Configuring the system In order to use Royalty Manager for the first time, you need to configure the system to meet your requirements. This consists of setting up the payment frequencies and configuring your sales types.

Payment Frequencies

InordertorunRoyaltiesyouneedtotellthesystemhowoftenyouwanttorunstatements.Thissectionallowsyoutoconfigurethefrequencyatwhichyouwillrunyourroyalties.Thereisnolimittothenumberofconfigurationsthatyoucanconfigure,forinstanceyoumayrunane-bookschedulequarterlyandtraditionalcopyannually.Keepinmindthatthemoreconfigurationsyouhave,themoreadministrationrequired.

From the lefthandmenuinRoyaltyManagerselect[Royalties Config].

Next,Click[Create New]orclickonanexistingconfigurationtoeditit.

Sales Types

Salestypeswillrelatedirectlytotheroyaltyscheduleintheyourcontracts.Theyenablethesystemtoknowwhichcategorytoplacesales.ExamplesincludeHomeSales,ExportSales,orBookClub.

Salestypesareindependenttoproductform,therelationshopbetweenthetwooccursatwork/titlelevel.

Tocreateanewsalestypegoto[Sales Types]

Click[Create New]orclickonanexistingitemstoeditit.

«[Code] Thisisonlyrequiredifyouareimportingfromananothersystemsuchas BradburyPhillipsoranaccountspackage.Setthecodetotheequivalentof thecodewithinthesourcesystem.e.g.:HforHomeSales.

«[Name] Thenameiswhatyouwouldliketoappearonroyaltystatementsandyou willalsoseethisonvariousimportandconfigurationscreens.

«[Copies Required]Youcheckthisifcopiesarerequiredwiththeimportedtype.Generally thisshouldbetickedandonlyexcludedforrightssaleswhereyouwillnot receivecopyinformationbutratherreceivevalueofsalesonly.

Individualretailerscanbeconfiguredtohaveadefaultsalestype.Thisisdonefromwithin[Organisation Admin].Thisisfoundunderthe[General menu]item.

5 Royalties Sales Types



The system will now be configured so that you can run import sales data and run royalty schedules. To enable the creation of royalty statements you need to set up necessary Royalty schedules as defined by your contracts. To start you should navigate to the correct area by clicking [Royalties]fromthelefthandmenu.Thiswillbringupalistofallyourpublications.

To begin you should click on the title that you wish to edit. This will open a new window as below. This example shows a title with a single product form (Paperback) with the royalty schedule for three sales types created.

At this point in the process that you are going to create a link between the Sales Type and the Product Form. So for each product form of an existing title or work you will need to create a royalty schedule for each Sales type.

There are three tabs within this area:

Royalties Theareatocreatetheroyaltyschedule(s)andsetupbreaks

Options Configurewhichpaymentscheduletheproductformadheresto,andifitssalescan influencetheunitsalesofothertitlesorroyaltyschedules.(Alsoprovidesthe opportunitytoremoveatitlefromRoyaltystatements.

To complete the Royalty schedule for each title, you must complete the following steps for each contributor.

Therearethreetypesofescaltorssupported:unit breaks,percentage breaksandcomplex breakswhichareamixtureofunitandpercentagebreaks.Ifyouhavenoescalatorsthenyoucansetthebreaktypetoeitherunitsorpercentagebreaks(howeverweadvisetheuseofaconsistentmethodacrossalltitles).

Setting up Unit BreaksThefirsttypeofbreakwewillconsideristhesimpleunitbreak,thischangesroyaltypaymentsbaseduponthenumberofunitssold.

Clicking[create new]orclickingononeoftheexistingschedulesenablesyoutoedittheschedule.

«[Contributor] Thecontributorthatwearesettingup.Select“Other”for personsthat arenotcurrentlyassignedascontributors.This isnottobeconfusedwithpayeeswhichwillbesetuplater.

«[Sales Type] Thetypeofsaletheruleappliesto.

«[Withholding Rate] Apercentageoftheroyaltiespaidtoacontributorthatisheld backincaseofreturns.

«[Payment Type] OptionsareBy Breakwhichisastandardpercentageorunit break,orLump Sum.Lumpsumpaymentswilltriggera paymentforeachsalethatmatchestheselectedconditions.

Percentagebreakshaveasimilardialogtotheunitbreaks.HoweverthearecalculatedbaseduponapercentagediscountofftheRRPratherthanonthenumberofunitssold.

Intheaboveexample,forExport Salesfrom0to50%discount,theselectedcontributorwillreceive5%ofthenetreceipts.Anycopiessoldbetween50%and70%discountwillreceive2.5%ofnetreceipts.Anycopiessoldabove70%discountwillreceivenothing.

Clickingonthe[Add another]breakfunctionenablesyoutocreateasmanydifferentbreaklevelsasyourequire.

Complex Breaks

Complex breaks provide a mechanism for combining both unit breaks with percentage breaks. An example of this could be; From 0 to 40% discount, from 1-3000 units 2% of net receipts, 3000+ units 3% of net units. Above 40% discount nothing gets paid.

Inthisinstancethefirstlevelofescalationhasacomplexbreak.ThesecondlevelhasrevertedtoasimplediscountBreak.Itispossibletocombinecomplexbreakswitheitherunitbreaksordiscountbreaks.

Inthisinstance,ExportSalesareconfiguredasadiscountbreak,LocalSalesasaunitbreakandbookclubsalesasacomplexbreak.

Setting up Complex Breaks



Thereareoccasionswherethepaymentofroyaltiesneedstobesplitorpaidtosomeoneotherthantheauthor.ExamplesofthisincludewherepaymentneedstobemadetoanAgent,orwhereRoyaltieshavebeenleftinawill.

Asadefaultthesystemwillautomaticallysetthecontributortoreceive100%ofthepayment,sothiswillonlyneedtobeconfiguredontheoccasionswherethereisasplit.

FromthePayeetabyoucancreatepayeesplits.Intheaboveexample,thecontributorMileshasthreepayeeswithpaymentssplitintopercentagestotalling100%.Foranyextrapaymenttoanyoneelse,eitheroneoftherecipientshastoberemovedoreditedsothetotaldoesnottoexceed100%.

Withintheoptionstab,youcanchoosewhichroyaltiesconfigurationthetitleisinandwhetherthetitleisstillincludedinroyaltiesreports.

Alsowithintheoptionstabyoucaninfluencealternatebreaks.Asalestypecanbesettoinfluenceadifferentsalestype.Thisoptionisusefulifthetitleusesescalators-forexamplelocalsalesmayinfluenceexportsalesandviceversa.Intheexamplebelowexportsalescouldhelptopushlocalsalestothenextescalationpoint.

Payee Details Toenabledetailedstatementstobeproducedandensurethatallnecessarytaxesaretakenintoaccountthepayeedetailsneedtobeenteredcorrectly.Thiswilleitherbecompletedinthecontributordatabaseorviaorganisationadmin.

Payee TaxRoyaltiesmanageriscapableoftrackingseveraldifferentformsoftax,withholdingratesandfixedwithholdingamounts.

VAT / GST / HSTIfthepayeeisanorganisationoranentitythatattractsataxthatisaddedtotheirincomesuchasVATorGSTthenthesystemhasthecapabilitytoaddboththetaxandataxdescriptiontotheremittanceadvice.

ToaVATorGSTrateintothesystemnavigatecontributoradmin(ororganisationadmindependingontype)andclickontheroyaltiestab.Addthetaxrateandtaxdescriptionthatyouwishtoappearonstatements.

Withholding TaxIfthepayeerequiresacertainpercentagetobewithheldbythegoverningtaxentitythenthiscanbeautomaticallyremovedfromthepayeesincome.

Toenterwithholdingtax,navigatetocontributoradmin(ororganisationadmindependingontype)andclickontheroyaltiestab.

Fixed WithholdingIfthepayeerequiresacertainamounttobewithheldforanyparticularreason-forexample,tocoverbanktransferfeestoaforeigncurrency-thenthiscanalsobeautomated.Thewithholdingwillonlyberemovedwhenthereisapaymentdue.

Toenterafixedwithholding,navigatetocontributoradmin(ororganisationadmindependingontype)andclickontheroyaltiestab.

Tax Rates ToaddadditionaltaxratestoappearinthetaxratedropdownsnavigatetoGeneral->TaxAdministration.

Royalties Upload Sales File16Nowthatyouhaveestablishedtheroyaltiesbreakdownforyourcontributor(s)andrecordedanyadvancespaid,youcanuploadyoursalesfigurestothesystem.Howoftenyouuploadthisinformationisentirelyuptoyouandwillprobablydependonhowregularlyyoureceiveyoursalesfiguresorperhapshowoftenyoupayroyaltiestoyourcontributors.

FromtheRoyaltiesMenuchoose[Sales].

Select[Upload Sales File].Selecttheappropriatefileandchooseupload.Thesystemwillreadthefirstfewlinesofthefileandattempttomapthefieldstotheinformationinthedatabase.

Pleasenotethatthesystemwillnotallowyoutouploaddocumentswiththesamenameasapreviouslyuploadedfile.Itwillgiveyouthewarning:This dated sales file has already been updated.

RoyaltiesManagerwillnowtakeyoutoanewscreenoutlinedbelow:

«[Default Date Sold] Thiswillautomaticallypopulatewiththecurrentdate.Ifthesalesdateforthefileisdifferenttothedateofupload,thenyoucanoverwritethisinformation.

Column MappingsYoucannowremapthecolumnstotheappropriatesystemcolumnbyclickingonthebluecolumnheadings.Onceclicked,adropdownmenuofpossiblecolumnheadingswillappearasdemonstratedinthepreviousimage.Toignoreacolumn,selectthebluecolumnheadingandchoose‘ignore’.Columnscanbeusedonlyoncewithinafile.

Somecolumnsonyourspreadsheetmaybemarkedas‘ignore’.Thesystemissetuptodothisforextradatathatisn’tnecessaryforcalculatingroyalties,eg.format.Makesurethatthesystemhasmarkedthecolumnstoignoreaccurately.

Thesystemwillsavethemappingforeachorganisationsothatnextuploadyoudonotneedtoremapthecolumnsonsubsequentimports.

Oncethefieldsarereadytogo,youcancheckthedataasitappearsonscreen.Checkthroughthecolumnstoensureallthecolumnshavebeeninterpretedandmappedcorrectly.

Whenyouaresatisfied,clickonProcess File.

Tip:Columnsontherightmustcontaindata.Iftheyareemptywarningswillbegeneratedaroundcolumncountmismatches.Deletethecolumnorpopulateitwithavalue.

Tip:Totalrowswillcauseerrors.Pleasedeleteanytotalsbeforeupload.

Tip:Onlysheetoneofxlsfileswillbeimported.Ensurethesalesdataisonsheetoneandthatthedatastartsonrowtwo.

Assumingthatyourfilehasallofthenecessaryinformation,youwillthenbeaskedtoverifythatyouwanttocompletetheupload.

Ifthereareerrorsorwarningsinthefile,theywillbedisplayedonscreen.Oncetheerrorsarefixed,thefilewillneedtobere-uploaded.Warningswillallowyoutoacceptandcontinue.Youwillalsobewarnedofignoredrows-thesearerowsthathavenounitsandnovalue.

UponsuccessfulimportyouwillbetakenbacktothemainSalesscreenwhereeveryitemfromwithinyourfile(includingthosewithinpreviousfiles)willbelisted,reflectingallofthedataaswellasanextracolumncalledWarnings.

Thesystemhasbeensetuptoflagerrorswhen:

19 Royalties Upload Sales Files Afterprocessingthesalesfileyouwillbereturnedtothesalesscreen.Iftherewerewarningsonthesaletheywillbeshownonthesalesrecordwithinthesalesscreen.

Ifthewarningsarerelevant,thenyoucaneither:a)Deletethesalesfilefromthesystem.Gobackintothefileandfixtheinformation.b)Youcanmakethechangesbyclickingintotherelevantitemandoverwritingthedata.c)Acceptallselectedwarningsviatheacceptselectedwarningslinkinthetopmenu.

Itisalsopossibletoisolatedatafromaparticularupload.Onthetoprightofthemain[Sales]screen(asdemonstratedintheimagebelow),thereisadropdownmenulistingallofthedifferentdocumentsthathavebeenuploaded.Tickontherelevantfilenameandthesystemwillautomaticallyisolatetherowsfromthatfileontoyourscreen.

After upload ALWAYS check the copies total and sales value! Selectthefilefromthedropdowninthetoprightcornerthencheckthetotalvalueandtotalcopiesinthecentretopofthescreen.Donotcontinueunlessthefiguresmatchexactly.

Note:Thefilefilterrespondstothedaterangesspecifiedwithinthesaleslistadministration.

NowthatyouhaveestablishedyourRoyaltiesequations,madeanoteofadvancesifnecessaryandimportedyoursalesfileensuringallwarningshavebeendealtwith,youcannowusethesystemtolookatasetofreports.

Please Note:That if you ignore the warnings entirely, and don’t accept them or fix them, then the titles will not be included in your royalties reporting. Therefore, it is important to establish whether you want to accept the warnings or correct the errors.

Currenciesareselectedfromapulldownmenuandconversionratesareautomaticallyretrievedfromtheweb.Youcanmanuallyoverwritetheconversionrateifnecessary.

By[Clicking]addmoredetail,youareabletofillinavarietyoffieldsgivingyougreaterdefinition.Forexamplethesalestypeforasalecanbedifferenttotheorganisation’ssalestype.

Thesystemisveryflexibleandcangiveyouawidevarietyofpermutationsandoptionstotracksalesbreakdownsandmarketanalysismoreaccurately.

breakdowncanentered.



Payments / AdvancesIfyouhaveagreedtopayanadvancetoyourauthor,thenyouwillneedtoaddthislumpsumintheAdvance/Paymentportionofthesystem.Todosoclickon[Payments/Advances].

Clicking[create new]oronthelinkofanexistingpaymentwillbringuptheeditpaymentscreen.

Select [Royalties Preflight] andthefollowingdialoguewillappear:

Ensurethatallrowshavezeroissuesunlessyouaresatisfiedthattheexceptiondoesnotrequirefixing.

Togenerateroyaltystatementsorremittanceadvice,gotothemenuitempayrun.Thiswillgeneratestatements,remittanceadviceandonceaperiodisclosedandapdfgenerated,bulkemailingofallstatementsandremittance.

Note:Ifyouhavemultipleroyaltyconfigurationsyouwillbepromptedastowhichconfigurationyouwishtouse.
