JOB TITLE Office Administration Apprentice
LOCATION Kidderminster town centre
HOURS 40 hours per week, Monday to Friday
SALARY Apprentice wage
REPORTING TO Chief Executive; day to day supervision provided by Admin, Sales and Marketing Co-ordinator
ROLE PURPOSE An apprenticeship role, providing general office support for the organisation by undertaking a range of routine and occasionally non-routine tasks
SPECIFIC RESPONSIBILITIES
Working under the guidance of the Admin, Sales and Marketing Co-ordinator and working to Roots HR standards, provide general administration and support by:
Undertaking filing, shredding, printing, photocopying, scanning, collation and archiving of paper documents
Undertaking filing and archiving of electronic documents Creating, updating or amending electronic documents, spreadsheets and
databases Handling incoming and outgoing post Researching, ordering and purchasing office supplies and liaising with
suppliers Answering the telephone, transferring callers and/or taking accurate
messages as appropriate in a professional and friendly manner Providing a meet and greet service to our visitors Providing refreshments for staff and visitors Supporting the Consultants e.g. by assisting them in preparing for
presentations, training events, exhibitions, seminars and proposals Sending out approved marketing communications to clients, prospects and
supporters Wrapping and despatching gifts and sending cards etc to clients and other
supporters of Roots HR as requested
Following remote diagnostic instructions from IT and telecoms providers to fix low-level technology issues.
GENERAL RESPONSIBILITIES
To follow Roots HR quality assurance processes to ensure consistency in delivery
At all times, maintain the highest professional standards as a Roots HR representative when acting on our behalf in any way
Ensure the highest professional standards with regard to language, spelling, grammar and formatting in all communications, internally or with clients
Undertake training as required and as relevant to the role Adhere to and uphold our mission, vision, social purpose, strategic aims and
policies. Specifically, uphold the following policies:

PERSON SPECIFICATION
Essential Desirable
Qualifications 5 GCSE (or equivalent) passes gained or anticipated at grade C or higher, including English Language
Commitment to undertaking a Level 2/3 apprenticeship in Business and Administration
Experience No previous work experience required Working or volunteering within a social society organisation
Skills Computer literacy, with working knowledge of Microsoft Word and Outlook
Good verbal and written communication skills
Strong attention to detail for high levels of accuracy
Working knowledge of Microsoft Office Excel, Access and PowerPoint
A logical and methodical approach to maintaining systems, including electronic and paper filing
Knowledge Understanding of confidentiality and dealing with sensitive information appropriately
Personal attributes
Trustworthy and reliable, able to respond and adapt to the demands of a professional work environment
A good team player who can anticipate and recognise where support is required and accommodate the needs of others
A good telephone manner
Well motivated, enthusiastic and eager to learn
