Preface

Please read and follow all the instructions cited in this manual. More information on how to use advanced features of the Device are avail-able online at NTEK Systems Inc. website, www.nteksystems.com. Basic safety precautions should always be followed for the benefit of the Customer and to prolong the Device life span.

DO NOT dismantle the device or tamper with the device’s software (see Software Terms). Only qualified technicians from authorized distrib-utors or the manufacturer are allowed to open the Device and make technical modifications if necessary. Tampering may cause malfunction and may void warranty.

DO NOT plug the Device to a power source during and until installation is complete. If you prefer to connect to a power line, turn off the power source first.

DO NOT detach the Device from its place without unplugging or turn-ing off the power source first should the Device needs to be relocated.

DO NOT submerge or soak device in any liquid

DO NOT shake, drop or strike the unit to prevent internal damage. Handle the unit with care.

DO NOT remove the microSD or the USB cable before unplugging or turning off the device.

DO NOT use detergent, wax, solvent, spray, benzene-based chemicals, thinner, alcohol or excessive water to clean the surface of the product.

DO NOT use the Device in any way that violates the right to privacy or for any other activity that constitute a violation of human rights.Repairs should only be referred to and done by authorized distributors or the manufacturer

Keep the Device Software and Application updated. You will be sent notifications when updates are available.

Software Terms & Conditions

GRANT. NTEK Systems Inc. (NTEK) grants Customer a non-exclusive, non-transferable, limited licence to use the Software in the Device along with its Software Extensions (such as available SmartPhone applications and Web management tools) in the Customer’s normal course of business (including the version initially installed together with any Updates specifically for the Device Software, but excluding any new software feature or substantial additional functionality for which NTEK, in its sole discretion, generally charges customers of the Software addi-tional charges.) In addition, Customer may use the Software Extensions on personal computers or mobile device apart from the Device. The Software is protected by copyright and patent applications.

COPYING. Customer may make copies of the Software for backup pur-poses only. Each copy made by Customer must include the copyright/proprietary rights notice(s) embedded in and affixed to the Software. All other copying is prohibited.

RESTRICTIONS. Customer may not publish, transmit, retransmit, disseminate, broadcast, circulate, sell, resell, loan, lease, distribute or transfer Software or copies to third parties, nor reverse engineer, decompile, disassemble or otherwise attempt to discern the source code of the components of the Software. Customer may not use Soft-ware, nor allow Software to be used, to provide data management or processing services for third parties. Customer may not reproduce all or any portion of the Software (except as expressly permitted herein) or any accompanying Documentation, or modify, translate or otherwise create derivative works of the Software. Customer agrees to notify its employees and agents who may have access to Software of the restrictions contained herein and to ensure their compliance with these restrictions.

TITLE. Customer hereby acknowledges and agrees that all right, title and interest in and to the Software, the Documentation and any other related materials are, and shall remain, vested solely in NTEK, its Affil-iates and other software owners, if any, and Customer shall not hold itself out as having any ownership or other rights with respect thereto, except as specifically granted hereunder. Except as expressly permitted herein, Customer agrees that it shall make no use of the Software, the Documentation or any other related materials without NTEK’s prior written consent. Any and all goodwill associated with such rights shall inure directly and exclusively to the benefit of NTEK.

Product InstallationProduct Preparation

Installation

Upon knowing that your Vivex Deskphone is complete:

3. Plug the Power Adapter into the Power Source and wait for the Vivex Deskphone to automatically power up and redirect to the main screen (This may take around 30-60 seconds)4. Unlock the screen of Vivex

You may be asked to select a Home App: 1. Tap “Vivex”2. Tap “Always”

Once Vivex Deskphone has powered up, we will need to connect it to the Internet. Vivex Deskphone requires a stable internet connection to work.

1. Swipe down on top right side of the screen

This will pull down device setting buttons

2. Tap Settings3. Tap WiFi OFF Button to turn it ONThis will show you a selection of available WiFi connections

1. Connect the Handset’s Telephone Coil into the Deskphone Main Unit

2. Connect the Power adapter into the Deskphone Main Unit

Note: To check the connection, you may open the internet browser app and connect to any website.

Reminders: Please note that the adapter’s power requirements are the following:

If this is your first Vivex Deskphone and you are setting it up as your SIP Server, please proceed to the next step Product Setup.

If you are setting up this Vivex Deskphone as a client to an existing SIP Server, kindly proceed to Product Configuration > Adding your Device as a Client

Product Setup (SIP Server) To make use of our AutoProvision Solution and easily set up your Vivex Deskphone, kindly follow the next steps.

1. Tap Settings2. Tap SIP Settings

Note: A pop up message display for Setup Guide will appear

3. Tap “Yes” to proceed registering the product

4. Tap “Online Auto Setup”

5. Tap anywhere on the screen

Note: -After tapping OK button you will be redirected to My Profile Settings-The user may choose to Save or Cancel since it is automatic configuration

Note: Your device will be downloading SIP Settings from our NTEK SIP Cloud Server. A message will confirm a successful download.

AutoProvisioning

To make use of our AutoProvision Solution and easily set up your Vivex Deskphone, kindly follow the next steps. If you wish to manually set SIP configurations, please proceed to the Manual Set-up below.

Manual Setup

To configure your Vivex Deskphone manually, use the following steps

Confirmation: Green Dot should appear on the Top Left Screen of Vivex Deskphone. (Vivex Deskphone was successfully registered to the SIP Server and is ready to call and receive call from the Client Device)

Note: If the dot is Red, make sure that Vivex device is connected to the WiFi network with Internet

If the dot is Gray, make sure that SIP Settings received are unaltered or correct.

Congratulations! You should be able to use the Vivex Deskphone now as SIP Server. Please proceed to Product Configuration should you wish to add local extensions.

Congratulations! You should be able to use the Vivex Deskphone now as SIP Server. Please proceed to Product Configuration should you wish to add local extensions.

You will be able to have access to the list of SIP Call IDs available to your Vivex Deskphone

Note: If the dot is Red, make sure that Vivex device is connected to the WiFi network with Internet

If the dot is Gray, make sure that SIP Settings received are unaltered or correct.

Note: If you do not wish to use the default SIP Call ID you may check the autoprovision.nexportals.com using the following steps

1. Tap “Home Tab”2. Tap “PBX Setup”3. Enter default username “admin”4. Enter default password “admin”

Product Configuration

In this section, we will be guiding you to adding clients to your Vivex, adding and assigning local extensions to other devices.

Make sure that your Smartphone and Vivex is connected to the same network.

1. Download the NEX Phone Application from the Play Store on your smart device2. Open the Application3. Tap “Settings”4 .Tap “SIP”

IP Phone(For Illustration, we are using a generic IP Phone. Terms may vary for branded IP Phones. Our Technical Support will be glad to help)

You may now use NEX Phone App as a local extension

1. Connect IP Phone to LAN Cable on the same Network that the VIvex Deskphone is connected2. Select “Menu”3. Select “Setting”4. Select “Advanced”5. Enter default IP Phone Password (this may vary depending on model)

Adding your Device as a ClientIn this section, we will help you use your Vivex Deskphone as a client to an existing SIP Server.

1. Tap “Settings”2. Tap “SIP Setting”

Note: A pop up message display for Setup Guide will appear3. Tap “No” to proceed registering the product 4. Tap “Manual Setup”5. Tap “OK”

6. Select Accounts7. Set IP address of the SIP Server8. Set Server Port of the SIP Server9. Set User ID / Call ID. This will be the local extension number10. Enter Vivex Deskphone Default Password: 000000 11. Set Display Name. This is the same as the local extension number12. Make sure of the following: Outbound Proxy: Disabled Registration: Enabled13. Save Details

You may now use the IP Phone as a local extension. It will have all Communication Features of the Vivex Deskphone if its form factors permits it to.

NEX Asterisk Features

• In the Outgoing Calling Rules press “+ New Calling Rule”1. Set the Calling Rule Name2. Calling Rules define dialing permissions and routing rules.

An outgoing calling rule pairs an extension pattern with a trunk used to dial the pattern. This allows different patterns to be dialed through different trunks (e.g. “local” 7-digit dials through an FXO but “long distance” 10-digit dials through a low-cost SIP trunk). Note that this panel manages only individual outgoing call rules. See the Dial Plans section to associate multiple outgoing calling rules to be used for User outbound dialing.

To Create a New Dial Plan

A DialPlan is a set of ‘Calling Rules’ that can be assigned to one or more users.

Dial Plans are assigned to Users to specify the dialing permissions they have. For example, you might have one Dial Plan for local calling that only permits users of that Dial Plan to dial local numbers, via the “local” outgoing calling rule. Another user may be permitted to dial long distance numbers, and so would have a Dial Plan that includes both the “local” and “long distance” outgoing calling rules.

Voicemail is an option available for every extension(Caller ID). The relationship between the extension and voicemail is established in Users. FAQsHow do I know how many Vivex Deskphones do I need?

It is highly dependent on the number of client devices you would want to have local extensions. Remember that a Vivex Deskphone can have up to 100 local extensions.

Another consideration is the volume of call activity you expect (i.e. Number of concurrent calls, length of calls, etc.). A single Vivex Deskphone can support fifteen (15) concurrent voice calls or (10) concurrent video calls. Keeping this in mind, if you have a high volume call environment, it may be wiser to lower down the ratio of server to client (i.e. 1:100 as opposed to 1:50)

What other devices may I connect with Vivex Deskphone?

Yes.

Can I use traditional landline on Vivex Deskphone?

You would need to use a third party GSM or PSTM Gateway on your Vivex Deskphone to enable it to connect to traditional phone lines or have a mobile cellular number. Network charges may apply from traditional telecommunication companies and rates may vary depending on their policies. This is why we advocate Voice over IP Communications to drive down your communication costs.

Can I use third party communication applications?

As our Vivex Deskphone runs on an Android operating system, you may download and install apps from the Google Play store. Please consider their platform requirements of the thrid party application though as it may require a different Android OS version.

How can I manage the local numbers I assign to a particular client or a number of clients?

You simply need to go to nexportals.com and use the NEX Asterisk Features we discussed earlier. The portion about Users should allow you to assign a particular local number.
