The application is built up like a self service application handled by the employees, in combination with approval from manager. However this can also be managed by Crew Base for crew personnel. Ground Staff has to visit Service Centre or order by them selves.

Production of ordered cards is done externally and is distributed to Crew Base or service centre for pickup (In some locations where there is no Service Centre or Crew Base, the card is distributed to a manager of your choice).

Photo library is accessible for all employees, if respective employee has granted that the picture is visible for others.

Visa Photo and Temporary Cards are handled by Crew Base.

Place/handle your first card orderPlease observe: All steps are done by Crew Base / Service Centre or by the employee self (except for the photo shooting part). Photo equipment can be found at Crew base, Service Centre etc. Updated address list with locations is found at the applications start page.

Note: The application can only be accessed from SAS corporate network or FM supplier Coor Service Management’s network.

User profile/Create card order

At logon, the current person’s profile and order history shown

Create a new order for yourself or someone else via the buttons “New Order” or “Change Order For”

Choose here if you want your picture to be visible for others by checking the checkbox

Upload photo

For Photo shooting locations, please see the link on the applications start page.

Picture rules:-JPG format-Colour-Picture can’t be older than 6 months-Background should be white-Crew must wear uniform

Upload new picture (if needed)

Note: Photo shoots are performed at Crew Base, Service Centre etc.

Refining of photos regarding exposure, saturation etc. is not possible in the application except for rotating.

Crop photo

The picture has to be cropped twice. First in 4x3 format and then in 5x5 format which is the US visa standard.

Order form

Note:Card order status is shown in the card holders profile, “For approval”, “Producing”, “On the way” etc.

The order form is automatically filled in via data collected from HR system

Please check that everything is correct and change any wrong pre-filled information

Some information needs to be filled in manually e.g. delivery place and approver

When finished press “Order Card”. Confirmation and notification e-mail is sent to card holder as well as approver

Approval notification and list (for card approvers and managers)

Approval of card orders can be done by clicking a link in the notification e-mail or by logging in to the application.

In the upper right corner is an envelope showing the amount of orders to approve (if any)

Click on the order row to approve

Order approval (for card approvers and managers)

Note:This symbol is showing that the orderer has changed the pre-filled information based on HR

The selected order is shown

The approver reviews that everything is correct filled in and can:- Correct/do changes- Change approver- Deny the order

Approves or denies the order.

After approval the card is automatically sent to production. No more controls
