The Luxembourg Presidency is delighted to host the 8th European Quality Conference. This practical information guide will assist you during your stay in Luxembourg. We welcome you in the Grand Duchy of Luxembourg and hope you enjoy our hospitality.

I. Registration

The accreditation system for delegations will be available from End of July 2015. Delegates are requested to complete the accreditation online. The group registration system, which allows one person (the ‘Delegation Administrator’) to register multiple delegates, will be used for this meeting.

A username and password will be sent by e-mail to the contact person of each delegation (in general your national IPSG representative). We highly recommend that you change the password after the first registration. The group registration system can be accessed at the following address: https://delegation.eu2015lu.eu Besides 5 keynote speeches, 12 parallel sessions will be offered at the 8QC. In order to organize these parallel sessions, a choice between four parallel sessions in the morning of 1st October 2015, four parallel sessions in the afternoon of 1st October 2015 and four parallel sessions in the morning of 2nd October 2015, has to be done by each participant. Each participant can choose one parallel session in the morning of the 1st October 2015, one in the afternoon of 1st October 2015 and one in the morning of 2nd October 2015 (cf. draft programme).

The conference will take place in the ‘Maison du Savoir, Cité des Sciences’ (4, avenue de l’Université, L-4365 Esch-sur-Alzette) located at 20 km from the city centre and 30 km from the airport. For further information, please consult the map below:

Free Wi-Fi will be available throughout the ‘Maison du Savoir’ in Esch-Belval. The login credentials will be displayed at the welcome desk and in the meeting room. The facilities are accessible to persons with disabilities and assistance will be provided if needed.

III. Social dinner

A social dinner will be hosted by the Presidency at ‘Tramsschapp’ (49, rue Ermesinde) in Luxembourg-City scheduled from 18:00h until 21:30h.

IV. Badges

Badges will be provided to each participant of the 8QC. They will be distributed at the welcome desk in the conference venue.

Please note that the availability and special Presidency rates at the hotel cannot be guaranteed beyond the scheduled dates for the different hotels. The Luxembourg Presidency therefore recommends that you confirm your reservation as soon as possible. Please find enclosed, a registration form for the reservation of the rooms in the following hotels: ‘Park Inn by Radisson’, ‘Hôtel Mercure – Alfa’ and ‘Novotel’. In order to book hotel rooms at ‘City Hotel’, ‘Best Western’, ‘Hotel Empire’, ‘Hôtel Simoncini’, ‘Hôtel Cravat’, ‘Parc Belle-Vue’, ‘Parc Plaza’ and ‘Parc Belair’, benefiting from the special Presidency rate, you need to name the reference ‘Ministère de la Fonction Publique et de la Réforme Administrative – Présidence 2015 – 8ième Conférence Qualité’ (‘Ministry of Civil Service and Administrative Reform – Presidency 2015 – 8th Quality Conference’) during the reservation process (via email or telephone). In order to optimally organize the transportation of the participants from Luxembourg-City to Esch-Belval, we would be grateful if the contact person of each delegation could inform us about their hotel choice via email ([email protected]). N.B. Due to several Presidency events taking place on the same dates in Luxembourg, there are limited accommodation options. It is therefore in your best interest to confirm your reservation as soon as possible. If you do not confirm your reservation by the scheduled dates, there is a great risk that the hotels in Luxembourg-City will be fully booked or that the only rooms available will be sold at a much higher price than the special Presidency rate. N.B. for delegations including case presenters & facilitators: We inform you that the hotel rooms (nights of 30th September & 1st October 2015 – no extra charges) for case presenters (1 case presenter per case) and facilitators will be directly booked and paid by the ‘Luxembourgish Ministry of Civil Service and Administrative Reform’. Our contractual hotel partners in this case are the hotel ‘Park Inn by Radisson’ (45-47, Avenue de la Gare / L-1611 Luxembourg) and the hotel ‘Cravat’ (29, boulevard F-D Roosevelt / L-2450 Luxembourg). Both hotels are within walking distance. The exact allocation of each case presenter/facilitator will be communicated at a later stage. Due to the limited hotel room capacities in Luxembourg and the high demands during the Presidency, we cannot guarantee that the case presenters & facilitators will be accommodated in the same hotel as the rest of your national delegation. VI. Transportation

The scheduled hotels are located in Luxembourg-City or Luxembourg-Gare, located 20 km from the conference venue ‘Maison du Savoir, Cité des Sciences’ in Esch-Belval. Free transportation is provided by the Presidency at different stations, which are signposted. A responsible person from the 8QC organizing team will be present at each station and guide you to the bus.

Information and the main sales point are located at Luxembourg-Gare (Railway Station). Tickets may also be purchased at automatic machines situated next to some bus stops or through the mobile app “mobiliteit.lu”. Bus No 16 connects the airport to the City Centre and the Railway Station. The bus stop is located directly outside the arrivals hall at Luxembourg Airport. It runs every 10 minutes from Monday to Friday and every 20-30 minutes on evenings and weekends.
