HRtrax comes with over 140 reports built-in. Run reports so fast they may even make your desk shake. Run reports by simply clicking-on the menu selection. Your report output may be sent to the screen, a local printer, routed to a network printer, or send to a file for sharing with others. You control the direction of all your report output.

Automatic Payroll Interface

All payroll related input and changes are automatically captured for forwarding to the payroll module. Also all input and changes may be automatically recorded in the Audit file for your review and archive.

Automatic Interface and real-time update to Time & Attendance systems

All time clock related input and changes may be automatically sent to Time and Attendance systems when present. Your new hires, will show in the time clock system within seconds of completing your HRtrax input entry.

No Boundaries History

HRtrax’s history facility stores your original record as history whenever a change has been made. The resulting history stack may be viewed one screen at a time, or as a linear view of history, or report history details and summary.

All additions or changes made to an employee’s record that effect their payroll, will be captured and sent to the payroll system. At any time you may review

these payroll related changes. You only key enter your changes once, HRtrax will update all related systems and files with its capture files.

If you also have a Time and Attendance system installed, additions or changes entered in the HRtrax module may also be used to automatically update the appropriate file and records in the T&A module. Generally

Time and Attendance information is more time critical and for this reason all updates to the T&A system may be done in real-time, this is to say HRtrax updates to many T&A systems immediately.

Whenever you see the History button displayed within the navigation line you are being told that history displays are available for this screen. Click-on the

History button and then the Prior or Next buttons to page through an employee’s entire on-line history. Elegant but simple solutions are always our goal.

Point-In-Time History

All input, including each data element from over 12 major areas of the database is included in the built-in History function. History is kept until you elect to purge records that for you may no longer have historical significance.

Calendar and Schedule an event to occur any time in the future

Schedule HRtrax to change and/or update any data element of Payroll, Benefits, Deductions, Leave-of-Absence and Termination. Enter your change plus the date when you want this event to take place, and let HRtrax track and automatically apply your changes.

Enroll Agents to remind you when an event should occur

HRtrax’s Agents may be dispatched by any user to constantly search for date specific events, and when found notify the user.

Automatic history snapshots are created for all data elements contained within the Payroll, Benefits, Deduction, Attendance, Leave-of-Absence,

Take advantage of this powerful feature to schedule a new-hires Benefit enrollment to take effect when they complete their qualifying period. You may also schedule wage changes, Job changes, Position changes and

many more events to take effect in the future. HRtrax even allows you to schedule multiple changesfor the same employee, and the same data element— to take effect on different days sometime in the future.

A user may enroll an Agent to notify them 20 days in advance of an employee’s License or Certificate expiration, or 10 days in advance of a salary review

date, etc. Use this feature for notification when an employee is scheduled to return from Leave-of-Absence or when they become eligible for benefits...etc., etc.

Security

HRtrax security controls are designed to limit access and functions to all your confidential information. You grant full-access or view-only rights to only those users with a need to know.

Audit Trail

All employee input and changes may be written to HRtrax’s audit file, this file represents the before and after status of all new or changed records, and contains the user ID with the date and time this audit record was created. A compete audit trail is built for you automatically.

Access any employee within the system by simply clicking the employee Find Icon or press F2 to get a pop-up pick-list.

Each employee may have a separate mailing name and address. Mailing name and address is automatically populated from the Payroll Related screen and becomes First name first, with upper and lower case text as displayed in this Personal related screen.

Use this screen to enroll an employee and their dependents in a benefit. Benefits that create a recurring deduction will automatically have the proper payroll deduction setup for the employee.

HRtrax’s Employee Profiles accommodate 8 tabs that may be used to record Awards & Honors, Education, Training, etc. Use the Facility tab to record company owned assets that are in the possession of the employee.

The system will calculate accrual earnings based on the table setup you define, there is no practical limit to the number of Accruals you may have. Use the maintenance tab to enter Vacation, Sick or Holiday usage or adjustments, etc. The system is capable of keeping multi-years worth of detail accrual earnings and usage, again the most recent events are on-top the oldest on the bottom. Simply press PageDown to view additional accrual history details.

Each slice of the above pie chart represents the proportion of savings realized from the respective modules. Our example is for an organization with 200 employees using HRtrax and the autolink to Payroll, additional savings are realized when also linking to a Time and Attendance automated clock system. This study shows an annual labor savings of over 760 man hours, with salaries, benefits and taxes this could easily be a savings in excess of $10,000.
