Dear IELA Members,Recently I had a dream and I would like to share itwith you.

In this dream, I was participating in a futureIELA Congress taking place in Africa. Thevenue was chosen in recognition of thedramatically increasing importance of theAfrican Exhibition Market and the businessopportunities developing for IELA MemberCompanies. The official Congress Languagewas Chinese and there was a lot of concernthat the non-native Chinese participants (likeAmericans and Europeans) were notparticipating enough in the discussions duringthe Congress because of these languageproblems.

Many interesting discussions took place inthe Working Group Meetings and theBreakout Sessions.

There was a lot of enthusiasm about thenew E-learning training program developedby IELA.

This web-based training course introducesnew staff of IELA Members in a very shorttime to all aspects of exhibition logistics.Different modules were available forDomestic Agent, Export Agent and also forMarketing and Controlling. The IELA Diplomawas widely accepted in the ExhibitionIndustry as a certification of trueprofessionalism.

Trade Associations and ExhibitionOrganizers were inviting IELA to participate intheir Training Programmes to teach aspects ofexhibition freight logistics to their studentswhile the CEO Level of Exhibition Organizerscould enjoy a dedicated seminar which wasattached to the IELA Congress. IELAMembers benefited from this situation byfinding unique networking opportunities withthese potential customers.

There had been very exciting news fromthe IELA Information Technology WorkingGroup and their Chairman, Mr. Bill Gates. TheIELA App was available for any smart phoneoperating platform and was widely used byorganizers, venue operators and exhibitorsalike. This program supported operations andtied the user into the IELA Environment.

In co-operation with the IELA PublicPromotion Working Group, Social Media now

played an important role for IELA and itsmembers. There was plenty of information,case studies and practical help available tomake Twitter, Blogs and Social Networkswork for our members. Members used thetechnology frequently and reported anincrease in their business revenue.

IELA had assumed the leadership inSustainability. All members engaged in to theUFI programme on environmentalresponsibility, which was developed togetherwith IELA. Exhibition Organizers realized thatco-operating with an IELA Member had avery serious and positive impact on thecarbon foot print of their exhibitions.

The Organizer Working Group was proudto report, that it was a requirement for all UFIMembers to always employ an IELA Memberfor any exhibitions. This was an importantcriterion for Show Organizers to match UFIOperational Quality Standards.

There was also news from the OpsClub.The second annual meeting has taken placeand attendance was up from 120 the first year(Shanghai) to 165 the second year (SaoPaulo). With the implementation of the YouthChapter Congress, IELA had completed theprogram to offer structured networking tothe future generation of industry leaders.

There was very exciting news from the IELAOperations Working Group: hardly any new exhibitionvenues were built worldwide without consulting IELAon the requirements for freight handling.

IELA Logistics was reporting on the first fiscal yearof operation and a huge surplus had been achieved.IELA Logistics, a 100 % subsidiary of IELA, wasincorporated in an African White Spot Country at anew exhibition venue to meet demand of venueoperator because no local transport company wasavailable. All IELA Members were eligible for theirshare of the profit and the payout of the dividendwould take place after the Congress.

Courier companies were not accepting shipmentsto exhibitions anymore as they realized that theiroperations couldn’t deliver the quality of service thatwas being delivered by an international exhibitionlogistics provider. All branches of courier companiesalways referred customers to their local IELA Member.

When I woke up, it took me a minute to realize thatthis was a dream. And then I thought I should tell youabout it because for many realities that exist today, atfirst there was a dream, then a vision, then an actionplan and finally accomplishment. Don’t get me wrong,I’m not talking fantasy, I’m talking vision. If we are notinspired, we will be missing taking advantage of theopportunities in an exciting exhibition world aroundus. Instead we will suffocate in routine, and the onlydreams we will have will be nightmares.

I’m sure that our Congress in Seoul will be vibrantand will create ideas that will make IELA moreattractive to us, the members, and also to globalclientele. In the end, everybody wins – we, and ourcustomers.

EUROPA SHOWFREIGHT - NEW SITEFOR BIRMINGHAM DEPOTEuropa is expanding its business by moving its Birmingham operations to a newpurpose designed distribution and logistics centre at ProLogis Park, Midpoint,Birmingham in August 2011. The move will further enhance service levels forboth existing and new customers in the future.

Located within minutes of the M6, M6 Toll and M42 motorways, ProLogis,Midpoint is the best connected location in the West Midlands, critical inachieving optimal transit times.

The terminal has been designed especially for Europa’s needs and consists of155,000 square feet of purpose built warehouse and offices. The expansion willover time generate more than 70 new jobs for the local community. TheEuropean Express Road Division will benefit from a 40 cross dock loading facilityplus a level access for loading up to a further 5 trailers under a canopy for ‘out ofscope’ consignments. The Logistics Division will comprise of 14,500 circa palletlocations and shelving for customer specific pick and pack contracts.

This is the second successful cooperation between ProLogis and Europafollowing a previous deal at Grange Park, Northampton, five years ago.

The new unit is designed to achieve a EPC ‘A’ and BREEAM ‘Excellent’ ratingand will be carbon neutral in construction, reinforcing Europa’s environmentalapproach when considering new developments.

Grenwille Turner, Managing Director – Europa, said: “In our business, locationis key. We looked at a number of options and Midpoint has been selected as thebest location which will allow us to achieve our expansion ambitions anddemonstrates our commitment to enhancing the service we provide to meet theneeds of our customers now and in the future. Being able to design a facilityspecifically adapted to our business needs is a huge advantage and will enableus to achieve our strategic objectives.”

The executive committee of UFIhad accepted an invitation to be inDelhi for its meeting along with thisevent.

A Yes, it is.

QIs it possible to send thegoods directly to the

fairgrounds or do they have tobe stopped by a customs pointfirst?

A Shipments by Sea/Road aresent straight to the fairgroundsand customs clearance takesplace there. Shipments by airwill be customs cleared at theairport and sent straight to thefairgrounds too.

QIs Temporary Importpossible in Syria?

A Yes, temporary Import ispossible. In fact all exhibitionsshipments (with exception ofpromotional materials and giveaways) are automaticallyadmitted as temporary and incase of permanent, then at theend of the show, there will be aneed to close the temporarycustoms file either by re-exporting or by proof ofsale/payment of Duties & Taxes.

QHow and by whom is theCustoms Bond Fee paid?

A Customs bond would beapplicable on temporary itemsand should be paid by their localsponsor (organizer or localrepresentative). Unfortunatelythis is a very difficult point withthe Syrian Customs as exhibitorswould have to provide themwith a local sponsor to be ableto import the shipment.Depending on the shipment, our

company might be able to betheir sponsor at a set fee,however this decision is taken ona one-to-one basis depending onthe commodity of the shipment.

QIs customs inspection(physical check) on

exhibits mandatory in Syria?

A Officially speaking YES it is,however this is not whathappens on a daily basis andmost of the shipments do notgo through this procedure, butagain, we cannot guarantee thatit will not, so to be on the safeside, YES, it is required.

QWhat is the averageperiod required for

customs clearance?

A AIR: 2-3 working days;SEA/LAND 5-7 working days(Due to our large experiencewith customs, we are very likelyto reduce this period but again,nothing we can promise inadvance).

QAre sales allowed duringthe exhibitions?

A Sales are allowed, howeversold items cannot be handedover to the buyer before theend of the exhibition andfinalization of temporary importfile. The buyer must also havean appropriate import license.

Taxes/Duties must be paid andthis must be negotiatedbetween the exhibitor and thebuyer.

QWhat are the restricted &prohibited items for

Permanent Importation?

A Weapons & Fire Arms, RadioTransmitters, Political andMilitary Literature, PornographicMaterial, Drugs and other itemsoffensive to Islamic Religion.

QWhat are the majorproblems experienced in

Syrian customs?

The Winter Seminar was heldJanuary 12-16, again in Zurich,Switzerland. IELA’s experiencefrom previous Winter Seminarstruly influenced the uniquecharacter of this year’s editionas classroom sessions andnetworking opportunitiesignited a special synergy amongthe student participants.

The 2011 Winter Seminar wasattended by 29 students from20 IELA member companiesand represented 16 countries.This worldwide coveragecertainly added a varied, multi-national and interestingelements to the discussions andeducational process.

There were a few new topicsadded to the standard WinterSeminar favorites this year toincrease the scope of theeducational content andeventually increase the quality ofthe entire program. Thestudents’ work experienceranged from new-to-the businessto seasoned veteran.

As in previous Winter Seminarformats, which has also becometypical for most IELA events, thefirst evening began with awelcoming reception to allowstudents and presenters anopportunity to mingle and get to

know each other. This process ofgreeting everyone was continuedthe following morning when thenow well-established “speeddating” session provided aformal structure of face-to-facediscussions. Students wereallowed 4 minutes to speak witha fellow student participantbefore moving on to the nextperson. Within a short period oftime, all students had anopportunity to talk individuallywith one another. Remarkably,one of the students remarked ontheir evaluation form that “thespeed dating was the best wayto get to know each other I haveever joined in.”

Following the “speed dating”session were a number ofdemanding classroom styleseminars from Thursday throughSaturday afternoon. Allpresentations were a combinationof lecture time and studentparticipation exercises. Topicsincluded: the History of IELA,Accounting/Controlling,Application of Tariffs, Sales &Marketing, IELA Standards,Domestic Agent Responsibilities,Export Agent Responsibilities,Stump The experts and the 3-partCustoms Workshop featuring theUSA, Europe and Turkey. As a

guest speaker, Trevor Foleyprovided a lively industrypresentation “Live Events Work”that was enjoyed by theaudience. IELA was also honoredto have Rowena Artz, the Directorof Business Development at UFI’Paris headquarters as a guestspeaker. She presented the topicof Trade Fair Management –Decisions & Processes.

All presenters were urged todeliver their topics in a highlyinteractive format and to involvestudent participation as much aspossible. The half-day CustomsWorkshop provided an in-depthexploration into customs andhandling issues in the USA,Europe and Turkey. The studentswere divided into 3 countrygroups to examine and solve acase study project on theirassigned area of the world. Theneach group presented theirfindings to the remainingaudience and answeredquestions relating to theirsolution. The brainstorming theevening before the Fridaymorning workshop by eachgroup also became a tremendousnetworking experience aseveryone began realizingsimilarities and differences intheir job responsibilities

regardless of the part of theworld they were coming from. Ahighlight of the Winter Seminarwas an excursion around theZurich Fairgrounds with a closelook at the logistical environmentduring the build-up of a majortrade show in this importantexhibition complex. The tour wasdirected by Daniel Bataller, themanager of Gondrand’sexhibition department in Zurich –and the local IELA member. Danialso supplied a tremendousamount of support to the successof the Winter Seminar bycoordinating all meeting roomarrangements, students’ housingneeds, lunch requirements andthe day-in-the-snow. Hisassistance contributed very muchto the overall success of theevent and IELA owes him agracious thank you for his efforts.

Employers of the studentsoffered valuable comments andsuggestions after their staff hadreturned to their offices. Some oftheir observations included: “TheWinter Seminar is absolutelyessential to support IELA andgive it life and a future”, “... ourstaff was really positive ... shecame back with renewedenthusiasm and a better trust ofher capacity”, “... how can weexpand on the networking side

and include many otherindividuals”. Comments from thestudents on their evaluationforms were also encouraging. Allmessages will be thoroughlyreviewed by the Training WorkingGroup members in planning forthe next Winter Seminar.

All students were given anexam as a final exercise andreview at the Winter Seminar.The student with the highestscore on this exam was awardedthe “Best Student” of the event.This year’s recipient of the honorof being named Best Student isLaura Jessop of EF-GSM inEngland. We applaud Laura(pictured) for her efforts andaccomplishment.

After a short break of 3 yearsthe IELA Winter Seminar 2011was successfully held again inthe metropolitan city ofZürich. Why try other placeswhen you have such a greatlocation combined with fun? Itdoesn't matter how far it isand how long the participantstravel by plane, everybodylikes to visit Zurich.

It was a pleasure to helporganise everything here in Zürichand it was a gratification to seehow much the participantsenjoyed their stay.

New this year, the studentsstayed in the hotel right oppositethe exhibition ground. Theparticipants only had to cross thestreet... No way to sleep longer,no excuses at all to miss the startof the training.

It was also interesting to keepan eye on each person at the"Welcome Reception" on theWednesday evening whenpeople of different countries andreligions met for the first time.Some of them were shy, funny,communicative, leaders, well theycovered all types. But finally theyhad fun and grew into the famousIELA family.

After we had a look to see ifeverybody was present, wemissed one guy from Dubai whodidn’t get his VISA on time andperhaps we missed four of theAmerican’s who preferred "iceskating" in Atlanta (icy airport…).Eventually, after their really longjourney we could greet them thenext day at the airport. Nicehappy end!

The evening when the 30students met at "Blindman's

Buff" remains unforgettable. Thisis a restaurant where people haveto eat in the dark. It'scharacteristic Swiss food. Someof the participants enjoyed thespecial atmosphere and the food,some of them would havepreferred a steak... But it is like itis: other countries, other foodand is what makes it fascinating.

Even though all participants tothe Winter Seminar are on-siteand export agents, and they hadan explanation on how to find therestaurant they still got lost! Thisonly because everybody thoughteveryone else knew how to readthe map... Agents! They couldfind every city in the world butthey get lost in a city...

This year we had much lesssnow but nevertheless our "Dayout in the snow" was successful.People enjoyed sledging underthe nice and sunny weather, thegood food and perhaps the liveact after lunch: an Austrianartist/musician. But what ashame, no IELA member woulddance on the floor :-)

The result of such a Seminar isnot only business like. Some ofthe participants become friendsand this is the future of ourindustry.

I always laugh when some ofthose participants call or write meand say: “Hi Dani, I'm... I'veparticipated in the IELA's WinterSeminar 2 years ago. Do youremember me?” Well it's realdifficult to keep everybody'sname in memory. They only haveto memorize one name when I'vegot to memorize 35! Forgive meguys...Daniel Bataller

It is my pleasure to presentthis report on the MembershipWorking Group. As mentionedin prevoius reports theMembership Working Group ismost vibrant and interactive.

Most of the members takeprompt and active participationin discussions on various issuesrelated to Membership of IELA.Support and prompt reactionsfrom Manuel, Daniel, Feras,Michael and Markus on variousissues enable this Group to haveopen discussions on differentissues related to the work of theMembership Working Group.

Efforts have been made in thisperiod to evaluate options foraccepting members from whitespot countries or areas wherethere is less representation ofIELA Members considering thesize of the market in that area.Different criteria of Membershipsuch as Full Member/AssociateMember or any other categoriesof membership were alsodiscussed. It was felt that sincethis is an issue wherein largerpart of the Membership shouldbe involved, this may bediscussed at the IELA Congress

in Seoul. It is desired to haveopinions from Membershipregarding various categories ofMembers. This is mainly toaccommodate members fromWhite Spot areas who may notfulfil all the criteria of IELAMembership. I am lookingforward to useful discussions onthis issue at next IELA Congress.

During this period wewelcomed two new members.CV Trans from Portugal andEuropean International (Fairs) Ltdbased in the UK. The applicationfrom Agility UAE is with IELAMembers for comments. And wehave four applications currentlybeing reviewed by theMembership Working Group.

11 enquiries have beenreceived in this period since Jan19th and application packs havebeen sent to these interestedparties. Their completedapplications are awaited forfurther action.

We have now 115 FULLMembers and 21 AFFILIATEDMembers. We have strictlyfollowed the policy of notcompromising on Quality andhope this policy as encouraged

by majority of Membership willcontinue to guide this Group forreviewing new Member’sapplications.

Looking forward to seeing youall in Seoul for more positiveinputs in enlarging our IELAFamily.

In our last report, we providedan insight of all the various topicsour group members had beenworking on.

Questions about issues such assurveys, analysis of surveys,awards, quality systems andfeedback were discussed, andcertain decisions were made orat a minimum formed an agendaitem for the last board meeting.No doubt more discussions willhave to take place, and moredecisions will need to be made –so full steam ahead for Korea.

In the meantime though, wehave also received the results forthe 2010 surveys – so let’s have a look:

No doubt, it is very promisingto see that (a) the number ofcompleted surveys is on theincrease again and (b) theaverage ratings have seenpositive trends.

All in all, we are on a roll – welldone to all and thank you toeveryone who has taken the timeto complete the surveys!

This is certainly a very positivedevelopment and we hope tocontinue that upwards trend forthe future.

Furthermore, this year, wetruly want to spend a bit moretime on the “quality” of thequestions for our surveys, andsee how we can make thesurveys more useful, morehelpful and more attractive for allmembers.

We all agree, we need to buildon our knowledge, yet we needsomething “new and exciting”too. So get ready, 2011 will see

some change for the surveys.So I leave you with another

At the very start, let methank all those membersworking in this Group whohave been workingvoluntarily, without anycoaxing.

To name just a few - Agility,Transit Air in the Far East;Cretschmar and others inGermany, with Auma; ourKorean friends with Kespa; andothers - it is very healthy to seethis sort of involvement.

Take the example of the US:despite positive efforts with theIAEE by our members(especially Chris Ray), lack of afinancial back-up from IELAputs us back to square one. So, the onus for some areasremaining ‘grey’ comes downto the IELA Management, andnot the members in thisparticular case. Steve Hacker isin Delhi, and I will be meetingup with him.

There are some other areasas well, which need attention -South America, China. We needto talk more in Seoul.

Now, let's go back to Paris.Here, we decided to take our'mission is recognition' to thenext level with organizers. Toget to organizers at theirmiddle level, to those whoactually deal with us. I reallyhave a very simple way on howto get this going.

Following this Report, myrequest is for each one of you

to send it to twenty (onlytwenty) of your customers atthe second level - couldn't besimpler, right?

Believe me, in Seoul I will ask everyone for a feedback on this.

Next, I seek for a change inthis WG; or rather, anenhancement of its role. Moreand more, our businesses arelinked with venues - be it forempanelments or whereorganizer/venue are the sameentity. In Seoul, we will discussit further, but I am leaving thisuntil after I having spoken toour Chairman.

Last, but not the least, weneed to speak of budgets. Iwould like to get inputs fromanyone of you, where one feelswe need to invest for ourbenefit. If legitimate, I am surewe can pursue it with the BOMon a positive note.

We made a break through here. Afull session was devoted to 'Healthand Safety' at venues. IELA's concernsfor some time now were highlighted toa well attended audience - the mainissue of very short build-up / break-down periods ultimately led to thehigh costs of venues for organizersbeing the cause of it. This issue is nowbeing taken up by me again andhopefully (finally) something will comeabout.
