Provisioning OCS for Current Customers As of March 2010, Apptix customers may provision (order and setup) Office Communicator Server (OCS) R2 services completely within the Hosting Control Panel and storefronts. The OCS services include Live Meeting and Secure Instant Messaging. Ordering OCS for Customer Accounts Customers who are familiar with the Hosting Control Panel may order OCS service for their mailboxes without the assistance of the Apptix Implementation Team. If a customer is having difficulty adding the OCS service to their account, have them follow this procedure

1. Log into the Control Panel and access the Billing module:

• Select the Billing menu option from whichever module the Admin accesses when logging into the Control Panel:

2. Select the Buy Additional Resources link from the Upgrade Wizard section of the PBA screen.

3. The customer selects the Exchange Subscription to which the OCS service will be added by clicking on the link:

4. A list of additional resources is displayed. The two (2) different OCS resources are displayed as part of this list. In the Click Here to Buy column the customer will click on the Upgrade link associated with the appropriate OCS plan to purchase that OCS package. The two OCS options are:

• OCS 2007 R2 Instant Messaging • OCS 2007 R2 Instant Messaging and Web Conferencing (up to 1000 attendees/mgt)

• NOTE: From these two plans customers can select an OCS plan for any number of existing Exchange

users. The following steps allow the customer to determine how many OCS resources to purchase that will be assigned to the customer’s Exchange users.

Example: A customer with 25 users can order OCS for 1 up to 25 users which will be determined in the following steps.

5. In the Resource Amounts section, enter the number of OCS resources being purchased by the customer in the Place Upgrade Order for: field. Click the [Next>>] button at the bottom of the screen.

6. The Confirm Order screen is displayed which shows a summary of the OCS Resources just ordered. Click the [Place Order] button to finalize the order.

7. A confirmation screen is displayed which verifies that the order has been placed.

Provisioning OCS for New Customers Provisioning new Hosting Control Panel Exchange customers with the OCS services is similar to the provisioning steps setup for current customers except that new customers will order from the Apptix website shopping cart instead of through the Admin Console (though once becoming a new customer, they may add the OCS resources via the Admin Console as well). The process is similar to setting up current customers:

• Customer orders OCS as an optional service within any Exchange service plan - or -

• Customer orders OCS as a stand-alone service plan without Exchange or other services • Customer add users to the OCS service via the Office Communications tab within the AOD2 control panel • Customer installs OCS client software onto desktop computers

NOTE: Customer may have more or less OCS quantities/purchases than they have Exchange users. OCS purchased as an optional feature of Exchange allows customer to subscribe less users to OCS than have Exchange mailboxes—in order words, not every Exchange mailbox is enabled for OCS. Customer can also have more OCS users created than there are mailboxes—these would be considered OCS-only users.

Configuring OCS Users within the Hosting Control Panel The creation of OCS users is performed entirely within the Hosting Control Panel. From within the console or via the web shopping cart, OCS IM or OCS IM+WebConferencing users must be purchased. Once purchased, customer administrator will go to the Office Communications tab within the Hosting Control Panel to create new service users or enable existing service users for OCS. Configuring New OCS Users

1. Log in as customer administrator to Hosting Control Panel. Go to Office Communications tab on left side navigation bar. If this is the first time activating any OCS users for your account, click the link “Create Organization” under the Office Communications tab. You will then see the list of enabled Office Communications users (usually blank to start with).

2. Click the Add New User button. If you have other services, such as Exchange or SharePoint with Apptix, the next screen will ask if you wish to create a new user or if you wish to enable OCS for an existing user (e.g. do you wish to enable OCS for an existing Exchange mailbox). If you wish to enable an existing user, select that user from the drop down list. Otherwise, select New User to create a new OCS user.

3. Enter the Display Name (typically first and last name of user). Enter the Login ID which is typically the users email address and domain such as [email protected] in the example shown below. Apptix recommends keeping the login ID equal to the users email account so that it is easier to remember and associate accounts with each other in the future. Enter a password or click the Generate new password button to have the system create a random password for you. Click the Next button to continue.

4. Now confirm the Sign-in Address which should already be filled in for you. Normally this SIP address will be the same as your Login ID on previous window.

Select the User Profile from the drop-down list. There will typically be only one or two choices in this drop down list. In Hosting Control Panel or via the web shopping cart, you may have purchased one or more IM only licenses or IMandWeb1000 licenses. If you purchased, for example, two of each type, then this Hosting Control Panel will keep track of which you assign—so if you don’t see your desired profile, you may have used up those licenses on other OCS users and need to purchase additional. Click the Next button to continue.

Description of Profiles:

• IMonly – OCS Instant Messaging fully enabled including Outlook plug-in • IMandWeb1000 – OCS Instant Messaging fully enabled including Outlook plug-in with additional Web

Conferencing capabilities with up to 1000 internal/external persons invited to each Web Meeting.

5. Now you will see the confirmation screen with all of your selected settings. To finish creation of this user, click the Finish button.

6. You are now brought back to the list of enabled Office Communications users. You can continue to add additional users as you wish.

Editing Existing OCS Users

1. Go to the Office Communications tab on the left side navigation bar. Then you will see a listing of users that have already been enabled for OCS similar to the below example.

2. Click on the user you wish to edit and you will now see a screen similar to below allow you to view or change all of the OCS-related settings or delete the OCS user account.
