Institutional Planning Council September 12, 2011 Santa Rosa Junior College INSTITUTIONAL PLANNING COUNCIL Monday, September 12, 2011 Bertolini Student Center Senate Chambers – Room 4638 1:10 PM – 3:00 PM AGENDA COMMITTEE FUNCTION The Institutional Planning Council (IPC) is the central coordinating body for planning activities of the Sonoma County Junior College District (SCJCD). The IPC initiates and leads the collaborative process of creating, modifying, and reviewing the District’s Vision and Mission Statement and annually reviews, affirms, and monitors accomplishment of College Initiatives as outlined in the SCJCD Institutional Planning and Accreditation Cycle. The IPC further affirms alignment of priorities identified by Component administrators through the District’s Program and Resource Planning Process (PRPP) with the District’s Vision, Mission Statement and College Initiatives. In addition, the IPC annually reviews and monitors accomplishment of Component Goals and affirms that Component Goals are also aligned with the District Vision, Mission Statement and College Initiatives. Furthermore, the IPC oversees the evaluation and improvement of the District’s annual Program and Resource Planning Process. 1. APPROVAL OF MINUTES : May 9, 2011 Minutes 2. PLANNING COMMITTEE COORDINATION (Questions regarding minutes and activities will be entertained. No reports are expected) : Activity reports from the co-chairs of the Budget Advisory Committee (BAC), Classified Senate (CS), Educational Planning and Coordinating Council (EPCC), Petaluma Faculty Forum (PFF), Strategic Enrollment Planning Committee (StEP), Academic Senate (AS), District Facilities Planning Committee (DFPC), and the Integrated Environmental Planning Committee (IEPC); College Council (CC) (see attached minutes). 3. INSTITUTIONAL PLANS AND PLANNING a. Orientation and Review of IPC Role : Members will review the role of IPC in the institutional planning process, IPC structure and function, and SCJCD Committee System Best Practices. Two changes to IPC Committee Structure will be discussed; both of which change the permanent members by position without changing the membership total or committee structure. b. Review of 2011/12 IPC/PRPP Planning Calendar : Members will review a draft planning calendar for the 2011/12 academic year. The calendar will include PIC planning activities as well as PRPP timelines. c. Proposed Addendum to the 2011/12 College Initiatives : Members will review an addendum to the eight College Initiatives previously approved by the Board of Trustees for 2011/12 that adds a ninth initiative focusing on Emergency and Disaster Preparedness. d. 2010/11 Component Year-End Reports : Component administrators will provide a brief report on the year-end accomplishments from their 2010/11 Component Area Goals.

    e. 2011/12 PRPP Component Priorities: Component administrators will present the 2011/12 PRPP

    requests ranked as the highest priorities within their component areas. Requests for budget, non-faculty staffing, durable equipment and furniture, and new initiatives will be presented. Also presented will be a summary overview of the overall prioritization process and a synopsis of priorities from each component area. Following full review by IPC, the 2011/12 PRPP Component Priorities will be made available to the college community via the Planning website.

    f. Budget Update: Vice President Doug Roberts will provide members with an update on the state budget. For additional information, members may go to the Budget Advisory Committee webpage https://bussharepoint.santarosa.edu/committees/budget-advisory/SitePages/Committee%20Home%20Page.aspx .

    new respective sectors

    - Debbie has a list of committee assignments now shared with SEIU. Senators are asked to serve on these committees. Shannon O’Reilly asked if non SEIU members could belong to a committee. Debbie will check on that.

    - Debbie met with Dr. Agrella about permanent positions on committees. Debbie stated that Classified Senate should also be considered permanent by position.

    - Professional Development Committee is working on classified development opportunities.

    - Senate plaques have been updated and are in Senate chambers. Retiree plaque in Heritage Plaza.

    - Web site updates made: Senators list, agendas and minutes - Some tech troubles, Mark is working on individual basis

    i. Sector B (Perkins) – new hire, PT AAI for C2C JoAnn Olsen; Patie Wegman has become Dean II from Director.

    ii. C, M, N, P are currently unrepresented sectors, sectors will be reshuffled to accommodate the numerous moves that have relocated departments

    iii. Sector J (Jay) – reengineering happens; sent sector lists out

    iv. Sector O (O’Reilly) – waiting for green light to move, discussion of reengineering

    v. Sector F (Throckmorton) – move preparation, SRT season end, Theatre Arts season prep, would like to see reengineering info disseminated in writing to combat the rumor mill taking over, PRPP process

    vi. Sector G (Dobson) – no report

    vii. Sector I (Byrn) – Children’s center budget cut 15%, resulting in toddler room closure; teacher retired, teacher resigned, internal transfer opportunity for associate teacher position

    viii. Sector L (Lopez) – new interim dean took over July 1, reengineered lab coordinator D Miller from PET, working out well, lots of sections added

    ix. Sector T (Cummings) – sections added

    x. Sector D (Seder) – no report

    xi. Sector R (O’Toole) – librarian retired, being replaced; 1 PTs resigned; media lab specialist in PET going out on long term leave, temp reassignment

    xii. Sector A (Poppers) – Lori Harvey in Box Office is now PT classified (from STNC)

    h. Classified Senate Committee Reports

    i. Fundraising – no baked goods at Clo’s, but maybe hot drinks; silent auction at Classified Recognition Dinner will be a focus

    ii. Community Building – has not met since last report

    iii. Scholarship – not present

    iv. Election – no report

    i. College Wide Committee Reports

    i. Staff Development – has asked Classified Senate to take over their social events (hot dog social, root beer float, cookies and cider)

    7. New Business - Employee childcare is minimally available, is there any way to discuss opening this up?

    9. Announcements

    - PDA DAY August 19th, release time for Classified is available with permission from supervisor.

    - Classified Senate meeting for October 7th will be held in Petaluma. Please plan ahead, and check with your supervisor early, on this important time to meet with our co-workers from Petaluma.

    - We will be car pooling and leaving our campus by 2:00-and returning approximately at 4:00.

    Debbie will talk to Dr. A regarding sending out an announcement of release time for those who need supervisor clearance.
