Chapter One

1. Background

Alternative Energy Promotion Center AEPC has announced Micro hydro Management training in Butwal sector to enhance the skill and to build up capacity of existing operators from different micro hydro projects in the country. This micro hydro management training was organized by Baraha Institute of Engineering & Technology Pvt.Ltd, Balkhu Kathmandu. This training was supported by Alternative Energy Promotion Center (AEPC)/ National Rural and renewable Energy Program- NRREP. The training was conducted from 16th to 22nd June 2018 .Participants were enrolled from different micro hydro projects in the country.

Micro hydro Management Training was conducted at Lumbini Pravidik Shikchhalaya, Butwal for 7 days. The specific objective of this training was to introduce participants with the basic technical and management skills and Knowledge. Curriculum was based on Micro hydro Training Management manual prepared by AEPC/MGSP focusing on the every concept of micro hydro components covering the wide range of topics.

1.1Organization Background

Baraha Institute of Engineering & Technology (BIET) (Pvt.) Ltd is one of the pioneering consulting companies in Nepal devoted to contribute to the nation building through professional performance and dedication. It was established in 2013 (2070 BS) as per the Company Act 2063 sub Article (1) of Government of Nepal (GoN).The consulting firm is backed by a number of highly motivated, energetic and result-oriented professionals specialized in multi-dimensional sectors such as engineering, agriculture, livestock, forestry, environment. Apart from these, several professionals are also associated with the firm as resource persons, whose services are being used as and when needed. It has development expertise in policy formulation and in planning and design of the projects, and in providing management, training and advisory services for the various national and international agencies. The services include for a variety of infrastructure and development projects related in energy and engineering sector too. Beside it provides consulting service in technical audit and energy audit sector. Capabilities of BIET Pvt. Ltd. can be attributed to the spontaneity of its organization. The executive panel of BIET Pvt. Ltd. is composed of a Managing Director, Coordinator and managers. Experts include engineers, agriculturalists and socio-economists that interact

frequently with the Director. Supporting the upper echelon of management are efficient secretarial staff, technicians, surveyors and draftspersons. The Consultant is established to render engineering consultancy services for various development activities in the country, which includes research, development and training related to Local Ropeway Technology, Rural Roads & Bridges, Alternative Energy, River Crossing Technology, Gravity Ropeway, Irrigation, Water Supply & Sanitation, Water Resources and Hydropower, Agriculture, Forestry and Socio-economic Studies, Master plan of different sector like Tourism, Energy etc. Baraha Institute has involved number of work in the sector of micro hydro for surveying, development and implement of MH projects, monitoring /verification and training related to micro hydro projects.

1.2 Objective

The main objectives this training is

Produce highly competent manager for micro hydro projects.

To strengthen up Human Capacity of the Micro hydro sector.

To improve and management capacity for quality performance in micro hydro

project

1.3 Activities

For the successful completion of Micro hydro management training following major activities adopted:

1.3.1Collection of guidelines, Manuals, forms and formats, standards: AEPC has prepared

Management Training manuals to implement effective training program so, micro hydro

management training manuals were collected and distributed to all the participants in the

first day before training session started.

1.3.2 Preparation of roster of qualified Trainers: Before training implement Baraha Institute

of Engineering and Technology Pvt. Ltd prepared roster of qualified trainers. Specially,

engineers who are working in the sector of pico/Micro Hydro and having Training of Trainer

(TOT) were selected from roster prepared.

All the involved trainers were well experienced installers, fabricator of micro hydro components having long experience in the sector of Micro/Micro hydro were enrolled as assistant trainer for delivering on hand practice and skills in the training.

Those Instructors/Engineers/Assistants who were not having TOT were instructed about

general platform skill during delivering training and about methodology to deliver skill and

Knowledge.

1.3.3 Coordination among installer/manufacturing companies: For practical work

machinery items like turbine, generator, Electronic Load controller etc were collected from

different companies to be performed by participants.

1.3.4 Coordination with AEPC: For effective and quality training coordination was done by

BIET for the development of effective course contents. Major issues were immediately

addressed during training on close coordination with AEPC

1.4 Other Activities:

1.4.1 Site Visit: For basic management observation, all the participants were taken at Suti

Khola Micro Hydro Project Palpa. In the project site participants were able to observe basic

management of mciro hydro components. Civil components, Electromechanical

components, tariff collection strategies and methods, end uses operation and management

in the community.

1.4.2 Collection of Feedback and suggestion: feedback and suggestion were collected and

implemented accordingly.

Chapter Two

2. Methodology

2.1 Description of the methodology and work plan for performing the Assignment:

In the line of Terms of Reference (TOR) Baraha Institute carried out the following activities for effective and successful accomplishment of the proposed training. Optimum sharing of Knowledge of expertise and physical model available shared to all the participants. Practical observation of management in field, group discussion and individual participation for the different activities covering 80% of course content introduced in adult learning methodology. Trainer focused on micro hydro management training manual prepared from AEPC/ NRREP on the course contents. However major methodology adopted for training delivery were: Course divided in two categories: a) Knowledge b) Skill (Participatory approach and role module class)

2.1.1 Delivering Knowledge:

Adult learning strategies was adopted to create teaching and learning environment good. In Knowledge part management procedure of every component of micro hydro especially civil, electromechanical equipments, power house and Transmission and distribution was given through different methods. Focused group discussion, interaction, Lecture methods, Audio-Video AV media used, note writing, model demonstration, illustrative talk, interaction with participants and handout distribution of each lecture and presentation was done for more effective in delivering knowledge. Course contents were 20% in delivering Knowledge.

2.1.2 Delivering Skill

Instructor performed focused group discussion, module mass meeting, interaction , presenting skills , platform skills, problem solving method are done through role module approach. Real object demonstration and done in real field, Audio-Video AV media used to demonstrate for procedure and quality maintain. Role module practice proved more effective in delivering skills. Course contents were 80% in delivering skills. 2.1.3 Conduction of Training: For the conduction of training each day two to three

trainers involved in ratio of 10 participants equals to 1 trainer.

2.1.4 Commencement and duration of Training: Training was started from 16 June to

22 June 2018

2.1.5 Selection of training venue: Training venue was selected at Lubmini Technical

Institute premises.

Location of venue:

Training was conducted in Lubmini Technical Institute, Butwal premises where all

participants arrived easily, having good training (Teaching and learning) environment.

Institute managed guest house for the accommodation of all the participant near its

surrounding. The training institute had good facilities of canteen. In training institute all

required training material and equipments were available. This training institution had good

training venue for rent and had well maintained guest house where accommodation and

food facilities were available. The training venue was equipped with:

Sufficient space for theoretical classes

Sufficient space for demonstrating modules

Regular power supply for power point show.

Quality of lodging and fooding

Quality service availability

Neat and clean fresh room, availability of drinking water

Women friendly environment

Good teaching and learning practice

2.1.6 Selection of participants: In total 25 participants were selected from different micro

hydro projects.

.2.1.7 Coordination with participants: All the Participants who were nominated from MH

project were informed and called at Butwal for training.

Training was organized for 7 days with one day field visit (for micro hydro project site visit).

3.1.2 Training Delivery

Teaching learning Aids:

Training material like Pen, pencils, flipchart, flash card, Adio-visual Media (Projector), Board marker, glue-tack, cardboard, handouts and power point slide presentation were used as training aids for instruction. At the end of the training all the materials provided from instructors were collected and distributed to all the participants in diskettes for every participant.

Materials: Training was based on interaction and group discussion so, training was equipped with sufficient training materials (Flip chart, meta card etc) .

3.1.3 Training Activities:

BEFORE TRAINING ACTIVITIES:

Orientation about the training to all the instructors: Before the training commencement, all the instructors were informed about the training and they were instructed about the detail of micro hydro project management training (schedule, duration, and theoretical sessions etc). TOT (Platform skill and delivery method) for trainer: For quality delivery of training short instruction of TOT training was conducted by training coordinator. All the instructors were trained about methodology and procedure for practical classes. They were informed to focused on interactive classes and use participatory method for practical classes Venue and Training hall management: Training coordinator Mr. Satish Niraula took responsibility of managing venue and training hall. The training hall was arranged with material, training aids and other supports before training session. Major activity before training activity:

Information of training to all the participants: Before training start every participants were informed about training commencement day of the training.

Invitation to guests and company representative from private sector

Training material and training aids collection

Arrangement for logistic support for outside comers.

Arrangement of Machine and equipment for training practical classes

Preparation of training material and handouts

DURING TRAINING ACTIVITIES

DAY FIRST: 16

th June, 2018:

The first day was started by opening ceremony at 8.30 AM. The management team of training decided to carryout the training opening ceremony by informal program. The chief guest invited was Mrs. Sharmila Koirala from AEPC on the opening ceremony.

In the opening session chief guest Mrs. Sharmila Koirala addressed participants to learn the basic Skill and knowledge of project management. .She introduced herself and interacted with the participants about the Micro Hydro status and management. Some of the participant mentioned the problem details facing in the recent context. Similarly, training coordinator Mr. Satish Niraula explained the importance of training, responsibility and quality and skill of managers. Mr. Niraula also made clear about the course content. Finally, coordinator closed the opening session with good remarks and wished for successful training. After the opening session ten minute brake was given for refresh of participants and for preparation of next hours training program. The session was started at 11 AM with simple activities like ice break for introduction of each participant, expectation collection, simple rules making etc for effectiveness of training. Introduction class was conducted by Mr. Satish Niraula with simple activity. ice break event continued till 20 minutes with good and enjoying environment. The next event was expectation collection event. The main objective of this event is to insert the course content according to their interest and to understand the level of participants, experience in the field. This event of expectation collection was proved quite helpful because some questions were placed in the expectation collection form which is about course contents. From the expectation collection form we came on conclusion that designed schedule with course content was quite similar to their expectation. For the second session from 1.30 PM to 5.00 PM was conducted by Mr. Krishna Sharma on micro hydro concept and development of micro hydro in Nepal as well as micro hydro project cycle. Micro hydro components ,concept of Civil components Intake, canal, desilting basin, fore bay, penstock route , power house and tailrace were taught in the training The class ended up with revision and discussion with participants about the subjects taught. The reaction of every 24 participants was quite happy.

DAY SECOND: 17th

June 2018

On second day 17th June, first session was started by Mr. Chandra Chhetri on safety and precaution. On the chapter he included electrical and mechanical hazards. Similarly, Second session was conducted by Mr. Satish Niraula about the problems, problem identification and solving methods. The session was continued till the end instructing roles of manager, responsibility of manager and basic duties to be perform in micro hydro projects.

DAY THIRD: 18th

June 2018

On third day 18th June, first session was started by Mr. Umesh Pokharel about conduction of meeting by participatory method, he instructed how meeting can be conducted, how to

form group , minute preparation and, letter writing methods etc.He conducted the class till 3 pm Mr. Bimal Aale was the account trainer conducted the class single account and double accounting system. DAY FORTH: 19th

June 2018

On forth day 19th June, first session was started by Bimal Ale he conducted about Banking System (Process of Opening of Bank account, Cheque preparation and voucher preparation for deposit. Mr. Ale also explained about taxes , simple concept of VAT, local taxes , tax calculation. He conducted practice of simple voucher keeping , receipt ( Bharpai) making system for daily book record. Mr. Aale also conduct the class about ledger posting, storage items, variable ( consumable items), liabilities and fixed assets, tools management and spare part management the class continued till 4.30m PM

DAY FIFTH: 20th

June 2018

Site vist to Suti Khola Palpa

In this day participants were taken for site visit and main aim to take participants at site is to provide correct information of management procedure and real objects demonstration and how an experienced manager managed the plant. In this visit participants are informed to gather at training venue (BTI guest house). Participants took food at 9.00 AM and Lunch pack was taken for afternoon. All were ready at 9.30 to move at site to Suti Khola Palpa. Hired micro bus with capacity of 35 passengers, took the entire participant at Charchare palpa, from there nearly 15 minute walk distance is the MHP site. All the participants arrived at Power house exact at 11.00 AM. Mr. Hom Kiran Achharya and Satish Niraula were the instructors. Participants were divided in two groups for easy instruction. Mr. Hom Kiran Achharya instructed procedure of of ELC panal, function of instruments and use controlling nodes at mother board during fluctuation and instability of instruments. He explained the reading method of measuring instrument and connection procedure of measuring instrument in panal board. Similarly, Mr. Satish Niraula informed participants about mechanical parts, procedure of butterfly valve and controlling valve etc. After power house participants were took to forebay and canal site where they observed the forebay construction, canal construction and accessories fitting at forebay, penstock pipe and also analyzed the defects and demerits of construction of civil components.

Participants also interacted with operator about the management of plant and billing system. They also interacted about the tariff collection, end use management and basic management schedule of hydro plant. Participants measured water in canal by weir method which is used during Power output testing. At 5.30 all the participants returned at guest house. During site visit participants enjoy tour with more learning.

DAY SIXTH: 21th

June 2018:

On sixth day 21th June, first session was conducted by Satish Niraula instructed on logbook keeping system. In the session all the 24 participants were able to know how to maintain logbook in power house. Reading of each meter is correctly instructed. The advantage of logbook keeping was mentioned in class. In the immediate next session tariff determination and billing system was instructed. This session was continued till the lunch hours. The next session was taken by Mrs. Tili Sara Darlami on GESI topics. She instructed the participants gender and energy relation. DAY SEVENTH: 22nd June 2018:

On Seventh day 22th June, first session was conducted by Satish Niraula conducted revision class. Management of Micro hydro project components were revised, endues management, tariff determination and management, billing system etc were discussed on revision class. Feedback collection was done in the last session. At 12 to 1 PM the closing program was held. In the closing ceremony, chief guest Mr. Madhav paudel from Oshin Power Service and as a representative member of Nepal Micro Hydro Development Association distributed certificate to all 24 successful participants.

4.3 Training Management (Lodging and fooding):

Optimum use of the training venue in use of full training day participants are facilitated with one time fooding me break fast, Tea break dinner and accommodation was arranged with the coordination of Lumbini Pravidik Shikchhalaya, Butwal.

Training Hall and Canteen

The training venue was located at Lumbini Pravidik Shikchhalaya, Butwal. It is equipped with

two large and spaces training halls. The building with quite clean ground for refreshes the

participants for interval of session. Drinking water facility at hall and clean fresh room with

peace environment is the advantages of the venue. Canteen was available and it served the

participants for tifin and tea facility

4.4 Training Materials and logistic support:

Sufficient training materials are provided to all the participants. Training teaching aid like marker, projector, flipchart and hand outs are provided at training hall.

Chapter Five

5.1 Training Outcome Knowledge and Performance Evaluation

All Participants were very motivated and interested to participate in each activity of the training. To assess the knowledge and skills acquired by the participants, they were provided individual assignment. Resource persons were very much impressed and satisfied with the time devotion, hard work, enthusiasm and performances of the participants.

Finally, the reaction of the participants was collected and final course evaluation was conducted at the end of the training.

To assess the knowledge acquired by the participants, oral questions were applied during the delivery of training session. For the performance test, participants were provided individual assignment on procedure for every component of micro hydropower projects at each session and necessary visuals (Flip chart and slides) presentation makes them clearer to understand the installation procedure and methods. Although formal evaluation was not carried out, the knowledge and performance of every participants was found to the satisfactory level during class conduction.

5.2 Training evaluation

In order to collect the reactions of the participants and feedback for improvement of the training in future, course evaluation was conducted at the end of the training. Some of the main feedback provided was listed below:

5.4 Conclusion

From the Seven days training it can be concluded that:

All the participants were very sincere, hardworking, enthusiastic and ready to

learn at any time.

This training provided an opportunity to bring experienced mangers from different background together in a forum.

The training was found to be effective in terms of micro hydro efficiency, trainee’s dedication and effort, training materials, logistics, physical facilities.

It is believed that this training will help the participants to become competent and confident manager in applying the skills and knowledge .

5.5 Recommendations

Following recommendations are made on the basis of participants' and trainers' experience of training:

As there was one female participants out of 24 participants, it is recommended to encourage females to participate in the training.

In future it would be better if duration of training is extended up to 10 days.
