MecWise eClaims How to Apply, Withdraw or Resubmit Private Transport Claims Applications?

User Guide (Itochu Singapore)

Claim Applications How to Apply Private Transport Claims 1) Click on Private Transport Claims.

2) Click on the ‘Add’ icon to add a new private transport claim.

Private Transport Screen in ADD mode will be shown as below.



3) If you are going to submit the claim on behalf of another employee, click on the “Apply on behalf” button as show below. The “Apply on behalf” button will appear only when there is a delegation setup done at the admin side.

If you are going to submit your own claim application, then proceed to step no 6.

Click here 4) Select the employee on whose behalf, the claim application needs to submit.

5) If there is no setup has been done from the admin side, the “Apply on behalf” button will not appear on the screen as show below.

6) Click on the ‘View/Upload File to upload your claim receipt.



7) A file upload will pop up. Click on ‘Browse’ button to search for your claim receipt.



8) Select the claim receipt and click on the ‘Open’ button .

9) Give the upload file a name and enter some information as well. (Optional)



10) Next, click on ‘Upload’ button.

11) To view an uploaded file, click on the link. A popup will display with the files preview.



12) To delete an uploaded file, click on the button, and then click on OK in the confirmation message.



13) Click on the ‘Close’ button.

14) You can enter the Transport Details by clicking on the ‘Add’ icon.



15) Fill in the private transport claim details accordingly. a) Vehicle Type – Select the relevant private Vehicle Type

b) Click on ‘Launch Calendar’ icon to select the Start Date and Start Time.



c) Start Date – Enter the date of your claim application



d) Start Time – Enter the start time of this trip.



e) From and To – Enter the location where the journey started and the destination as well Description – Enter the reason for this travel

f) Enter the Amount of Mileage (KM)



16) Click on ‘Save’ when you are done.

17) System will save and display a new entry screen for you to proceed to add details for other Private Transport Claims.



18) Click on ‘Cancel’ button once you have completed all Private Transport Claims.



19) Click on ‘Return’ button to return to main menu.



20) Click on ‘Submit’ button to submit your claims application.

21) System will return a message with the document number generated for reference.

22) You can click ‘Click Here To See a printable version’ button to print review.



23) Click on Open button to open the report or Click on Save button to save the report in PDF format.

24) You will receive an email notification once the Private Transport Claims application has been Approved or Rejected by your approver.



How to View, Withdraw and Resubmit Private Transport Claims?

25) Go to Claim History Private Transport Claims and then click on any applications on the top to retrieve the details.

26) If you want to withdraw Private Transport Claims (application must be pending), please go to Claim Withdraw And Resubmit Private Transport Claims, and view the claim which you have submitted.

27) Click on the record which you want to withdraw or resubmit. 28) Upon selection, the details will be displayed. 29) Click on the ‘Withdraw’ button to withdraw this application.



30) The system will pop up ‘Claim withdrawn successfully’.



31) If you want to withdraw and resubmit this claim application (pending applications), please click ‘withdraw and resubmit’ button.

32) For pending approval application, upon withdrawal and resubmit button, system will show display this message box. Click on the OK button to continue.

33) System will display the message box. Click on the OK button to continue.



34) Update the application as required by repeating from step 3 to 18.

35) If your application is rejected, you can resubmit by going to Claim Withdraw And

Resubmit Private Transport Claims. 36) Click on the record that shows REJECT.



37) Upon selection, the details will be displayed. Click on Withdraw And Resubmit button.

38) System will display the message box. Click OK button to continue.



39) Update the application as required by repeating from step 3 to 18.
