A Proposal for SDTA Star Wars Mixer on December 19th 2017

Dear Pascale and Brian, Thank you for the opportunity to submit a proposal for your Mixer for on December 19th, 2017. Here you will find the details of what I put together for your event. Everything here is open for discussion and I am more than happy to customize your experience for you. EVENT LOGISTICS

The Winter season is always a fun time. In addition to the natural ambiance of THE

LOT, we are more than happy place and hang any signage or décor you may have to

enhance your mixer.

To best fit guests we will occupy the entire restaurant and cinema, closing off to the

public.

The mixer will consist of a cocktail mixer with food and drink in the restaurant and

retreat to the auditoriums for a screening of Star Wars.

To enhance the mixer, we can add Star Wars themed décor and even a photo booth

with Star Wars props.

Below I have formulated an agenda which I feel would work best for the evening.

6:30PM Food Station Opens

7:15PM SDTA Welcome Speech

7:45PM Retreat To Auditoriums

10:00PM Movie Ends/Evening Concludes

FOOD AND BEVERAGE OPTIONS

Food

To range within budget for what we want to sell the tickets for and still give the

guests a bang for their buck, we can do a taco bar. Guest will be able to build their

own taco with fresh made tortillas and a wide variety of fillers and toppings.

Beverage

All guests will be free to order drinks from a server or the bartender from a limited

menu of; bottled beer, house red and white wines with a drink ticket.

2 tickets per guest. Cash bar thereafter or option to purchase more tickets.

VENUE AREA – BUYOUT

You will be occupying the entire venue and your guests will free to mix and mingle

throughout the restaurant, bar, and patios. Food stations and any enhancements will

be placed accordingly. We will work together on a layout to best fit your vision and

flow.

SCREENING

Your guest will retreat to the auditorium where they will enjoy a screening of Star

Wars VII, The Last Jedi. Inside the auditorium, guest will be free to bring their food

and drinks from the reception into the auditorium. To stick within budget of the ticket

price, I have taken away the popcorn provided in the auditorium seats. If we want to

add that back in, I can do butter flavour for an additional 3$ a person as oppose to

our normal $7.50 per person.

Servers will be attending to their needs at a push of a button should they need

anything. Guest will be free to order off the menu at menu price and cash out their

own tab.

SDTA BENEFITS

As a valued partner, I would be more than happy to provide each guest with a

welcome glass of champagne at no extra charge. I will also comp the rental fees and

lower the cost of the bulk price movie ticket and cost of drink tickets.

ADDITIONAL CHARGES

When determining your budget for your party, please note that all prices are excluding

a service fee of 22% of the subtotal and sales tax of 8% of the subtotal. The overall

cost per member has these fees included.

SUMMARY

I am really excited to put on this mixer for the SDTA. THE LOT is the perfect

location as we have a first class facility with great food & drinks, excellent service, and

the ability to bring your imagination to life on the big screen.

After you select your food and beverage options as well as an estimated guest

count, I will generate a quote with a full breakdown of the costs. If you decide to move

forward, we can always make changes and adjustments up until 2 weeks prior to the

event. To secure the venue, I will generate an agreement with a tentative Banquet

Event Order, (BEO); these documents will need to be signed. No money is due upfront.

The full cost will be due and collected the day of the event. A credit card guarantee

must be on file and will be charged when monies due unless another form of payment

is submitted. We accept Visa, MasterCard, Discover, and American Express. Please

refer to the rental agreement for full payment details.

I’m happy to do what is necessary to make this mixer a huge success. If you

have any questions or would like to make any changes to this proposal, please do not
