Online Centralized Material Codification
An online web based tool has been put on the GAIL intranet (GAILCORINTRA) in order to facilitate searching of
material codes available in the existing material master in GAILCORINTRA and SAP, placing requests for
generation of new codes, modification of i) item description and ii) SI, and track its status of processing of
request.
Through this facility, users will be able to draw the following benefits:
1. Check as on date, if the material code exists for the desired items.
2. The tool offers instant availability of the long description of the items which will enable indenters to timely
raise indents with complete specifications.
3. In case the codes do not exist, then this will help them in seeking the first 6 digits, after furnishing all
details as per the parameters of long descriptions of similar items available, they can seek new codes from
CCC, Noida, through the established procedure.
4. This will enable automatic generation of request numbers, based on this the users can monitor the
progress of allocation of codes.
Material Codification Scheme The material code(s) are created based on 10 digit structure (AA-BB-CC-DDD-X) with first two digits (AA) representing the MAIN GROUP, next two digits (BB) are representing the SUB GROUP, next two digits (CC) representing the SUB-SUB GROUP, next three digits (DDD) representing the item serial number and the last digit (X) represent the SI (Source Indicator). The system is designed to provide a uniform method of material classification. The 10 digit numeric code structure has been designed in such a way that the new item(s) can be readily codified in the existing coding framework.

Sub- Group (BB) The division of main group into sub-group depends upon the kind of material covered in that particular group. Each main group is sub divided over the available 99 sub-group in a logical way. Adequate provision is made while allocating sub-groups so that new types of material can be logically accommodated in future. Often the sub-group indicates a category of related articles falling under one general description.

This is a broad framework to enable users to locate the specific items. Those items which do not figure in this list need to be searched at length from the main item/material master. Step 2: Once the first 2 digits have been identified, and then check the Material Master to see if the material code already exist using search option. In case code is not there, then follow the under mentioned steps for determining the next 4 digits. Step 3: After determining the first 2 digits, then the user can to go into the Material Codification Scheme to search if a category already exists for the specific material to get the next 4 digits (i.e. total of 6 digits). Thereafter User can make an effort to check availability of code in the existing material master (Corporate Catalogue) using already determined 6 digits. If available User may re-check the complete structure of the item and can use the code(s) if found meeting the requirement otherwise User can create & forward its request through Online Material Codification System for processing and assignment of code after following the requisite Codification guidelines for creation of Material Codes.
A NOTE TO USER BEFORE CREATING REQUEST FOR MATERIAL CODE
The inventory which is being codified in GAIL is mostly belonging to a particular category i.e. spare
parts/ OEM spares / Proprietary items etc. which is to the extent of 70 to 80% of the total
inventory.
As we have observed in past that the duplicate codes are created at the initiators end and not by
the system at large. Further, the current system is inherited with lots of duplicity which has been
identified, to a large extent; codes to the extent of more than 25% have been blocked recently.
This means that the duplicity has to be tackled at initiator’s end. We have already started making
efforts to educate the users/initiators for avoiding duplicity by creating awareness through various
awareness session conducted at Hazira, Pata, Vijaipur, Chainsa, Noida & NCR, Khera,
Rajamundary, and many other locations in past two years. In future CCC, Noida, intends to cover
at least 5-6 locations in a year to create awareness among users about the current codification
system and steps to be taken to avoid duplicity in the system.
Users of current Centralized Codification System are, therefore, requested to use existing available
codes in system and avoid duplicity.
Just for information CCC, Noida, has been processing almost 800-900 requests for new codes on
monthly basis which is on a very high side.
Our efforts, at CCC, Noida, shall continue to be in the direction of assigning codes at the quickest
and avoiding duplicity as far as possible.
GUIDELINES FOR CENTRALIZED MATERIAL CODIFICATION
1. Please use Google Chrom Brower for accessing GAILCORINTRA for online creation of material codes.

2. Items, which have already been codified, should not be included in the fresh request for codes to avoid
duplicity of codes. Hence, please ensure to search for availability of code(s) in the existing material master
(in SAP by using t-codes MM03 / MM60 / YRMR052 / YRMR165) and by using SEARCH button by ‘Mat.
Code’ OR ‘Mat. Description’ in ‘Centralized Material Codification’ plateform in GAILCORINTRA
before putting the request for new code(s).
In case it is found that the code(s) is/are available in the system but the description is either incomple, or
missing or requires mofication, to tackle this System based provision has been made for incorporation of
Correction/Modification of descriptions & part number of the material code(s). All such requests shall also
be routed thru’ duly selected ‘Reviewing Athority’ and concerned ‘HoD’ to CCC, Noida, for review and
incorporation of modidified item description.
For modification of existing code, only existing code is to be filled in existing code column, and all
others details will be filled automatically through the system. Then provide the modified details before
submission of request for mofidication.
3. In case of change of SI (source indicator) of existing code, a field is available on the main screen, please
select the ‘Conversion of the Existing Code’ instead of putting request for new code.
For conversion of existing code, only existing code is to be filled in existing code column, and all
others details will be filled automatically through the system. Then select the appropriate SI & material
type before submission of request.
4. Request for New Code(s) is to be submitted using option ‘Request for New Code’. New Code requests
are to be submitted on individual item basis so as to maintain unique description of an item. Grouping of
items in the name of ‘2 years spares’, ‘mandatory spares’, ‘commissioning spares’ or similar
abberations etc. are not permitted and such requests shall be outrightly rejected.
5. Item(s) description should include all important attributes related to the materials only so that
uniqueness of the material description is maintained. Any other aspect like storage location,
location of use, identification no., EIL / consultant ref. no., Tag No. etc., etc not directly
related to item description and/or technical specifications, should not be made part of the
item description. However optional field for inclusion of Tag No / Sheet no. and location has been
added in the current material codification platform.
6. While providing the item desrciption and/or specification of item(s), to be codified, please
ensure to provide:
i. Model no., drawing no., part no. and make (in case of OEM)
ii. Description of material should start with ‘noun’ followed by other attributes of item like size,
dimension, material of construction, class and standards etc. as part of itemd description
and/or technical specifications.
iii. Non-standard abbreviations like Brg., Compr., Flg, Flng, etc. are not acceptable. Ensure to avoid
use of special characters as far as possible.
iv. In case of OEM spares, please clearly mention manufacturer name (as Make - ____), Model No. -
________ and manufacturer part no. in Part No. Column. Generally all manufacturers maintain spare
parts against part no. In case manufacturer does not provide the part no., the same shall be
certified in remark column. In case the part no. is same, the difference of item description /
specifications has to be reflecting in long description.
iv. All PROCESSING CHEMICAL ITEMS (processing chemicals except for should be in 88 main group only
with SI (Source Indicator) as 3 (IND.) / 4 (IMP.) & material type ZCHM.Pease PUT si 3 74 for
processing chemicals. other SI is not competent/suited for processing chemicals.
v. All MISCELLANEOUS ITEMS/adminstrative item/Non valauated item should be in 93 / 94 / 95 main
group only with SI as 9 & material type ZADS.
Mat group 93/94/95 can also be used for other type of material like(zspr/zstr/zmsp/zins)
vi. All CAPITAL ITEMS should have SI as 1 (IND.) / 2 (IMP.) & material type ZSTR and ZSPR.
vii. All SPARE PARTS should have SI as 3 (IND.) / 4 (IMP.) & material type ZSPR.
viii. All STORES ITEMS should have SI as 3 (IND.) / 4 (IMP.) & material type ZSTR.
ix. All INSURANCE SPARES (now re-named as ‘Major Spares-Domestic Insurance Type’ and
‘Major Spares-Foreign Insurance Type’ respectively as per Corporate C&P Circular No.
GAIL/ND/C&P/G-25/2019-20/05 dated 09.04.2019) (i.e. item valuing less than Rs. 5 Laks inclusive of
all taxes & duties minus CENVAT and having useful life of more than one year and can be consumed
any time) should have SI as 5 (IND.) / 6 (IMP.) & material type ZINS.
(The description of SI as 5 and 6 shall be ‘Major Spares-Domestic Insurance Type’ and ‘Major
Spares-Foreign Insurance Type’ respectively and same shall be treated as Major Spares
irrespective of its unit rate as per Corporate C&P Circular No. GAIL/ND/C&P/G-25/2019-20/05 dated
09.04.2019.)
ZINS is used for material which has value less than 5 lac and has to be capitalized.
For ZINS MATERIAL TYPE IO is mandatory
x. All SPARE/store/store assembly PARTS should have SI as 7 (REPAIRABLE/PULLED OUT ASSLY) / 8
(REPAIRED) & material type ZSTR and ZSPR.
xi. All Major Spares (Valuing more than Rs. 5 Laks) should have SI as 0 (& material type ZMSP) as per
Corporate C&P Circular No. GAIL/ND/C&P/G-25/2019-20/05 dated 09.04.2019.
A mandatory control check is enable in the system, at the time of creation of PR/PO, to ensure that:
Spares having value more than Rs. 5 Lakhs should have SI as 0
Spares having value less than Rs. 5 Lakhs should have SI as 3 or 4 except for items falling in
Major Spares-Domestic Type or Foreign Type.
xii. All high value (i.e. item valuing more than Rs. 5 Laks inclusive of all taxes & duties minus CENVAT
and having useful life of more than one year and can be consumed any time) STORES /SPARE
ITEMS should have SI as 0 & material type ZMSP.
xiii. Appropriate main group / sub group / sub sub group shall be selected for capital / spare / stores
items based on the ‘Material Codification Scheme’ and provided in ‘Six Digit’ column for ‘New
Material Code Request’ with ‘SI’ code and ‘Material Type’.
xiv. If appropriate sub group / sub sub group are not found, the same can be requested online via
‘Create Class MatCode’ and get appropriate sub group / sub sub group created thru’ system
before putting the request for new material code.
User who required codes will submit the request for new class/sub class and CCC, Noida, will
provide/allott the class/sub class as per request after following due process in this regard.
xv. A New step of Reviewing Level has been included in the current system which provides additional
level of checking of the completeness of the specification of the item for which new code is being
requested, by Reviewing authority, which is to be selected by user out of the available option
depending upon the kind of item(s) to be codified.
The request submitted by HR, BIS CC, Law, Marketing and Vigilance for generation New Material
Code(s) shall be approved by HOD.
xvi. As such request for new material code shall be routed thru’ selected ‘Reviewing Athority’ and
concerned ‘HoD’ to CCC, Noida, for review and creation of new material code.
xiv. In case of incomplete item description, specifications and/or insufficient details, communication will
be sent thru’ system to the user (i.e. material code requester) with remarks stating exactly the
deficiency abserved by Reviewing officer, HoD and/or CCC, Noida. in the new code request made by
User. It shall be the responsibility of User to rectify the short- comings and re-submit the request to
obtain the code from CCC, Noida.
xv. All out efforts shall be made to allocate materials codes within 5 working days by CCC against
complete request as per mention here or before, Noida. However in the cases where complete /
correct details are not available in the material code request leading to queries by CCC, Noida,
please ensure to edit the request to fulfill the requirement. Further, observation made by CCC,
Noida, in this regard shall be responded to by user within 7 days which will be followed by system
will generate automatic reminders on weekly basis. If no response is received from initiator/User
within 45 days, such request(s) shall be automatically closed by the system under intimation to
initiator/user.
7. Data can also be uploaded in new material codification platform through Excel format for creating new
material code request in bulk /mass level in the current material codification platform.
8. While creating request for new code if back space button is used for edit entire data used to get lost. To
avoid this kind of problem intermediate saving option is available to save the data in the current system.
9. Whenever ‘set’ is selected as UOM, an alert message, as a pop up, will appear in new material
codification platform prompting the user to provide details of set.
10. A system generated e-mail will flash to the User informing him of the status of its request at each level of
processing. (i.e. Review Level, HoD Level & Codification Level)
11. In case, complete specifications are to be finalized after receiving bids, user can use temporary code
available for tendering purpose with group / sub group / sub sub group as 99/99/99 only. However PO
can’t be placed on these codes. New code can be obtained after getting bids and providing requisite
details for new codes in the system.
12. Status of request for new material code, modification etc. can be checked by following the route:

13. Activation of code in SAP, after creation of new material code(s) in GAILCORINTRA, can be checked by
using t-code(s) YRMR165 / YRMR052 / MM03 / MM60 in SAP.
Once the material code has been created & activated in SAP System, User must check all parameters in
respected code(s) created & activated in SAP (short description/long description/UOM/mat type/part
no/drawing number etc. using t-code(s) YRMR165/YRMR052/MM03/MM60) to satisfy itself of coorect of
complete structure of item in SAP.
In case of discrepancy observed, if any, CCC, Noida, is to be informed of dificiency and/or discripancy
along with request id & material codes for rectification and/or corrective action.
14. A Hyperlink with term “Emergency” (as defined in relevent process & procedures in this regard) has been
provided at Centralized Material Codification portal. CCC, Noida, can generate codes through Emergency
Link directly based on the request submitted by User(s) in case of EMERGENCY. HOWEVER THIS LINK
SHALL NOT BE USED & CHECKED IN NORMAL CASES OF CODIFICATION.
