O R C s Doer-Seller Culture has been renamed the ORC Ambassadors’ Program! As of the end of March, we are ahead of our sales goal for the year! In order to grow ORC to double our current size by 2020, we have set a combined goal for ORC and ORC Utilities of growing 15% annually. Last Friday I visited the Union, New Jersey office where they are busy working on a new project in New York. Nancy Maieski is leading a team of people from our offices in Union, Cleveland and St. Louis on a fast paced project for the state of New York where we are working as a subcontractor to HNTB at the request of the Governor’s Office to design and implement a temporary relocation program for people who will be impacted by excessive construction noise during the replacement of the Tappan Zee Bridge.

This project is an excellent example of our people working together across regions to everyone’s benefit.

As some background, Nancy was approached on 4/1 by the Governor’s representative on the New NY Bridge Project Team (to build a new span to replace the Tappan Zee Bridge) to 1)develop a hotel stay program; 2) implement the program to assist residents (up to 400) in a defined impact zone in answering questions and booking hotels for the last weekend of the month of April due to intermittent noise in driving piles for a bridge foundation along the shoreline; and 3) reimburse residents that booked their hotels under program guidelines within 10 days of receiving documentation that a hotel stay took place.

The project is under an unreasonable time frame and very labor intensive - so much so that we nearly passed on the opportunity. However, after talking with Tracy Jones, it was determined that the Cleveland office could provide support so we decided to pursue the project.

On Tuesday evening we were given the go ahead to start work. By 5PM Tuesday (just 11 days after we were first contacted) we were suddenly advised that the Governor’s office wanted packages out on Wednesday to inform the residents of the program. ORC drafted a cover letter and procedures throughout the night on Tuesday, structuring the program as a hotel stay reimbursement program for temporary relocation during for the weekend when excessive construction noise is scheduled on the bridge project. These documents were sent to the client for revisions, editing, and final approval by 1PM Wednesday. The client delivered the packages (about 240) by hand to meet the Governor’s mandate, and we overnighted each package for 10:30 AM delivery for Thursday to meet the mandate – giving us a six-hour window.

Thanks to the assistance of the Cleveland staff, Ginny Weiss from St. Louis, and Tiffany Williams and Jose Rivera in NJ, ORC’s NJ office was able to get all packages to UPS by 7:00 PM. Assisting from the Cleveland office were Matt Starling, Albano Mahilaj, Lauren Falvey, Alessandra Kasparek, Kevin Robison, Amy Jerina, John Mandula and Joseph Almady. The Cleveland office typed up and ordered the UPS labels and compiled them for printing, and Ginny converted a subsequent

scanned list of tenants into a form we could use for labeling and addition to our database. Tiffany Williams and Jose Rivera did the exceptional job of printing and compiling packages and placing UPS and other necessary labels on the packages, and getting them to UPS on time for the required delivery.

This is a prime example of offices coming together to meet the needs of a demanding project. It was a real team effort by people in multiple locations, many of whom have never met. This team effort made it possible to obtain this contract. There are still a lot of hurdles on this project and additional teamwork initiatives are expected.

Kudos to Nancy Maieski for great work in negotiating and securing the contract! Congratulations to a great team effort!

ORC Associates, LLC Corporate office has moved to a new building in Charlotte that we OWN. After moving three times in the last five years, we are finally in a building we can call home. The office address is 7005 Shannon Willow Road, Suite 100, Charlotte, NC 28226. Please familiarize yourself with our staff.

Carmen Johnson-VP Finance and Administration- joined ORC in 2004 and oversees the administrative, financial and human resources corporate functions. Before moving to Charlotte in 2008, Carmen worked out of the Fort Lauderdale Corporate office and transitioned with the corporate move to North Carolina. Prior to joining ORC, she worked for Deltek, from her home in Idaho. Carmen has the distinction of acquiring advanced education in every major city she has lived in; completing two Masters degrees in Business Administration and Accounting as well as a Project Management Certificate. Outside of work Carmen enjoys travel, country music, baking and attend cooking classes; she has been known to indulge the office with sweets. She has two boys and a young granddaughter that keep her very active.

Ashley Tucker - Project Accountant Manager – has been with ORC since 2008. Before moving to Charlotte, she graduated with her Bachelors in Accounting Information Systems from Stetson University in Florida. Outside of work, she loves weekend adventures with her husband which includes taking their adorable dog Petey to the Greenway and searching for the best patio in Charlotte. Traveling is her favorite relaxing pastime and one day she hopes to visit every state - only 25 more to go!

Walter Palomo - Project Accountant - joined ORC in December of 2010. Prior to working at ORC he was one half of the accounting department for a smaller company in Charlotte. He is a graduate of Belmont Abbey College, and is currently finishing the final courses of his MBA. Outside of work, he spends most of his time with his wife and daughter. They love to try new restaurants around town together. When he’s not being a family man he enjoys spending time outdoors with Mick, his German Shorthaired Pointer. He loves to go snowboarding, hiking, mountain biking, rock climbing and playing golf. Walter is a huge fan of the Boston Red Sox and enjoys anything technology related.

Vivian Burnette - Project Accountant – joined ORC in November 2013. Before joining our team Vivian held various positions in Accounting and Construction Administration. Vivian earned her Bachelor’s degree at University of North Carolina Pembroke in Public Administration, with concentration in Finance & Accounting. Vivian is native of North Carolina and grew up in Lumberton, a small rural town in Eastern NC, before moving to Charlotte in 1987. Outside of work, Vivian is very active in her church, serving on the stewardship board, women’s ministry and as a Sunday School teacher of junior age girls and boys. Vivian and her husband have two college graduate sons and enjoys traveling and spending time together as a family. Each year, Vivian enjoys going back to Lumberton during the Lumbee Native American Homecoming festivals where she enjoys traditional foods and cultural arts and crafts.

Rubin Moise - Staff Accountant – has been with ORC for 7 years. Prior to working at ORC he was in Accounts Payable while living in sunny South Florida. He has his Bachelors in Business Administration from the University of Florida and a Masters in Accounting from Nova Southeastern University, and he recently received his CPA License. Outside work you will find him cheering on his favorite team, the Miami Hurricanes, and enjoys spending time with his wife and 2 children.

Sheila Sharp - Billing Administrator – joined ORC in April 2015. Before joining our team she held various positions in the Accounting field in Ohio and Michigan. Sheila moved to the region 10 years ago from Grand Rapids, Michigan and does not miss the cold weather. She has three grown children who live in Medina, Ohio; Houston, Texas; and Dover, New Hampshire. She and her husband are avid readers. They enjoy visiting their children and grandchildren and taking care of their two cats, Toby and Bobcat.

Robyn Niell - Accounts Payable – has been working with ORC for 3 years. Prior to working at ORC she was a Customer Service Representative with Weyerhaeuser for 19 years, working in packaging. On weekends, Robyn loves to check out local art galleries, reading and is learning the art of mixed media painting. Her extra “fluffy” cat, Tiffy, gives her much joy and entertaining stories to share around the lunch table. Robyn has been known to make amazing cookies once a year, but don’t ask for the recipe - “it’s top secret ya’ll!”

Kim Bauman - Human Resources Generalist – is one of the newest member to our team, she joined ORC in November 2015. Prior to joining ORC she worked for a large engineering and construction firm working in Talent Acquisition and Human Resources for 10 years. Kim has her Professional in Human Resources (PHR) Certification. She moved to Charlotte 5 years ago from Denver, CO and enjoys the southern climate. Outside of work she enjoys traveling, running 5ks, spending time with friends and her dog Rylee.

John Shelton - Human Resource Administrator - has been with ORC for 18 years. During his employment with ORC he has held primarily been part of our Corporate staff, but he also worked as part of our project team on a project for South Florida Water Management District, giving him an appreciation for the challenges of project work. Currently John oversees all benefits for the company. Prior to joining ORC he worked as an Import/Export Manager in Atlanta, Georgia, an Office Manager for an Investment Management Fund Company in Fort Lauderdale, Florida and was a Staff Support Specialist in the United States Air Force. Outside of work he enjoys music. From 1997 through 2007, he was part of a country duo who also released their first CD. He has received several awards for his vocal talents. In addition, he also enjoys renovating and working on his home, collecting antiques and entertaining friends.

Nikola Radonjic - Network Administrator – joined ORC in 2008 after graduating from St. Andrews Presbyterian College where he earned a Business Administration degree with concentration in Finance, Management and Accounting. His original role at ORC was in the accounting department, but two years later he transitioned into an IT role. Nikola (Nik) continues to learn and grow within the IT department, as he obtained 9 IT certifications since starting in his new role. He is thoroughly enjoying the new opportunity of working on software development and building the ORC Parcel Suite application. In his spare time, Nikola enjoys traveling with his wife and staying active playing basketball and weight-lifting.

Erik Bell - IT Help Desk Technician - joined ORC in 2015. He currently lives in Fort Mill, South Carolina with his wife and two daughters. Erik earned a Bachelors in Environmental Policy and Analysis with an Emphasis in Geographic Information Systems from Bowling Green State University in Ohio. He is passionate about technology and assisting people in how it interacts with our everyday lives. Outside of work, he enjoys playing volleyball and spending time with his family.

Junior Agents Attend Uniform Act Training in Cleveland

The Junior Agent Trainee Program is ORC’s path to a career in Right of Way and an integral part of developing the technical skills that will supply ORC’s future work force needs. Ten Junior Agents attended three different courses that focused on Uniform Act requirements during the week of March 21 in our Cleveland, OH office. Bob Merryman and Lisa Barnes instructed these courses.

NHI 141050 - Introduction to Federal-Aid Right-of-Way Requirements for Local Public AgenciesThis 2-day course allows persons involved in the implementation of the Uniform Act for local public agencies an opportunity to work through basic right-of-way case studies in a group setting. This training provides a forum for discussing actual basic right-of-way issues as they occur on projects handled by local public agencies. Key points covered in

the course include: - Introduction to the Uniform

Act and Other Federal Laws - Project Delivery and

Administrative Matters - Valuation - Acquisition and Negotiation - Relocation Assistance - Property Management

ORC 304 – Nonresidential Fixed PaymentsThis 1-day course provides specific information about the various aspects of nonresidential fixed payments (the “in-lieu-of” payment). Topics included the eligibility criteria for the nonresidential fixed payment, factors that help determine the number of businesses with regard to fixed payment eligibility, how to use the average annual net earnings to compute a fixed payment and the fixed payment calculation for farms and nonprofit organizations.

ORC Training is currently developing an online version of this course as part of our licensing agreement with IRWA. The Junior Agents’ feedback and suggestions during the instructor-led training was very helpful as we move forward with the online course.

ORC 202 – Acquisition Requirements under the Uniform ActThis informative and interactive 1-day course is designed to give public real estate professionals what they need to know about acquisition policies under 49 CFR 24.102. It answers questions such as:

¾ When should you provide notice to the owner?

¾ What is the process for establishing the amount of just compensation?

¾ Does an Agency have to make a written offer to purchase?

The Coaching Wheel – How do I use it?By Kimberly Bauman, Human Resource Generalist

The Coaching Wheel is a tool used to help facilitate performance coaching conversations between a manager (the coach) and his or her direct report (the coachee). It allows conversations to occur without judgements or emotions. The coach starts the session by asking the coachee about a challenge they are facing. Starting with the Observation wedge of the wheel, the coach asks the questions within that wedge, making sure to allow the coachee time to respond and reflect. The coach continues this process going clockwise around the wheel and ending with the Action wedge. The coach should use the Performance Coaching Notes form to jot down any pertinent information to come back to after completing the wheel. The coach should allow the coachee to go through the entire wheel before offering feedback.

Each section of the wheel is intended to help explore and possibly resolve the challenge that is being addressed.

1. Observation: In this section the challenge/issue is explained in detail from the viewpoint of the coachee.2. Impact: Asking “How is this currently impacting you” multiple times allows the conversation to remove any bias about the challenge and get to the root of the issue. 3. Implications: This section addresses the “what if” and allows the coachee to think about the consequences of taking no action to change the situation. By attaching feelings to the issue, the coachee becomes motivated to seek a solution.

4. Contribution: This portion encourages the coachee to take ownership of the challenge.5. Outcome: By this stage in the wheel the coachee is seeing the big picture and how to resolve or work through the challenge. Hopefully the challenge is not looking so daunting.6. Action: Finally, this wedge empowers the coachee to move forward in resolving the challenge. The result of going through the wheel should be an agreement on what action steps can be taken next to resolve the issue. After all wedges on the wheel have been addressed the coach can provide any feedback that might have been noted during the process. The Coaching Wheel tool is not intended to be time consuming. It facilitates a conversation on an issue in a manner that is non- confrontational and encourages the coachee to commit to an action item related to the issue as a first step in reaching resolution.
