Since its founding in 1962, Raymond James Financial

(NYSE - RJF) has become one of the market’s largest financial

services firms, with nearly 4,700 advisors in over 2,000 locations

worldwide. In excess of $17 billion is handled through its asset

management subsidiaries.

The company has flourished with an impressive annual growth

of 20 percent, but success was straining the company’s old

document production systems. In addition, multiple workflow

streams complicated document production with added time and

cost. Technology from Océ Printing Systems USA has helped

RJF eliminate both problems.

Volumes Strain Document Infrastructure

Raymond James tries to have statements in customers’ hands

within seven days, but print windows were shrinking due to the

increasing volumes. Confirmations that acknowledge stock

transactions must also be sent to investors within a 24 hour

period. Annual 1099 tax documentation, production reports,

and branch copies further added to the workload. Meeting these

production deadlines was becoming almost impossible with the

company’s cut sheet environment.

The company had to make changes to accommodate the

growth, and this led to the decision to shift print applications

to Océ digital technology. IBM and Xerox equipment were

considered, but Océ offered more of what RJF needed.

“One Océ PageStream 1060 ppm system gives us the same

capacity as six Xerox 180 ppm cut sheet printers,” said David

Oras, assistant vice president of IT operations for Raymond

James Financial. The company faced the added quandary of

increasing capacity without taking up more real estate. “One

Océ system takes up the same room as two Xerox printers, but

gives us more print power from less space.”

First Test is Nine Million Pages Long

The first test for the Océ installation was to meet a tight

deadline for printing nine million pages of branch

documentation. “This was the first major production run for

the new system. Océ was by our side throughout the process,”

said Oras.

Faster changeovers and expanded capacity enabled by Océ

technology have helped RJF achieve production targets in spite

of the rising print volumes. Now the document operation

prints some 12 million pages a month, including five to six

million customer statements. The 24/7 operation runs 12-hour

shifts with up to 100,000 confirmation pages printed in one

night, so Océ print systems must be robust and reliable.

Ease of Data Handling in Mixed Shop

RJF relies on an Océ configuration that is ideal for high-volume

production in mixed data environments. At the heart of the

solution is the Océ PRISMA software.

PRISMA is an intelligent workflow and print management

system that simplifies data handling, even in heterogeneous

environments. PRISMA servers and software automatically

process, route, distribute and monitor print jobs. Open

PRISMA architecture lets operations like RJF simplify output

strategy by automating the print process and delivery of

information across applications and platforms.

PRISMA and the Océ standard of open support for print data

have made it easier for RJF to manage print data. “Nearly

everything in our shop is based on a Xerox print stream. We

have taken all these applications to Océ without having to make

any changes to the print stream,” said Oras. “We can direct the

data to the Océ or the Xerox, the end result is the same.”

PRISMA servers let users access the power of Océ production

solutions without costly and time-consuming rewriting of

applications.

Simplifying Production Workflow

Raymond James currently has one PageStream 1060 Twin.

Engineered for flexibility and long-term value, the 1060 can

be configured for duplex output or simplex printing. It

seamlessly accommodates a wide variety of paperweights and

forms sizes as well as pinless paper feeding. Two up, letter-sized

duplex documents can be produced at a rate of 1062 images

per minute.

Looking ahead, RJF expects to acquire additional Océ printers

for more color applications. “We are very interested in the

ability to have one-sided color for customer confirmations and

statements,” said David Oras.

RJF has been producing different versions of documents on

multiple systems and paper stock. Branch and rep copies of

trade confirmations, statements and reports are run on systems

using pink, green and blue paper to distinguish the materials.

These internal reports account for about 25 percent of all the

company’s digital printing. RJF is evaluating moving the

customer statement applications to an Océ PageStream Triplex

system enabling them to print dynamic highlight color printing

that will reduce expenses and improve productivity. They are

also evaluating the Océ PRISMA Verification Manager solution

to help them better track their critical print applications on

the fly and generate an audited document trail for improved

security and mailing purposes.

Consolidating Output Saves Time and Money

RJF is looking at other ways to streamline workflow onto the

Océ systems. Sometimes various paper stocks are merged in

the print stream in order to get all statement pages into one

envelope. Confirmations and statements are generated on cut

sheet systems that require special letterhead produced by the

RJF print shop. Océ will help simplify these applications. “We

are looking at using another Océ engine and a blank roll of

paper to print letterhead on the fly,” Oras said. “This would

save time and reduce inventory.”

RJF uses Océ systems for as much work as possible, but still

runs some cut sheet and small jobs on Xerox printers. Because

Océ print systems can seamlessly accept Xerox data streams,

maintaining mixed shop flexibility does not present a problem.

A proprietary report management system identifies and routes

or queues reports to be printed on the best printer for the job.

With Océ technology and service, Raymond James Financial

now has has an intelligent, open production system that can

keep pace with the most ambitious growth rates.
