What is POP?

Short for Post Office Protocol, a protocol used to retrieve e-mail from a mail server. Most e-mail applications (sometimes called an e-mail client) use the POP protocol, although some can use the newer IMAP (Internet Message Access Protocol). There are two versions of POP. The first, called POP2, became a standard in the mid-80's and requires SMTP to send messages. The newer version, POP3, can be used with or without SMTP. (Source: http://www.webopedia.com)

Where do we add accounts?

•To add or edit accounts to Outlook Express, go to the ‘Tools’ menu and choose the ‘Accounts’ option.

•This will bring up the ‘Internet Accounts’ window.

Adding an account

•To add an account click on the ‘Add’ button.

Creating an e-mail account

•Under ‘Display Name’ enter the name that you want displayed in the ‘From’ field when you send an email to someone.

•Enter the email address on the account in the ‘Email address’ field.

•OU’s incoming mail server is a ‘POP3’ server.*

•The incoming mail address is ‘pop.ou.edu’

•The outgoing SMTP server is ‘smtp.ou.edu’

•OU sets up its Account names by a users 4+4 or OUNetID.

•The POP email system uses the user’s LDAP password.

•You will then be given the usual Microsoft pleasantries stating that the account is created.

•Hit the ‘Finish’ button and you are ready to go.

Some necessary fine tuning

•Go to the ‘Tools’ menu and then choose the ‘Accounts’ option.

•Click on the ‘Mail’ tab.

•Choose the account and click on ‘Properties’

The Properties window (General Tab)

•An important field on the ‘General’ tab is the ‘Reply Address’ field.

•Enter the email address to which recipients of emails sent from this account should reply to in the ‘Reply Address’ field.

The Properties window (Server tab)

•An important setting here is to check the ‘My server requires authentication’ option under the ‘Outgoing Server’ section.

•In case you need to change the settings for the username or password on the account or the option to save the password.

Properties window (Connections Tab)

•You can choose what connection Outlook Express uses to send and receive mail in this window.

•The Default connection available is normally already selected.

Properties window (Advanced tab)

•A very important setting here is ‘Leave messages in server’

•It is recommended to have this option checked so that emails are stored concurrently on the local machine and the pop mail server.
