New Features & Functionality Shell

• Modified to give least restrictive field-level restrictions when a staff member is in multiple roles. • Student names in main page widgets become links in Student Banner applications for these widgets: ‘Health referrals’, ‘Health

Appointments’, ‘Scheduled Return Visits’, ‘Discipline Referrals by Me’, and ‘Discipline Referrals to Me’. • Changed report options default month begin and month end date values so that they do not extend beyond track begin and track end

dates. • Added Online Staff Food Service Account Payments. This is available under the File Menu when properly configured and permissioned.

Class Banner • Changed Class Banner to use calendar date in building classes available to Alternate Faculty rather than passed in System date.

Staff Banner • Modified Staff Banner to optionally only show faculty who exist in year’s Master Schedule when appropriate for an application.

Student Banner • Modified Student Banner to use calendar date in building students available to Alternate Faculty rather than passed in System date.

Attendance Attendance Reports Class Attendance Spreadsheet

• Corrected to enable printing of previous school years.

Daily Call Report • Corrected to enable printing of previous school years.

Excessive Absence • Performance enhancements.

Master Absence List Report • Changed report fonts to be standard with other reports (Period code list uses fixed width Courier font for proper alignment purposes.) • Changed report filter to be Student/Class filter to enable ability to filter based on Students and Student Groups.

Monthly Hours Report • Report now uses ‘inclass’ or ‘oncampus’ flags in the Attendance code table to determine if a student was present. Previously it was only

using the ‘inclass’ flag.

Perfect Attendance • Performance enhancements.

Student Attendance Summary • Changed report export to include multiple sheets in the Excel file, one for student data and one for the summary. Previously, only the

summary data was exported.

Enrollment Contact Confirmation

• Added “Associated Students” link to Contact Review screen to provide a display of Parent Portal access students for the contact being reviewed.

• Added Emergency Contact notes as reviewable fields for changed students.

Student Editor • Added Summer School records to the Enrollment History (ENRLHIST) view to support the display of Summer School exit dates properly in

the Transcript: o If the Summer School record is part-time, it will show as a separate entry, o But if it is active, it will display as continuous enrollment.

• Added display of grade, entry date and reason for the current enrollment to the Withdrawal screen. • Enhanced withdrawal process to check that there is not another open enrollment in the same school before closing a locker assignment. • Enhanced transfer process to close locker assignments at the old school if the transfer is to a new school.

Student Lockers • Changed application to use system date rather than current

calendar date when displaying current versus non-current locker assignments.

Student Profile • Added the Notes column to the Emergency Contacts

information.

Summons • Changed the selection filter to Student Class.

Enrollment Reports Data Labels Report

• Added a preference to allow choosing between Student Selection Filter and Class/Student Filter. Note: Since preferences

Enrollment Analysis Report • Changed to return the counselor from the associated Student’s Status record for the report instead of the current counselor from the

Student’s Demographic (Studemo) record.

Locker Assignment Report • Corrected Ethnicity data reported in Excel Export.

Food Service Eligibility Applications

• Added Warning message when saving applications with one, some, but not all, directly certified students. • Applicant Editor Screen: changed field label from “Contact Name” to “Applicant Name”. • Properly handle existing phone records when the phone-type has been hidden.

New Year Rollover • Performance enhancement for Eligibility Direct Certification Rollover on SQL 2014. • Added option to Eligibility New Year: “Create Carry-over Apps & Direct Cert records for students with [New Year] Enrollment Only”.

Process Applications • Properly handle existing phone records when the phone-type has been hidden.

Food Service Setup • Added 2016-17 School Year reimbursement rates.

Food Service Verification • October 1 "Snapshot" allows review of Applications included in the Verification Sample Pool. October 1 report values are calculated from

snapshot data. • October 31 "Snapshot" allows review of Students eligibility status as of October 31. October 31 report values are calculated from

snapshot data. • Statistics may be updated automatically (by timed job or re-calculated manually) up until 4:00 AM on Oct 2 and Nov 1 to allow overnight

job execution.

• Applications calculated as Categorical due to some or all Directly Certified students were previously counted in Verification pool and reports. These applications are now ignored.

• Free and Reduced students eligible via Community Eligibility Option are no longer included in boxes T-1 and T-2 of the Verification Collection Report (as per instructions).

• Add print date to Verification Collection Report & CNIPS Verification Worksheet. Add time to print date on October 1 & October 31 Snapshot Reports.

• Prompt users before initializing Verification for a new school year in case last year's information or reports are needed prior to proceeding.

Food Service Reports Point-of-Sale Letters & Labels

• Added support for staff email fields

Health Student Health

• Removed maximum dose restrictions for Additional Immunizations. • Added a validation rule to require an Immunization Type for adding Additional Immunizations.

Health Reports CA Immunization Blue Card Report

• Added report option to ‘Always Print Tdap Label’. • Added option to show if immunizations have been entered already for a student

that is now exempt for an immunization. • Updated to reference Q Lookup category values where conversion has been done. • Added editable Code Association entry (snassoc), in Lookup Codes, for BlueCard

report option.

Marks Gradebook

• Changed section Grading Scale validation so that the user is not taken to the Configure view just because a Grading Scale is missing for a Mark Type defined in the Mark Definition. Now, the user will only be taken to the Configure view if a Category is setup to use the Mark Type for which NO Grade Scale is defined.

Marks Setup • Honoring rule that to update or save a Mark Definition that is used in multiple schools, you must be logged into the District track

otherwise you have to create a new mark definition and apply it to the appropriate tracks based on your logged in school.

Student Academic History • On Transcript Edit Screen, added a checkbox below the Course drop down to “Show Only Current Courses”.

• Added support for formula calculated credit values in Eligibilities. • Added parameter to enable running Rank and GPA calculations starting at a given year. The procedure calculates for all available years if

the parameter is not utilized. • Updated to use Q Lookup category “Narrative Type” rather than znartype table values to honor the ‘isHidden’ flag. • Updated to reference Q Lookup category values where conversion has been done.

Mark Reports Academic Transcript

• Added Save to Student Documents. One document is saved for each student based on the student’s current school type. If a document already exists for a particular school type, then it is replaced.

• Added ability to permission ‘Save Transcript’.

Credit Distribution Report • A new report to replace the legacy FrontOffice Credit Distribution report.

Report Card • Added additional sort criteria when picking the term for which to print the Class Attendance and Credits. Of the terms represented in

the Report Card Marks for each class that have been selected as terms to print marks on the Report Card, it was selecting the one with the largest duration and latest term start.

Report Card Comment Legend • Reworked the report to have the same functionality as the FrontOffice Report:

o A tally report was added as a Report Type o Legend may now be printed for multiple selected languages. o Expanded sorting capabilities and Grouping / Page Break / Totals for first sort item.

Programs English Learner

• The ‘Designate EL’ button will not be enabled for users with read-only access to the English Learner application.

English Learner Student Roster Report • Changed the sort order of EL Tests returned to print the most recent result.

Service Tracker • In Monthly Summary always show Practitioner in the Filter. Previously, it was not shown if the logged in user was a Practitioner. • Modified function of Group Service Edit Fill Down buttons • When adding or editing a service, show the Mileage textbox if Transport = 2 in Service Type configuration table. • Change the definition of the school year to be from the start of the school year to the day before the start of the next school year (or

today if there is no track for next year.) • When adding a service, limit the date to within the school year. • Correct Edit Service not requiring a Treatment Response. • Default Treatment response when there is only one value. • Correct display of Placement extension information. • Supervisor signature in Monthly Service change:

o Supervisor fields are now hidden unless there is a service in the month that requires Supervisor approval. o Supervisor approval is configured in the ‘Service Requires Signature Certs’ Column in Staff Certification Lookup. When a value is

present in this column, the application will require Supervisor Signature in the Monthly Summary. The application will show a list of the faculty as Supervisors that have the Supervisor Certification.

• Implement required Service Notes o Notes are required for Service History

Records unless there’s a value of 1 in the ‘Service Notes Optional’ column of the Staff Certification.

• Added button to show Medicaid Eligibility History grid. • Improve performance for Banner and Add Student

functions. • Add School to Group member lists when District wide

preference to Include All Students is on. • Added Eligibility marker (*) to students in Group Service Add/Edit list of students and in the Group Member lists. • Hide Frequency and set to 1 for non-time-based, non-transport services to match the behavior of the legacy application. • The application will always validate services upon Submit. The ‘Validate Services in App’ preference setting affects the Procedure codes

that are available in the Procedure Code drop-list on a given Service Date.

Service Tracker Reports The reports listed below are replacements for legacy Q Connect reports of the same name.

Note: The Service Tracker Preference: ‘Include Students from All Schools’ is honored by the reports. This means that the ‘School’ filter will default to ‘All’ Schools when the preference is on regardless of the logged in school. Users may filter to specific schools if they wish.

Q Reporting • List boxes that have a link showing a value (with Done and Reset buttons) that are left open with a selection in the listbox when the user

clicks ‘Create Report’ or ‘Export Report’ will automatically be set if the user leaves the listbox open on clicking Create or Export. Previously it would appear to the user that they had made a selection, but if they went to create the report without clicking the ‘Done’ button the report would reflect the values in the link, not the list box.

• Enhanced performance of Data Designer queries with multiple data areas. • Updated to allow for schema other than dbo to be used by Report Writer reports. • Added Attendance Notes to Attendance and Student Schedule Areas of Data Designer. • Added ability for user in permission role with Q Administrator rights to add Report Writer reports to other roles. • Added ability when exporting reports to Excel to create multiple sheets in the Excel file. • In Excel reports from canned reports and Report Writer, columns of numbers were being displayed as strings. This was requiring the user

to change the format before performing some operations on this column. • Added angle property to labels in the Report Writer Multi-line Reports. This allows display of angled text. • Added MaxRows property to the Detail Section of a Report Writer Multi-line report. This, used in conjunction with a group, can be used

to create reports of consistent height so a consistent number of groups will be printed on a page with identical begin and end points of the groups.

• Changed Report Writer Roster reports to display print date/time and page numbers consistent with canned reports. • Changes to allow the mail merge application to do an email merge to staff. This is currently being used in the Food Service Point-of-Sale

Letters & Labels.

Scheduling

Assign Students • A new application to

replace the legacy FrontOffice Assign Student application.

o With this application is it much easier to see the classes the selected teacher teaches. In Q there is a visible list and you can easily select classes.

o Users will need to login to the Future track to schedule students in the future track.

District Courses • Changed to include extension data when copying an existing course record to create a new one. • Replaced all references to Ztables with Lookup category codes to honor the ‘Is Hidden’ flag.

Mass Requests • A new application to allow for mass add,

delete, and change of student course requests.

• This application replaces the legacy FrontOffice Mass Request application.

• Instead of building a set of pending actions, as you would in the FrontOffice application, users are required to ‘Review Selected Students’ before processing each mass action. In this way, the FrontOffice flag ‘Do Not Change Data’ is no longer needed.

• Users may change the Student Selection filter in the Preference cog to either Student or Class Student filter.

Master Schedule Builder • Performance improvements for loading

Master Builder Conflict Summary which is loaded upon launch of the application, changing selected course in Course Offering, or running Refresh Statistics.

Master Schedule Manager • Changed main master schedule edit view to allow deletion of a section when either no students are scheduled or if the term associated

with the section has not yet begun. • Added a preference to determine if filtering the class list on the main view is required.

Student Career Plans • The list of available courses to select will now be those where the High Grade of the Course is greater or equal the student’s current

grade.

Student Schedules • Added maintenance of schedule history as a separately permission-able item. This

replaces the functionality of the Schedule Change History application in FrontOffice. • Show cycle day in Schedule Detail only when the track has multiple cycle days. • Default Schedule Exit Code to the last used code on Section Scheduler and Unscheduler

forms.

Scheduling Reports Class Roster Report

• Counselor now comes from the counselor associated with the Student’s Status record associated with the class enrollment, rather than from the Student Demographics table.

Grid Master Schedule • Added TA Counts

Master Schedule Report • Added * Indicator to classes that are historical and the teacher is not the current teacher of record.

Student Career Plan Report • A new student based career plan report.

Student Schedule Report • Only currently assigned lockers are printed. • Added student email address as an optional field to print.

School School Editor

• Changed label for useintrns field to ‘Include on Transcripts.’ • Added Fax number as editable School field.

Staff Staff Editor

• Changed Alternate Faculty date validation to allow dates outside the term dates of the class to enable marks entry by alternate faculty when configured.

System Extension Editor

• Apostrophes are supported in labels.

Group Editor • Made creation of a Manual Group more user-friendly to enable users to add students by ID and select them without having to use a

mouse.

Payment Verification • Added handling of Staff Online Food Service payments to the Food Service Validation area.

Process Manager • Added allowances to use schema

other than dbo in procedures for Process Manager.

• Added Process Manager Q Toolbox a process to facilitate transferring extension data from one database to another.

• Q Toolbox Import Process will create or update a Manual Student Group with a provided list of Student ID's.

Year End • Improved usability for handling

Summer School, e.g.: o The Summer School tab will only appear when there are Summer School tracks eligible for Year End; o The ‘Close Summer School’ button will only be enabled if there are tracks selected; o If the user removes all tracks, a row indicating ‘No Summer School Tracks Selected’ will appear; o A confirmation dialog will appear after clicking ‘Close Summer School’.

• Prevent users creating duplicate configuration set names. • The School Year value in School records will remain the same year until the last track is processed, allowing Summer School to still be the

current year until it is processed. • Allow the Process Graduates function to close tracks even when neither School not District Activities are selected.

• Added tool tip to Red and Green icons to indicate that you still need to process Summer School tracks.

Parent Connect Application • Changed contact and student edit views so that the ‘Return’ button text is changed to ‘Cancel’ upon any change on the page and the

‘Updates Pending’ message is displayed. • Added Emergency Contact Notes as editable field when contact is editing associated student information. • Added Notes as additional column to the Emergency Contacts information on main display.

Food Service Online Applications • Applicants are no longer allowed to submit Online Applications or request new household applications if their most recent Application

was selected for Verification and was not responded to.

Food Service Pin Pad Application • The application is now ‘Timeout-proof’. If the session times out while waiting for user activity, the session is restored when subsequent

activity is submitted and processing continues uninterrupted. The ‘TimeoutValue’ Preference in snpref is no longer used. • Session properties are encrypted for security.

Pre-Enrollment Application • Enhanced to include (City, ST) after the School name for the ‘From School’ on the printed report.
