OKKPA Reunion--September 12-15

DON’T BE LEFT OUT Now is the time for you to commit to the 2013 Old Kamp Kia Kima Reunion.

It’s easy, just fill out the form, send in your money, and put it on your calendar. (Please in-

clude your dues if they are not current.) This is an opportunity that you don’t want to miss.

There will be delicious food, fantastic fun, and fellowship. This will definitely NOT be a

work weekend!

All activities including the banquet will be at camp. There will not be an official golf out-

ing or canoe trip. However, if you are interested in either of these activities, please call

Bobby Harris for golf at 870-257-2546, or Mark Follis at 901-767-5179 for a possible ca-

noe trip.

The food will include a Thursday Night Barbeque, a Friday Night Fish Fry and a Saturday

Night Surprise and Awards Banquet. The Fall Board of Director’s Meeting will be held on

Friday. The annual competition and annual meeting will be on Saturday, with a special re-

port from the Marketing Committee. Old Kia Kima is a very special place and Reunion is a

very special time.

1963-1993-2013 = 20+30=50 Years d.fleming

Fifty years ago (1963) while on a one-year remote assignment in the Arctic at

Thule Air Base, Greenland – compliments of the US Air Force – the doors of

our beloved Old Kia Kima were forever closing. For me it was especially sad,

but not the type of SAD (Seasonal Affected Disorder) that many of us endured

in the darkness of the Arctic Circle. Today I sense it was the closing of Old Kia

Kima compounding my sadness as the dark season approached.

Thirty years later (July 1993) four of the 1950’s staffers would meet again on

the sacred grounds of Old Kia Kima: Perry Gaither, Scotty Monteath, John

Ozier and I. It was then and there that the OKK Spirit moved us toward

co-creating OKKPA with kindred souls who shared loving memories of A Time

and Place. On the next page is a listing and photo of those who shared in the

initial reunion years up to the 1993-1996 incorporation. From those early years

OKKPA became a Field of Dreams. It was meant to be. Spirit had moved us

and those to follow to act with the purest Love in Action. Five (*) of the 18

brothers named below have released earthly bonds; their spirits live with those

of us left to carry on the OKKPA mission.

Visioning Conference Report

Members of OKKPA assembled at Old Kia Kima to spend a Saturday in June listening and

sharing concerns to address the immediate future of OKKP. The time began with the newly

formed Marketing Committee presenting an aggressive plan to increase support and awareness to

OKKPA. Some of the exciting ideas that were presented included the development of a

documentary to tell the 100 year old story of Kia Kima to be aired on public television, the

development of a brochure to solicit donations, the formation of a team of experienced grant

writers to go after grants, revising the web site so that it reflects a clear way for people to make

contributions and the development of folders and business cards to be handed out that easily

explains how one can support OKKPA. The Marketing Committee will make a more complete

presentation at the September reunion.

Joys and concerns were shared during the Saturday. Some of the concerns included needed

finances, the age of the membership, expanding the use of the camp to non-scout groups, the 100th

anniversary of Kia Kima, the development of the old dining hall, developing an area for tent

camping, the huge expense for insurance and utilities and the need for a long range planning

committee. Some of the joys that were expressed included a beautiful facility, a camp that is

“un-plugged” to take fuller advantage of the outdoor experience, dedicated members, an active

marketing committee, the inclusion of Miramichee alumni in OKKPA and the success of the

Maintenance Committee to get the camp in operable shape after years of touch ups.

The conference was not all about talking and listening. Some decisions were made to

stimulate actions. Coming before the board for approval in September will be the creation of two

committees. One is for public relations to be a liaison between OKK and KKSR. This group will

be responsible creating ways to celebrate the 100th anniversary of Kia Kima and exploring ways

that OKK can be of service to KKSR. Another is a long range planning committee to develop a

5 year plan to address concerns and issues heard at the visioning conference. It was decided that

two ranger training sessions will be conducted during the reunion. One is for new rangers and

another is for experienced rangers. In this way policies and procedures can be upgraded and

refreshed.

Other actions involve the Utilization Committee. It was charged to develop camp usage

policies that deal with how many times a group can use the facilities in a year. It was agreed that a

deposit is required by each group that uses the facilities regardless if there are multiple groups on

the grounds during the same time. Registration forms used by groups will have the core values of

Integrity, Achievement, Courage and Responsibility printed on them. Only groups that agree to

abide by them will be allowed to use OKK. Another decision that was decided was to include the

chair of the Marketing Committee to be a participant in the monthly conference calls of the

Executive Committee.

These are just some of the issues that were discussed at the Visioning Conference. The

future looks challenging and promising. The September’s Board Meeting should be filled with

new energy. This year’s reunion should prove to be even more exciting. Plan to be a part of it

during weekend of September 12-15. The Board Meeting will be September 13 and the

Membership meeting will September 14.

OPERATING COSTS FOR OKK

The current budget for the operation of OKK is $37,000. Broken down on a monthly or weekly

basis we see that it takes $3100 per month, or $770 per week to operate the camp. The major

parts of the budget are utilities ($7,000), insurance ($12,500) and repairs and maintenance

($13,200). The monthly costs vary with usage and the time of year. For example, the grass

cutting ($3000) is done from May to October. The utilities are dependent on usage and for the

winter months are about $430 and increase to about $625 for the months April through October.

If we look at the utilities on a weekly basis they are about $155 during the summer months.

OKKPA should be proud that we are able to support our camp for the use of youth groups. As we

go forward and look to expand the facilities, the cost of operations will increase with utilization

and we must be prepared to increase our income to cover these costs.

JUNE SURPRISE YET AGAIN

In June of 2012 we discovered that Cabin 13 needed extensive repairs. At the same time the

tractor needed a new clutch. These unexpected events cost over $6000 depleting our Capital

Repairs Fund. Through the generosity of our members, we received $3600 for future unplanned

capital repairs.

This June of this year we found that the 18 year old compressor for the freezer needed to be

replaced. The replacement cost $4400 so the Fund has been depleted yet again at the end of the

year. In addition, a problem with the drain line from the kitchen/bath room required another

$1000.

Needless to say, we are hoping that we can get through this year without a June 2014 surprise.

Additionally, if members would like to contribute to rebuilding the Capital Repairs Fund, their

tax deductable donations would be greatly appreciated. This fund is for major capital repairs

outside of our regular repairs & maintenance budget. Donations may be sent to OKKPA, 104
