*Procedures include but are not limited to site specific procedures, traditional protocol, and

municipal by laws and other restrictive procedures, rules and regulations, safety and security

5. PREPARE A WRITTEN PRESENTATION ON SITE (SPEECH)

MGTMGT

Use the information that you have gathered and researched for the Site Inventory

Report. MGTMGT

Conduct additional research. MGTMGT

Brainstorm to find a Central topic to link your selected features / objects / activities,

etc. to. MGTMGT

Your presentation (based on the Central topic) should comprise of the following:

Introduction – This does not include the ‘Welcome’ and ‘Activity / Tour briefing’

(see 4). The introduction creates the stage for your presentation and helps

participants to understand and enjoy the visit to the site more. You should

provide sufficient information and background to the site. Place it in the

context of South African history (or World as applicable) and/or briefly relate

the history / events that led to the establishment of site / to which the features /

objects / exhibits / artefacts relate to. Participants also should be briefed on

terminology applicable to the site (for example explaining what ‘Voortrekker’

or ‘kraal’mean. The introduction can also be provided at a building /

monument / any other feature that explains the above best. If there are other

features / objects that explain the background to site, the introduction can

take place at several locations. A map or scale model of the site can also

serve as part of the orientation of a group.

Body (Main talk / interpretation)

This is the section where you talk about the different features / objects / exhibits

/demonstrations / activities while the participants can view it. Select the most

interesting information that relates to your TOPIC (and exhibits / features, etc.)

The physical layout of a site may not always be in an ideal order, but you

could apply the following techniques to ensure that there is a logical flow of

information:

- Make mention of a specific feature / object that relates to what you

are explaining and viewing now and point it out when you come to it

later on the tour…”Here is the ……. I was telling you about earlier on”.

- If you did not mentioned it before but it pertains to a previous section

you could link it by saying “Here is yet another example of what we

have previously seen….” Or “This explains what I have been telling you

before…”.

Conclusion – wrap up your talk and convey a final thought / message.

USE THIS PAGE TO BRAINSTORM IN ORDER TO SELECT A CENTRAL TOPIC.

1. Write down at least three topics in the box.

2. Link the features / objects / activities, etc. that you have included on your Tour Plan

Map to identify the most suitable topic. You can draw more links than the ones

provided.

of great importance to proof his / her competency as a guide and to the learner in

identifying areas for improvement. Kindly read the Instructions below for the Video recording

and complete the evaluation checklist after you have completed the recording on site.

Should you have any queries please do not hesitate to contact us (see contact details on

front page)

Thank you for your co-operation. It is much appreciated!

Equipment

MGTMGT

Ensure that you have at least 2 hours available on the recording tape MGTMGT

Charge the battery to full capacity MGTMGT

Take an extra battery (also fully charged). The capacity of the battery

should be 2-3 hours in total.

THE LEARNER WILL NEED TO REDO THE WHOLE TOUR IN THE EVENT THAT THE TAPE

/ BATTERY IS NOT SUFFICIENT TO RECORD THE FULL TOUR!

Date and

time setting

MGTMGT

Use the function on the Video camera that displays the date and time

on the recorded clip – this will contribute to the validation and

authentication of the recording.

What to

record?

Prior to the tour MGTMGT

(Ask participants to introduce themselves and why they came e.g.

their interests / expectations (5 minutes).

The Tour MGTMGT

Record the learner’s presentation from the start of the tour right to the

end. MGTMGT

Also include the final questions that the participants might have with

regards to information about additional activities and facilities of the

137 | P a g e

(e.g. if it is obstructed, if the learner is standing at the right

place). MGTMGT

You should focus on the group from time to time - it is also

important that the Assessor observe the groups body language

and participation in the tour.

IMPORTANT! MGTMGT

The video camera should be running from the beginning right to the

end of the tour without switching it off! The objective is not to produce

a professional video but to obtain evidence of the full presentation /

time of the tour 45-60minutes). Take note of your own safety while

walking from point A to B while video-taping the learner Guide. BUT,

ultimately the Assessor should be able to hear all the comments and

safety precautions of the learner Guide on the video when assessing

the learner Guide.

Additional

tip

MGTMGT

Find a good angle from where you can pan easily from learner to

participants and also include the background against which

presentation is set. MGTMGT

Don’t move the camera from side to side too much. MGTMGT

If you move the focus, do so slowly. MGTMGT

Avoid taking shots against the sun or where there is a backlight. MGTMGT

Don’t worry if you can’t see the learner in poorly lit areas - keep video

running to capture audio.

Final format Do not alter, edit or add any effects to the video!

The original video clip should be copied to a videotape / DVD.

Dear Interviewee/ Tour Participant

Kindly assist the learner in his/her efforts to understand the limitations (e.g. time, mobility),

needs (e.g. what you want to get out of the tour), expectations of the tour, interests and

values (e.g. religious sentiment, sensitive issues) that you might have. The learner will also

question you on your current viewpoint of the site. This will help this future guide to gain

understanding of what tourists want and how he/she should respond to the above. Kindly

complete the Participants Feedback Report after the tour. Your honest opinion will impact on

future guiding experiences of foreign tourists as this learner will need to adjust and improve

his / her tour according to your response and recommendation. ENJOY THE TOUR!
