BI Content Activation Workbench Alternative to Transaction RSOR

BI Content Activation Workbench: Classic Activation Transaction RSOR:

Customer has to collect the content objects by himself. Where are the content objects for a certain business

process, scenario, or business function located in the repository?

Which content objects are necessary to run a reporting scenario?

What are the up to date content objects and which ones are outdated?

Which grouping options have to be chosen?

Customer simply selects a business category (e.g. business process, scenario, business function) and selects a BI content bundle within this category. SAP takes care that all relevant, up to date content

objects are included with appropriate grouping options. Content bundles can also contain BI content objects

which have to be activated in the application system (i.e. local BI content).

Of course customers still can use transaction RSOR.

BI Content Activation Workbench – Central Ideas

The BI Content Activation Workbench provides a comfortable environment for exploration, selection and activation of BI Content.

The BI Content Activation Workbench is an alternative to transaction RSOR.

The BI Content in the BI Content Activation Workbench is structured along semantic business categories such as roles, processes, value scenarios.

SAP takes care that all relevant BI Content objects for such a role, process, etc. are included in a content bundle, which then can easily be activated by a customer, without the need to collect these objects on their own e.g. in the classic content activation transaction RSOR.

Definition of BI Content Bundle: A BI Content Bundle contains references to all relevant BI content objects that have to be

activated in order to run a certain reporting scenario.

Selected Content Bundle Features:

Local or remote BI content objects may be included. SAP BusinessObjects content objects in BI (Crystal Reports and Xcelsius dashboards)

are covered. The same BI content objects may be referenced in several BI Content Bundles.

Where are BI Content Bundles defined and activated?

The activation is started from a Business Suite application system (CRM, ERP, etc.) but the BI content objects may be activated locally or in a remote BI system.

You now see a list of BI Content Bundles that are available for the selected Business Category in the logon system. Please note that available BI Content Bundles depend on the application system (CRM, ERP, etc.) you‘re in.

Status icons inform about previous activation runs.

Log icons indicate where logs are available.

(1) Select one or several BI Content Bundles in the list you want to activate.

(2) Press either „Activate …“ or „Simulate Activation …“.

(3) Pressing „Refresh“ updates status and log information in case of running activation processes.

These fields display the business category as well as the technical name and description of the content bundle that has been selected on the ‘Content Bundle Overview’ screen. These fields are always read only. In case the Activation Screen is called with multiple bundles (multi-selection in Content Bundle Overview UI), a 'More...' button will be available which shows all bundles that have been selected.

In the ‘RFC Destination for Content Activation’ the user specifies the RFC destination pointing to the system and client where the content shall be activated. An F4 help for the existing RFC destinations is available. The F4 help will list only those RFC connections for which a mapping has been maintained (see button 14).

When a content bundle contains local content, this local content will be activated in the local system independent from the selected RFC destination. The RFC mapping therefore has to contain a line with the local flag set, in order to define an RFC connection pointing to the local BI client.

Here the end user selects if DataSources shall be replicated and if so from where. Default is 'Current Logon Client’ as long as the activation has never been scheduled before. Otherwise, the selected source systems are collected from the last activation run for the given RFC connection.

For activation of DataSources in the source system and replication to BI, the user will need appropriate authorization, e.g. by having role SAP_RO_BCTRA assigned. Furthermore, the source system needs to be connected to the BI system and metadata replicated.

The option ‘Selected Source Systems’ requires a selection by the end user. In order to do so click button ‘Select’, the following popup provides a list of source systems maintained in the target system (i.e. the system where the RFC destination for content activation points to). Only relevant source systems are displayed (non-R/3 connections like external file are suppressed). The user is then able to select a single system or multiple systems in the table on the left hand side and move them to the ‘Selected Source Systems’ table on the right hand side by using the buttons between the tables. The other way around the user is able to remove systems from the ‘Selected Source Systems’ table.

In case the user has already selected source systems for DataSource replication, the technical names of these source systems are displayed comma separated in this field. In case more source systems have been selected than can be displayed in the field, the last displayed entry is followed by ‘…’, in order to indicate there are more systems selected. To see all selected source systems, click the ‘Select’ button to display the popup.

In the ‘Treatment of Already Active Content Objects’ section the user selects via radio buttons whether already active content objects will be overwritten by the activation (option ‘Copy’), a merge shall be executed (option: ‘Match’), or the system automatically decides the type of activation for each content object.

‘Automatic’ is the default setting if no activation has been scheduled so far. Otherwise, the setting of the last activation run will be taken, or in case there is still an activation running, that setting has priority. Option ‘Install all collected objects’ should be set in case all collected objects need to be activated. E.g. if BI Content was changed and you want to re-install the delivered version.

If option ‘Install all collected objects’ is not set, the system will determine for all collected objects if the SAP delivered version is newer than the active version. Objects with a newer timestamp will be installed according to the Treatment of Already Active Content Objects method (Match or Copy).

7 ‘Activate’ starts the activation of the content bundle online.

When activating content online you have the option to decide whether content objects to be activated shall be written to a transport request. After clicking ‘Activate’ a pop-up is displayed where according selections can be made.

‘Activate in Background’ starts the activation of the content bundle in the background. When activating content in background, the content objects are stored locally only ($TMP), without the option to transport. The ‘Simulate Activation’ will expand the content bundle and write the objects found into the log file, grouped by grouping mode and local content. It will not trigger the RSOR activation simulation, but it will check the correctness of the bundle and if the BI objects exist. In case the objects do not exist in BI, an error is given. The status of the activation process is displayed in the ‘Status’ box. It is a text together with an icon. Possible status notifications are: Activation not yet started Activation in process Activation finished with errors Activation finished Simulation finished with errors Simulation finished QM status set manually

In case the activation process does not finish and the status does not get updated to either ‘Activation finished with errors’ or ‘Activation finished’, the user has to set the QM status manually in order to be able to re-start the activation.

In case an activation process for the selected content bundle has been started in a prior session the status of the last activation process is displayed.

Status information is updated pressing the ‘Refresh’ button. Clicking the ‘Show Detail’ button opens the ‘Display Content Bundle’ screen. Here the user can have a look at the table with the local object checkbox, the object type, the content object (technical name and description) and grouping information. The RFC destination is taken over from the ‘Activate Content Bundle’ screen. Via the ‘Back’ or ‘Cancel’ icon in the system toolbar the user gets back to the ‘Activate Content Bundle’ screen. As soon as at least one activation process has been finished for the selected content bundle (either with or without errors) clicking ‘Show Log’ brings the user to the ‘Log Viewer’ screen. In the following popup a list of available logs for the selected content bundle is displayed and the according log file can be selected. The mapping of dialog and background RFC connections can be maintained by pressing ‘RFC Mapping…’. This screen stores the settings user specific, when this transaction is called again, the user may directly proceed with the RFC destination (stored in user parameter BSANLY_ACTWB_RFC) and the source system selection entered the last time (read from table BSANLY_BCACT_STA). Note: in order to be able to activate local BI content objects, you have to make sure that an

(2) Select the log file you want to see.

(3) The log viewer displays the log file.

(1) Clicking either the log icon in the Content Bundle Overview or the „Show Log…“ button in the Activation Screen will bring you to a log selection.

The parameters used during content activation (bundle, business category, user, date, time, merge mode etc.) are displayed in the log. In case of background activation, the name of the scheduled job is also displayed. The name consists of the prefix 'BSANLY_', followed by the bundle name.

Since each RFC destination (remote BI or local BI) and grouping value requires a separated activation run (all objects with the same grouping attribute are activated together). In front of each content activation log sequence log entries display the actual grouping parameter and RFC destination.

The activation log is being displayed in the same box underneath the content bundle information/parameters. Here the activation log as in transaction RSOR is shown. In case of mixed local and remote content activation and different grouping parameters, log entries displaying the current RFC destination and grouping are inserted between.

When the user chooses "Continue" (ENTER), he gets back to the log selection screen, where he can select the log of another activation run to be displayed.

Choosing "Cancel" will leave the log processing.

(1) Selecting „Delete Logs…“ in the menu of the Activation Screen leads to a dialog window ...

(2) … where you can select the logs to be deleted.

(3) Clicking on Enter brings you to the following pop up.

(4) You can now decide wether you want to delete the whole selected lines („Yes“) or only the log files of the selected lines („No“) (the line will then still exist but there is no log file any more).

BI Content Activation Workbench – Maintain RFC Mapping

(1) Before you can select an appropriate RFC destination to activate content objects, you need to maintain and map relevant RFC connections.

(2) Clicking ‚RFC Mapping ...‘ brings you to the following pop up.

(4) To add an RFC connection click here to get a list of possible connections...

(3) In the ‚Maintain RFC Mapping‘ screen you can enter RFC connections relevant for content activation. Note that you can only select RFC connections that have already been created in Transaction SM 59.

(4) ...select the appropriate RFC connection...

(5) ...then press OK to add the connection to your list. The RFC Connection can now be chosen under field‚RFC Destination for Content Objects‘.
