Welcome to the inaugural Document Management Tasmania Sustainability report. This report replaces the annual Fuji Xerox Business Centre Tasmania sustainability report, and incorporates for the first time reporting on our newest acquisition, Acrodata Tasmania.

In this and future reports we will be changing the reporting format a little, to more clearly reflect the performance of individual business units in some areas, as well as continuing to comment on the performance of the group as a whole.

2018 has truly been an exciting and busy year, which has seen the group grow and develop in a number of different ways:

• The Print Division has undergone / is undergoing considerable reshaping. Our Burnie Print Centre closed its doors at the beginning of 2018. The Launceston Print Centre was moved back to Launceston City centre from Mowbray in early 2018 and has gone from strength to strength as a result of that move, and plans are well advanced in Hobart for the opening of an additional Print centre in Brisbane Street to tap into the university student print market. The Print Division is now the largest digital printery in Tasmania and plans are well advanced to see the whole of this operation move to a hub and spoke operation in 2019 to improve efficiency and profitability even further.

• The Fuji Xerox Business Centre has also undergone its share of change. The Launceston Sales and Service operation has been moved back to Launceston City from Mowbray. The Hobart Sales / Service and Admin teams have also been relocated as a result of the sale of our previous headquarters building in Watchorn Street. Despite this disruption, we have managed to successfully complete several very large equipment rollouts to customers and continued to roll out our program of preventative maintenance on the many machines we have under full service maintenance agreements.

• Following the acquisition of Acrodata in 2017, this operation was relocated to new secure premises in Mornington and has since taken to the market a document storage and digital on demand service which is unique in the Tasmanian market

These very significant changes have put significant strain on resources and I am pleased to be able to report that we have still managed to maintain a strong focus on our sustainability program and we continue to do well in a number of areas.

• We have had another excellent year in managing the return and recycling of used machine consumables, and ended the year well in front of our target of 85%.

• We have continued to dispose of end of life machines in a responsible manner through our recycling partners, with no machines having been reported as being sent to landfill.

• Overall business waste recycling figures continue to disappoint, although many individual sites are now meeting our target of 70% recycling.

• With all the changes in premises we are back to collecting base line data on building energy management at most locations. We have seen a modest increase in fuel consumption in the past year of less than 2% which can be attributed to increased sales / service activity during the year and the inclusion of ACRODATA fuel consumption

• In our latest survey of customer satisfaction in all three companies, I am pleased to be able to report that we have continued to rate very well and have slightly improved since the last survey was conducted some 18 months ago. -

I am also pleased with the way we have continued to contribute to making our local community a better place for everyone.

• We have continued to be heavily involved in supporting a number of charities and other worthy causes, either through direct donation or through assistance in kind through our various Print Division outlets to help them get their message out there.

• We continue to be heavily involved in advancing difficult social issues, in particular the current epidemic of violence against women in our society. As a board member of the Hobart

Women’s Shelter and as a White Ribbon Ambassador, I am heavily involved in helping both organisations spread the message that violence against women is not OK. As the first Tasmanian organisation in the private sector and the first organisation in our industry to become an accredited White Ribbon organisation, we are actively leveraging our leadership position in this field to assist other organisations to join the movement and make a difference.

• In 2017 we were heavily involved in building a school in Bali. We have continued to maintain close ties with the school and we are in the second year of a five year sponsorship plan to help fund its operation. In 2018, a group of staff and their partners visited the school and were able to see firsthand the wonderful outcomes it has had for the local community there.

All in all, I am quite pleased with where we are at, and I extend my thanks once again to all our employees, and in particular to our sustainability champions in all the various departments who continue to help make our sustainability program a success. I would also like to thank once again the sustainability team in Fuji Xerox Australia, for their continued support and assistance throughout the year.

As usual, we have tried to keep our report short and easy to read. I hope you find it informative.

We currently measure and report how we handle end of life (EOL) equipment and peripherals, recycling of parts and consumables, management of business and kitchen waste, paper usage, energy consumption (electricity and fuel) across the group, our interaction with the broader Tasmanian community and air travel. We also measure and report on how happy our customers are with the products and services we provide.

Sustainability is well embedded in our organisation and has simply become the way we do business. We have sustainability champions at each site who monitor and record waste and recycling information and report either weekly or monthly depending on the area.

Sustainability is a standing agenda item at management meetings. Monthly updates are provided to our service team on how we are doing on recovery of used consumables. A report on progress against all key areas of the program is provided to all staff in the company twice yearly and this more comprehensive annual report is produced annually.

Digital copies of our annual report are posted to our website each year and hard copies are available to both suppliers and customers on request as part of our commitment to transparency in what we do in this area.

Document Management Tasmania is the umbrella entity for the three separate companies which make up the group

• Future Print – The Fuji Xerox Business Centre Tasmania, which has been the Tasmanian dealer for Fuji Xerox Australia (FXA) products and services since 1986. It currently has more than 40% market share in Tasmania having more than 4500 devices on various types of contracts around the state (including Flinders and King Islands) with around 2000 of those devices on full service maintenance agreements (FSMAs)

• Immediate Print – The Print Division which is now the largest digital printery in Tasmania, and provides print on demand services to individuals, organisations (including to other printers) and large corporates and government departments

• Historical print – Acrodata Tasmania which provides, secure print, secure document storage and digitise on demand services to the Tasmanian market. It has recently won a long-term contract to provide the parliamentary printing and associated services for Tasmania.

Whilst all of these businesses are very successful in their own right, and operate day to day as separate entities, collectively they bring to bear a very wide platform of digital print services which can be tailored to meet any organisations particular needs.

With offices in Hobart, Launceston, Ulverstone and a presence in Devonport, we are well positioned to quickly respond to customers, no matter where in the state they may be.

HOW WE MANAGE END OF LIFE EQUIPMENT AND PERIPHERALS

Our policy is that no end of life copiers / printers (including opposition devices we have traded out) are to be disposed of to landfill.

During the course of 2018, we disposed of some 416 devices and peripherals (including some opposition machines) either by on-selling them or recycling.

During that period no devices have been reported as going to landfill.

We dispose of any EOL computer equipment and peripherals through our IT providers who either refurbish / rebuild them for redeployment to another part of our organisation or disassemble and dispose through recyclers.

HOW WE MANAGE PARTS RETURN

Our policy is that all used parts are collected and returned to base for recycling by FXA and that no parts (or associated packaging) are to be left at customer premises.

This year we sent back approximately 1742 kg of used parts to FXA for recycling.

No complaints were received from customers that parts or packaging had been left at customer premises during the year under review.

HOW WE MANAGE CONSUMABLES RECYCLING

Our policy is to actively encourage all of our customers to return used consumables to us and that all such items are returned to either FXA or Close the Loop for recycling or, (in the case of some types of waste toner bottles), recycled locally.

We are able to accurately track all consumables sent to customers in each of our three regions (North, North West and South). As each region also reports how many used consumables have been recovered for recycling, we are able to say with some degree of accuracy what percentage of consumables we are recycling.

We have continued to achieve excellent results in this area and have again achieved results well in advance of our target of an 85% return rate. This year was our best year ever with a return rate of 92% for the state as a whole.

To be able to say that that we get back around nine out of every ten consumables we send out sends a very strong message to our customers about just how committed to sustainability we are.

During 2018 we also recycled / refurbished just over 1400 waste toner containers through our relationship with Mailhouse Tasmania in Hobart.

Waste Disposal

GENERAL WASTE

Our overall policy is to minimise waste to landfill as much as possible.

Each year we strive to improve on the percentage of the waste we recycle as a proportion of the total waste we generate as a by-product of doing business. Each site keeps records on waste recycled versus waste generated and these are consolidated into an overall figure for the group as a whole.

Sadly, having set ourselves an overall target of recycling 70% of all the business waste we produce, we have consistently failed to achieve that target (the closest we got was a recycling rate of 67% in 2016.) In the year under review, we achieved an overall recycling rate of just over 60% which is down on the 62% achieved in 2017 and significantly less than our target of 70%.

A breakdown site by site reveals that in our Print division we are achieving around 80% recycling and in the Launceston Sales and Service area we have continued to achieve an outstanding result of over 90% recycling, by far the best result of any site in the state. This is partly due to the fact that they are able to recycle their polystyrene through the Launceston City Council but is also due to the unwavering focus on sustainability by our local site Sustainability champion (Ralph McGee).

The areas where we need a dramatic improvement are in the Ulverstone and Hobart Sales and Service sites, which each average in the low 40% range. The major problem at both these sites is the amount of polystyrene included in the packaging of machine deliveries, which at the moment we have no way of recycling at these locations.

RECYCLING OF KITCHEN WASTE Our policy is to recycle as much kitchen waste as possible consistent with council recycling guidelines.

We have a well-established procedure in Hobart whereby recyclable kitchen waste is collected by the local council on a fortnightly basis. This same service is also provided by the Launceston City Council for our new premises in the city. Ulverstone continues to rely on local arrangements to ensure that recyclable kitchen waste is disposed of appropriately.

RECYCLING OF PAPER WASTE Our policy is to recycle as much waste paper as possible and practical.

All waste paper from our Print Centres around the state is collected by Veolia Waste Management Services for secure disposal and recycling once a week or or as required depending on location. Additionally, in Hobart we have an ongoing arrangement with Plane Tree Studio whereby waste paper with very little ink on it is separated out for use by the studio in production of their specialty handmade papers.

Since 2009 we have arranged for other areas of our business to dispose of their waste paper via the same system.

All up we are confident that we recycle over 95% of the waste paper we generate as a business.

RECYCLING OF POLYSTYRENE

Our policy is to recycle polystyrene where possible and practical.

Historically, a large proportion of the waste we generate as a business has been the polystyrene packaging that arrives with machine deliveries. Although the total amount of polystyrene has declined somewhat in recent years through better packaging arrangements by our suppliers, it still remains a significant disposal problem for us.

In Launceston the Launceston City Council has set up a polystyrene recycling site and during 2018 we recycled some 22 cubic metres through this facility.

We have still been unable to find a recycling partner for this waste product in the South and North West but there may be hope on the horizon in Hobart where a local waste recycler has announced their intention to set up as a polystyrene recycler.

In the meantime, unfortunately, we have no economic alternative but to dispose of such waste to landfill in the South and North West.

RECYCLING OF CARDBOARD Our policy is to recycle cardboard whenever possible.

We have no such problems with recycling cardboard. During 2018 we sent an estimated 152 cubic metres of cardboard for recycling and we are confident that we are recycling over 95% of the cardboard waste we generate through our recycling partners.

PAPER USED FOR ADMINISTRATIVE PURPOSES WITHIN THE COMPANY

Our policy is to use only carbon neutral paper for administrative printing done within the company. (Internal company documents, invoices, service job sheets etc.)

After the initial dramatic reduction in paper used for administrative purposes when we moved to electronic billing, paper use has remained relatively static over the past few years.

Energy Consumption

Our policy is to reduce energy consumption as much as possible consistent with being able to efficiently carry out our business and ensure staff comfort.

BUILDINGS

Because of all the changes in location we are back to collecting base line data at all sites except for Ulverstone Sales / Service site and the Hobart / Moonah Print Centres which recorded an increase of 5.6% and 2.1% respectively.

VEHICLES

Overall, we had a 3.6% increase in fuel consumption in 2018 compared to 2017. This is partly due to the inclusion of fuel costs in Acrodata for the first time, and partly is a reflection of the general growth in business over the past year.

AIR TRAVEL

We only fly when we absolutely have to, either to send people to the mainland for training or machine demonstrations, or to service equipment we have on Flinders and King islands. We purchase offsets for most of this travel (around 95%) and this is the only option we have to reduce our carbon footprint in this area.

WATER USE We are still not measuring our water use (no means for doing so as yet) but this is not a high priority for us as we use very little water in our operations. Regular checks are made of taps and toilet cisterns.

The approach at Fuji Xerox is always to provide a solution for customers which not only meets their document solution needs, but which also has the smallest environmental impact. Every piece of Fuji Xerox equipment, right from small multi-function office devices through to high volume production presses, is designed with the environment in mind, enabling our customers to feel confident they are working with an environmentally responsible partner. All of these devices are extremely energy efficient, and our entire range of office multifunction devices are compliant with the Eco Mark Program (Japan).

This is backed up by our responsible parts procurement, recycling processes for used parts and consumables, and responsible disposal and recycling of the devices themselves at the end of their useful life.

We also source and provide a wide range of recycled content, FSC and / or PEFC certified paper stocks for our customers. Our biggest sellers are our guaranteed carbon neutral business papers, which enable our customers to make an immediate reduction in their operational environmental footprint.

Our policy is to provide customers with the best document solution to meet their needs with the least environmental impact.

We have played an active role in the general community for many years, including sponsorship of various clubs and charities (e.g. Gimme five for kids) and provision of assistance to many other worthy causes.

One particularly noteworthy effort in 2018 was made by our FXBCT Sales manager, Paul Fallon, who, along with a group of likeminded people, walked the Kokoda trail to raise money for the Tasmania Cancer Council. The group raised nearly $30,000 for the council which was an outstanding result.

As part of our sustainability program we have forged partnerships with a number of organisations which we feel play an important role in the Tasmanian community.

We have an ongoing business relationship with Mailhouse Tasmania which provides cleaning and refurbishment services for some types of waste toner boxes. (Mailhouse Tasmania is a Division of Oak Tasmania which provides a wide range of support and employment services for people with disabilities in Tasmania).

We have an ongoing relationship with various Men’s Sheds around the state whereby we provide them with plastic plinths and wooden pallets which they in turn remanufacture into an amazing array of products for community organisations, schools and charities.

We also support the Bonorong Wildlife Sanctuary which plays a lead role in educating the public (and school kids in particular) about wildlife conservation and the plight of the Tasmanian devil.

Our policy as a good corporate citizen is to play an active role in assisting the wider community to be a better place wherever we can.

In addition, because the Fuji Xerox Business Centre Tasmania has always taken the view that involvement in the community involves doing the things that are hard as well as the things that are popular, we have for some years now been a supporter of the Hobart Women’s Shelter in their campaign to raise awareness within the community of the epidemic of violence against women. We have joined with them to support the White Ribbon organisation which encourages people to speak out against such violence.

In 2017, we became an officially accredited White Ribbon organisation, one of only eight organisations in Tasmania to receive this accreditation and the ONLY private business to do so. All of the other organisations are Government departments. This provides the platform for us to work with both the Hobart Women’s Shelter and White Ribbon to convince other organisations to join the cause, and promote the policies and procedures that will make their organisations safer and more respectful workplaces, and to convince organisations that taking a stand against violence towards women is just as important a part of being a good corporate citizen as being environmentally responsible.

Keirran Downham is an official White Ribbon Ambassador, and is in growing demand as a keynote speaker at functions looking to raise awareness of this issue.

Finally, we have launched what we call our “Good Neighbours Policy” and during 2017 we became involved in the building of a community school in the village of Batusesa, which is located in a very poor rural area of Bali at the foot of Mount Agung. The school is now up and operating and we have agreed to help fund its ongoing operation for the next five years. This comparatively small investment on our part has made a tremendous difference to the lives and the prospects of the village a whole.

Not only are kids (and some adults) getting an education, the community school has also become a centre for people to learn practical skills to make items to sell into the tourist trade.

In 2018, a group of FXBCT employees and their partners undertook a trip to Bali to see first hand how the school they are sponsoring is doing and all came away impressed with the tangible outcomes that are being achieved for the local community.

we wanted a system where we could home in on, and get feedback from as many customers as possible on an individual basis. The system we use is called Client Heartbeat and our most recent survey was conducted in November 2018.

We continue to enjoy a very good response rate for this type of survey (around 15%) and whilst the overwhelming majority of the feedback is positive, each survey does highlight a few customers where we need to change our approach. This enables us to quickly home in on issues and take corrective action before minor issues become problems.

In the latest survey we improved our ranking in each of the four aspects measured, and in each case were slightly ahead of the industry average, with an overall satisfaction rating of 8.5 out of 10.

We put much of this improvement down to the much more proactive approach we now take to service where we have set a target of making every second

service call we do a preventative maintenance or client development call. This has proved very popular with our customers as it improves uptime of devices and educates customers on how to get the absolute best out of their machine.

Our policy is to provide our customers with the best service we possibly can.

Sustainability is a standing agenda item at Monthly management meetings and we have 6 Sustainability Champions spread across the organisation in different business units who report regularly to our Sustainability Coordinator on waste disposal, recycling etc., with a further 4 actively involved in gathering sustainability data for the program.

We provide half yearly reports to all staff on the progress we are making (or not making) across all areas of the program. More frequent, monthly reports are provided to all service personnel on

machine consumable recycling where there is considerable competition between regions to get the greatest number of consumable returns.

Sustainability is now an integral part of our business model. There is very strong and visible endorsement of the program from the Dealer Principal and Senior Management Group, and most staff have bought into the process because they understand the importance of the program to the Company’s long term business success.

We are broadly on track in achieving the goals we have set ourselves in our sustainability program, and we are particularly pleased with the results in the area of machine consumable recycling, although we recognize that we have a lot more work to do in terms of how we manage waste in general. We continue to make small but steady gains in most other areas.

We are very pleased with our community involvement activities, particularly the impact we are having through our accreditation by, and involvement with,

White Ribbon, and we hope that our example in this area will motivate other organisations to take up the challenge in addressing the enormous social issue of violence against women.

Overall, we are pleased with the progress we are making but we recognize that this is a continuous improvement process that is helping to drive the business forward in a way that is good for us, our customers, the general community and the environment.
