UCAS 2019 ENTRY INFORMATION FOR STUDENTS

IMPORTANT DEADLINES

22nd May 2018 UCAS APPLY2019 becomes available to students 16th July 2018 All students to have started an on-line application to UCAS. Even if you

are not intending to go to university, the UCAS application is a good example of an on-line application form.

18th July 2018 UCAS Conservatoires Apply2019 now available After 16th August 2018 Add any AS level results to your UCAS application in APPLY2019 add any

new subjects that you are taking up in your second year (e.g. Extended Project) – leaving the grades ‘pending’.

1st October 2018 Internal deadline if you are applying for Oxbridge, Medical, Dentistry or Veterinary courses.

2nd October 2018 UCAS Conservatoire deadline for music applications 8th October 2018 Internal deadline if you are applying to a Russell Group or highly

selective university. You must have discussed your application with your Tutor who will approve it. Your Tutor will advise you when to pay/submit in APPLY2019.

15th October 2018 UCAS Deadline for all Oxbridge, Medical, Dentistry or Veterinary courses.

2nd November 2018 Admissions Tests for some universities to be held in College - make sure you advise the Exams Office if you need to sit an Admissions Test here in College as you will need to be registered.

12th November 2018 Internal deadline for all other UCAS applications. You must have discussed your application with your Tutor who will approve it. Your Tutor will advise you when to pay/submit in APPLY2019.

15th January 2019 UCAS deadline and UCAS Conservatoire deadline for most dance, drama or musical theatre courses. Student Services will guarantee submitting your application to UCAS to meet this deadline if you complete, pay for and submit your application in APPLY2019 and have it approved by your Tutor by 12th

November 2018. Applications can be submitted to UCAS after 15th January 2019 but they will be considered as ‘late applications’. Some courses may be closed by Universities at this point whilst they check their numbers. (These courses may be opened again at a later date). Universities may still consider these applications if they want to make more offers.

15th January 2019 or 24th March 2019

(Art & Design Courses) UCAS deadline. You can submit up to 5 choices for Art & Design courses. It is important that you check the closing date for the individual course as it may be either 15th January or 24th March.

30th June 2019 Last date for the receipt of all other applications for immediate consideration. Those received after this date will be held for UCAS Clearing.

Don’t leave your application to the last minute – the sooner you complete it, the earlier we can submit it and the better chance you have of getting a university place! Student Services aim to process applications within 10 working days of your final payment and submission in APPLY2019.

MAKING YOUR APPLICATION TO UNIVERSITY You can apply for a university place starting in September/October 2019, or you can defer a place to start in September/October 2020.

You will use the UCAS APPLY2019 system on www.ucas.com to make your application.

OVERVIEW OF THE PROCEDURE

1. Research your course choice and university carefully – visit the institutions wherever possible.

2. Draft your personal statement and discuss this with your tutor.

3. Register to start your application in APPLY2019 on the UCAS website –

www.ucas.com

4. Complete the UCAS application form in APPLY2019 on the UCAS website.

5. Discuss your UCAS application with your tutor.

6. When your tutor advises that your application is ready to be sent off, log in to your application in APPLY2019 on the UCAS website and select ‘pay/send’. You will need a credit/debit card to pay for your application. The payment goes directly to UCAS.

7. We will attach your reference to your application in APPLY2019 and send it off to

UCAS.

We aim to send your completed application off to UCAS within 10 working days of you logging into the College intranet and confirming that you have paid for your application (see point 6 above).

It is very important that you regularly check your College e-mails during the application process as your Tutor, Student Progress Adviser or Progress Zone staff may send you a note about your application if they detect there is a problem or you need to make an amendment.

Please note: If your application has to be returned to you for any reason after you have paid (point 6 above) then the service agreement of sending your application to UCAS within 10 working days will start again from the date that you re-submit your application in APPLY2019.

WHAT IS APPLY2019?

APPLY is an external application system operated by UCAS that allows you to apply online for full-time undergraduate courses at universities and colleges. UCAS ask you to complete the following sections:

• Registration • Personal details • Additional Information (UK applicants only) • Choices • Education • Employment • Personal Statement • Reference – this is added by Student Services Department at Barton Peveril • Declaration • Pay and send

Your application does not have to be completed all at once. The system allows you to leave a section partially completed so you can return to it later and change any information you have entered.

REGISTRATION ON THE UCAS APPLY SYSTEM

UCAS need to know your personal details, such as your name, address and date of birth. They also ask you to read and accept the terms and conditions for using Apply. The registration progress generates your username and you create your own password, which you use to login to Apply.

**You must make a note of your username and password when

registration is complete**

A quick guide to registration:

1. Log on to www.ucas.com 2. Click on the ‘Register’ icon at the top right hand of the screen and then select

undergraduate registration from the drop down menu. 3. Click on Register and apply for 2019 entry (do not select 2018 entry). 4. Click on Register. 5. The welcome screen will then take you through to the Terms and Conditions. 6. Select registering through school or college. 7. Type in the buzzword BARTPEV19. 8. Follow instructions to register personal details (i.e. name, address, telephone number,

e-mail address etc). 9. Choose a password and enter a security question and answer (can be used as a

prompt in the event that student forgets login details). 10. Click SEND to create and issue a username – YOU MUST NOTE THESE DETAILS!

Log into www.ucas.com

Click on the ‘Register’ icon to open up the menu and then choose ‘Undergraduate’

Click on the link to Register and apply for 2019 entry (do not choose 2018 entry)

We would suggest that you use your College email address, but if you prefer to use your own personal email address please ensure it is ‘standard’ – ‘[email protected]’ or ‘[email protected]’ is not really appropriate!!

Choose how you would like to receive other information and then press ‘next’.

Register: Security

Create a password and select your security questions.

Make sure that you remember your security questions and answers! You may need them later on.

MAKE A NOTE OF YOUR PASSWORD!!

Student Services Staff will not be able to retrieve it if you lose it!

Confirm that you are registering through Barton Peveril College and press ‘next’.

Please ensure you select your correct tutor group by using the drop down arrow.

You will then be taken to the Verify Email Success screen – you are now able to go to the Welcome Page and begin to fill in your application form.

Make a note of your personal ID and keep it safe.

Click on the red ‘click here to verify your email address’. An e-mail will be sent by UCAS to the e-mail address you registered in your personal details (we recommend you use your College e-mail address). Check your inbox and retrieve this e-mail from UCAS to get your verification code.

Scroll down and type in the verification code specified in the e-mail sent by UCAS, then click verify e-mail.

PERSONAL DETAILS

Some of this section will be filled in automatically with the details you entered during registration. You should check that the information is correct, such as your name, address, date of birth and contact details. UCAS also ask for further information that the universities and colleges require, such as your nationality, residential status and any disabilities that you may have.

The first half of the screen is straightforward, complete all compulsory fields (those indicated with a *).

STUDENT SUPPORT This is one of the most common errors that we find on our students’ applications!

The FEE CODE IS 02 Select this code using the drop down list.

Student Support Arrangements:

Use the drop down arrow and choose your local authority for where you live – for Barton Peveril Students, this will normally be Hampshire or Southampton. Click on ‘see list’ and choose your code from the list.

You can find your ULN number from your student record in Studio

You do not need to enter your passport details as your permanent residence is in the EU.

When you have entered all your Personal Details, select ‘section completed’ and then press the red ‘save’ icon.

You must use the drop down list to choose a disability category.

UCAS will only discuss your application with you unless you complete this field – you are advised to put in the name of a parent or relative here.

Nominated Access

If there is a query with your application and you need to contact UCAS they will only be willing to talk to you as you are the applicant. However if you specify the name of a nominee and their relationship to you in this section, UCAS will also be able to discuss your application with this nominated person. This is particularly useful if you are going on holiday, travelling on a gap year or applying for deferred entry as if you nominate your parent or guardian they can follow up queries on your behalf.

AT THE END OF EACH SECTION, TICK ‘SECTION COMPLETED’ AND THEN ‘SAVE’.

A TICK WILL THEN APPEAR IN THE RELEVANT SECTION BOX – YOU NEED TO COMPLETE ALL SECTIONS BEFORE YOU CAN PAY AND SEND.

ADDITIONAL INFORMATION

When you have entered all the relevant information, click on the ‘section completed’ box and then press the red ‘save’ icon.

ACTIVITIES IN PREPARATION FOR HIGHER EDUCATION: This is where you can enter the details of any courses or summer camps that you attended as you prepare for university.

STUDENT FINANCE At the time of writing, the date of applying for university finance for 2019 entry is unknown. However, we anticipate that it could be January/February 2019.

For up to date information about finance for Higher Education, you can log on to www.direct.gov.uk/studentfinance There is also more information about Student Finance on the UCAS Website – follow the link http://www.ucas.com/ucas/undergraduate/finance-and-support or the Student Room website at www.thestudentroom.co.uk

From 2019, UCAS have removed the questions in the student finance section as they no longer share data with the Student Loan Company or Student Awards Agency for Scotland. However, UCAS will still provide you with important information about student finance and how to apply for it. Tick and save once you have

read these details.

CHOICES

In this section you enter the courses and universities/colleges that you are applying to.

You can make a maximum of 5 choices.

• Students can make a maximum of 5 choices on their application including:

- No more than 4 choices in any one of the following three areas:

(i) Medicine

(ii) Dentistry

(iii) Veterinary medicine or veterinary science

- Choose either Oxford University or the University of Cambridge

- Students can make a maximum of 5 Art and Design courses. The closing dates for these courses may vary – either 15th January 2019 or 24th March 2019 but we would recommend getting all applications in by the 15th January deadline.

- Conservatoires and Drama Schools: Students can apply to 6 courses relating to music/dance/acting & theatre/screen production via UCAS Conservatoire plus up to 5 courses through UCAS and also apply to private Drama Schools.

You do not need to choose all your universities at once – if you want to send your application off with just one or two universities, you can then add other uni choices at a later date via TRACK.

Make sure you research thoroughly to ensure you are choosing the best course and university for you! Attend the university Open Days!

Aim high but be realistic with your choices – some offers may come back higher than the entry requirements specified on the UCAS website so it is important that you have a ‘safe’ back up option to use as your insurance choice.

NB: UNIVERSITIES SHOW THE MINIMUM ENTRY REQUIREMENTS ON THE UCAS WEBSITE AND THEIR OWN WEBSITES. SOME STUDENTS HAVE FOUND THAT THEY ARE GIVEN AN OFFER WITH HIGHER THAN EXPECTED ENTRY REQUIREMENTS.

For each choice you will be asked to indicate if you will be living at home or in student accommodation and if you are applying for deferred entry i.e. starting the course in 2020 rather than 2019.

Click on ‘add a choice’

You do not need to select your choices in any order of preference – the UCAS system will automatically put them in alphabetical order on your application.

After making each choice, click on the red ‘save’ icon.

If you are planning to submit a COMPACT application, note this in the ‘Further Details’ field.

Leave Point of Entry blank if you are going into the first year of the course.

Education

UCAS need to know where you have studied and which qualifications you are taking/have taken. You will be asked to fill in your school and college details and then list your qualifications. Make sure you have included all relevant qualifications, including any that you have completed and any that you are currently taking.

• Add your secondary school and then PUT IN ALL YOUR GCSE

ENTERING GRADES: You will need to enter your AS grades after you receive them in August. All grades must be entered – even U grades!

For any subjects being studied in your second year (i.e. A2 levels, new AS level, Extended Project, BTEC) you will need to leave the grade as ‘Pending’

ENTERING MODULE UNITS AND GRADES; This is optional – it is entirely up to you as the applicant whether you enter your individual modules and grades. If you have achieved good grades for your modules, then it might be a good idea to include them in your application – especially if a particular module is relevant to the course you are applying for. If your grades are a bit inconsistent – for example you have achieved good grades for most but one did not go so well, then it may be better not to include them. College advice would be to either include all of them or none of them to show consistency within your application.

EMPLOYMENT

In this section you fill in the details of your work history and employers. You can add up to 5 employers. Note details of paid employment only – volunteering or unpaid work should be included in your personal statement.

If you have not had any jobs you can leave this section blank, but you will still need to mark it as complete in order to continue with your application.

If you have not had any paid employment, you can just tick the ‘section completed’ box without putting in any further details.

PERSONAL STATEMENT

You need to complete a personal statement, which tells your universities or colleges why you are applying for the course(s) you have chosen and why they should want you as a student. This statement helps universities and colleges to know more about you as a person.

You only complete one personal statement and this will be used for each of your university choices.

You will have had the opportunity to attend a presentation during Tutor Time about writing your personal statement. Watch the UCAS ‘How To’ Guide to get further advice.

A good personal statement is very important – few universities actually interview now and the way you write this could persuade an Admissions Tutor to offer you a place.

You must be truthful and your personal statement must be your own work. UCAS have a very complex system in place to check for plagiarism so do not be tempted to use extracts from other people’s statements which may be posted on the internet.

Make sure you mention your involvement in master classes, volunteering, extra curricular activities such as the Duke of Edinburgh award, guiding or drama groups, your sporting achievements and interests and your future plans.

Make reference to the course you are applying for – why do you want to study it and what you could offer to the university. You also need to make your Personal Statement general enough for each of the universities you are applying to – do not write that you have always wanted to study at Cardiff University when you are also applying to Plymouth and Birmingham!!

Make sure your personal statement is grammatically correct and use spell check!! Admissions Tutors will not be impressed by careless mistakes so take your time and ask other people to read and check it for you. Make sure it is as perfect as it can be!

REFERENCES

UCAS require a reference from your tutor and subject teachers as they know you well enough to write about you and your suitability for the course. Your tutor, Student Progress Adviser and Progress Zone staff will arrange for a reference to be written and attached to your application. Please ensure that you let your tutor know if you have experienced disrupted studies due to ill health or other personal circumstances which may have affected your GCSE grades or A level grades as this can be incorporated into your reference so that the universities are aware.

Payment

The cost for applying to one choice is £18.00 The cost for applying for two or more choices is £24.00

Once your tutor has confirmed that your application is ready to be submitted, you pay the application fee online using a credit or debit card by selecting ‘pay/send’ from the menu on the left hand side of the screen when you are logged into your application in www.ucas.com APPLY2019.

You are unable to pay for your application via Student Services or the College Shop.

After you have paid for your application in APPLY2019 and your tutor has approved your application in APPLY2019, Barton Peveril will attach your reference and, following a final check, your application will be submitted to UCAS.

Once UCAS receive your application it cannot be changed. They will process it, and send a copy to each of your chosen universities/colleges.

You’ve Paid For Your Application in APPLY2019 - What Happens Now?

• Your Tutor will approve your application in APPLY2019. • Your reference will be added to your application in APPLY2019. • Student Services will submit your application to UCAS.

It is very important that you keep checking your college e- mails as there may be further instructions relating to your

application that you need to action.

IF YOU RECEIVE AN EMAIL FROM UCASPROBLEM PLEASE DON’T IGNORE IT!!!

Once UCAS receive your application it cannot be changed. They will process it, and send a copy to each of your chosen universities/colleges.

You can follow the progress of your application via UCAS TRACK. You use the same logon details to access TRACK as you do for APPLY2019.

You will be notified of university offers via TRACK and can accept or decline your offers using this facility.

COMPACT APPLICATIONS

What is a COMPACT? Some students may be eligible to apply for a Compact application at certain universities. This means that they may be considered for an offer based on lower entry requirements or receive a specific bursary.

If you are intending to make a Compact Application, you need to note this on your UCAS application by typing ‘COMPACT’ in the Further Details field in the Choices Section.

Generally, you will need to fulfil 3 of the criteria to be eligible for a Compact scheme. For 2018 entry we have the following agreements. At the time of writing this booklet, the criteria for 2019 entry is still to be confirmed. The information below shows the criteria for 2018, as a guide:

Winchester University Criteria for 2018 entry

First in family to undertake HE Difficult financial circumstances Problems relating to health, disability or bereavement Caring responsibilities Has been in the care of the local authority Has had a disrupted pattern of education Is from a group which is under-represented in HE

Southampton University

Southampton University have a slightly different scheme called Access 2 Southampton.

Access to Southampton (A2S) is open nationally to students living permanently in the UK. Students must apply to A2S when they are in Year 12 or the first year of A-Level (or equivalent) study. To be eligible for the A2S scheme, you should have the potential to study at the University of Southampton and meet their criteria: Full details can be found at www.southampton.ac.uk/a2s

UCAS Tariff points explained

UCAS Tariff points are used by some universities and colleges to set their entry requirements and to make offers. Currently, one third of courses in the UCAS search tool have a Tariff entry requirement.

Instead of asking for grades, a university might express the offer as a number of points. To help understand how many points a qualification is worth, UCAS has a Tariff calculator that you can use.

You only count each qualification once, dependent upon whether you finished it in year 1 or year 2.
