Getting Started
Introduction RoomMaster® is the Galileo accommodation reservation system which provides Galileo agents with availability and descriptive information on over 225 hotel chains representing some 45,000 hotel properties world wide.
All information is updated by the Hotel Chains themselves ensuring the displays are accurate and up to date.
RoomMaster is the simplest and fastest way to process a hotel reservation. Using minimal keystrokes, you can locate the hotel(s) that best meets your client’s requirements and in most cases advise immediate confirmation.

Confirmation Process There are four communication processes used by a Vendor to confirm your hotel reservation.
Inside Availability
Inside availability is the most advanced form of communication in CRS. Booking and availability requests access the Vendors own host system providing "REAL TIME" confirmation and displays. A confirmation number is attached to the hotel segment "PRIOR" to End Transaction.
Inside Links
Messages are routed by a "DIRECT LINK" between Galileo and the Vendor system. A confirmation number is added to the hotel segment "PRIOR" to End Transaction.
Teletype
Messages are routed to the Vendor by "AUTOMATIC TELETYPE" confirmation numbers are added and returned by the Vendor system automatically "AFTER" End Transaction.
Line Drop
Notification messages are routed "AUTOMATICALLY" to the vendor. Confirmation numbers are added and returned manually "AFTER" end transaction. The confirmation process usually takes a few hours, however, on occasions it may take up to 24 hours.
Important Note A room should never be confirmed to the client until a confirmation number is displayed in the hotel segment.

Hotel Index (HOI) For help enter: H/HOI
The RoomMaster hotel index provides access to a complete list of hotels for a nominated city airport or reference point regardless of availability.
Properties will be displayed in groups (“buckets”) according to their distance from the requested point. Within each group some properties may be displayed in random order on each subsequent HOI entry.
HOIHNL Request for index of hotels associated with Honolulu Airport (IATA 3 character airport code used). This basic input will assume today’s date and 1 nights stay.
HOIHONOLULU Request for index of hotels associated with Honolulu city (full city name used).
Screen Description
1. Repeat of input with default 50km/30mile range.
2. Reference point and column headings.
3. Line number
4. Vendor code followed by property name

Hints
• Distance/direction indicators will be taken from the airport unless a reference point is nominated.
• Distance defaults to kilometres. To convert the index display to miles, simply enter HOU/D-M. Watch the ‘KM’ heading change to ‘MI’ before your eyes.
• To redisplay the last accessed index enter HOI*R.
No code?...............................................No problem!
When using the full city name and there is more than one place of the same name a similar name list will be displayed. A selection can then be made from the list by using the displayed prompt and adding the line number required.

Index Search Qualifiers
For help enter: H/HQS
Search qualifiers can be added to the basic HOI entry to narrow the search and save time.
Some examples of the most commonly used search qualifiers are listed below;
HOILON/SI Hotel Index London city for Sheraton International properties (SI).
HOINYC/L-D Hotel Index for New York displaying properties downtown.
HOISYD/N-PLAZA Hotel Index Sydney for properties that have the word Plaza in their name.
HOIJFK/D-3 Hotel Index for properties within 3 km distance of JFK airport.
HOILHR/D+10NW Hotel Index for properties more than 10 km Northwest of London Heathrow airport.
HOIMEL/V1ØØ Hotel Index Melbourne for properties with a rate of approximately 1ØØ local currency units.
HOIPAR/VEUR Hotel Index for Paris, currency in Euros

• Modifiers can be combined in any order to narrow your choice to a few properties, for example;: HOIFRA/L-C/SI/D-2Ø Displays a Hotel Index for Frankfurt, city location, showing only SI properties within 2Ø km of the city.
• Use HOI*R/AUD to convert the displayed currency amount.
• Some hotel chains prompt displays with “Headlines” on special offers. Tab to the HL1 prompt and enter to read further. eg., HL*HTL To access all system vendor specials HL*HTL/SI To access select vendor specials

Reference Points (HOR) For help enter: H/HOR
Reference Points are useful for specifying either a reference point or a landmark.
A client visiting New York may require accommodation near the Empire State Building:
HORNYC Request list of reference points for NYC
HOI21/D-5K Display a hotel index from reference point 21, properties within 5 km.
HOI7/UI Display a hotel index from reference point 7 for hotel chain UI.
Hints
• Of all the search qualifiers, reference point will override all others, even the city code in the main entry: HOISIN/R-OCEAN PARK (Ocean Park is actually in Hong Kong).
• C*HTL/LONX - Display the city centre of London as defined in RoomMaster.

Hotel Availability
Basic Availability (HOA) For help enter: H/HOA
Each hotel availability screen will display a list of available properties together with a default selection of available Rate Categories. Many of the Rate Categories will also show the lowest guaranteed rate in local currency for that category.
Rates Categories are groups of one or more room types based on their rate type, for example Standard Rack Rates (STD), Corporate Rates (COR), Package rates (PKG) etc.
As with the Hotel Index, Hotel Availability will display properties in groups (“buckets”) according to their distance from the requested point. Within each group some properties may be displayed in random order on each subsequent availability entry.
The availability display default is 1 person, staying 1 night, within a 5Ø km radius of the requested location.
Without Air Segment HOAØ1JUN-Ø8JUNLONDON
Availability 1-8 June for London City.
HOAØ2DEC-4NTSYD, or HOAØ2DEC-Ø6DECSYD Availability 12 December for 4 nights for hotels associated with Sydney Airport (SYD).

With Air Segment When an air segment is present on your Galileo screen, RoomMaster will make use of the segment information to complete a hotel availability request.
HOA Request availability for arrival date and city of last air segment. Default is 1 night for 1 adult.
HOA-2NT Request availability for 2 nights.
/2+HOA Request hotel availability for arrival date and city of segment 2 (ie. insert availability after segment 2). This entry may not normally be necessary as Galileo "Automatic Segment Placement" will order your itinerary according to date automatically.
Upon selling an air segment the Galileo screen will provide a prompt for you to easily make use of this facility.
Tab to the prompt then input the check-out date (if more than 1 night required), plus any required qualifiers.

Availability Search Qualifiers

In order to reduce the number of properties shown in an availability display, optional Search Qualifiers may be used to list only those hotels which most precisely match a client's requirements.
Search Qualifiers are simply added to your availability request and should be added in the order of the clients preference, such as
HOA9DEC-12DECHNL2/R-WAIKIKI/HY/D-5KS/V150 Hotel availability Honolulu airport (HNL)for 2 people(2) at
the reference point of Waikiki (R-WAIKIKI) displaying only Hyatt properties (HY), located within 5 kms south (D-5KS) of the reference point at a rate of about USD150.00 (V150).
Some of the most commonly used are:
/SI Chain code (SI - Sheraton Hotels)
CHI2 Specify room types for two or more people are required, the number two must be specified
/L-A Airport location
/R-ASCOT Reference Point
/N-ROYAL A word that appears in Hotel name
/C-WKD Rate category (up to 3 categories can be included in one entry)
/V15Ø Requested room rate
/VAUD Display rates in currency AUD.
/VEUR Display rates in European currency EURO
/F-GYM Facility - Gym
/P-APT Property type - Apartment
/D-1ØKN Distance - 1Ø Km North
These are some examples of the most commonly used search qualifiers. However, please refer to H/HSQ for a complete listing.
If RoomMaster is unable to match any Search Qualifiers, rather than displaying no properties at all, it will display those properties which meet as many of the Qualifiers as possible. A warning message UNMATCHED:....is displayed on the second line indicating the Qualifiers which have not been matched.

Converting Rates Rates are normally loaded by the hotel vendors in the local currency. The rates can be converted to another currency at the current Bank Selling Rate.
HOA*R/BHD Convert the rates on basic availability to BHD
HOC*R/FRF Convert the rates on complete availability to French francs.
Important Note Rates which have been converted are not guaranteed.

Complete Availability will display all available room types and rates for an individual property. Remember the Basic Availability only displays the Rate Categories.
HOC2 Request Complete Availability for Hotel on line 2 of a Basic Availability display.
The response will depend upon the Chains level of participation.
Inside Availability Vendor (Those that have + before the chain code ie +HY)
Screen Description The Inside Availability Vendor will return a list of rate amounts with a brief description of the room type.

Inside Availability Vendors
The prompt of HOV on the Complete Availability screen indicates that it is possible to view full rate rules and information on a specific room. The line number of the required room needs to be added to the entry.

Inside Link, Teletype & Line Drop Vendors
With these vendors the Complete Availability display shows a different prompt of HOV/...... The full room code needs to be added to the entry.

Selling A hotel can be sold from any availability screen, HOA, HOC, or HOV. However, we strongly recommend that the following procedure be followed. This will ensure that you sell the correct type of room and that any applicable rate rules are complied with.
Procedure
1. Display Basic Availability (HOA)
eg. HOA12DEC-14DECHDQ/ZQ
Attempting to sell from the HOA screen will normally automatically display the HOC screen.
2. Display HOC screen
Tab to the HOC prompt then insert the line number of the hotel required. Upon pressing ENTER a display of all available room types will be shown. eg. HOC1

3. Display HOV screen (Optional)
The HOV screen will display the rules applying to the rate selected. This step is optional but is strongly recommended when any NON STANDARD (STD) rates are booked. Note that the dates shown on this screen indicate the actual nights booked at the hotel, not the in/out dates.
4. Sell the Room

Sell 1 A2T on Rack rates. A prompt is provided at the bottom of the HOV screen, tab twice add any additional sell modifiers then ENTER.

Confirmation Numbers Remember that a hotel booking is not 100% confirmed until a confirmation number has been returned by the vendor - even if the segment status is HK.
Inside Link & Inside Availability Vendors
A confirmation number will be automatically added to the segment from the vendors own reservation system.
Non-Inside Link Vendor
Upon selling the room a confirmation number will NOT be immediately displayed and therefore the accommodation is not confirmed. A confirmation number should be returned within 12 to 24 hours.
If no confirmation number has been received after 48 hours of making the booking use Vendor Queuing to request the /CF- number.

Optional Sell Information For help enter: H/HTL/
When you sell a room it may be necessary to generate additional information to the hotel. To generate this information at the time of sell you can use a number of OPTIONAL INFORMATION FIELDS. The optional fields are appended to the sell entry;
eg: Ø1A1KRAC/G-DPST (From the HOV screen)
Not all fields are accepted/processed by every Vendor. You should check using the keyword of OPTI on the HOD screen (eg. HODRG/OPTI) to check which optional codes the Vendor will accept. If unsure use a Vendor Remark (max 99 lines).
Guarantee of Arrival
Guarantee of arrival guidelines, as set down by the hotel in the Keyword GUAR, should be followed strictly as using an inappropriate guarantee could result in the guest room being released.

Often when making a hotel booking you may be dealing with a family or party wishing to share the same room. Therefore it will be necessary to request additional beds or advise the property that additional people will be occupying the room or using the existing bedding.
The optional fields to use are:

/CR-1 1 Cot or Crib
/EX-1 1 Extra Adult
/EC-2 2 Extra Children
Remember to check if additional charges apply for rollaway beds or extra people by referring to the keyword of ROOM on the particular property's HOD display. That is, from the availability display input HOD(line No.)/ROOM.
Special Information
The special information field is used to send any other details to the hotel.

For the next 3 nights they wish to move to another ZQ property. You can choose the hotel and they want a corporate rate of up to AUD$3ØØ, again in a deluxe room with one double bed. Guarantee their arrival by deposit.

Cancelling Hotel Segments Hotel segments must always be cancelled if not required.
After end transaction hotel segments MUST be cancelled using the entries shown below. This is in order for the correct message to be transmitted to the vendor.

All RoomMaster “Inside Link” and “Inside Availability: vendors will respond with a cancellation number. For these vendors it is most important that the cancellation number is received, if it is not received then you should contact the Hotel Vendor direct or the Galileo Service Centre.
Important: No Show fees may be charged by a hotel if a reservation is not cancelled.

Pre-Registration of Rooms The Galileo "Automatic Segment Placement" function will position your hotel segment into order based on the check-in date. When a hotel has been booked for pre-registration, ie. booked for the night prior to arrival, Automatic Segment Placement will put the hotel segment prior to the arrival flight. It is not possible to manually re-order the itinerary.
When you need to add a pre-registered hotel segment you MUST use the insert after command with your initial availability entry

Multi-Level Rates Often an agency or agency group have pre-negotiated or preferred rates with a hotel chain, or a corporate account may have a negotiated rate. In these cases the hotel chain can load these rates into RoomMaster.
The ability to view these special rates may be controlled by a Multilevel Rate Access Code. This form of security is attached to your computer’s location code and to access your special rates you may need to use a modifier in the availability request.

Your access code is placed after the @ symbol. The examples below are for an American Express office and for an agent who has been given access to sell BHP rates.

Multilevel rate access codes are given to an agency by the hotel chain(s). You will find that in most circumstances a standard rate access code is used by all chains to allow access to your agency's preferred rates. Galileo is working closely with hotel chains to ensure these codes are standardised.

• Occasionally you may wish to compare negotiated rates offered by a hotel with other special rates ie: Weekend, Package, Special. Request availability to display Multilevel Rates (XXXX), Package Rates (PKG), Weekend Rates (WKD). eg: HOA7NOV-9NOVAKL@XXXX/C-ALL This response will display the Multilevel Rates. To display both Multilevel and the other rate types you must access a complete availability. eg: HOC1
• The Multilevel Rate Code can be combined with other search modifiers.

To modify a hotel segment use Hotel Modify entries (HOM).
It is always important to check availability before changing critical data (anything that may affect cost).
The following types of modifications can be made:
D Date (Cancellation and rebook message sent to vendor)
R Room Type or number of adults in room (Cancellation and rebook message sent to vendor)
O Optional Data Field

HOM2D/15AUG-18AUG Change requested dates on segment 2
HOM3R/1A1D-1 Change room type on segment 3 to 1A1D room type with 1 adult. Number of adults must always be specified even if it is the same as previously confirmed.

Queuing A Booking File can be queued directly to a Hotel Chain’s Vendor Update Terminal (VUT) when special assistance maybe required on a hotel reservation.
