Job Description Post Title People Services (HR) Coordinator

Employer: n-compass Towards a Brighter Future Ltd

Work Base: Head Office – Preston (flexible hybrid working approach – home/office)

Hours: 37 hours per week Salary: £22,000 per annum (FTE £22,000 per annum) Responsible to: People Services Director Purpose: To provide a full HR Administration support to the People Services Department

and to internal and external customers.

Successful applicants will be required to undergo an enhanced DBS check

Key Tasks Administration

• To maintain and update electronic (Cascade HR) personnel records containing all employment related

information, including absence, starters, leavers, change of contract information etc.

• To administer starter / leaver process including all documentation, induction process and exit interviews.

• To prepare all letters or contracts for any changes to employment terms and conditions.

• To handle maternity, paternity, adoption, shared parental leave and parental leave administration processes.

• To develop the Cascade HR system to improve efficiencies in HR record keeping and reduce the amount of

paper records.

• To prepare, as required, monthly management reports on employee related data to assist with the

management and development of staff.

• To provide general administration support to the People Services team as required.

• Monitor and maintain the HR, jobs, office supplies and learning and development inboxes

• Order and maintain office supplies, including stationery, office equipment etc.

• Monitor and maintain DBS database and ensure that all staff have a valid DBS at all times

• Arrange safety checks in line with legal requirements i.e. PAT testing, fixed electrical testing, boiler inspections

etc.

Recruitment, Selection and Induction

• To coordinate the recruitment and selection process including:

o Planning and coordinating all recruitment attraction

o Coordinating the candidate journey to ensure excellent experience and talent attraction

o

o Acting as point of contact for any candidate queries during the recruitment and selection process

• Coordination of selection process, including interviews and assessment centres

• Lead an efficient onboarding process and ensure that starters are fully compliant efficiently

• To produce and issue offer letters and contracts of employment

• To ensure all new starter information is loaded onto the Cascade HR system and information passed to payroll

• To facilitate the induction process and ensure that the induction is conducted and completed within a timely

manner.

Learning and Development

• To provide administrative support to all learning processes including:

o Maintenance of training matrices and records

o Maintenance of the learning platform and learner records

o Administration and coordination of all training events, including enrolment, joining instructions and

evaluation

• Acting as point of contact for any learner or manager training queries

• Collating staff development requirements annually/bi-annual from performance management documentation and

ensuring internal databases are tracked and up to date at all times

• Maintaining the training budget and the allocation of spend

• To facilitate the induction process and ensure that the induction is conducted and completed within a timely

manner

• To support talent identification and management programmes

• To support the evaluation of all training across the organisation.

Employee Relations

• To respond to general queries from managers and employees, signposting them to the appropriate policies and

procedures

• To provide administrative support to line managers and People Services Team in HR processes, including note taking

at investigations or formal meetings.

Health and Safety

• Ensure that all employees and students complete a DSE assessment, review these assessments and take any

remedial action required.

• Provide support to implement/maintain health and safety requirements

ISO

• Support the internal ISO audit process in line with the audit plan dates/timescales, communicate and record non-

conformities ensuring that these are addressed and closed within a set timeframe.

• Assist with external audits as required

General

• To maintain own continuing professional development, keeping up to date with legal requirements and relevant

HR developments

• To maintain appropriate confidentiality of information relating to the company and it staff and maintain compliance

with the Data Protection Act and Information Governance.

• Attendance of regular n-compass staff and team meetings.

• Develop and attend a regular informal peer support mechanism with others throughout the organisation.

• Attendance of regular operational meetings, supervision and annual appraisal.

• Complete a personal development plan in conjunction with your Line Manager and take responsibility for achieving

its actions.

• Work within organisational policy at all times.

Essential Desirable

Experience/Qualifications Previous experience required to do the job.

• Education to A level standard

• Good General Education with a minimum of GCSE Grade C in English and Maths

• Degree level education, ideally in business studies with an HRM module or in HRM

• CIPD Membership (or studying towards Level 3 -5)

Work or Education Experience e.g. academic or professional qualifications.

• A general understanding of HR policies, procedures and practice

• An understanding of general HR administration and data collection

• Experience of working in a team

• Experience of working with HR packages / databases together with strong IT skills, skilled in using Microsoft Word and Excel

• Experience of co-ordinating a recruitment and selection process

• ISO 9001 Auditor or exposure to the standard

• Experience of working in partnership with other organisations/ departments/ colleagues to drive forward continuous improvements within their remit

• Experience of monitoring and maintaining Health and Safety records

Skills/Abilities e.g. analytical skills, computer skills.

• Excellent verbal, written and numeracy skills

• Excellent organisational skills including the ability to manage time and priorities effectively

• Well-developed interpersonal skills and able to work with colleagues at all levels

• Able to work appropriately with confidential and sensitive information

• Able to work independently and on own initiative within specified guidelines or processes

• Demonstrate flexibility and adaptability to be successful in a changing environment

• Focuses on delivery with excellent time management skills

• Able to demonstrate good practice and upholding the n-compass values and policies/ procedures

• Manages workload to meet timescales, budgets and/or deliverables

Other Circumstances Special conditions that apply to the job, e.g. need to travel, work away from home etc.

• Driving licence and car owner. We have a number of office locations based throughout the North of England, travel to and from locations will be essential

• Attendance at team and other n-compass meetings as required

• Willingness to participate in training where relevant
