Meeting of Thornbury Christmas Lights Association on Monday 17th September 7.30pm 2018 at The Swan Function room, High Street, Thornbury

1. Apologies: Adrian and Margaret Savery, Liz Slocombe.

2. Attendees : Gill Dunkley, Fred Macey, Brian Roberts, Bob Griffin, Brian Lowrie, John Francis, Terry Ray, Paul Morrish, David Ridge, Bob Brommage, John Richings, Joan Roberts, Sally and Emma Higgins,John and Clare Mclellon, Lorraine and Chris Saich, Alan Davies, Tony Wilcock

3. Minutes of 16th July were accepted as a true record.

4. Matters arising – Welcome to Clare and Mack(John). We were sorry to learn that Ralph Shalcross had recently pssed away, he and Sandi being long standing supporters of TCLA. Our thoughts are with sandi and all the family. We were also sorry to hear that Shirley Holloway(Mayor) had been unwell and asked Bobto pass on our good wishes.

Chairmans Statement:

5. Financea. Finance Report, as attached. Thank you to Sandra at The Swan and all the Quiz teams etc,

£350 had been received by being ‘charity of the month’. Around £7000 available to finance replacements/repairs etc.Collecting boxes full. ACTION:MW

b. Fund-raising/grantsTesco scheme, hope for £2000, but nothing heard as yet.MAF funding, did not apply this time as sufficient funds for current projects. Could look to apply in the Spring.

24th November 10-1pm we have a slot for making a collection for TCLA, at TESCO. Volunteers needed to cover the 3 hours (2 per slot?, put a board up showing what we do!(Arts Festival?)-fresh working photos?Wear TCLA T-shirts(SH)) ACTION:PM/BR/GD/SH

Submit Application to Magnox Socio-economic fund for set of Ladders /steps(2 funding streams available( Magnox company scheme and Oldbury Private Charity fund)

6. CorrespondenceFrom Clare and Mack, wishing to get involved. Further contact from Volunteer link, however, had already found another voluntary position.

7. Lights Sub-Committee 2017/18a. Schedule

As detailed above. 12th August was rained off!! 2nd Sept 3 peple were available and did some Barn based work, may do some repairs on 23rd Sept.

b. Fittings/equipmentFitting Tanners Court, discussion with owners required, on-going ACTION:AS Order will be placed next week, reference Plan produced. ACTION:RDSack Truck needs repairing. ACTION:Barn teamNeed to address the internal connection issue at Barclays Bank at Consent approval.

ACTION:BR/RDc. Teams: Need list of number plates to have cleared with South Glos. ACTION:Street drivers

Confirmation that ‘workers(including Rotarians) are covered under TCLA insurance. Need to ensurethat ‘sign in’ on Sunday Mornings. ACTION:ALL

d. Hoist: dates as per schedule, unless otherwise advised.e. Next sub-committee meeting – TBA- Sunday morning!

8. Switch-on Sub-Committee - Switch-on Tuesday 20th November 2018a. Event

Premises Licence, advised South Glos we will be invoking it.Need to pass Alcohol training to Rotarians etc Mid/late October ACTION:GDDetails of Generator/PA systems, need 2nd gazebo ACTION:PM/BRConfirmed Funfair availability. Letter of confirmation to be sent. ACTION: GDConsult re layout etc after Nov 5th ACTION: BR/TW

b. Closure, Risk assessment, Charity Stalls, and food fayreNote that will not have use as previously of the 2nd Bonds office as the Thornbury Radio is in there. They might of course be willing to play some part? Offer that Adrian may have a room availableApplied for Road Closure , £168 needs to be reimbursed to GD. ACTION:FMStalls: the usual ones . Messagae on facebook etc, Thornbury Welcomes will have a stall.Entertainment:Balper, approaching choirs. Check whether additional sound amplification is required from Tom.

c. CharityA number were considered. Thornbury Welcomes was proposed by BG, seconded by PM and were duly selected. This new local group is trying to promote all aspects of Thornbury to new and existing residents. They will provide a personality to do Switch-on./Photo will be required asap for posters.Apply for Collection licence. ACTION: TR
