    Office 2010 Quick Access Toolbar (QAT)

    The Quick Access Toolbar (QAT) is available in all the Microsoft 2010 applications and, as it is constantly displayed

    in one place (regardless of the tab selected), it means that certain regularly used commands will always be

    available to you. This can be especially useful while familiarising yourself with 2010. The QAT commands are not

    fixed and this document will show you:

    How to personalise the QAT to include the commands of your choice; and

    How to change the position of the QAT (ie to either above or below the ribbon).

    Note: This document describes use of the QAT in Microsoft Word, but these instructions can equally be applied to

    each of Excel, PowerPoint and Outlook.

    WHAT IS ON THE QAT AND HOW DOES IT LOOK?

    A&O has customised the QAT for each of theMicrosoft applications so that it includes some ofthe key commands you may need quickly and

    regularly. These commands can, of course, bechanged. Here is an example of the QAT in Word(outlined in red).

    Most of the buttons on the ribbon can be added to the QAT as those buttons represent only one action (eg bold,italic, etc). However, where the button has a drop-down list of options associated with it (eg AOHead styles), it isnot always possible to add those individual options within that drop-down list to the QAT.

    HOW TO SET UP THE QAT

    This is worth doing as soon as possible so that no time is wasted locating buttons you use regularly. You can addbuttons to the QAT directly from the ribbon (point 1 below) and remove buttons directly from the QAT (point 2

    below). If, however, you are uncertain where a button is located (ie on which tab), or want to generally organiseyour QAT, you can browse all commands in the Optionsbox (see point 3).

    1. ADDING A BUTTON STRAIGHT FROM THE RIBBON

    (a) Locate and right-click over the button you wish to add.

    (b) Click Add to Quick Access Toolbar.

    2. REMOVING A BUTTON DIRECTLY FROM THE QAT

    (a) Right-click over the button on the QAT.

    (b) Choose Remove from Quick Access Toolbar.

    3. ADDING AND REMOVING BUTTONS USING THE OPTIONS

    BOX

    (a) Click the drop-down arrow at the end of the QAT (as shown

    outlined in red).

    (b) Click More Commandsfrom the menu displayed.

    (c) The Options box will display (see below). In the Choose commands from:drop-down box (outlined in

    red) either select the Popular Commandsoption or change the drop-down choice to view All Commands.

    (d) Consider those commands you use most frequently and/or those whose location you find difficult to

    remember. Once you have located the first command, select it from the left and then click the Addbutton

    (outlined in blue) to add the command to the list on the right. Repeat this for further commands you need.

    Note: Items can be removed from the QAT using the Removebutton (underneath the Addbutton).

    (e) Click OK(bottom right of the Optionsbox) and the new commands will then appear on the QAT.

    DO NOT CLICK RESET: The QAT commands have been customised for A&O and although you can add andremove buttons, if you were to click the Reset button in the Options box above, the QAT would reset to theMicrosoft default and not that of A&O. For clarity, the Reset button has an 'X' through it in the image above.

    Should you do this in error, you would need to log a call with your local IT Service Desk.

    HOW TO REPOSITION THE QUICK ACCESS TOOLBAR

    By default, the QAT displays at the top of the screen in the title bar, but you may prefer to display it under the

    ribbon, so that the information in your title bar does not become compressed.

    1. TO POSITION THE QAT BELOW THE RIBBON

    (a) Click the drop-down arrow at the end of the QAT (as shown

    in red):

    (b) SelectShow Quick Access Toolbar Below the Ribbon.

    (c) The QAT will display beneath the ribbon

    (as shown here in red):

    2. TO POSITION THE QAT ABOVE THE RIBBON

    Follow the steps above but at point (b), click Show Quick Access Toolbar Above the Ribbon.
