SECTION 1: OVERVIEW

HEALTH EDUCATION AND TRAINING INSTITUTE (HETI) The Health Education and Training Institute (HETI) supports education and training for excellent health care across NSW Health. HETI works to ensure that world-class education and training resources are available to support the full range of roles across the public health system including patient care, administration and support services.

HETI’s mission is to improve the health of NSW and the working lives of NSW Health staff through education and training.

MANAGEMENT DEVELOPMENT TEAM HETI’s Management Development Team is responsible for a diverse range of initiatives. The unit works collaboratively with a broad range of stakeholders to develop and deliver state-wide strategic education opportunities to enhance the flexibility and innovation of existing and future health managers, in order to meet the current and emerging needs of NSW Health.

The Team is responsible for the following programs:

People Management Skills Program (PMSP) A course for current and aspiring clinical and non-clinical managers across NSW Health.

• Develop the skills that build effective people management.

• Create working environments that enhance patient care.

• Engage with highly-skilled facilitators.

• Learn in a supportive group environment.

• Six-month blended learning course, comprising: - Initial two-day interactive workshop. - Self-paced e-learning. - Workplace implementation project as agreed with your line-manager. - Final workshop, presentation and reflective discussions.

CORE Chat – Our Values in Action This half day workshop is designed to build a positive team culture by enacting the NSW Health CORE Values. • Discover what CORE values look like in action and benefit from a greater understanding of team

dynamics.

• Develop your skills in giving and receiving feedback using quality communication techniques.

• Practice using tools that lead to mutually acceptable and solution focused conversations.

• Engage with highly skilled facilitators with extensive experience.

• Learn in locally conducted, supportive group environments.

CORE Chat - For Managers This half day workshop builds on the knowledge and skills gained through the CORE Chat: Our Values in Action workshop. • Define your role in leading cultural change and building a positive team culture.

• Gain practical ideas to enable the successful implementation of the CORE values in your workplace.

• A great opportunity to interact with other managers and team leaders and discuss the challenges and opportunities of change management.

Strategic Time Management Feel more empowered in how you spend your time at work. The Management Solution Series: Strategic Time Management course is a four-hour face-to-face workshop for NSW Health managers. Develop strategies to:

• Increase awareness of current time usage.

• Clarify objectives and prioritise tasks.

• Manage procrastination and common ‘time-wasters’.

• Carefully schedule time.

• Utilise resources for greater workplace efficiency.

• Understand the importance of self-care and personal wellbeing to effectively manage priorities and responsibilities.

Purposeful Meetings The Management Solutions: Purposeful Meetings course is a one-day workshop that equips NSW Health managers with the knowledge and skills to facilitate effective and successful meetings. The course assists you to: • Assess if a meeting is required.

• Understand different styles of meetings.

• Plan and prepare a well-run meeting, including advice on agendas, minutes, and protocols.

• Identify the functions of an effective meeting.

• Manage behaviours and challenging participants. Through facilitated activities, the Purposeful Meetings course provides you with the skills to ensure your meetings reach their potential by creating a respectful and open environment for collaboration within specific timeframes and a set structure.

Positively Resolving Workplace Conflict The Management Solution Series: Positively Resolving Workplace Conflict is a one-day workshop that will help shift your beliefs around conflict. Gain positive skills and strategies to grow collaboration and respect within your team. The course will assist you to: • Appreciate the importance of mindset in facilitating a collaborative approach to constructively

resolving conflict.

• Understand why workplace conflict arises.

• Approach workplace conflict as a positive and creative experience in managing team relationships.

• Develop a toolkit of practical strategies to implement in your workplace.

• Create a conflict-resilient workplace culture. Positively Resolving Workplace Conflict will empower you to create a respectful and open workplace

Emotional Intelligence In Practice This active one day workshop allows you to grow your capabilities to effectively communicate, accurately perceive emotions and use emotional intelligence to grow your people management skills.

Growth mindset principles and mindfulness strategies are utilised to increase your ability to identify the impact of own emotions on others and model emotionally intelligent behaviours. You will receive a

leader/manager profile analysis tool which is used to reflect on your management style. The tool is applied throughout the workshop to explore how your emotional intelligence can continually be developed. The tool will also help you consider the ways your colleagues approach work and provide suggestions to collaboratively meet the demands of different projects across the organisation.

Financial Management Essentials (FME) • Make an impact when contributing to budget development discussions.

• Develop the knowledge and skills you need to interpret financial information and effectively manage budgets and resources.

• Gain knowledge and practical experience that can be applied in your workplace.

• Engage with highly skilled facilitators with extensive health and financial experience.

• Two-day face-to-face workshop in locally conducted, supportive group environments.

• Four online modules that can be completed at your own pace.

Managing Health Resources: A Foundation • Managing Health Resources: A Foundation is a four-hour workshop conducted locally in supportive

group environments.

• A great opportunity for individuals who make resourcing decisions to gain a basic understanding of financial reports and terminology.

• Equips you with the skills and knowledge to develop financial integrity and accountability.

• Flexible to suit the needs of individual organisations.

Effective Business Case Design This one-day workshop equips experienced managers with the skills, knowledge and approaches required to design an effective business case in the NSW Health context. • Accurately identify your business issue and identify options for change.

• Analyse each option and its feasibility to support positive change.

• Understand the impact of your proposed change on the organisation and the wider health system, ensuring strategic alignment.

• Understand your stakeholders – learn how to analyse, communicate and collaborate with them.

• Learn how to identify costs and benefits.

• Complete a risk analysis.

• Gain insight into the perspective of the business case evaluator.

SECTION 2: PMSP BLENDED COURSE COMPONENTS

OUTLINE The following information outlines the PMSP program and its various components. If you have any questions that are not specifically covered by this guide you will find an excellent set of FAQs in Appendix D: FAQs for Participants.

ONLINE LEARNING The e-learning component of the blended course comprises of six online eLearning modules.

The online modules and quizzes present a range of information and provide you with strategies and techniques for implementing your workplace action plan. During each module you will apply these skills through activities which reinforce your learning and prepare you to finalise your workplace action plan for submission.

Each module provides links to additional resources to support your development. All of the above online modules are resources which you can access any time during the course through My Health Learning.

These resources are continuously improved and added to over time.

MY HEALTH LEARNING The components of the People Management Skills Program – blended course can be accessed through the “My Learning Pathways” drop down option on My Health Learning. For further instructions please

review Appendix A: Learning pathway access and file upload.

FACE-TO-FACE WORKSHOP During the two-day face-to-face workshop you will participate in relevant hands-on activities; engage in collaborative discussions regarding people management, and further explore your proposed workplace action plan.

THE WORKPLACE ACTION PLAN A workplace action plan is a set of steps or activities to achieve a workplace goal. This goal should address an area that you have identified that needs improvement in your organisation, team or in an individual’s performance. There should be a clear and strong link to the People Management Skills covered in this course. Please note: some organisations provide a list of allowable workplace action plan themes to ensure workplace needs are met. If applicable these will be provided at the first workshop.

Below are examples of areas that past participants have focused on which may assist you in developing your workplace action plan: • Team culture change

- Developing an idea-sharing and collaborative culture- Facilitating agreement on individual team member responsibility and expected behaviour for improved

relationships and outcomes- Developing more cohesive teams and enabling opportunities to foster a caring workplace

- Establishing a team vision that strengthens the team’s sense of purpose and improves patient careand outcomes

• Education or training- Enhancing the use of TRIM through education specific to individual team members learning styles- Developing an educational support system for staff in response to an identified need- Increasing team capacity and contributing to team professional development through cross training

• Implementing processes for improvements- Implementing and improving discharge processes for increased productivity and patient care- Developing and implementing a feedback and continuous improvement process for internal and

external stakeholders- Facilitating the development of document management structures and processes using a

collaborative team approach and reaching consensus• Implementing systems

- Developing and implementing a system for formal clinical review of all critical points of care- Implementing a revised peer review system to ensure unbiased peer review

• Improving communication- Improving communication during clinical handover- Introducing a communication forum for staff to enable collaborative and innovative thinking in the

workplace- Facilitating agreement on effective clinical communication principles and developing flyers to be

placed in the workplace- Reducing staff conflict through regular team meetings and increased opportunities for cross team

communication.

PREPARE AND PLAN The key learnings from the online modules and face-to-face workshops, in addition to the points outlined below, will assist you in planning your workplace action plan.

• Consider the scope of an action plan that will aim to improve your people management skills in yourworkplace and at the same time improve the functioning and outcomes of your team.

• Consider the nature of changes that you would like to implement that will benefit your team and alsostrengthen the strategic and operational plans of your particular workplace.

• Discuss and agree with your line manager about the identified changes that you want to implementwithin your team.

FINALISE AND IMPLEMENT • Increase awareness by communicating the proposal and plan for change with relevant team

members

• Develop a plan to achieve the changes required and continue to liaise with your line manager

• Link your plan with strategic and operational plans (where possible)

• Communicate and implement strategies that are suitable to the organisational context and thepeople involved in the process

• Monitor progress and request ongoing feedback from your line manager and your team

• Evaluate the outcomes achieved and the need for continuous improvement as your project develops

FINAL REPORT The final report is a summary of the initiatives implemented and outcomes achieved through the workplace action plan. It is also a reflection of the people management skills that you have developed and/or improved during the process.

Before you commence writing your report, it is suggested that you reflect on your experience in the course.

Refer to the Final Report Template (Appendix B) for assistance in outlining and organising your final report.

The report should be no more than four A4 pages. While group projects are allowed, reports must be completed individually.

Submit your final report with your line manager’s verification using the file upload function on My Health Learning. For further instructions on how to upload and submit your assessments on My Health Learning please review Appendix A: Steps to upload documents on My Health Learning. Note: Your submission will display as ‘Incomplete’ in the system until it is graded.

Submission Date: One week prior to your final face-to-face workshop.

Examples of final reports previously submitted are included in Appendix C.

PRESENTATION The presentation is a graphical representation of your final report – i.e. an opportunity for you to share your final report in a presentation form with colleagues, so that key points may be viewed and discussed in an informal setting.

The final presentations occur during your final half-day workshop. An electronic copy of your presentation must also be submitted using the file upload function on My Health Learning (see Appendix A for further instructions). Note: Your presentation will be graded following your attendance at the final face-to-face workshop.

Submission Date: One week prior to your final face-to-face workshop.

Examples of presentations previously submitted are included in Appendix C.

FINAL HALF-DAY WORKSHOP The final half-day workshop is a requirement for course completion. During the workshop you will review the eight core skills and the application of emotional intelligence, as well as present in small groups.

SURVEY The PMSP surveys provide you with opportunities for self-reflection and are utilised by HETI for continuous improvement purposes. All surveys are accessed via your PMSP learning pathway in MHL.

CONSENT As participation in this course is undertaken with the support of your organisation, your workplace action plan, final report and presentation may be shared with your organisation to identify project areas that align to specific strategic workforce priorities. Your final report and presentation may also be shared with future PMSP participants. All assessments with be de-identified.

If you do not consent to your work being shared, please contact the HETI Management Development team.

CERTIFICATE OF COMPLETION Once all of the required course components are completed, a digital copy of your ‘Certificate of Completion’ is made available in My Health Learning.

5. Final report and presentation

What is expected for the final report?

The final report is based on a workplace action plan developed in consultation with your line manager to address an identified area of need in your workplace. There should be a strong link to the People Management Skills covered in the course and result in a positive outcome in team functioning and/or workplace culture. Further instructions can be found in Appendix A of this document. Your final report is due one week prior to your final face-to-face workshop.

Examples can be found in Appendix D of this document.

What is expected for the presentation?

You may create a PowerPoint or poster (A3 or A4) for your presentation. A hard copy print out (i.e. printed copy) of your presentation will need to be brought to your final face-to-face workshop. An electronic copy will need to be uploaded to My Health Learning prior to your final face-to-face workshop. Examples can be found in Appendix D of this document.

Does my presentation need to be on PowerPoint?

There will be no facilities to allow you to present a PowerPoint presentation at the final workshop venue. Please make sure you print out a hard copy of your presentation. Can I do a group presentation?

You may work together with a friend/colleague and present your findings together. However, make sure your self-reflections and achievements are stated separately. Note: Each group member must individually upload a copy of the final report and presentation on My Health Learning. I am ready to submit my final report for marking but am not sure of where to upload my submission. Kindly review upload instructions in Appendix B of this document.
