PTO Meeting Minutes September 8, 2016 • 8:00-9:00am

• Teachers (representative: Mrs. Stockton) o Thanks for the welcome back luncheon, lunch boxes faculty members received
as gifts, for smoothly-run PTO events so far this school year o Faculty encouraging parents to use car line to keep halls clear and safe o Pre-K and Kinder request a small set of P E equipment. Mrs. Stockton will create
a list of items (small cones, ribbons, etc.) for organizing relays and activities. o Eileen Wieland: durable, secure plastic locker shelves rather than wire ones?
Perhaps these can be added to supply list for upper grades?
• School Board (representative: Juanice Colwell) o School board discussed school supplies at its first meeting: deadline for ordering,
possibility of having cost of supplies included with tuition, o Board is redoing its by-laws to achieve alignment with the diocese o Discussed matters relating to facilities and the phone system o All are invited to come to the next meeting on September 17
• Treasurer (representative: Natalie Herrera) o Finances are in order; it will soon be time to decide on a PTO fundraiser activity

Secretary (Lesley Clinton) o PTO site is updated frequently and includes meeting agendas and minutes o Those coordinating volunteer efforts, please send documents, tips, and other
information for the PTO binder so that we can document best practices o We've created a database of volunteers using forms from volunteer meetings
• Box Tops (representative: Marcia Jackson) o $500 has already been made for the school o HEB often has specials (buy 15 box top items and get a bonus, etc.) Keep an
eye out for signs. Other stores have promotions, too. o Don't cut off expiration date when sending in box tops or they can't be used
• Spirit Shop (representative: Eileen Wieland) o Coin bags and P E shirts will arrive at end of week. All orders will be filled soon, o Mrs. Hyde's company is taking care of coin bags, looking into sweatshirts
• Volunteer Coordinator o A meeting date will be announced soon for grade level coordinators
• Family Ambassador o There are at least 20 new families o Ideas: new families matched by grade level, foreign language ambassadors
• Counselor (Mrs. Grant) o Nick Finnegan Counseling Center is sending an expert to talk to parents
• Oct. - Executive Functioning and Organization for student success • 2"" talk will be on fostering positive social interactions among giris • Two talks will be evening talks; on will be a brown bag lunch
o Coordinating with Chick-fil-A to offer Spirit nights for S F d S
• Recap of July and August events o Welcome coffees
• Well-attended this year and enjoyable for all o PIN nights and volunteer meetings
• 80/90 attendees at each volunteer meeting

Welcome back luncheon for faculty • Gina from Tejas did a great job providing homemade chicken noodle
soup. She also filled a last-minute dinner order to that teachers could have sandwiches in the evening after a long day of prepping for the year.
Family directory/business directory and adverts • We will know soon whether an online directory is feasible
Used uniform and gear-up sales were organized and successful
• Marquee o Fernando Perez, Cheryl Hieger collecting quotes for solar power marquees, o Martanya Hyde will find out what has worked for other schools.
• S O S points o Each family has a page in the S O S binder, which is kept at the front desk and
brought to volunteer events. Families are responsible for logging events at which they have volunteered, even if they have signed a separate sign-in sheet at an event. (The latter are used to help us contact volunteers and to verify presence at an event.) All should check periodically to ensure they've entered their events.

New News • Family Picnic - volunteer email goes out later today, S*' grade will sell water balloons
and concessions. No car wash this year. • 8* grade garage sale - 9/26, parking lot. Vendors can rent a booth for $25. An 8*̂ grade
booth will sell donated garage sale items. Drop off donations week of sale,location TBA. • Church gala - semi-formal; Hope Gassett collecting university items for auction baskets • October Sparkle Day - 9am-12pm • Mrs. Hyde coordinating Battle of the Ball Booster Club fundraiser 11/12-14. Needs
parent volunteers. S J has allowed use of gyms. Four gym floors, 22 teams.
