Dear  all  SMU  BP  Mentors,    

Hope  everyone  have  enjoyed  your  mentoring  experience  with  your  mentees!    

As  this  year  is  coming  to  an  end,  it’s  time  for  SMU  BP  Mentoring  -­‐  Exco  Recruitment  2015!  If  you  are  dedicated  on  giving  more  and  beyond  to  not  just  your  mentees,  but  inspire  more  SMU  students  to  be  involved  in  community  service  work,  then  you  are  the  one  we  are  looking  for!    

Currently,  all  Executive  Committee  Positions  are  open  and  only  BP  Mentors  are  able  to  sign  up  for  it.  Each  of  the  Executive  Committee  duties  will  last  for  at  least  one  year  and  extendable  to  two  years  if  you  are  up  to  the  challenge.    

Executive  Committee  Positions  and  roles  description:  

1) President  -­‐  Overall  in  charge  of  all  events  and  mentoring  session.    -­‐  Understand  the  operation  system  of  C4SR  and  each  exco  duties.    -­‐  Most  importantly,  ensure  an  increase/maintain  of  members  in  the  club  and  liaise  with  new  welfare  centers  that  require  SMU  mentors.      

2) Vice-­‐President  -­‐  Assist  in  planning  events  and  setting  deadlines  with  the  President.    -­‐  Source  and  assess  welfare  centers  for  SMU  mentors.    -­‐  Delegate  tasks  to  the  respect  secretaries.      

3) Honorary  General  Secretary    -­‐Take  minutes  at  every  EXCO  meeting  (Minutes  should  include  what  tasks  to  be  done,  and  who  is  delegated  the  task  as  well  as  the  deadline)  -­‐  Check  email  at  least  twice  weekly  and  forward  relevant  mails  -­‐  In  charge  of  all  Locker  items  -­‐  In  charge  of  booth  setup  during  Vivace  -­‐  In  charge  of  booking  refreshment  for  all  events  -­‐  Review  to  approve  the  BP  Mentoring  Member  list  on  SLIMS  system    

4) Liaison  Director  -­‐  In-­‐charge  of  sourcing  new  welfare  centers  when  required  (With  President  and  VP)  -­‐  Preparing  template  for  OnTrac  posting  and  liaise  with  C4SR  to  ensure  deadlines  are  met  -­‐  In-­‐charge  of  recruitment  signups  and  confirming  members  every  sem  -­‐  In-­‐charge  of  general  member  welfare        

   

5) Marketing  Director  -­‐ Managing  our  website  and  Facebook  page  (e.g.  posting  the  latest  updates,  making  any  

relevant  changes  to  the  information  on  these  social  media  pages,  replying  to  messages  on  Facebook)  Website:  http://smu-­‐bpmentoring.wix.com/official  Facebook:  https://www.facebook.com/smubpmentoring  

-­‐ In-­‐charge  of  designing  marketing  emailer,  flyers  and  posters  for  all  events  such  as  recruitment  drive,  Vivace  etc.  

-­‐ In-­‐charge  of  noticeboard  re-­‐design  -­‐ In-­‐charge  of  designing  and  ordering  of  club  T-­‐shirts  and  banners  used  for  events,  if  necessary    -­‐ In-­‐charge  of  taking  pictures  (or  videos)  during  events  and  editing  them  before  posting  up  on  

Facebook  or  for  some  other  uses    -­‐ Comply  with  guidelines  given  by  SICS  or  any  other  relevant  clubs  (e.g.  SMUSA,  Vivace  

Committee)  when  designing  materials      

6) Honorary  Finance  Secretary  -­‐  Prepare  Budget  every  semester  -­‐  In  charge  of  claims  from  all  EXCO  members  -­‐  Push  for  spending  to  hit  100%  or  more  in  our  utilization  rate    

With  regards  to  regulations  stated  by  SICS,  Executive  committee  members  are  not  allowed  to  go  on  exchange  or  overseas  internship  during  their  tenure.  Hence,  please  ensure  that  you  do  not  intend  to  embark  on  these  activities  once  you  are  selected  to  be  part  of  the  team.
