Volume XXII February 2008 Number 6 In the last CLF Newsletter we talked about the new format for the newsletter and about other changes and upgrades being made. We are working hard behind the scenes to improve our efficiency and to upgrade the quality of our service to the membership. We hope that all will benefit from these changes. We remind you of the recent bylaw amendment moving the membership renewal deadline to April. Soon you will be receiving information regarding our spring-time membership drive. We fully expect that this membership drive will result in a substantial increase in our membership this year. We also remind you of the continuing need for supporters of the Clayton Library to invest in the future of the library by participating in the “Paver Campaign”. The amount of these donations is not insignificant, but we feel that it is within the reach of all CLF members willing to make a sacrifice for the cause of the Clayton Library. Remember, you can purchase the pavers online at www.claytonlibraryfriends.org (click on “Contributions”). The CLF Board is now refocusing its efforts on acquisitions. The activity level of the acquisitions committee will increase significantly during 2008. We are developing some expertise in the area of fundraising and have identified a number of fundraising sources that will provide grants for acquisitions. By combining the efforts of the fundraising team and the acquisitions committee, we expect to be able to substantially increase the volume and size of our annual acquisitions. If we are successful, we anticipate that CLF’s acquisitions will increase each year for the next few years. By the end of 2008, the Clayton Library renovation will be complete and CLF will once again be in full swing doing what it does best, supporting the growth of the Clayton Library. We are gearing up for the hard work ahead and we invite you to join us. Change can be a scary word.You might have noticed that themasthead of the Clayton LibraryFriends newsletter has changed.Personally, I think it is verynice, and represents a moremodern look to the newsletter.Change happens in many formsin many ways. The way we as

family history researchers do research has changedover time; most of us search the internet before webegin in the books. Computers at time can be a boon,and at times can be a bust. Changes are in the works at your library, the

Clayton Library. If you haven’t visited the librarylately, you will be pleasantly surprised at some of thechanges we have instituted. One of the most visiblechanges you will notice is when you immediatelywalk in the front door. Note that the computers lookdifferent. No longer will you have to sit on hardstools at high stand up tables. For a full look at thenew computer configuration please see Clayton staffmember Jane Porter’s article in this newsletter. Additionally other furniture will also be moved for

more seating upstairs. A set of shelves will be addedto each section on the first floor to give us more spacefor growth in materials. These improvements will becoming over the next few months. For informationon the Clayton Family home renovation project andthe excitement of that, please see Charlie Gardes’article in this newsletter. Changes in the near future include partnerships

with the Family History Library and Footnote.com.Although still in the works, these advances will bringmany new and exciting resources to Clayton. Inaddition, participating with these “names” in thegenealogical community will keep your library, theClayton Library Center for Genealogical Research inthe forefront of the genealogical community. It iswith great pride I say I am part of the ClaytonLibrary, and I know it is with great pride as membersof the Clayton Library Friends you hold a vestedinterest in the future of the library. COMPUTER CONFIGURATION CHANGEAs you walk into Clayton Library

you will probably think somethinglooks different, but what?Well, cast your eyes to the left

past the Information Desk. You willnotice that all computers are now atdesk height. No more uncomfortablestools, all computers have new flatscreen monitors and they are now allADA accessible! The first electronics table past the

Information Desk now holds ourthree general Public AccessTerminals, the Express E-mailTerminal, the Reservation Station andthe Pharos Station (the Xerox cardreader). The three Public AccessTerminals have full Internet accessand are intended for general (non-genealogical) use. To reserve aterminal using your HPL PowerCardor your HPL "Computer and PrintingServices Card" follow theinstructions on the ReservationStation screen. You may have up to 2one hour sessions on these terminalsper day. The Express E-mail Terminalis for quick e-mail/Internet checks,and again you must have a HPLPowerCard or a HPL "Computer andPrinting Services Card" to logon to it.Simply walk up and logon using yourcard. Each "express" session islimited to15 minutes. The PharosStation, A.K.A. the Xerox cardreader, is used to transfer any moneyyou may have left on the old Xeroxcopy cards to your HPL PowerCardor your HPL "Computer and PrintingServices Card." Behind this table, you will see our

Ready Reference shelves, containingmany "quick lookup" genealogicalreference items, and our Microprint

Finding Aid notebooks that tell youwhat is available upstairs onmicrofilm and microfiche and whereto locate the items.

Next you will find our dedicatedGenealogy Research Area, the firsttable of which contains the fourCatalog/Database only terminals.These terminals allow access to theHPL catalog and all HPL databasesbut have no Internet access. You donot need a card to access these, justchoose a terminal and start yourresearch. There is no time limit onusage of these terminals, but we doask that you limit your time if othersare waiting. The three GenealogyPublic Access Terminals on the nexttable also access the HPL catalog anddatabases, but they additionallyaccess the Internet. They arereserved for genealogical researchonly, and you must have a librarycard or computer-use card to usethem. Simply walk up and logonusing your card. You can have 2 onehour sessions on these terminals perday. We are hoping to add a fourthgenealogy computer in the nearfuture.The CD-ROM computer and

printer are located on the next table.The CDs are in a carousel to the rightof the table. We are working onupgrading this terminal.

Hints about selecting whichcomputer terminal will work best foryou:Since all of our terminals allow

"catalog and database" access,genealogy research databasesincluding Ancestry andHeritageQuest are available at any

terminal. If you have in-depthresearch to do and you do not needthe Internet, use the catalog anddatabase only terminals, as there isno time limit on them.

If you need to use the internetfor genealogical research, choosea genealogy terminal. You will nothave to compete with users whowant to access the internet for

non-genealogical purposes.Additionally, if you have a laptopthat has wireless capability youcan connect to the Internet throughHPL's wireless routers anywherein the building. This wirelessconnection allows you access tothe HPL databases without timelimits and with the added bonus ofbeing able to download images

and material right to yourcomputer.We hope that you will enjoy

using our new and improvedcomputer area. Please let us knowwhat you think, and feel free togive us any suggestions for furtherimprovement.

This year the membershipapplications for Clayton LibraryFriends will have a differentapproach for some of the extramoney that members send in alongwith their dues. Members maydonate any amount to the state thatthey choose, such as $50.00 forGeorgia, Ohio, etc. This moneywill be used to purchase additionalbooks for that state in thecollection. The library requeststhat the donations not be countyspecific unless the donor wishes topurchase a particular book byname. Some counties have verylittle published, or Clayton Librarymay already have all the books inprint for that county.

The idea of building up thecollection like this was from CLFpast president Ginny Toney who is

currently working on a project toacquire for Clayton Library a bookfrom every county in the U.S. Ourproject goes a little further; wewant to have a substantialcollection of all the importantpublications for counties in statesin which the membership has aparticular interest. For example,we have about three shelves ofbooks on Davidson County,Tennessee, but we do not own thefive volumes of cemetery booksfor that county. The acquisitionscommittee and the library staff aredoing a survey of each state to seewhat books are available thatClayton Library does not have.These books will be purchasedwith members' donations.

CLF charter member Eva JeanCunningham has been able to get

several donations for CLF fromExxonMobil based on thevolunteer hours that she hadaccumulated. We used this moneyto purchase books on SouthCarolina, which is a state in whichEva Jean has great interest. Withtheir donations, we were able tobuy several cemetery books,county histories, and townhistories that Clayton did not own.Now we have books on everycounty in South Carolina,including counties formed in theearly twentieth century such asAllendale, Bamberg, Jasper, andCalhoun.

Book selection will be done bythe library staff, and orderfulfillment will be theresponsibility of the CLFacquisitions committee.

The following family histories have been donated to Clayton Library through theClayton Library Friends. Once they have been processed, the books will be availableat the Library.

At the November 2007 CLF general meeting, aproposal to change the membership year from acalendar year to April 1 through March 31 wasapproved. To minimize confusion andinconvenience to our members, we provided thethree month overlap as a thank you for yourenduring support.

Membership renewal letters will be in the mailby the end of February. Your membership duesand continued assistance in spreading the wordabout Clayton Library Friends are the lifeblood ofthis organization. Please renew your membershippromptly and encourage others to join andparticipate in our upcoming 2008-2009 programs.

Alice Braud Jones has a full year of enticingspeakers planned for our quarterly general meetings.Following a large attendance at the February 9thmeeting, we look forward to a reading of the Adamsand Jefferson letters on May 17; hearing a newmethodology for ancestral research from KarenAvery Miller on August 9th; and Kathryn BlackMorrow’s Writing Narrative History from Piles ofPaper to Polished Prose on November 15. Pleasemark these dates on your calendar.

A very special event, an afternoon tea on thegrounds of Susan Clayton Garwood’s home,originally the Will Clayton Summer House (inRiver Oaks – away from town!), will take place onSunday, May 18. Invitations to new and renewed2008-2009 members will be sent in early April.Susan Garwood has generously offered her homeand this party as a thank you to the membershipfor its support of the library. Susan’s leadershipand generosity to our library enhancement projectis unsurpassed. We hope you will renew yourmembership and plan to attend.

We welcome your comments and suggestionsabout our (hopefully) greatly improved website. It

has taken much time and effort on the part ofseveral CLF members to create the site and, withyour help, it is evolving into what we anticipate willeventually become an interactive site for members.Please visit us at www.ClaytonLibraryFriends.org.

After great deliberation, the CLF board voted tomodestly increase membership dues: $20 for asingle member and $25 for two people at the sameaddress. As we are all aware, increased costs haveaffected the library and its “purchasing power”.The cost of microfilm, for example, has doubled insome cases over the past two years. To continueCLF support for the library’s collection andresearch facilities into the next decade, the boardbelieved this modest increase to be essential.

When the Clayton House reopens in spring2009, CLF and the Houston library system willboast 21st century research facilities and increasedacquisitions, while having preserved and enhancedan early 20th century architectural landmark. Weat Clayton Library Friends are fortunate torepresent both the past and the future through ourpurpose and our actions. Please join us in 2008and beyond.

Community Wide Support for Clayton Home Renovationand Library Enhancements

Through the generosity of Houston areafoundations, families and individuals, more than$5.9 million of the needed $6.4 million inconstruction costs have been raised to enhance theClayton Library facilities. Clayton family membersand foundations have provided an extraordinary$3.425 million toward the Houston Public Libraryfacility, a gift from the late Honorable William L.Clayton to the City of Houston in 1966. TheClayton Library Friends is most grateful for theirgifts as well as lead gifts from The BrownFoundation, Houston Endowment Inc., MDAnderson Foundation, Fondren Foundation andWortham Foundation. Gifts from half a dozenadditional foundations, funds totaling nearly $1million from the City of Houston, and donations

from many individuals have contributed the balanceof the $5.9 million.

Many thanks to CLF members who have boughtbrick pavers or sent donations to the capital campaign.If you have not yet made a gift, please consider doingso to help put us over the finish line. Oncecompleted, the Clayton Home facilities will provideadditional shelving and storage for archival andresearch materials, two reading rooms, and meetingspace envisioned to accommodate many genealogists’and Houston Public Library needs. Already a muchrespected educational facility, the enhanced ClaytonLibrary will further enrich our city’s outstandinglibrary system and the study of our history.

President Nick Sorensenopened the first quarterlymeeting of the Clayton LibraryFriends on Saturday, February 9,with a detailed account ofrenovation activities,fundraising status and a generaloverview of the year ahead.

NSDAR Genealogist LynneBrooke followed Mr. Sorensenwith her presentation to astanding-room-only crowd. Withnearly 90 members and guests inattendance, Ms. Brookediscussed heritage societyapplication research methodsand shared tips from the expertswith respect to credible sourceswhich are widely accepted byprofessional genealogists.Excellent questions wereforthcoming from attendees,many of whom are currentmembers of various heritageand genealogical societies inthe greater-HoustonMetropolitan area.

Upcoming programs forthe balance of 2008 are listedin this publication, with theirrespective meeting dates. Besure to note them on yourcalendar for future reference.Additionally, we are verypleased to advise that 2009programs are confirmed andinclude the following topics:

• “A History of RobertsonColony in Texas’Settlement”

• “Spain’s Contribution toAmerican Independence”

• “All the Presidents’Children” and

• “Civil War Shipwrecks inTexas’ Rivers.”

However,the remaining investigativeprocesses when the project beganare now completed - to the best ofour knowledge - and each unknownsituation has been addressed andsolved. With completion ofdemolition, we thought that themajority of the "surprises" havebeen found; See “site utilities,”below. Construction activity will beincreasing and much visual progresswill be made once the structuralsteel arrives on site – currentlyscheduled for late March.

• The City has replaced the Project Manager on theProject. Senior Project Manager Morgan Porter isstill keeping an eye on this Project and will availhimself as necessary. The new Project Manager,Joel B. White, has a construction background as ajob superintendent. He is used to problem solving.

• The City has yet to contract with the architect forthe second phase of the Project. I am told now thatHPL has committed $800,000 to this part of theproject. That is NOT in writing. It is substantiallycloser to the City’s contractual obligation of “up toone million dollars” than their previousdiscussions. Thank Nick’s memo.

• The City is requiring the contingency fund to beincreased from 10% to 20% of the total. While theexact amount is yet to be finalized, it will requirean additional $200,000 to $250,000 from CLF tocover these costs. This is consistent with what wasreported at the December 2007 Board Meeting.

• While the elevator foundation was prepared andinstalled, an equipment conflict appeared whichcaused an entire re-design of the elevator shaft.The information provided by the elevatormanufacturer during design was not entirelycomplete or accurate and when constructionsubmittals were made the conflict showed. This is

construction. It happens. That's why there is asubmittal process - to catch problems on paperrather than in the field. This has impacted theschedule a yet to be determined time period bydelays in ordering the steel. Steel was orderedtwenty days ago, but takes six weeks for delivery.

• Demolition was completed on the Carriage House,as well as the framing for the interior walls andwindow conditions on the second floor.Mechanical rough-ins were completed and partialinspections requested and passed. Waiting onstructural steel.

• Excavation for the new meeting room foundationwas completed, and the slab poured. This part ofthe project, too, is waiting for the structural steel.Mechanical rough-in being worked on, with somedifficulties that now appear to be have beencorrected.

• Interior demolition is now also completed on theMain House. Structural repairs to the exterior wallclay tile units are being made. Several dimensionaland structural issues have arisen and the Projectteam has, so far, been able to work out satisfactorysolutions.

• Exterior carpentry and painting work, clearing andgrubbing of the majority of the grounds iscompleted. continued on page 11

NOMINATING COMMITTEESection 6.3:The Nominating Committee shall have five

members: one member shall be elected by theExecutive Board at is meeting, and the remainingfour shall be elected by the membership at theregular May meeting. Nominations for thiscommittee shall be made from the floor. If only fourare nominated, voting shall be by voice vote; if moreare nominated, voting shall be by ballot. A pluralityvote will elect. The Committee member elected bythe Executive Board shall call the first meeting ofthe Committee, and at that time the committee willelect a Chairman.

It shall be the duty of the Nominating Committeeto:

� contact possible candidates for each position,� obtain a written résumé/curriculum vitae of eachcandidate

� provide each candidate with a description ofduties and responsibilities

� determine a willingness by the candidate to servefor the specified term and regularly attendscheduled board meetings,

� recommended candidates based upon requisitequalifications, ability to attend meetings andwillingness to serve,

� submit one nominee, along with biographicalinformation for each office to be filled bySeptember 15th of the respective year to:

� the executive board, � the newsletter editor for timely inclusion in

the newsletter, � the membership at the November

Annual/General meeting

Nominations may also be made from the floor atthe November Annual/General Meeting. No nameshall be placed in nomination without the consent ofthe nominee. Nominees for the office of Presidentshall have previously served as a member of theExecutive Board.

The election of Officers and Directors shall be byballot; however, if there is but one nominee for anyoffice, then election for that office may be by voicevote. A majority vote of the members present andvoting shall be required to elect.

• Work on site utilities has begun and anotherunforeseen condition has surfaced, literally. Duringexcavation for the sanitary sewer line it wasdiscovered that work was done by several differentplumbers over the ninety year history of the house.A six inch line exits the house, and transitions downto a two inch line that somehow taps into the City’seight inch line. This isn’t good. It won’t passinspections and needs to be remedied. It is beinginvestigated as to the best way to make the repairs.A new manhole may be necessary in which case thecost would be approximately $50,000 to $60,000which would come out of the contingency.

• The current date for substantial completion is 9November 2008. It is expected to be extended asmuch as another 30 days beyond that for changeorders. Time extensions will cost additional funds.Final Completion is always a minimum of thirty

days beyond Substantial Completion in order tocreate and address the punch list items.

• It has come to my attention, after the fact, that therehave been several requests for site visits by boardmembers and donors. These visits MUST bescheduled through me. We have no contract with theGeneral Contractor and requests must be madethrough proper channels, in addition to the liabilityissue. Additionally, the project is behind schedule,as well all know, and the superintendent isbecoming very busy with the various on-siteactivities and does not have time to deal with spur ofthe moment tours of the project. DO NOTATTEMPT TO DIRECTLY SCHEDULE SITEVISITS WITH THE CONTRACTOR.
