3/3/2020 OFFICE OF SUPREME DEPUTY 2020 The 89 th Grand Assembly Session of the International Order of the Rainbow for Girls in Illinois will convene at the Wyndham Springfield City Centre, in Springfield, Illinois on July 3-5, 2020. Enclosed is the Grand Assembly information and schedule, including forms for housing, registration and meals. Rainbow Girls attending Grand Assembly must dress according to the Universal Dress Code at all sessions. All Girls participating in the session must wear floor-length formals. NO navy blue, black, brown or very dark colors may be worn during session, or the Formal Dinner Dance. Please remember, strapless dresses are not permitted. Appropriate casual wear may be worn while at Grand Assembly in the evenings at the close of sessions. All Girls are to be under the supervision of their Mother Advisor or an Adult Chaperone. They must abide by the rules befitting Rainbow. It is important for the Mother Advisors to meet with the Girls who are going, and their parents prior to Grand Assembly. This ensures that everyone fully understands the requirements, and benefits of Grand Assembly. The following rules apply at Grand Assembly. Girls must wear badges at all times in the hotel. Chaperones - When leaving the hotel with your girls, be sure everyone removes their badges. Girls cannot leave the hotel without an Adult Chaperone. Enclosed is the Grand Assembly information and schedule, including forms for housing, registration and meals. MOTHER ADVISOR’S INFORMATION SHEET REHEARSALS

Thursday, July 2 All Grand Girls must be in Springfield for practice of Ritual and Marches. Friday, July 3 Mother Advisors and Grand Deputies are invited to attend the Mother Advisor/Grand Deputy Meeting—at 9:00 am. Rehearsals will continue according to schedule. Every Mother Advisor should see that her girls taking part at Grand Assembly are well prepared and arrive at rehearsals on time. Everyone with speaking parts must know their memory work and speak loudly and distinctly. Those girls who will be giving an ode to the flag, or response to the welcome must bring a typed copy of their presentation to be turned in at their practice.

REGISTRATION, MEALS & HOUSING All information on registration and meals and housing are on their individual sheets. Please read carefully and follow directions. Checks for registration and meals MUST BE submitted with the forms. Please note there is an increased price for late registrations. Registration is $15 if postmarked by May 15, $25 if postmarked after May 15. All refunds will be distributed at Grand Assembly. DO NOT SEND ANY CHECKS WITH ROOM RESERVATONS. Grandies will room with their Assembly, being chaperoned by the Mother Advisor. Hotel security has been too difficult when the girls are separated from their chaperones.

MEDICAL HISTORY & RELEASE FORMS

Enclosed is a Medical History and Release Form. Please copy this form so that every Rainbow Girl registering for Grand Assembly will have a completed form to be turned in when you pick up your registration packet at Grand.

SECURITY The Rainbow Security Committee will again need some faithful men/women from all of the Assemblies to serve at various hours. Volunteers may sign up at the security desk.

CO-EDITORS Co-Editors of the Illinois Rainbow News will march in and sit together at the opening session. Please send the names and addresses of next year’s Co-Editors to Mrs. Susie Lonzerotti.

FRIENDSHIP ADS

Friendship Ads: Assemblies may again earn money to attend Grand Assembly by selling Friendship Ads for $2.00 for each name or business to be listed in the program book. The maximum number of letters per line is 40. Send the typed Ads and $1.00 for each to Chris Wherli by May 1st. Please email a copy of the typed ads in a Word document to [email protected] so that they can be included in the Grand Assembly Book.

SCRAPBOOK COMPETITION All Scrapbook competitors must have their scrapbooks turned in by noon on Thursday at the Housing Desk

CANDIDATES FOR INITIATION

Names of candidates for initiation, along with a lambskin apron, should be sent to Mrs. Laura Heaven-Ewell by June 1. Candidates for initiation should wear street length dresses.

MAJORITY SERVICE

The Majority Service will be held on Sunday. Send the name and address of any girls wishing to receive their majority to Mrs. Laura Heaven-Ewell by May 15. Include a majority certificate properly filled out, the date they became members, the date of their 20th or 21st birthday, or the date of marriage.

MEMORIAL SERVICE Send the names of any deaths that have occurred in your Assembly since last Grand Assembly to Mrs. Laura Heaven-Ewell by May 15. Please limit your memorials to those who have been active in Rainbow [i.e., members of the Order (past and present), parents or Advisory Board Members]. Please designate someone to carry the flower during the memorial service. There will be a meeting for the participants at 8:00 AM Sunday in the Grand Assembly Room.

BABY DEDICATION If any Majority members have a child they would like to have dedicated at Grand Assembly, please send their name, parent’s names and birth date to Mrs. Laura Heaven-Ewell by May 15.

GRAND CHARITY CHECKS It is important to have all Grand Charity checks presented by the close of the Saturday morning session.

OFFICIAL VISITS Official Visits – Arrange Official Visit dates for the 2020-2021 year with your Grand Deputy prior to Grand Assembly.

BE ADVISED Mrs. Lonzerotti requests that NO ONE leave Closed Sessions except in case of an EXTREME emergency. The Eligibility Committee has been instructed that no Rainbow Girls be allowed to leave the Grand Assembly room unless accompanied by an adult. There is to be NO movement in the assembly room during initiation. Also, according to the State of Illinois, there is to be NO SMOKING in the hotel.

REMINDER No infants or children under 11 years of age will be allowed in the Grand Assembly Room during the Closed Sessions, even if sleeping in car seats or strollers, they are NOT allowed. Pledges and Sparkles are NOT eligible to attend closed meetings. There will be NO Childcare offered during the sessions at Grand this year. International Order of Rainbow for Girls Illinois Grand Assembly July 2, 3, 4 and 5, 2020

February 13, 2020 Dear Mother Advisors and Grand Deputies: Security at Grand Assembly is very important to ensure a successful weekend. I, along with many others, will do all we can to help provide adequate security for all participants at Grand Assembly. Because of the layout of the facility, we will need several persons to help with security. We encourage you to ask all adults from your assembly who are attending Grand Assembly to volunteer for one or more shifts. Please ask anyone interested to stop at the security table to sign up for the various shifts available. The sign-up sheets will be there beginning Thursday morning. The following is a checklist that I would like you to cover with every person planning to attend Grand Assembly. Please ask them to take these items as well as the importance of security seriously.

1. Know where the security table is located. If you have a concern, and no one is at the table that moment, report your concern to the front desk or text Steve Stephens.

2. When answering the door of your room, do not immediately open the door, ask the person on the outside to identify themselves. Please check the peephole in your door. If they refuse to show themselves, do not open the door. Dial the room of your mother advisor or dial zero and ask for hotel security. When in your room, be sure to have the security lock on your door and always before going to bed. Do not use the dead bolt to prop the door open to your room. If a door is propped open and we see this when we are on security duty, we will close the door, it will not matter if it’s an adult or girl’s room, and we cannot determine that when we walk the halls, we only know that it is a Rainbow room and it will be closed. Please be sure to make everyone in your assembly aware of this, and to be sure they have their room key with them. For everyone's safety, all rooms should always be securely locked, and we will close any doors that we see left open.

3. When leaving the assembly room during a meeting, all girls must have an adult accompany them, preferably their Mother Advisor or her designate. PLEASE NOTE: If you must leave during initiation, you will not be allowed back until after the initiation is completed. This has always been a policy and eligibility posts signs on the door during initiation, however in the past adults have become upset when their girls are not allowed back in the assembly room until after the initiation is over. As stated in past years, I have been asked to remind all adults of this and ask them to pass it on to all those attending initiation at Grand Assembly. The Grand Officers work very hard on their ritual and it is not fair to them to have unnecessary distractions. Please respect them and this rule.

4. A bed check is taken at curfew (12:30 AM) by the Mother Advisor and

chaperones. It is important that all girls be present and accounted for. In the event a girl cannot be accounted for, after making a quick search, Steve Stephens should be notified.

5. Please: Respect the non-Rainbow guests. You represent a very fine organization. Please do not tarnish Rainbow’s fine name and reputation.

6. Please do not trash the rooms. It causes additional work for the hotel staff as well as an inconvenience to all involved. It could also add to the cost of a room. Everyone enjoys having fun, but a prank can result in property damage, which indicates lack of respect for others’ property. Treat the facilities as you would expect guests to treat your own home.

7. It is important that everyone know which area the nurse is in, and where the area is located. It should be near the assembly room. During closed sessions, if the nurse is not in the room, check at the door of the assembly room

8. Rules that security has been asked to enforce –

a. Girls must wear badges at all times in the hotel. b. Use the buddy system when going to places in the hotel c. Girls must not leave the hotel without an adult chaperone d. When going outside of the hotel, be sure to remove your Rainbow

badge e. No girls should leave the Grand Banquet for any reason without an

adult

9. If you do place materials on the outside of your room door in accordance with Rainbow guidelines, please be sure the peep hole is not covered.

10. No girl should be in any room other than those of Rainbow girls and adult advisors

The hotel has informed us that cameras are placed at all entrance/exit doors, and in other parts of the hotel for security purposes. We want Grand Assembly to be an enjoyable experience for everyone. If hotel and Rainbow rules are followed this should be accomplished. However, if the rules are not followed and a girl becomes a serious problem to both the organization and security, her parents or guardians will be called, and they will be asked to come get her immediately. Thank you all for your support in the past of Illinois Rainbow and thank you in advance for your continued support. Hopefully we will have many volunteers to help at Grand Assembly. Again, please encourage any and all adults that are available to sign up for security at the security table. Once again, we will also need volunteers for Security at the dance on Saturday evening. Enclosed is the Grand Assembly Rooming List. Please fill it out and send four copies to the Housing Chairman, Mrs. Leslie Crowe, Housing Chairman, 710 E. Thomas Street, Arlington Heights, IL 60004, by May 15. Extra postage may be required when returning the forms. Remember to keep one copy of the rooming list for your reference. DO NOT SEND THE ROOMING LIST TO THE HOTEL. Girls will be housed 3 or 4 to a room. Please highlight the Grand Officers, Grand Representatives, Pages and Hostess’ rooms with an Asterisk (*). Room rates are as follows: Dormitory: 4 to a room $25.75 plus 13% tax per person, per night ($29.10) 3 to a room $34.34 plus 13% tax per person, per night ($38.81) Single room: $103.00 plus 13% tax per night ($116.39) Double room: $103.00 plus 13% tax per night ($116.39) These rates apply to adults as well as girls. Each person is responsible for their own phone calls, any room service and movies on television. Please have all cancellations and/or additions to me by June 1st. It is important for the hotel to have this information to avoid last minute changes. You will be charged one nights lodging for late cancellations. Illinois Grand Assembly 2020 Registration Information Be sure to read this information carefully before you fill out your registration forms. If you do not have enough registration sheets, feel free to make copies. If you have questions about registration please email or call us, do not use Facebook for registration questions. The enclosed form is to be typed or printed. Return the original by May 15, 2020 and keep a copy for your files. Do not send cash. Please make one check, payable to “Rainbow for Girls, Illinois”, for the entire assembly. All requests for refunds must be in by June 15th. Refund checks will be distributed at Grand. No refunds will be given to people who have not submitted their request in writing or email by June 15th. Mother Advisors: You are the only one who will be allowed to pick up your Assembly's registration envelope, unless you designate someone on your registration form. The Mother Advisor’s name is to be on the bottom of the page in contact information, if you want someone other than the Mother Advisor to be able to pick up the Assembly packet at Grand, the proxies name needs to be in the Mother Advisor Proxy field on the form. The registration fee is $15, if paid by May 15th. After May 15th the registration fee is $25. A registration fee is required of every person attending closed sessions. People attending only the Grand Cross of Color/Service to Rainbow Luncheon and Degrees must also register. The meal plan is mandatory. It includes dinner on Friday night, breakfast, lunch and Dinner Dance on Saturday, and breakfast and lunch on Sunday. Vegetarian and Gluten Free meals are only available if requested in advance on the registration form. Due to a generous donation from the York Rite Bodies of Illinois the cost of the meal plan is only $80 this year. Thursday’s evening meal is not included in the meal plan. We will be having a Cook Out on the roof of the Parking Garage at the Wyndham Springfield City Centre. There will be a $5 charge for those attending. Again this year, the Order of the Amaranth will be offering a “Sack Lunch” on Friday noon at a cost of $5.00 for those not attending the Grand Cross Luncheon. All proceeds will be donated to the Rainbow Camp Fund. We ask that you make your reservations on the Registration Form but since there are choices that need to be made, it will be necessary for you to fill out the “Sack Lunch” flyer as well. For those attending only the Formal Dinner Dance on Saturday evening, the cost will be $25. The Grand Cross / Service to Rainbow Luncheon for Recipients and Designates, which will be held at 11:30 AM on Friday, is an additional $25. Purchase of these separate tickets should be on the Assembly's registration sheet. Follow the sample in this letter as to how to fill out the amount of money, etc. Please do not fill in the columns with an “X”, but place the proper amounts as shown in the example. As you list names, please list first names first. Also, please list girls according to their highest office. Please, indicate if the girls are Grand Choir, Pages, Hostesses, or Co-Editor, along with the Station they are holding. Check the WA/PWA column if they will be attending the WA/PWA Luncheon. When listing an adult give only their Rainbow title. Do not list any of your Grandies as they will be receiving their own registration form. If your Assembly pays for the Grand Cross / Service to Rainbow Luncheon for your Grandie, please give her the money. She should include her Grand Cross / Service to Rainbow Luncheon reservation on her registration form. Grandie Parents should register with the Assembly. Rainbow T-Shirts will be free to all Rainbow Girls that register and new Initiates only. Please indicate size on registration form. Enclosed is a Medical History and Release form. This form is required to be completed and turned in when you pick up your registration. All Rainbow Girls attending Grand Assembly MUST submit a completed witnessed or notarized form.
