Dolphin Management 5.5 product features Roncone Modules

Roncone Practice Monitor: Daily report of key practice metrics. This daily monitor allows you to look at those areas of your practice that affect you the most. In the past, you would have to “pull” reports from multiple areas within your software to get the numbers you need to analyze. The Roncone Practice Monitor eliminates this. With the click of a button you can now have a report that gives you the ability to see where your production is for the month, the year, as well as projected production. You can alleviate potential cash flow problems because you know your status regarding production, collections and receivables. This monitor is a key tool in helping you achieve a JSOP practice.

Roncone Procedure Timings Report: Detailed tracking of chairside timing and orthodontic assistant performance. This report is used to determine the amount of time that each assistant spends on each procedure that is performed in your office. This information is used during Dr. Roncone’s JSOP training days. Each procedure and assistant is analyzed to determine what areas require more training. A ranking system is also given and bonuses or rewards can be granted based on actual performance.

Dr. Roncone’s initial exam questionnaire and PowerPoint presentation template: Countless hours have been spent in creating this questionnaire and presentation. Just as a pilot uses a takeoff checklist, you too should be thorough in your new patient exam. Not only is this an invaluable tool in diagnosis, but it is also an educational experience for the patient. After the exam, a PowerPoint presentation is shared based on your clinical findings. This PowerPoint is specific to each patient and uses their photos whenever appropriate. It also shows examples of cases similar to theirs by using morphed videos of Dr. Roncone’s actual patients. Give each new patient a copy of this PowerPoint as a way of sharing “tangible” treatment information with spouses or others. This is also a terrific marketing tool to differentiate your office from your competitors.

Dolphin is the primary software system used in Dr. Roncone’s practice. Working closely with Dr. Roncone and his staff, we created the Dolphin Management Roncone Modules, designed to conform to Dr. Roncone’s unique practice management techniques. ASSESSMENT (PRELIMINARY)

Our generalized preliminary assessment follows:

Relationship between upper and lower jaws is acceptable; however, tooth

crowding exists

Narrow archform - upper

Crowding of lower teeth

The upper front teeth cover the lower front teeth excessively

The upper front teeth are too far forward compared with the lower front teeth

Poor functioning of the jaw joint (grinding)

PLAN OF TREATMENT

Our preliminary treatment plan follows:

A comprehensive orthodontic treatment will be undertaken. It will involve braces

being placed on each tooth. The goals for this treatment are: 1) Placing the jaw

joints on a hinge 2) Achieving relaxed muscles of the head & neck 3) A superb

tooth fit that functions properly 4) A great smile 5) Excellent gum & bone health

Braces will eventually be placed on all upper and lower permanent teeth

A muscle relaxing appliance will be placed in the upper jaw

Small plastic bite ramps will be placed on the back side of your upper two front

teeth in order to allow the lower back teeth to erupt properly

TREATMENT TIME

Estimated treatment time is 14 months

SUBJECTIVE COMPLAINTS

Based upon the medical-dental history form, the patient interview

and answers from the patient during the clinical examination, the

following symptoms and/or concerns have been reported:

Bad bite

Crowding of the lower teeth

Headaches

OBJECTIVE FINDINGS

The findings of our clinical examination follow:

Headaches

A “rubbing” can be felt in the left jaw joint

When the mouth opens there is a shift of the lower jaw to the right--This may be

due to muscle spasms or abnormalities inside the joint

Oral hygiene is rated as excellent

No gingival (gum) swelling is present

No gingival (gum) recession is evident

Gingival tissue (gums) appear healthy

All teeth present in the mouth are permanent and the following is a summary of

dental conditions:

Restored teeth-

-mandibular right first molar

Fan-shaped anteriors

Compared to the lower there is too much tooth structure in the upper

front teeth

The upper and lower back teeth mesh reasonably well

The upper and lower front teeth meet edge-to-edge which is abnormal and may

lead to tooth wear

Dr. Roncone’s initial exam letter set for the patient, parent and referring doctor: One of the key factors in a successful orthodontic practice is communication. Send each patient an initial exam letter tailored with your clinical findings. Use simple, non-clinical language so they understand your findings and treatment options. Give this same letter to the referring doctor using clinical terms. Because this letter is tied to the exam, there are no additional steps needed in generating a clinical and patient/parent letter. It’s that easy!

Dr. Roncone’s chairside treatment card templates: Orthodontics, TMD: Specific areas for each type of treatment. Many “drop downs” to eliminate misspellings and wrong abbreviations among various staff members. All entries are detailed and specific.

Dr. Roncone’s Diagnostic Check List: for a more thorough exam and clinical check up: Once diagnostic records are taken, this checklist helps to analyze the findings in an organized, systematic way. The ability to have systems in place is one of the building blocks of the JSOP practice. Part of the objective in the JSOP course is to help you simplify and organize your practice. This is a great example of using systems to create a more efficient and productive practice.

Dr. Roncone’s Treatment Plan Checklist: The treatment plan checklist is a tool Dr. Roncone uses in his treatment planning. This checklist is a systematic way of using a check-off list to decide on brackets and their placement, wire sequencing, problem lists, etc. It also addresses any prerequisites needed prior to orthodontics such as perio, extractions, cusp tip or incisal edge bonding, etc.

which may be necessary during treatment and will be performed by other

dentists or x-ray laboratories. Although we present a total fixed fee at the start of

treatment, the following, carried to excess will incur additional charges: 1)

excessive appliance breakage or loss of parts 2) poor cooperation in carrying out

instructions 3) broken appointments 4) loss of retainers. Sufficient warnings will

be given if these conditions become evident.

If there are any questions regarding any phase of treatment, please do not

Treatment of the conditions and malpositions will result in a definite benefit to overall dental health and appearance not only now, but throughout life. Correction of the malocclusion will consist of the following procedures:

Extraction of several teeth may be necessary to gain the room needed to correct the malocclusion, have tooth stability and provide for the best facial aesthetics possible.

Extraction of several permanent teeth will be necessary to gain the room needed to correct the malocclusion.

With excellent cooperation, we will attempt to treat without the removal of permanent teeth, but the extraction of several teeth may be necessary to gain the room needed to correct the malocclusion, have tooth stability and provide the best facial aesthetics possible.

High technology metal braces will be placed on the lower teeth. Removable appliances will be used to correct the malposition of teeth. It is

of utmost importance that instructions for wearing these appliances be followed precisely.

Upper expander -- It will be necessary to expand the jaw so that harmony is achieved between the face, upper teeth and upper jaw. The expansion will be completed within 3-4 weeks but the expander must remain in place for at least 8-12 months.

A functional appliance will be necessary in order to encourage the growth of the lower jaw so that a balanced facial profile can be obtained. It must be emphasized that the proper and expected lower jaw growth will not occur without excellent cooperation in wearing the appliance.

In attempting to correct the problem, we find that a repositioner splint is indicated. The purpose of this appliance is to allow the jaw to find its own natural and comfortable position. In most instances, this alleviates the clicking or popping sounds in the jaw, muscle symptoms, headaches etc. There are a certain percentage of patients who do not respond to splint therapy although they are in the very small minority.

Length of treatment cannot be predicted exactly. Similar cases take approximately 12 months. During treatment, regular dental checkups by your family dentist must be continued, since he/she is coordinator of your overall dental health. Because our orthodontic patients are 50% children and 50% adults, we make every effort to accommodate patients before or after school or work. However, it will be necessary to appoint everyone during school or work hours at various times during treatment. At the end of treatment, upon the removal of braces, retention appliances will be placed and a one (1) year supervision period will begin. The fee is not based on the number of appointments, but on the total diagnostic and treatment procedure. Payments are distributed monthly or quarterly for your convenience only. Orthodontic fees do not include cleanings, fillings, extractions or x-rays

We are pleased and honored that you have chosen our office to carry out your

orthodontic needs. As I hope we have been able to demonstrate, many factors

go into determining the need for treatment and we will do our utmost to get the

best combination of straight teeth, excellent occlusion (proper meshing of teeth)

and facial esthetics. Following is a summary of our evaluation of the various x-

rays, photographs, study models and clinical examination.

The malocclusion is characterized by a generalized crowding of the upper

and lower front teeth. There is a generalized spacing of the lower teeth.

The upper jaw is too narrow. The upper and lower jaws are too narrow.

Your condition is known as TMJ Pain Dysfunction Syndrome (jaw joint and

muscle disease). The symptoms of this condition which you exhibit are:

Post Diagnostic Patient Letter: This is a comprehensive letter given to the patient after diagnostic records are taken. This letter combines all information gathered on the patient and explains the findings and treatment recommendations. This is another tool used to ensure the patient understands treatment, serving as both an education and communication tool.

Dr. Roncone pursued graduate study in physiology and neuroanatomy at Marquette University School of Medicine, while simultaneously obtaining his dental degree at the same university. He obtained two postdoctoral certificates from Harvard School of Dental Medicine and the Forsythe Dental Center.
