1 Online Course Evaluation – Faculty Dashboard

Overview The Online Course Evaluation (OCE) Faculty Dashboard is a web-based application that provides course evaluation information to individuals that instruct courses at Yale, including faculty members and teaching fellows/assistants.

Granting Access Access for the Faculty Dashboard is provided based on the individual’s role related to the course.

Using the Faculty Dashboard The Faculty Viewer is accessed through this URL: https://oce.app.yale.edu/oce-viewer/dashboard/index

Select a Course Page

Navigation:

SELECT A COURSE

Once logged in via Yale’s central authentication service (CAS), the Select a Course page will display. The faculty dashboard will default to the instructors' courses and the current term. Course evaluations are searchable by term, instructor and/or teaching fellow, and subject.

Click on the course row to view evaluations for the course.

Term

More than one term can be selected if an instructor is selected. If an instructor is not selected, only one term can be chosen.



Instructor

To select an instructor, please start typing their name or Netid in the Instructor field. A list of instructors will appear that match the criteria. Click on the instructor’s name to select.

Subject

The Subject will default to All. To only display courses within a Subject, please select the subject from drop down list.

Course List Display

The course list will display the term, instructor, instructor role, course, title, # of enrolled students, and # of responses.

Cross-listed courses will display the subject, course # and course section for each course.

If an instructor tries to select a course where minimum enrollment/responses thresholds were not met, a warning message will appear.



Summary Page

SELECT A COURSE > SUMMARY

The summary page displays the course questions, instructor, average/standard deviation calculations for the course, department, division & school, and responses (narrative or numeric).

Click on the question row to view the narrative or numeric responses to the question.

Question

Questions are displayed in question set order. For numeric questions, choice options are listed under the question (exp. 1-very low, 2-low, 3-medium, 4-high, 5-very high).



Instructor

Displays primary instructor. For Instructor and TF questions, each row corresponds to the instructor/TF being evaluated. Click on the course row to view the narrative or numeric responses for the instructor/TF. The course average and standard deviation are calculated for each instructor/TF individually.

Average and Standard Deviation

Course Average - Response average by question

Department Average Calculation - If cross-listed course, display primary school’s department average (set in Banner).

Division Average Calculation - If cross-listed course, display primary school’s division average (please refer to division mapping in appendix)

School Average Calculation - If cross-listed course, display primary school average. Calculation based on college code in Banner.

Responses

Narrative Questions – Please click on the question row to view narrative responses. The narrative page will list each student’s response. If there is more than one instructor/TF, each will have their own corresponding narrative page.

Numeric Questions – Displays histogram of numeric responses to question. Please click on the question row to view numeric responses. The numeric page will list each student’s response. If there is more than one instructor/TF, each will have their own corresponding numeric page.



Narrative Page

The question text, instructor name, and declined to answer count are displayed in the course information bar. The # of responses for the individual TF will be displayed on TF questions only.

The narrative page lists the respondent id and answer. The respondent ids are anonymous. The Respondent Id is a link. Click on the Respondent Id, to view the evaluator’s answers.



Numeric Page

The question text, instructor name, and declined to answer count are displayed in the course information bar. The # of responses for the individual TF will be displayed on TF questions only.

The average and standard deviation for the question, department, division, and school are displayed. If the course is cross-listed, it will display the primary school’s department, division, and school average/standard deviation.

The Numeric page lists the respondent id and answer. The answer list and chart is dynamic. You can use the drop down or click on a bar in the chart to filter the answer list. The Respondent Id is a link. Click on the Respondent Id, to view the evaluator’s answers.



Evaluator Page

Navigation: SELECT A COURSE > SUMMARY > NUMERIC > RESPONDENT

or

SELECT A COURSE > SUMMARY > NARRATIVE > RESPONDENT

The Evaluator Page displays the evaluator’s responses to all the survey questions. The responses are sorted by question number. The page lists the question text, name of instructor/TF evaluated, and response (value) to question.



Printing

To print any page within the evaluation:

1. Click on the menu icon in the upper right-hand corner.

2. Select printer or save to PDF file. Click on the Print button. (Please note, printing preference options will vary due to your browser. We recommended you turn off headers and footers if available.)



Export

1. From the “Select a Course” page, click on the export link in the page footer.

2. Select “Term” from drop down list. Click the “export” button.

3. The file will begin downloading, and you should receive a message once it is

completed. The file will be saved to a zip folder.
