At Dartmouth, Oracle Financials is used to generate electronic purchase requisitions, track the status of
requisitions, and research purchase orders. The application also produces reports that allow you to
track open or unmatched lines of purchase orders. Oracle Financials should be used for purchasing
items or services; the Procurement Card (Pro-Card or P-Card) cannot be used for purchasing or
services.

Open the browser on your desktop.
Enter the URL . This is the
production URL on Copper and is the URL used to access Oracle. If you will be accessing Oracle on a
regular basis, Bookmark this URL.

At the Oracle login screen, enter your Oracle and . Your Oracle user name, in
most cases, is the same as your VMS user name.

The Portal Page will be displayed.
If you are unsure what your user name or password is, contact the Computing Help Desk at 646-2999
and select from the options provided, send electronic mail to , or call your
division's computing support office.
Portal Page
The Portal Page lists all the responsibilities you have access to in Oracle Applications. Dartmouth
Financial User (DFU) is one of many responsibilities in Oracle Financials. If you have other

responsibilities in other Oracle Applications, they will appear on the Portal Page. If you have only one
responsibility in Oracle Applications, you may not see the Portal Page and will be directed to the
Navigator Screen (see the Navigator section below). Near the top of the Portal Page, your user name
will be viewable (for example, ) and three icons appear to the right of your
user name. The icon represented by the door should be used as the primary way to exit the application.

The tab displays specific functions you can use in Dartmouth Financial User (DFU), and to
the right, a place to create a Top Ten List. By double-clicking on the functional areas in , you
will be directed to specific forms for your use. Note the and icons to the left of the
functions. Clicking on these icons expands and collapses the menu of functions available to you. The
Top Ten List enables users to set shortcuts to functions; it will not, however, provide added value to the
Dartmouth Financial User.

The Task bar item represented by "http" is the active Internet browser icon. If you need to access
another Web site while you have an active Oracle session open, click on this Task bar item and
enter a new Web address or URL. If this Task bar item is closed, your Oracle session will be
terminated.

The second Task bar item identifies Oracle and provides a link to the Oracle home page. This
Task bar item must remain open in order to access .Notification Summary
The third Task bar item with a picture of a coffee cup identifies that you are in an active Oracle
session. You must have the Internet browsing icon available with this icon in for an Oracle
session.
LOV Button
The List of Values (LOV) icon will be displayed in fields where a list of values exists to choose from. This
is represented in each field by a gray box with three black dots.

Preferences
Oracle applications allow you to set preferences (or defaults) for information that can be applied to
more than one line in the requisition. For example, if the same departmental charge account number
should be used for all lines in a requisition, this can be preset by completing the field
in . Preferences can only be set for the session that you are logged into. If you set
preferences, complete a requisition, then log out, your preferences will be cleared and you will need to
re-enter your preferences the next time you log in. The system also allows you to override a preference
within a session.

The Requisition Preferences form will appear. The fields listed below can be utilized by the Dartmouth
Financial User. None of the fields are mandatory; you need only use the ones that apply to your
requisition or situation. Fields within Oracle Preferences that are not listed below are not used by
Dartmouth.

is (use the tilde on the keyboard). You can use multiple charge accounts for one
line items on a requisition; however, it must be done through the option that is detailed

A Confirming Type screen will appear. Please refer to the table below for supplementary definitions of
each choice to determine which applies to your situation.
Select the appropriate confirming type and click .OK
The requisition form will appear. Click on the icon on the requisition form. The requisition
number will be generated and your preferences will be applied to your requisition. The cursor will jump
to Line 1 in the body of the requisition form.

button to the right of the field. The PO Item Category screen will appear containing a list of all available
categories. Select the applicable category and click . Or, if you want to conduct a search, enter the
first few letters of the category in front of the sign and press the [ ] key when the list of
categories appears. A list should appear that closely matches your search.

the quantity field with the quantity entered on the main requisition screen. If this quantity is correct
and you've set the in preferences, click on the icon. You will be returned to the
requisition screen. Enter the quantity to be charged in the first line.

adjusting the quantity field. Enter the . Using the [ ] on your keyboard,

The field allows you to view the status of requisitions in the Oracle Financials
database. This field is where you can check to see if a Purchase Order has been generated, if the
Purchase Order has been matched in A/P, or if the vendor has been paid.

From the menu, double-click on . The screen displayed is titled
"Find Requisitions."

1. To begin a search, you must populate at least one field (search parameter) on the form. You can
search by date, supplier, status, delivery location, requestor, buyer, etc. The more search
parameters you enter, the fewer records will be returned.
2. Once you have entered your search criteria, specify the "Results." You can view the search results
by Header, Lines, or Distributions.
Click the button in the lower-right
side of the screen.
It is recommended that you change the default selection
from "Headers" to either "Lines" or "Distributions." Find

4. Once the view for "Lines" or Distributions" appears, you will be able to see if a purchase order
has been generated by going to the menu. If , then a
purchase order has been generated. If , then a

5. To view the purchase order information, select from the menu.
The purchase order information will either be displayed in "Lines" or "Distributions," depending
on the view you were looking at prior to selecting View Purchase Orders.

6. To view the invoice information, select from the menu. If an invoice
matches a purchase order, the information relating to the invoice can be viewed. If the invoice
did not match a purchase order, Oracle will display a message that says no matches were found.

screens returning to the Requisition Summary seach screeen or
click on the icon and click on .

Purchase Order Summary

The Purchase Order Summary works similar to the Requisition Summary. The difference is that you
search on the purchase order number first, not the requisition. The main advantage for using
the option is that it includes a field to search for the supplier on the main
page, and allows you to skip a few steps, especially if you know a purchase order has been generated
from a specific requisition.

Reports

A number of reports are available in Oracle Financials that can be utilized by the Dartmouth Financial user.
To Run a Report
1. From the Navigator window, click on .Reports
2. Click on the button at the bottom of the screen.Submit a New Request
3. Select and click .Single Request OK
4. In the field, type in the name of the report, or click on the button for a list of available
reports.

5. Enter the parameters of the report by requisition number, dates, or other required information per
the report.
6. Click .OK
7. If you need to send this report to someone, click on the button in the lower-right corner of
the screen. Enter the name of the person in the field. If you do not know the name, click on
the button to view the list.

8. To print the report within the Options window, select a printer by clicking on the button and
selecting the printer. Change the print "copies" to at least one (the default is zero).

10. A Requests window will appear. The window shows the status of the report as it is running. It is

1. From the screen, click on .Navigator Reports

3. A Request window will appear with all the reports generated.
4. Select the report you want to print.

Notification Summary

Notification Summary allows you to view your processed requests. It is also the functional area where
requisitions that require approval can be viewed, approved, or rejected. It is recommended that you go
to the field each time you log into the Oracle application. If a requisition you
submit is rejected or requires additional approval, it will give you that information in this field. You
should check your notifications each time you log into Oracle Financials.

The Profile function allows you to set defaults in your Oracle account profile.

From the menu, double-click on . The cursor should be blinking
in the field. Click on the icon in the bar. A profile find screen will
appear. Enter in the field and click . Select and click . is now
displayed in the field. Next, place your cursor in the field. Click on
the button. Select your printer from the list. Click . Your printer should now be

Amount-based Requisitions
Amount-based requisitions are completed in much the same way as a requisition.
Amount-based requisitions may be used to create blanket orders for supplies covering a year, monthly
maintenance agreements, and service contracts.

When completing an amount-based requisition, the three fields, , , and , require
different data input than a goods-based requisition.

Changing Your Password
To change your password on Oracle applications, follow the steps below:
1. Go to the URL

Trouble Logging In
If you are experiencing difficulties logging into the application, please review the following:
1. The correct URL is

2. You must use your Oracle Applications
and to access the application. Generally, your Oracle Applications username is the
same as your VMS or Birch username. If you are unsure of your username
and password, see .

Changing Your Password
3. Having access to other Oracle
Applications such as Financials, HRMS, or Discoverer does not mean that you automatically have
access to the Procurement Card System. Please contact Procurement Services to verify or to gain
access to the system.

Jinitiator for Oracle Applications
Oracle Jinitiator is software required to run any module within Oracle Applications. Oracle
Applications includes:
Oracle Financials
P-Card
Oracle HRMS
Oracle Jinitiator is only required for use on PCs and resides on your hard drive.
Oracle Applications will always prompt you to download a new version of Jinitiator when it
becomes available.
