student Subjects in these release notes for instructions on updating the SUBJECTS field for billing.



Bill Status Report

Improved

A summary section has been added to the report. It includes a FEE CATEGORY SUMMARY, G/L SUMMARY , FEE SUMMARY and TAX SUMMARY . The ability to select to INCLUDE DETAIL REPORT has been added. The detail section lists the individual transactions. Ticked the detail and summary sections are printed. Unticked the summary section is printed. Subtotals by group have been added to the Amount and Outstanding columns on the detail report.

Credits

Improved.

Three additional credit types have been added. They are called Misc1, Misc2 and Misc3. The credit type name can be changed in MAINTENANCE } SETUP } GENERAL tab } CREDIT TYPES button. Note: Catholic Education Commission of Victoria (CECV) schools do not have access to:

• The 3 additional credit types. • Change the credit type names.

Your credit types are restricted to those specified by the CECV.

Other Items Improved

The ability to flag OTHER ITEM bill items as inactive has been added.

Contact Fees Fixed

The contact fee applied by Classification gave a family fee classification missing error for contacts without a classification. The message has been corrected.



Receipts

EFT Schedule Fixed

When editing or deleting an entry on the EFT Schedule a message displayed stating the payment method needed to be set this has been corrected.

General Ledger

Bank Accounts

Fixed

When a detail GL account was changed to be a bank account the Bank Account Information form did not display for the bank details to be entered. This has been corrected. A prompt has been added to confirm you want to change the GL account to a Bank Account.

Batch Posting

Improved

A GL breakdown has been added to the batch posting report for

• Creditor Invoices • General Journals • Make Withdrawals • Purchase Orders • Write Cheques

The GL breakdown lists the GL account and description, tax code, tax amount and amount.

Budgeted Cash Projection Report

Fixed

The report did not select the appropriate date range for last year when SHOW INDIVIDUAL MONTHS was unticked. This has been corrected. The report did not list outstanding purchase order from prior years. This has been corrected.

BAS

Fixed

The dates on the BAS calculation sheet were being truncated, the last digit of the year did not display. This has been corrected. Note: The calculation sheet is the second page of the BAS report.

Cash Flow Statement report

Fixed The Cash Flow Statement report gave an error with large amounts of data. This has been corrected.

General Ledger by Account report

Improved

The entries for creditor invoices on the GL by Account report now show the Purchase Order number entered onto the invoice. The purchase order number is listed as a second description line for the entry. It will only print when a purchase order number has been entered onto the Creditor Invoice. This report change applies to Accrual Accounting databases.

Write Cheques New

A custom cheque top layout called CUSTOM TOP CHEQUE (CEO MAITLAND – NEWCASTLE) has been added.



Integrated Reporting

Reporter Pro Settings

Improved

Three new setting have been added to the REPORTER PRO } SETTINGS form.

• TEACHERS CAN USE REPORTER PRO TEACHER EDITION. When selected the next two options become available for selection.

• CHECK OUT USING REPORTER PRO TE IS AVAILABLE

• CHECK OUT USING REPORTER PRO WEB IS AVAILABLE

The settings control the options the teachers have for accessing the student data for marking.

SAS2000 Reporter Settings

Improved

Two new setting have been added to the REPORTER } SETTINGS form.

• TEACHERS CAN USE SAS2000 REPORTER. When selected the next option becomes available for selection.

• CHECK OUT USING SAS2000 REPORTER IS AVAILABLE

The settings control the options the teachers have for accessing the student data for marking.

Data Conversion

Improved

The data conversion now checks if student reporting data has been checked out for the Reporter Pro Teacher Edition or SAS2000 Reporter before it starts converting the database. This is to prevent marking data being lost. Once the database has been converted the marking cannot be checked in. The database conversion process will now not run if data is checked out. A message displays stating “You cannot update the database until the data is checked in.” Reinstall the version you were running, check in the data, and then upgrade to the new version.

SAS2000 Reporter Teacher Edition

Comments Improved

Preferences have been added to allow teachers to resize the height of comment boxes and also to increase the font size. This will make comment review easier.

Operating System (VISTA)

Improved Changes have been made to make the operation of the program under Windows VISTA easier.

Class Fixed

Class names containing an apostrophe were giving an error message. That has been corrected.

Comment Bank Fixed

Comments linked to a deleted subject were preventing the comment bank being opened.

My Comments Fixed

My Comments added to a new folder during an offline (Checked Out) session would not be saved when the data was checked in. This issue has been resolved

Checked out Fixed

A checked out file could be accessed without a login name or password. This has been corrected. The login name and password are now required to access the file.

Login Fixed

The login password had reverted back to 10 characters. It has been increased back to 50 characters.



The message advising of the last modified date & time was not being updated correctly. The message will now show the correct date & time modified. A class with no students would cause an application error on login. This has been corrected

Class View Fixed

Comments did not appear when the student was listed twice for a teacher in Class view.

Check In / Check Out Fixed

If a file was checked in then immediately checked out the resultant file was corrupted and would cause an ‘Exception has been thrown by the target of an invocation’ error.

Subject View

Fixed

Selecting a student’s subjects would not always show the correct comments. Selecting a student now shows their student level comments and selecting a student subject will now show only that subject’s comment.

Student View

Fixed

The student view was sorting the students by first name when the teacher didn’t have a class. This has been corrected. The students are now sorted by their last name. A student’s subjects were not being sorted in the same ways as they appeared in subject view. Subjects are now sorted alphabetically.



Maintenance

Statement Comment setup

Improved

The option to set up several different statement comments has been added. The setup option for the statement comments is located in MAINTENANCE } SETUP } PRINTING (1) tab } STATEMENT tab, bottom right } COMMENT… button.

ADD and EDIT the different comments you use with your statements. The STATEMENT COMMENTS can also be edited and added from the STATEMENT PRINT form.

Photos

Improved

The Photo Aspect Ratio has been moved to a pop up window. The Photo Aspect Ratio Control is located in

MAINTENANCE } SETUP } FORMS. Click on the button at ASPECT RATIO to open the EDIT PHOTO ASPECT RATIO form.



Timetable Interface

New

The option to link SAS2000 to a Time Chart timetable has been added. Select MAINTENANCE } SETUP } APPLICATION tab } TIMETABLE tab. The TIMETABLE PROGRAM dropdown now has the option to select First Class or Time Chart. Select Time Chart and the fields to link to a Time Chart export file are displayed.

In FOLDER specify the location and file name of the Time chart export file. The Browse button at the end of the field enables you to search for the file. In SUBJECT MAPPING you can select

• MANUAL and manually map the subjects in the timetable interface module

• LIST and click on the EDIT LIST button. A form to map the Time Chart codes to SAS2000 codes opens. The form enables you to state all codes starting with a certain code are to be mapped to a particular SAS2000 code. This information will be used in the Timetable interface to automate the subject mapping.

Selecting Time Chart or First Class for the Timetable activates the TIMETABLE INTERFACE menu option. The interface is located in MAINTENANCE } TIMETABLE INTERFACE. The timetable interface enables you to map your timetable information into SAS2000

Arrears Consolidation

Improved

The option to edit and manually add arrears consolidation entries has been added. This is to enable manual correction of errors identified after the Arrears Consolidation process has been completed.

Diocese of Maitland Newcastle

Census tab

The CENSUS tab for schools in the Maitland-Newcastle diocese has been changed to include LBOTE – CALCULATED (NOT EDITABLE) and LBOTE –SCHOOL IDENTIFIED options. .
