DESCRIPTION

Have you ever used a knife to stir or a shoe to pound a nail? We use these things because they’re convenient. But when we see a chef cooking or carpenter building, they always use the proper tool. We fall into the same trap managing projects with Microsoft Excel. Why? Because it works for what we need at the time, and, as clients like to tell me, “it’s better than doing it on paper.” But for the best results, we need a tool set that supports collaboration and provides flexible work management solutions. View the slide deck and find out why Microsoft Project and Project Server is the right tool combination for managing your projects – no matter how big – or how small. C D HTips and Tricks SharePoint

Admin Perspective

• Should I add Project Server to my existing farm?

• Does PWA need to be in a separate site collection or web application?

• Can I add pre-existing “Project Lite” sites to PWA?

Page 30: Project Server: Why do I care if I can use Excel?

C D HTips and Tricks SharePoint

Admin Gotchas

• Don’t delete any columns in any built-in lists in the Microsoft Project site template

• Don’t make additional lists based on Issues, Risks, or Deliverables templates in the same project site.

• Don’t delete project sites the “SharePoint way”.

Page 31: Project Server: Why do I care if I can use Excel?

C D H Tips and Tricks Availability

• To identify availability of resources:– Select Resources from PWA– Select individual(s) by clicking in check box next to

name– Select Resource Availability from Ribbon – will

display a graph of scheduled vs. available time– Click on Include proposed bookings to view graph

with proposed work included

Page 32: Project Server: Why do I care if I can use Excel?

Assignments

• Assignments:– Assignments should be made against normal tasks

and not summary tasks or milestones.

– Effort Driven Tasks:• Assigning additional resources to an Effort Driven task

shortens the duration

Page 33: Project Server: Why do I care if I can use Excel?

C D H Tips and Tricks Tasks

• Understand Task Type and its impact on scheduling:– Fixed Work – Locks the number of hours to be spent

on the task (Contracting for 40 hours of work) – Fixed Units – Locks percentage of resource

availability to spend on the individual task (A person can only spend 50% of their time on a task)

– Fixed Duration – Locks in the length of time to spend on the task (The meeting lasts 3 days)
