Please consult page 45 of the University’s Student Manual – University Policies and Regulations for details. The student must meet all conditions set forth under Non‐Degree Visiting Student. This form is NOT used for Visiting Scholars who are given an appointment in or agreement with the University. Non‐Degree Visiting Students are advanced graduate students pursuing a graduate level degree at another academic institution, who are at the research or writing stage, and who temporarily work on their research project with a faculty member at the University of Chicago. Non‐Degree Visiting Students must comply with all University rules and regulations and are subject to student disciplinary systems. This status is available for no more than 4 consecutive quarters, including the summer quarter. This status may be extended by up to 4 consecutive quarters upon recommendation of the faculty sponsor and the area Dean of Students and with the approval of the Deputy Provost for Research and Education. Please refer to the Office of the Vice President and Dean of Students website’s section on Student Policies for the latest and most complete description of the Non‐Degree Visiting Student category: http://studentmanual.uchicago.edu/enrollment Status Considerations Each international Non‐Degree Visiting Student will be sponsored by the University in the status and category most appropriate for him or her. The decision which status to sponsor is made between OIA and the academic unit, keeping the interest of both the University and the student in mind; such considerations will include concerns regarding future availability of J‐1 status for the student, current eligibility for a specific category, as well as the duration of the program, but not the personal preference of the student. Where possible, OIA will use the J‐1 Specialist category for international Non‐Degree Visiting Students. It permits a program length of up to one calendar year, the stated maximum a Non‐Degree Visiting Student may spend at the University of Chicago. The length of the J‐1 Specialist category cannot be extended. However, if the department – when requesting issuance of the DS‐2019 form – indicates that there is a possibility of an extension of the Non‐Degree Visiting Student’s program at the University of Chicago, OIA will issue a DS‐2019 in the Research Scholar category instead. International Non‐Degree Visiting Students in the BSD will never be sponsored in the Specialist category; they will be sponsored in the Short‐Term Scholar (maximum of 6 months, no extension possible) or Research Scholar (maximum of 5 years) categories. Individuals who have been in the US in J‐1 status in the two years directly preceding the requested start date may not qualify for J‐1 Research Scholar status. OIA will be able to determine someone’s eligibility for a specific category. To make this determination, copies of the prospective Non‐ Degree Visiting Student’s previous DS‐2019 forms are required. Request for Graduate Non-Degree Visiting Student

General Information

This document is used to request a Form DS‐2019 for a Non‐Degree Visiting Student coming to the University. Non‐Degree Visiting Student Budget 

Before issuing Form DS‐2019, OIA must have proof that sufficient funding will be available for tuition, fees and living expenses according to the University’s standard budget for Non‐Degree Visiting Students. Proof that the Non‐Degree Visiting Student has sufficient funds to support him or herself (and dependents if applicable) throughout his or her stay must be submitted with this request. This proof can come in the form of bank statements (which must be accompanied by support letters if funds are not the visiting student’s personal funds), official College or University funding letters, etc.

It is essential that all Non‐Degree Visiting Students are made aware of the fact that they indeed are responsible for the payment of these fees to the University before he or she arrives at the University. While it is understood that visits will often not coincide with the academic quarters, the fees are assessed on the basis of these quarters. The rates below are per quarter and are accrued for each quarter during which the Non‐Degree Visiting Student is enrolled, irrespective of the duration of this enrollment during a specific quarter. (E.g. a visiting student enrolled from 2/1/2013 until 1/31/2014 would incur costs for five quarters.)

1.) The annual insurance premium for coverage through the University will be broken up into three quarterly installments. No insurance will be charged during the fourth quarter. J‐1 status holders must obtain insurance through the niversity or obtain a waiver.

2.) Living expenses are not paid directly to the University. The prospective Non‐Degree Visiting Student must prove that he or she has access to funds that are equal to the above rate to cover his or her private living expenses, such as room and board.  

3.)  J‐2 dependents are required to have health insurance that meets the minimum requirements as shown on our website, but they do not have to acquire this coverage through the University. When the primary status holder (Non‐Degree Visiting Student) obtains the University of Chicago Student Health Insurance Plan (USHIP), the NDVS will be charged $204 for each dependent per quarter, for three quarters.  The Dependent Life fee will not be charged if the NDVS does not obtain the USHIP. In that case, funds for health insurance premiums for J‐2 dependent spouses and children are in addition to the costs stated here and are the responsibility of the J‐1 status holder.

Issuance of DS‐2019

In order to allow for the appropriate issuance of the DS‐2019 form as well as to allow enough time for the J‐1 visa application process at a US Embassy or Consulate, OIA must receive this request with the appropriate supporting documents no later than 30 days prior to the requested start date. If the lead time is not enough in the view of OIA, the adviser will contact the department to arrive at a more feasible start date. Specific Fields

Part 1:   The Contact Person’s initials verifying compliance with the eligibility criteria (as above)  as well as a University of Chicago ID Number are required.

Part IV: All requested documents must be included with the request. Without these

documents, the issuance of the DS‐2019 form will be delayed as the information will have to be obtained from the visitor.

The approval of the Dean of Students (or his or her representative) is required, should the end date of

the program change.

A new request is needed for an extension of the DS‐2019.
