1. INTRODUCTION

Prism is a horse racing management system that streamlines the Stable workflow process, reducing pain points and improving efficiencies. The system was designed from the ground up with several leading Trainers, documenting and digitalizing the entire stable operations. As a modular, work-flow management tool it has multi-login options for Staff, Suppliers and Owners, all with various security and permission settings. And being cloud based with web, mobile and tablet interfaces, it is your one stop shop to manage all facets of your Stable from anywhere at any time.

This manual outlines how to use the key functions of the system and includes links to video demonstrations for each item.

2. OWNERS

The Owner module provides you with a full list of your current owners, their horses and permissions.

1. Owner List: Shows the list of owners in the stable by alphabetical order where you can scroll down the list to find and select an owner. Owners can be listed by

Surname, First name or by a Display name provided by the stable. indicates an owner who has not yet registered

2. Search Box: Enables predictive text and allows you to find an owner by typing their name into the box

3. Filters: Enables filtering of the owners by their status” a. Approved - owner registered in the system with access to horses in your

stable b. Awaiting Approval – owners who has requested access to a horse in your

stable and still waiting for your approval c. Suspended - owners that have had their access suspended d. Unregistered - owner that has not yet registered in the system

4. Profile: Provides the key profile information of the owner well as their currently owned horses and permissions as well as any previously owned horses

2.1 ADD OWNER

To add a new Owner to the system, click on the Add Owner button

1. Enter all the relevant details of the owner, including their preferred Display Name in the system

2. Click Submit to add the owner 3. The owner will then be invited to join Prism to view their horses

2.2 APPROVE / REJECT OWNER ACCESS REQUEST

Prism allows owners to request access to horses they own but can’t see on their profile. The owner will enter the missing horse and then submit that request to the relevant trainer. After the owner sends an access request, you will receive a notification about that request. In the owner list will be a yellow exclamation mark indicating that they are waiting for you to approve access for one of your horses.

In that owner’s profile page, that horse will appear in the horse list with two options . Click the tick to Approve or the cross to Reject the access.

2.3 ADDING CORRECT OWNERSHIP %

When tracking a horse’s ownership history, it is important that the right % and date of purchase/ownership when they are approved. By default all owners requesting access start with 0.00%. To add them with the right purchase date:

1. Click on the edit % ownership button instead of the approve button 2. Enter the correct date for purchase 3. Add the new owner and their % ownership and click Add 4. Adjust the existing shareholding to ensure total ownership adds to 100% 5. Click Save 6. The owner will be approved to access that horse and the sale date correct

2.4 SETTING OWNER PERMISSIONS

You will also be able to set the Permissions of what the owner can see with their horse.

1. Media (default): Owner can view all photos, albums, videos and audio updates of the horse

2. Reports (default): Owner can view all pre and post-race reports as well as general reports for the horse

3. Trackwork: Owner can view trackwork sessions of that horse 4. Procedure: Owner can view procedures of that horse 5. Transport: Owner can view transport of that horse 6. General Task: Owner can view general tasks for that horse

The default setting is that they can see any media and reports added. To change these, click the ones you want them to see and click Save

2.5 SUSPENDING / REACTIVATING AN OWNER

You may wish to suspend an owner from their horse’s access (i.e., non-payment of bills). If this is the case, you can suspend their access to their horses by using the suspend function. Simply click on the on the Suspend button.

To reactivate the account and the owners access, click on the Reactivate button.

2.6 RESETTING AN OWNERS LOGIN

To reset an Owners account, simply use the Forgot Password function:

1. Visit https://www.prism.horse/login 2. Click Forgot Password link in the login screen 3. Enter the Owners email address 4. Click Continue to submit 5. The system will then send the Owner an email where they can set a new password

by clicking on the Choose your new password button. 6. They will then be taken to a Reset Password page where they can enter your new

password 7. They click Reset Password again to confirm and then use their Email and New

Password to login again. NOTE: You can also use this for Owners who don’t know their Username or Password. Simply follow the steps above, entering their email into the Step 3 and they will then be sent a reset email to follow as per Steps 5-7.

2.7 CHANGING AN OWNERS EMAIL

Due to the data structure of the Owner portal, there is no way for the Trainer to change the Owners email from within the system. If you need to change or update an Owners email, please send an email to [email protected] requesting the change of email address to the Owner.

2.8 DELETING AN OWNERS EMAIL

Due to the data structure of the Prism portal, there is no way for the Trainer to delete an Owner from within the system by themselves. If you wish to delete an Owner, please confirm via email to [email protected] and we will implement the change.
