Newsletter Volume 47 Issue 10 VADA/Nova Board Meeting Minutes VADA Board Meeting Minutes Year End Awards Information Championship Show Prize List 2019 Membership Information 2018 Show Calendar VADA/ Nova Board Meeting Minutes Sept. 10, 2018 Present: Thirteen Board members were present. Excused: Two Board members were excused. Guest: One guest was present. This meeting was held via teleconference, and commenced at 7:15 p.m. Minutes: Rachel moved to accept, Michelle seconded motion, and the Board unanimously approved. Treasurer’s report: Savings account balance is $45,095.13 and the checking account balance is $95,281.15 There was no August Licensed show budget report as of today as several invoices/expenses had just been paid. Membership/Communications: 283 members; 5 Show pass holders (87 of these were paid via Pay Pal). There were 1285 likes, 1278 followings on Facebook. Licensed Show: There were 4 rings for the August show. Some competitors expressed concern about the size of the warm up space, but the TD determined that the warm-up was legal. There were some problems with traffic congestion due to a soccer tournament and Twilight polo match. There were some issues between the golf carts & soccer traffic, and there was some con- cern that it could have been far worse. Also, some of the soccer people were parking in our day parking area near the indoor. Some spectators complained about the long distances between the parking areas & the infield rings. We may need to have more golf carts to shuttle people around, or have spectator parking closer to the indoor. There wasn’t sufficient shade at the Infield rings; we will need to put up more pop-up tents. Marcia Keene was hired to do hospitality for the show. She did an excellent job and her fee was reasonable. Michelle suggested hiring her for next year. Diann C. moved we hire Marcia for next year’s licensed shows to handle our food needs.; Michelle seconded the motion. The Board approved the motion unanimously, so Michelle will contact Marcia to advise her of our 2019 dates and execute a contract for her services. Dianne B. reported that overall the show went well, with lots of riders qualifying for GAIG’s. We need to have further conver- sations with Morven Park regarding some issues, There were 3 big events held the same weekend, and so we need to work on some traffic control, but overall, Morven Park was supportive of our needs. Aside from traffic concerns, with the new layout, the horse show and the other events co-existed quite successfully. We will hire the same EMT team next year. There was positive feedback from the TD who commented on how visible and proactive they were. The TD gave a favorable report overall on the show. Schooling Shows: The Board held a lengthy discussion (to be continued) on possible ways to expand our Championship Schooling show and year end awards program. This matter will be discussed further.There was a discussion about changing the required tests to qualify for the Championship show in 2019, in order to have more riders enter. Sheli moved that the VN make the 2nd & 3rd tests of each level serve as qualifiers. The qualifying percentag-es would remain unchanged and the test ridden at the champion-ship will be the 2nd test of level. Mary seconded the motion, the Board approved unanimously. The Schooling show committee will clarify the language for the Green Book. Sheli moved to make these changes, Mary seconded the motion, the Board approved unanimously.There were other suggestions made by the Schooling Show Committee. The Board felt that they needed more time to con-sider these suggestions and so they will be discussed further at our next meeting.Championship Show: Sheli presented some choices for the Champion and Reserve prizes for the Championship show. Sheli will look at the numbers from the past to guide the initial ordering, to be fine-tuned after the show closes and we can get exact numbers.

2019 Banquet: Most jobs will be the same as last year. Anne will reach out to last year’s volunteers to see if they’ll be volunteering this year. Information will start to be posted in the October Newsletter. Diann C. suggested opening up Banquet registration to Pay Pal. There was a discussion of the logistics of this, both pros and cons. Sheli would need help keeping track of submissions, and Judy would have to work out the best format- particularly regarding meals and seating arrangements. It was

suggested that we hire someone outside of the Board to take care of resolving these issues. Judy is exploring how this might work and if it is not something that can be done quickly, we will table this for now and revisit it next year.

Education: It was suggested that the March clinic tie into the new tests (2019) and educate both riders and auditors as to the intention behind the changes. Anne will rewrite the description of the clinic to highlight both the fix-a-test facet and the explora-tion of the new tests beginning in the 2019 show year. There will also be an Activities Planning Meeting in November or December to look at possible clinics and activities for 2019. Some suggestions put forth so far are for a session by a Sports Psychologist, or something on cross training or saddle fitting. Some Board members will look into potential speakers and ideas will be discussed further at the Planning Meeting.

Board Elections: Each Board member will be responsible for updating their bios and providing them to Megan by 9/30/18. Several past Board members have expressed interest in return-ing to the Board. Megan & Judy will work on the electronic ballots and Sheli will handle the paper ones.

Year End Awards: Sheli is pursuing one idea and any addition-al ideas need to be raised at the next meeting. Anne has started working with Barb to organize YE Awards.

AOB: Each Committee must present the results of their meet-ings to the following Board meetings so that everyone knows what is happening.
