Keynote

Prof Basie von Solms, Proffesor in Computer Science & Software, UJ

Proffesor SH (Basie) von Solms is a Research Professor in the Academy for Computer Science and Software Engineering at the University of Johannesburg in Johannesburg, South Africa.

He is also the Director of the Centre for Cyber Security at the University of Johannesburg (adam.uj.ac.za/csi).

Proffesor von Solms specializes in research and consultancy in the area of Information and Cyber Security, Critical Information Infrastructure Protection, Cyber Crime and other related cyber aspects. He has written more than 100 papers in this field and most of these were published internationally. In addition, he has supervised more than 100 post graduate students in the ICT field.

Proffesor von Solms is the immediate past President of IFIP, the International Federation for Information Processing (www.ifip.org).

He is a Fellow of the Computer Society of South Africa, and a Fellow of the British Computer Society and a Chartered Information Technology Professional (CITP).

CV:

Robert Jacobs is the Sales Director for Innovative, responsible for Europe and Africa. He has been with Innovative since September 2013. He supervised a significant investment in Europe, as well as the expansion of the team in Europe and Africa, which included the first South African based employee, Vasti Daniels. Innovative has seen substantial growth across the region during 2014 and they continue to grow their support team in the Dublin, Ireland office. Robert is based in Oxford, UK. He manages a team based across Europe and Africa. Prior to joining Innovative, Robert was the Sales Director for Europe, Middle East and Africa for Swets Information Services, which included managing the Southern African customer base for Swets, with a local team. Robert was at Swets for 10 years, and held a number of senior management positions based in the UK and The Netherlands. Robert’s introduction to the academic library environment was as European Sales Manager for Gale, based in London.

Abstract:

The session is intended to provide an overview of how Rhodes University Library Services (RULS) align information systems (IS) with the business strategy of the Library Services, formulated as an e-strategy.

CV:

Wynand is the Head Librarian: Technical Services at Rhodes University Library. In addition to his normal duties, Wynand serves on the SEALS Board of Trustees as well as being the current chairperson of the SEALS Standards Committee. Previous employment includes public libraries, provincial library services, corporate entities (including Sabinet) and the University of the Western Cape.

III and service delivery to customers

Abstract:

In academic institutions, libraries are fundamental repositories for information dissemination. Libraries have undergone many changes and transformations lately and these new changes give them opportunities to improve and offer better services. Academic libraries can, with the use of the III system enhance service delivery to the customers through direct access to authentic information.

Service delivery is a vital task in terms of maintaining quality service, customer satisfaction and customer retention. The library customers have a choice when it comes to information seeking more than ever before, therefore libraries need to devise ways of assessing how effectively the library III system delivers its services to the customers.

The paper seeks to investigate the role of the III system, (Circulation module), in delivering services in libraries to the customers and to try to find factors that may compromise service delivery in libraries using the III system. In an effort to identify these factors that have a potential of compromising service delivery, data will be collected from users of the III Circulation module at SEALS consortium.

CV:

Nomzingisi Madikane is the Circulation Librarian (Head of the section) at the University of Fort Hare (Library). She has been working in an academic library for 24 years in different positions. She started work as a library assistant in the Circulation Section, and then worked as an Information librarian for a year. She holds a Bachelor’s degree in Library and Information Science and she is busy with her Honours degree in Library and Information Science (University of Fort Hare). Her interests are: people management, customer care, and user satisfaction, attention to service details, quality control and quality service as well as conflict management.

Sizeni Makhathini: Library Statistical Reporter – UNISA

Entice and retain your Library clients through quality service

Abstract:

Academic libraries globally are facing two major threats namely the digital landscape, as well as an increase in competition in terms of access. For academic libraries to survive, it is crucial that the quality of their services is improved to attract new clients and retain old library clients. Historically the service quality of an academic library was measured by the collection size, library holdings and information resources usage. Academic libraries need to ensure that quality service is provided to library users to avoid being “white elephants”. It is important that apart from the collection size, libraries monitor the physical visits by different library clients to assist the Library Management to make informed decisions to improve business performance and identify gaps in library services and facilities.

Academic libraries need to find ways of gathering gate count statistics by different user categories to measure services in line with user needs. As libraries are facing the threat of digital environments, it is crucial that libraries are always a step ahead to ensure that library buildings are designed

to attract 21st century library clients and relevant services are offered, or libraries will lose its value. Relevant services should attract library clients to always want to come to the libraries because of quality service offered that cannot be found anywhere but only in libraries. It is important for libraries to attract library clients in any possible way, rather than only concentrating on the circulation of library materials. Some of the areas that need to be focused on are; user friendly academic databases, research facilities and well trained library staff to provide quality service in order for library clients to view the library as their home. Academic libraries are always described as the heart of the learning community that provides a space for students, lecturers and researchers to conduct research and advance knowledge.

The Unisa Library has recently reviewed a system to measure patron/user visits and access to the Library. The system provides reports on library visits by different user categories during a given time. The presentation will cover the significance of measuring the gate counts in all Unisa Libraries in line with service quality.

Ms Sizeni Makhathini is a Library Statistical Reporter at the Unisa Library. She has been working in academic Libraries for a total of 14 years in different sections. Ms Makhathini holds a Bachelor’s degree in Library and Information Studies and is currently enrolled for a Masters’ degree in Library and Information Science from Durban University of Technology. Her interests are: research, service quality, client profiling, customer care and satisfaction.

Bronwyn Rassmann: Regional Sales Manager & Yolanda van den Berg: Discovery Service Engineer - EBSCO

Why are you continuing to compete with Google when there are fantastic solutions out there for both your end user and your library?

CV:

Bronwyn Rassmann has been employed by EBSCO Information Services for the past 6 years and 2 months and is currently the Regional Sales Manager focusing on academic and government markets in Southern Africa. Bronwyn has a BCom Honours Degree in Marketing Management from the University of Johannesburg. She also belongs to the Golden Key International Honours Society for Academic Achievement. Bronwyn has spent the last 5 years actively engaging with the market in the Discovery “realm” and prioritizes content and the accessibility thereof. In her spare time Bronwyn enjoys mountain biking, snowboarding, reading and design.

Yolanda van den Berg has been with EBSCO since May 2014. She is the Discovery Service Engineer and works with all the technical aspects of EBSCO’s Discovery Service. Yolanda has a Software Engineering degree and years of expertise in Development and Technical aspects. Her experience prior to EBSCO was with developing Microchips for the Telecom industry. In her spare time she supports Animal Welfare and has an

Animal Behaviorist Qualification. Prior to Yolanda’s Engineering studies, she was a ballet dancer at The State Theatre Ballet in Pretoria and competed in the Adeline Genee Competition at her Majesty’s Theatre in London.

Suzette Oosthuizen: Library Systems Manager: SEALS – UFH

Encore Duet

Abstract:

The South East Academic Libraries System (SEALS) libraries decided towards the end of 2013 to purchase Encore Duet, the III Encore platform integrated with the EBSCO discovery tool. Encore Duet exposes the library user to a seamless search experience of the classic catalogue data, electronic resources and local digitized content. We believe that the facets and limiters together with the EBSCO SmartLinks to full text, are important end-user supporting strategies to discover local data end e-resources in our shared bibliographic and separate institutional subscribed database environment. This paper will highlight aspects of the preparation and implementation phase including profiling four EDS knowledge bases, testing links and preparing the four Encore contexts to suit local requirements.

Suzette is an innovative library and information professional leader with extensive experience in the library and information sector. I started in 2000 as an Information Librarian at the University of Fort Hare. In 2010 she was appointed as the Electronic Resources Librarian and in 2014 as Library Systems Manager.

Maretha Allwright: Trust & Systems Manager: SEALS

The joys of data cleanup within the shared record environment

Abstract:

The SEALS Consortium members share a database with about 907,000 bibliographic records. Records from 5 different systems and 8 libraries were merged into one shared database. The Reclamation project (2011) and the move to Sierra (2012) forced us to take a closer look at our database and to focus more on data clean-up projects. A few staff have been working for 4 years on various cleanup projects, but the more we look the more we find. We submitted a report on our findings to the SEALS Directors and the SEALS Standards Cataloguing Module Group, highlighting the size and

scope of the problem areas. This paper discusses what we found, why we have to look back, how we intend to correct problem areas reported and who will be involved.

CV:

Maretha started her career in cataloging and acquisitions at Bloemfontein Public Library in 1975. She moved to academic libraries in 1989 and worked as Information Librarian and Lending Services Manager at the University of Port Elizabeth Library. In 2003 she moved to the UK to work in academic and museum libraries. She returned home to start her current position at SEALS Trust & Systems Manager.

Content Pro Development & Standardization within SEALS (co–presented by: Siya Tshebi, SEALS – UFH)

Abstract:

The session explores the opportunities rendered by regional collaboration pertaining to the creation of a shared repository, and the associated required agreements in terms of required developments, standards and workflow. Enhancements as per the latest release of the Content Pro IRX digital content management system will also be discussed.

CV:

Siyathemba Tshebi, started working for Fort Hare University at East London Campus as Library assistant in 2010. In 2013 he was appointed as Systems Librarian. As Systems Librarian, he is responsible for the Theses and Dissertations collections, examination papers and special collections, uploading and editing of these collections. He is familiar with the III products Sierra and Content Pro IRX. He has a Bachelor’s Degree in Library and information Science and Post-graduate Diploma in Archives and records Management.

Suzanne Saunders: Millennium Systems Administrator - Wits

RDA for the system administrator

Abstract:

This presentation will highlight some of the areas where changes are to be made (considered) for the implementation of RDA. This presentation will only glance at RDA itself and the implications it has for the Library of tomorrow as the focus will be on what Administrators can do in the interim to accommodate progress made.

KhulisuJobe Sithole: Systems Administrator – Wits

Experiences and advice to new system administrators

Abstract:

This presentation will cover some of the challenges that a new System Administrator/s may face/come across. There will also be some focus on the basic functionalities of the Library Management System (Millennium) and the workflows (with examples from Wits Library) that may need to be followed in order to achieve your personal and some institutional goals.

Khulisa Jobe Sithole (he is known as Khulisa) has a National Diploma in Computer Systems from the Vaal University of Technology (formerly Vaal Triangle Technikon. He started work at the University of the Witwatersrand in 2003 as Clerical Assistant. In 2005 he became a Library Assistant and in 2008 he became a Web Assistant in the Library Computer Services. Currently he is a Library Systems Technical Assistant.

Session 7a: Acquisitions, Serials, ERM & Cataloging (Lecture Hall)

Serial cleanup workshop: Maretha Allwright (SEALS) and co-presented by Suzanne Saunders (Wits) The purpose of this workshop is to share experiences on specific errors in bibliographic databases and possible ways to solve them. An introduction on the errors in the SEALS and WITS databases and a short procedure for serials staff on how to correct serial holding errors will be followed by group discussions.

Molatoli Sephoko: Assistant Librarian: Periodicals – UOFS

Paperless Circulation Desk

Abstract: This paper demonstrates how the Free State University Library has achieved transcendence from paper to paperless, even at the circulation desk. Receipts are no longer printed but sent via e-mail to the patrons, whether books and other material are issued or returned. The fines procedure can also be paperless by using e-mails. Today, a good, user-friendly service should be environmental friendly, where staff members are confident and enthusiastic agents for change, innovation and lifelong learning. CV: Molatoli Sephoko is currently working as an Assistant Librarian at the UFS Library (Serials Section). He is responsible for Serials E-Check-in and circulation of serials, also preparing serials for binding. Molatoli has a keen interest in Information and Knowledge Management. He believes that knowing how to think empowers you far beyond those who know only what to think.

Khomotso Maphopha: Senior Librarian: Technical Services - University of the Limpopo

Basic create lists: Understanding background information to successful list creation on Millennium

Abstract:

This paper will handle the background for the successful creating of lists, the differences between institutions, and the art of creating lists. He will also talk about the purpose & benefits of creating lists and how you can manipulate the system information to achieve various purposes. All of this will be handled in a parallel session which will be a practical show and tell session.

CV:

Khomotso is the Senior Librarian Technical Services at the University of the Limpopo. He has a Master’s Degree in Library and Information Science which he obtained at the University of Pretoria. His duties at Limpopo includes the following: Management of the Technical Services, research and implementation of developments and changes in bibliographic standards, the coordination of the Millennium Library System as well as the Library IT and then last but not least the training and supervision of digitization and metadata creation and administration of the Institutional Repository.

Abstract

The workshop is an opportunity to showcase the various methods used to populate the SEALS institutional repositories. Specific attention is given to challenges faced with the migration of data (including data mapping and data exchange) from other repositories, the project management approach taken and the possible options available to facilitate the processes.

CV:

Desiree started her career at the Johannesburg Public Library, first at the Hillbrow Branch and then at the Travelling Library, where she experienced many wonderfully interesting things! Thereafter, she was appointed as Librarian-in-Charge of the Graaff-Reinet Public Library for several years, before moving to Port Elizabeth and the University of Port Elizabeth Library 1n 1988. She has been the head of the Inter-Library loans department and then the Cataloguing section, and is currently the Systems Librarian at the Nelson Mandela Metropolitan University.

Decision Center: making decisions regarding library collections

Abstract:

An overview on how Decision Center can be used for decisions and establishing trends regarding library collections.

CV:

Francois worked as Systems Librarian since March 2009. Before that he was employed by Gauteng Provincial Library Services and Gauteng Department of Sport Arts Culture and Recreation in the capacity of Systems Librarian maintaining and supporting the library system for Provincial Library Services and selected community libraries in Gauteng.

The use of Decision Center statistics for Collection Development

Abstract:

Decision Center is a comprehensive collection management tool that provides timely and focused action recommendations for budgeting, selection, weeding, floating, shelving allocation, and more. This paper will focus on how Decision Center reports can be used in Collection Development.

CV: Sunette Steyn

Sunette works in the Information Content Resource Management Directorate of the UNISA Library as a Collection Developer. She has been at UNISA for 25 years and worked as a Cataloguer for 19 years before joining the Collection Development team in 2008. She is interested in Library Systems and data management and is keen on trying out new developments.

CV: Thabi Ndlovu

Thabi works in the Information Content Resource Management Directorate of the UNISA Library as a Collection Developer. She has been at UNISA for 26 years and worked in the Request Services as a Section Manager for 16 years and 4 years in Lending before joining Collection Development in 2008.She is a result orientated individual who strives for efficient delivery of outputs to clients and treats obstacles as opportunities or challenges.

Payment Data Exchange and Transfer from Millennium to Oracle

Abstract:

Libraries are the heart bit of the institutions of higher learning; they are entrusted with huge budgets to enhance their services. Libraries usually fall short in paying the service providers (suppliers) on time, due to lengthy processes that the other dependencies are subjected to. To minimise the waiting periods and to streamline the payment process, the Library Finance, Library Technology Services, Library Procurement Services investigated the effective way by making sure that the University Accounting System (Oracle) and the Library System (Millennium) Acquisitions Module are interfaced to minimize human errors and to maximize efficiency. The presentation will share the benefits of this innovation.

Nsiki Ngubane is an Information Resources Purchaser at the UNISA Library. She holds a BTech Degree from the Durban University of Technology. She is currently doing her Honors Degree in Information Science with the University of South Africa. Her career life in the LIS field spans over a period of 12 years, started at the Circulation Department, moved to Acquisitions Department at the Durban University of Technology, before joining UNISA. Her interests are in Research and Client satisfaction.

Moving Collections – creating space

Abstract:

This paper deals with the big project the Ferdinand Postma Library underwent of dividing and moving our collection. I will briefly discuss the reasoning behind this decision; the pre-preparation; the phases of the project; the actual process and some lessons learned. During this presentation I will also indicate how we used Millennium to assist us in this daunting task.

CV:

Carine is currently the E-resources coordinator at the Ferdinand Postma Library on the Potchefstroom Campus of the North-West University. She started working in the serials section of the same library in 1992. She was in this section for 10 years, doing cataloguing, SAPSE statistics, and journal maintenance and government publication administration. In 2002 she moved to the information systems section with her main responsibility the administration and coordination of the electronic journals. Currently her responsibilities include the ERM system, administration of all electronic resources (including the collation of statistics) and basic IT assistance to staff. This paper will concentrate on the experience gained through the successful implementation of the RFID technology project in the library, as well as the differences between technologies, and the art of technology. Mr. Luvhengo will also talk about the purpose and the benefits of RFID in the library

Mr. Luvhengo is the HOD: IT Systems and Projects at the Vaal University of the Technology. He holds a B-Tech in Computer Engineering obtained at the Vaal University of Technology. His duties at the VUT includes management of the Library Technological Systems and library projects.

Program Management: Rhodes experiences

Abstract:

This paper is a report of an online booking system for Rhodes University Information Common’s Group Study Rooms and a Presentation Room using Sierra Program Management Module. On September 16, 2013 the Online Booking System for Group Study Rooms at the Information Commons Section at Rhodes University Library was launched as a pilot. The program was adopted after the first attempt failed to implement online group study rooms. The program is set for undergraduate students since the Information Commons Section is a designated space for undergraduates.

Elif has 11 years Account Management experience in different branches and is the Account Manager at Elsevier. She is Responsible for the Academic, Government and the Corporate Accounts in South Africa and Turkey. She Studied Economics at the University of Amsterdam and she is based in Amsterdam, but will be travelling to SA monthly.

Stefan Blanché is the Elsevier Regional Manager responsible for the sales and customer relationships in Southern Africa. Representing Elsevier and its business in the academic, government and corporate market to build and maintain sustaining customer satisfaction. Stefan obtained a BSc Microbiology from the University of Pretoria in 1997 and a Master’s Degree in Business Leadership from the School of Business Leadership at UNISA in 2006. Stefan lives in Pretoria.
