PSO Meeting March 9 th , 2015 Mary Woodward Cafeteria, 8:30am Board Members: Karen Emerson, Carlene Turpen, Cheryl Payne, Jenna Smith Karen welcomed everyone to the meeting. The February 2015 minutes were reviewed and approved unanimously. Treasurer Report: Specialty Fundraisers has exceeded their goal of $3000 and they are almost at $4000. We have a couple donations from parents for the online auction. Cheryl won’t be at the April meeting. It was confirmed that the Amazon checks are part of direct deposit. Volunteer Coordinator: We had 716 volunteer hours for February. That is the most since September of 2014 which was 848 that month. We are still 100 hours behind from last year. Old Business: President met with the district regarding the playground and they will provide bark chips, black filter fabric, and orange barrier during construction. The PSO needs to vote to spend the money. It takes 4 weeks to produce the equipment and ship. It will take 2 weekends to take out old equipment and install new equipment. We would like to do a volunteer install ourselves. Mr. Nihill was a parent at Mary Woodward when the last playground was installed doing a volunteer install. There was one parent who was trained as the supervisor of the project. There would probably be about 10Z12 people per shift (Saturday morning, Saturday afternoon and Sunday morning, Sunday afternoon) for each weekend. We won’t be able to sell or donate any of the old equipment that we are taking out. A parent with a trailer has volunteered to haul away the old equipment. A special meeting will be held to approve the spending as soon as a decision has been made as to which equipment will be purchased. An email will be sent out to all the parents with the time and date of that meeting. We need to be specific in the email regarding the money we will be saving by doing the install ourselves. The PSO survey concluded as of last Friday and we received 51 filled out forms. Please see attached results. Two winners were picked for the Albertsons gift card and Starbucks gift card. The PSO Board for next year will be elected in May. That is only two meetings away. The President role does about 5 hours of work a month and President Elect does about 3 hours a month. Our 5 positions for our board are President, President Elect, Secretary, Treasurer, and Volunteer Coordinator. It is believed that we need at a minimum of 3 Board members. The current President is looking for suggestions for President and President Elect. Hopefully all the committee positions will be filled by the May meeting. New Business: The Cultural Fair will be addressed in a flyer and with people who helped last year with a new date set. Art Lit: This month the students will be doing a Monet acrylic water lily painting. Next month will be Chagall. Box Tops: The contest ends Wednesday. Scrip: Kristi Sloan will be heading up the Scrip program. She hopes to build up the program and possibly add features where you get your gift cards as soon as you pay for them. Hearing Screenings: The hearing screenings went well and there was a small group of parents that helped.

Specialty!Fundraisers:!Friday$will$be$the$fundraiser$at$Mango$Tango$and$visitors$will$need$to$mention$Mary$Woodward.$$Burgerville$raised$$338.$$Family!Events:$At$the$Son$Dance$there$were$65$couples.$$That$is$17$more$then$last$year$but$half$the$amount$of$couples$the$Daughter$event$draws$in.$$Dan$Busch$was$the$DJ$again.$$$Auction:!There$are$about$9$or$10$people$doing$procurement$for$the$online$auction.$$The$auction$will$last$for$2$weeks$in$April$ending$April$18th$around$9pm$or$10pm.$$When$users$register$at$the$website$their$credit$card$information$will$be$collected.$$Still$need$a$few$volunteers$from$several$classes$to$put$together$class$baskets$or$projects$for$the$auction.$$There$will$a$donate$button$for$people$who$want$to$just$donate$money.$$We$specifically$will$be$asking$for$donations$to$go$towards$the$cost$of$shipping$the$new$playground$equipment.$$If$anyone$has$anything$to$offer$for$the$auction,$there$is$a$form$on$the$PSO$website$which$needs$to$be$submitted$by$March$31st.$$Auction$items$will$be$on$display$in$the$lobby$with$some$items$going$in$the$glass$cabinets.$$Staff!Appreciation:!The$staff$lunch$scheduled$for$Friday$the$13th$is$full.$$Carnival:$There$has$been$a$good$turnout$for$volunteers.$$Some$of$the$games$are$being$worked$on$and$refurbished.$$We$still$don’t$know$why$this$event$isn’t$making$money$for$Mary$Woodward$but$that$is$being$looked$into.$$Principal’s!Report:!Friday$March$20th$the$district$is$doing$an$emergency$preparedness$drill$at$Tigard$High$School$and$they$are$looking$for$parent$volunteers$from$10amZnoon$that$day.$$Over$Spring$Break$the$locks$and$doors$will$be$changed$in$the$lobby$for$better$security.$$The$doors$to$the$cafeteria$and$library$will$always$be$shut$and$locked$and$the$office$staff$will$be$able$to$unlock$them$by$pushing$a$button.$$There$will$be$a$lockdown$drill$coming$up$and$it$was$reminded$that$there$are$two$a$year.$$$$$Meeting$adjourned$at$9:45am.$

What information would be valuable that you aren't seeing now?

I feel like more information is needed closer to specific events vs just at back to schoolnight. ie -­ wasn't aware no one stepped up for auction until 2-­page letter came out. Askfor specific volunteer positions closer to events stating -­ this won't happen unlesssomeone does this.

Specific jobs needed and when

Not all teachers have the same way to let volunteers sign up. Online was a hassle. Theback to school sign up sheets are the best and it would be helpful for the teacher to thensend a first reminder with the time you signed up for the week after. Mrs Rice does anexcellent job. Now my children are in 2nd and 3rd. Since then sign up process has notbeen as effective. I volunteer MUCH less. I work a different schedule and the processand need has been different.

I prefer information in print form.

We could add a "Most Wanted" box asking for volunteers for upcoming and/or ongoingevents and a person to contact with questions. Perhaps list the estimated time required,which would give potential volunteers a realistic idea if they could commit.

Maybe more reminders when PSO meetings are.

Don't mind getting more eg reminders need help with this or that. Maybe results, like weraised xx amount. Honestly if this has improved greatly through the newsletter.

I read the newsletter but for example it never said there was no one to coordinate theauction. It just said come hear our fun plans. That says to me its under control. Have asection -­ our needs -­ that we can see quickly. This would have a list of important PSOvolunteer needs

Maybe a dynamic chart/list showing volunteer opportunities/needs. I can't speak foranyone else, but I need to plan way in advance if I'm going to take time off work tocome volunteer. I have already taken Field Day off to come volunteer, but I don't know

how to sign up. The Field Day page on the website is showing "More information onField Day will be coming later this year." which is fine because it's still months away, butit would be nice to have an ETA on when we should check back and information on whoto contact and how to sign up to volunteer for that event. It seems unusually difficult tofind out how to volunteer from the website in general.

The garden is a valuable asset for our students and I would like to see that used more inevents and activities.

The school garden, the ambassador program are also important and of value. I believeanything that can make our school more community minded is also important;; while theholiday bazaar is not a draw to me in particular, I realize that it has value to thecommunity.

The focus should always be on education & school equipment FIRST. I have been aMW parent for many years and there is a lot of wasteful spending making it hard forparents to want to donate when they see their funds misused by the PSO.

School supply shopping program was really cool a few years back. Just bought aspecific grade box & all the essentials were in it. No fuss no muss. Replacing worn orbroken play structure equipment & games rules & such painted on the recess walls orground (like 4 square)

I would rather see funds be used for the students education & replacing worn schoolequipment than see it misused. For example-­ special volunteer t-­shirts for the springcarnival leaders (as was done last year). Stupid waste of money. Bet that money couldof been used to buy new books for the library. Kids don't really need son/daughterevents or family movie nights. They need an education not a social life.

Where did the money go from the school auction paddle raise for the playgroundequipment? This was from several years ago.

Parent resource night and new family matching programs would both be an asset and agreat way to get to know other like minded people as well as recruit volunteers. :) I alsosee the value in maintaining and replacing worn school equipment. If we can continue toand/or increase the fund for instructional aides for reading and math that would beincredible. I would also support polling our staff and offering what resources possible towhat they deem imperative.

At a prior school we had grade level parent "coffee" get togethers where the parentscould meet, visit, ask questions, etc. Might be helpful at Mary Woodward for newparents or just a way to network, build camaraderie, etc.
