Overview

Following our briefing discussions, we are pleased to submit our preliminary proposal

for March and Darnley Lodge website.

The website design will incorporate the developing of the site graphic design,

following the site structure as per your briefing document.

The first priority of a website is to tell people about the organisation clearly and

concisely on the front page. As per the Sussex Masons Website , we would strongly

advise that the telephone number, email link and possibly the full address is on the

front page/visitor portal, as a vast majority of people use a website to locate

contact details.

Content Management System Option

As discussed we propose to use the Joomla platform as the primary backend

engine for the website, together with a purpose designed March and Darnley

template. This will provide you with a password protected administration section

with update capability for your website, allowing you to amend text and graphics

within the page design via a simple to use web based form.

This will allow more rapid development of your site with additional robustness and

management functionality, together with the ability to add additional functionality

as required in the future much more quickly and easily.

Note: A separate document explaining this aspect of the site will be emailed to you. We can

also demo to you the Administration section of a site, so that you can see how this works.

The Visitor Portal

The Visitor Portal or Public Area should include fundamental information like Home,

About Freemasonry, Charities, News, Links, contact information. We understand that

you require a clean and transparent design to reflect the Lodge and its activities, all

hosted under a new domain name. Click here to view domain availability

Transparency of design makes the web experience easier and more pleasurable for

the visitor, ensuring that the site fully delivers its objectives. It is paramount that the

site navigation provides the visitor with a simple, obvious route to their chosen

information, typically no more than three clicks away.

Quality of the text/media as opposed to quantity is key to any successful website.

We would suggest that the text within the Visitor Portal should be limited but

informative - never wordy. In short, a web user will spend only minutes on the site

browsing, absorbing their main requirements. If they are faced with large amounts

of text and/or process descriptions, it is highly likely that they will lose interest.

The Lodge Members Portal

This section of the site will be accessed by members only. This will allow a user to

create an account online. The administrator will be informed of this and once

member is checked for authenticity, access granted to their appropriate area only.

They can then view texts, tracing boards download/listen to mp3’s etc.

Note: Joomla offers a good level of security to private password protected areas.

However, a new release due out in July 2010 will offer even greater security and

ability to implement a nested category solution. I.e. multiple levels of access with

added security.

Due to the nature of the site, we can also ensure that the site has low visibility on

search engine listings by limiting links and incorporating little or no meta-tags or

keywords within the site design.

received within 21days.

1. Web Tracking Service using Google Analytics

Basic Web tracking information is often available from the chosen ISP hosting the

web site, however a more detailed and structured approach is required when web

analysis solutions play a critical role in maximizing the ROI of web sites; we can

provide visualisation capabilities that transform complex reports into easy-to

interpret analysis from complete campaign analysis to monitoring site performance.

What we need from you

1. Written purchase order emailed for the full amount.

2. 40% deposit to be paid with 7 days. A temporary holding page with your

contact details will be uploaded to marchanddarnley.com (or domain name

of your choice) with 7 days of receipt of this payment.

3. Texts to be used in each section

4. MP3 files to be implemented

5. Any logos, imagery, tracing boards etc.

The costs are based on an approximately 4-week project timescale, assuming we

are supplied with all of the required media at the project outset. Any variations or

omissions to these may have a direct effect on the time and cost for the project

completion.

We will of course keep you updated on the progress of the development of the site

on a weekly basis.

Appendix A.

Circle Creative Ltd Standard Terms and Conditions

Intellectual Property

Circle Creative Limited’s pricing model is based on offering the lowest possible price, which is based on

ongoing generation of a 3D model library and in the case of 3D animation and visualisation CCL

reserve the right to retain IP rights to all 3D models created, should these be required CCL would

charge the standard rate of 15% of the project value to pass over these rights for the 3D models.

All other media will become the property of the client, upon receipt of the final payment for each

project. Circle Creative Limited retains the right to use and display the media produced when the

media is not used in contravention of an in-force Non Disclosure Agreement.

Circle Creative Ltd retains the rights to receive suitable visible credit recognition on all supplied media,

unless a written waiver is agreed.

Acceptance Period

The prices offered are formally valid for acceptance within 30 days. In practical terms Circle Creative

will hold them as long as possible, but must retain the right to revise them after this initial 30-day period.

Payment Terms

Unless otherwise agreed, payment terms are 40% Deposit payable at project outset, payment due 7

days net after invoice date and 60% on project completion, payment due 30 days net after

invoice/completion date. For non-account holders we require payment on delivery.

We reserve the right to charge for costs and expenses incurred in recovering late payments, and to

charge interest on overdue amounts at the rate in force pursuant to the Late Payment of Commercial

Debts (Interest) Act 1998 as at the due date.

Circle Creative Limited operates an early settlement discount of 5% for final or completion payments

received within 21 days.

Site Visits and delivery

Any additional site visits required by the client will be charged in addition to the total costs stated in this

proposal. All delivery/courier charges will be charged in addition to the total costs stated in this

proposal.

VAT

All prices are exclusive of 17.5% value added tax

Law

This contract is subject to English law.
