Job Description Job Title: Business Support Officer Salary: £23,000 pro rata 1. Responsible to: Head of Operations, Chief Executive and HR Manager 2. Important Functional Relationships: Staff within Balance External contacts: Commissioners, funding bodies, supported employment agencies and partners, voluntary sector and local health trusts, service users and their families, and members of the public. Main Purposes of Job 1. To provide effective PA support to the Chief Executive and other head office staff as required 2. To collect and produce statistical information from all teams as required by our different funding bodies and board members 3. To be the main point of contact for the team’s IT system and database The post holder will work a 20 hour week, spread over 4 days. The post holder must be willing to work flexible hours as reasonably dictated by the needs of the role. In such cases the post holder will be able to claim time off in lieu. General Duties 1. General Duties

2. Take the lead on any sub-projects that are devolved from Balance, for example, reviewing IT support arrangements

3. Take the lead in actively liaising with team administrators within Balance to ensure continuity of approach

4. Provide effective, robust and proactive PA support to the Chief Executive including diary management, off-site meeting bookings, travel bookings, confidential filing, report writing, minute taking and support with presentations

5. To oversee the Health & Safety of the head office area and act as Health & Safety lead for Head Office

6. To provide database support and act as the super user for the team. Liaise with team members to produce reports for Managers, Commissioners and Board Members

7. To take accurate minutes of complex meetings, including board level and confidential HR- related meetings as needed

8. Using Wordpress, to update the Balance website with news items, media and staff items9. Under the guidance of the HR Manager, preparing staff contracts and other confidential

documentation10. Posting job advertisements online and Balance website

11. Administering Disclosure and Barring checks with the provider12. Liaison with landlord 13. Organise refreshments and materials for meetings and training days14. Attend staff meetings and training as required15. Carry out any other duties as are within the scope, spirit and purpose of the job, the title of the

post and its grading, as required by your line manager or his/her next higher level of authority

Essential Desirable

Experience Proven experience of using Microsoft Office 365 (Word, Excel, Power Point, Outlook)

Proven experience of working as an administrator with a significant level of responsibility

Proven practical experience of setting up and maintaining effective and efficient workflow and administrative systems

Experience of Wordpress
