Scratching the Surface of What We Can Do

Your Leadership Team consistently reviews reports and findings about our business in an effort to identify trends, address needs and truly understand what our patients want when visiting our clinics. Recently, in reviewing visit trends, we learned that 50% of patients tend to come back for the exact same visit. It’s great to know that patients are returning for care, such as return visits for sports physicals each year, but what about everything else? The recent expansion of our scope of services could not be coming at a better time! Flu shot season is traditionally very busy in our clinics and this patient volume gives us a great opportunity to educate the patient about ALL the ways we can help him or her. We aren’t just a flu shot clinic. TLC clinicians are trained and educated to provide care for the whole person – not limited by a short list of services. As the crisis for access to care continues to grow it is our duty to help assist people in getting the care they need whether it be at TLC, a primary care provider or a specialist. The evolution of our practice is one that not only adds services, but one that supports caring for the mind, body and soul of the patient. We can change the perception of “it’s only a flu shot” to encompass so much more. A flu shot is only scratching the surface of who we are. It’s an exciting time to be an associate of The Kroger Co. and The Little Clinic! We ARE going to change the future of healthcare!

Medical RecordsFrom Heather Hudson, Medical Records Coordinator

With all of the HIPAA rules and regulations involved, handling Medical Record requests can be very confusing. Here are a few reminders and tips to follow.

• Unless a request comes from a doctor, provider or hospital, we MUST have a signed authorization from the patient.

• If you do fill out a Medical Record request, always scan the request into the patient’s chart.

• Clinics should only be responding to patient and/or doctor requests, all other requests must be faxed to the Medical Records Coordinator at 615-425-4344.

• Never give out patient information over the phone unless it is the patient calling and you have properly identified them with your prescribed identifiers.

• All DOT’s and Physicals must be scanned into the system each day and the originals sent to the Corporate Office in your monthly packets. This is a very important process as failure to properly maintain these records can result in significant unintended consequences for a patient - termination from a job, delays in starting a job or not being able to play football, cheerleading, etc.

• When a patient calls for Medical Records, please direct them to go to our website at TheLittleClinic.com, click on “Contact Us” and from there, he or she can scroll down to the “Request Medical Records” form. The patient can fill out this form and fax or email to me at 615-425-4344.

• If a patient comes into the clinic for records, do not turn him or her away. Have the patient fill out the Patient Authorization Form and verify his or her identity with two prescribed identifiers. Once you have issued the patient his or her records, scan the request into their chart.

• If an employer calls to verify a work/school note, you can only validate the authenticity of the note. Never provide the employer with any medical information or why a note is invalid. If an employer requests a copy of the excuse, you must have a patient authorization form signed by the patient.

• If a parent/guardian comes in wanting records on his or her child, make sure the parent requesting records has an ID under patient documents. If the parent requesting records does not have an ID in the system, please refer him or her to the Medical Records Coordinator. Do not release records to a parent that doesn’t have an ID in the system.

• If you scan a document into the wrong patient chart, open an infra ticket, log a request, EMR/TLC Service Request and choose the correct request. If you have any questions regarding EMR requests please contact Patrick Yielding or Lee Nelson.

• If you have a duplicate patient account, verify the accounts are, in fact, the same patient. Once you have established that the accounts are a duplicate, log an infra ticket, log request, EMR/TLC Service Request/duplicate patient account.

• Last but not least, when you answer a call, remember to smile. The person on the other end of the phone may be frustrated and hearing a smiling voice that is willing to help can change their whole day. Let’s show our patients how much we care by assisting them in the best possible way.

We must fix all errors by October 13 for the associate to get credit.

Biometric Screening for Kroger associates ended with a bang. This week alone we conducted approximately 5,000 Kroger (including union) biometric screenings. We ended the season conducting over 20,000 screenings for both Kroger associates and other employees (such as Humana).

Please don’t lose focus. There are still many screenings on the exception report that need to be corrected. If you have any questions about how to make the correction, please contact your RCD or [email protected].

Discoveries Cold & Flu Event in Collaboration with Pharmacy

Dates: October 14-16. Clinics that are participating in this event will be shared on the home page of TLC Today tomorrow, October 6. They will also be shared in this week’s Operation Notes.

Event Overview: In select stores during P10W1, a Discoveries event will be held to further engage shoppers. The event specialist will setup their promotional cart near the clinic and/or pharmacy in each store to promote flu shots and cold & flu preparedness along with sponsor product samples and the cold & flu season informational coupon booklet.

What do you need to do?

• Be sure your clinic is Friendly & Fresh.• Be ready for flu shots to come your way the day of the event!• Be prepared at your clinic to help answer any questions store customers may have after

visiting with the Discoveries Event Specialist.• The Discoveries Event Specialist will bring all of his or her materials with them on the

day of the event. • Enjoy this great opportunity to help build engagement around TLC and our flu shot

season.

Pink Clinic Apparel to Honor Breast Cancer Awareness From Shannon Rutzinski, Associate Communications & Engagement Manager

Let’s honor Breast Cancer Awareness this month! All TLC clinical and non-clinical associates may wear “pink” scrubs/lab coats. We want to keep it simple and standardize across all regions. Associates may purchase pink apparel (lab coats, scrub tops, scrub jackets, etc.) from an outside vendor at their own expense. All apparel items must be solid pink only. Prints will not be allowed. TLC honors those who have lost their battles with breast cancer and those who are still battling. “Make a Difference” and wear pink!

As of October 1, 2016 all of our clinics have changed their closing hours to 7:30 p.m. This change has affected the following regions: Cincinnati, Dayton, Columbus, Kentucky, Knoxville, Memphis, Richmond, Indianapolis and Wichita. If your clinic is under one of these regions, there will be several changes that need to take place to insure that the public is informed. One of these steps is changing the hours on your business cards. Effective immediately: Clinics will only be able to order business cards that have the new closing hours listed on the Deluxe website. All clinics will be responsible for ordering their own business cards. There will be no mass shipment of cards.

Magnet Removal from Order GuideFrom Taylor Gregory, Purchasing Coordinator

Effective immediately: Clinics will no longer be able to order magnets on the Deluxe website. We strongly believe that with the advancement of technology and greater accessibility to the internet that the use of magnets for location hours and addresses are an outdated concept. Magnets cost $165 for a set and the removal of these will help our clinics save a little more money. Please continue to hand out other marketing items and if someone would like to have a copy of the business hours either hand them a business card or refer them to the TLC website. Magnets have been removed from the order guide and the Deluxe website. For our regions that are utilizing CAO, an updated version of page 13 (where magnets were located) will be sent out to your RCDs for you to print off in your clinics.

I usually come to The Little Clinic when I need any vaccination or TB skin test for school. There has never been a long wait and the staff is extremely helpful and quick. If you have insurance, everything is usually covered and if by chance your insurance does not cover what you need, the prices are fairly cheap! Would definitely recommend going here instead of a pharmacy if you want to get in and get out quickly!
