1 Introduction

1.1 Purpose

The purpose of this document is to explain the component screens of CadetNet so that

you, the User, can use CadetNet with confidence.

1.2 Scope

This document will show you sample screens and then an explanation of what each field

on the screen should contain with examples.

You will be taken through the following MENU and Sub Menu options:

1.3 Conventions Used

Item Type Description

A Button on the screen B Designated as Type ‘B’ and will have some associated actions depending on the User’s permissions.

A Drop-Down list D Designated as Type ‘D’ and provides the User with a list of options to select from.

A Field on the screen F Designated as Type ‘F’ and may have data entered or may be read only depending on the User’s permissions.

A Hyperlink on the screen

H Designated as Type ‘H’ and will take the User to another page or even website when clicked on. Displays as underlined blue text.

A Menu option M Designated as Type ‘M’ and take you to the designated page if you have the appropriate User permissions.

Selection S Designated as Type ‘S’ and provides the User with a list of options to select from. Similar to a Drop-Down list, but all options are displayed.

Yes or No Toggle Option Y/N You can only select either Yes or No.

or C A check box to indicate if something is true/has been selected or not.

Fields that have a magnifying glass in them are

autocomplete fields in that they will search for the

combination of characters you enter. Type in the

characters that you want to search for and then click

on the one you want from the values returned. You

will see the icon change to a ripple effect while the

system is searching.

The Save button saves the page you are on with any

new or changed information or settings.

A red dot in a field indicates that it is a mandatory

field and that information is required to be entered in

order to proceed.

Wherever you see a field label underlined it means

that ‘help text’ is available to tell you what needs to

be entered into the field.

The ‘help text’ can be seen by hovering your mouse

pointer over the field label. Moving the mouse

pointer off the label will hide the ‘help text’.

Anywhere you see the red calendar box next to a

field it is a date field. Click on the red calendar box

and USE the date picker to select the date you want,

select the date in the order year, month, and day.

Manually typing it in could cause an issue with the

system not recognising the date properly.

A new feature in v2.00 is the ability to filter lists.

Just under each heading label you will see a

horizontal grey bar that when you hover your mouse

over it will expand out to a full field that you can enter

your filter criteria into to help locate specific records.

2 Accessing the Intranet and CadetNet

2.1 Personnel Logging in for the First Time

Refer to Annex A (page 99)

2.2 Intranet / CadetNet Toggle

Once your Unit has been enabled to access CadetNet you will see an Intranet / CadetNet

Toggle that enables you to switch from the Intranet to CadetNet and vice-versa.

Clicking on CadetNet portion of the toggle will take you to the CadetNet Welcome page.

MY PROFILE M Takes you to the My Profile page.

UNIT ADMINISTRATION

M Takes you to the Unit Administration page.

UNIT TRAINING M Takes you to the Unit Training Program page.

ATP M Takes you to the Annual Training Program (ATP) page.

HQ ADMINISTRATION M Takes you to the HQ Administration page.

NOTIFICATIONS M Takes you to the Notifications page.

LOGOUT M Logs you out of CadetNet and the Intranet.

Website Admin Team L Open a blank email with the [email protected] email address defaulted in.

3 MY PROFILE NOTE: Updates to Cadet records can only be done by Officers, Under Officers or Supplementary Staff

who have the Adjutant’s or Assistant Adjutant’s role.

Unit Commanders and Executive Officers can also update Cadet Records.

3.1 My Profile

To access the My Profile details, you need to click on the [Edit Pencil] image located at the

bottom right corner of the person’s profile picture. Doing so will toggle the display or hiding

of the above information.

My Profile

First Name F We recommend getting the names from a birth certificate or other official document.

Middle Name(s) F

All their middle names.

We recommend getting the names from a birth certificate or other official document.

Family Name F

Their Family Name/Surname.

We recommend getting the names from a birth certificate or other official document.

Preferred Name F This is the 'Known As' name i.e. if their First Name is James this might be Jim.

Initials F

All their initials from their First and Middle Names.

i.e. If their name was John Geoffrey Doe the initials would be J.G. They get used on nominal roles and the like i.e. Rank J.G. Dow.

Maiden Name F

In the event a senior cadet is married, their Maiden Family Name.

Or if they have had a change of name, their previous Family Name.

F The person’s personal email address. Not their Cadet Forces Email Address, if they have one.

Tax Code D

Select the Tax Code that you use for any New Zealand Cadet Forces activities that you would participate in and receive pay from the NZCF.

If you are not sure what your Tax Code should be then please use the following IRD web page to work out what your tax code should be:

Bank Account Number F

If you participate in any New Zealand Cadet Forces Authorised Activity for which you will receive pay you need to enter your Bank Account Number here.

For security reasons ONLY the person who owns the Bank Account and HQ Admin can see the number.

Under Officers, Supplementary Staff and Officers can enter their Bank Account Number.

Cadets will need to submit a form NZCF 25A to HQ with their Bank Account details and HQ will enter it on their behalf.

Displays a placeholder image that can be updated with the person’s actual photo.

To update the photo, click on the image and the following pop-up box will be displayed:

Click on the Choose File button.

Select the photo you want to use. It must be less than 2MB.

Click on the Upload button.

When it has finished the following pop-up will appear:

Click the Close button and you are finished.

[The Edit Pencil] B Click on the [Edit Pencil] icon to display or hide the ‘My Profile’ window.

Contact Details

Pre-nominal F If the person has a title such as Doctor, Professor etc. then that can be entered here.

Physical Address F

Enter the physical address of the person, where you would take them if you needed to return them, not a P.O. Box number.

Street number and street name i.e. 130 Main Street

Suburb/Town F Enter the Suburb but if there is no suburb then enter the Town or City.

Town/City F Enter the name of the Town or City if there is a suburb name in the previous cell. Otherwise leave this field blank.

Enter the person's personal email address.

This is not to be the same as another family member, it must be unique to the person as it will be their way of logging into CadetNet.

They can use any valid email address, Gmail, Hotmail, yahoo, school email address etc.

For those with @cadetforces.org.nz email addresses, it will be that email address.

Enrolled Date F Enter the date that the person was enrolled in the New Zealand Cadet Forces.

Date of Birth F

Enter the person's Date of Birth.

We recommend obtaining the date from a birth certificate or other official document.

Gender D Select the gender of the person from the drop down.

IRD Number F

If the person has an IRD Number, then enter it.

If they have staffed a course, they should have an IRD Number.

Parade nights attended F

Displays the total number of parade nights the person has completed as a Cadet since joining the New Zealand Cadet Forces. It does not include weekend activities and other authorised or recognised activities.

Age F Displays the person’s age in years and months.

Service F

Displays the person’s length of service in years and months.

Calculated from the Service History screen, NOT the Enrolled Date.

To assist the CFTSUs with planning travel you need to identify the nearest main centre where a person would catch a regularly scheduled bus that would get the person to their CFTSU.

This is so the Advisors do not have to guess where to book travel from especially when someone has a rural address that could be well away from a main centre or between two main centres.

Position. For a person to appear within a Unit’s Roll they must have a rank

that is not end dated AND a Unit position that is not end dated as that is what

tells the system what their current rank and position are.

NOTES: A person may have more than one role that is not end dated i.e. they may fulfil two roles as

Training Officer and Adjutant within a Unit or parade in more than one Unit. The Role is

what decides a person’s permissions within CadetNet.

Once approved, an email will be sent to the CUCDR notifying them that it is complete.

The whole NZCF 20 will become ‘Read-Only’ and can be referred back to at any stage.

Return to Unit B

In the even you require some follow up action to be taken by the Unit, then enter the details of the follow up action in the HQ Comments field and click this button.

An email will be sent to the CUCDR notifying them that follow up action is required.

Section 7 will be reopened for them to complete the actions and then they can resubmit the NZCF 20.

When the Unit resubmits the NZCF 20 it will follow the original path and go through the Area Office.

Save Draft B You can save a draft of the NZCF 20 at any time prior to approval so that you can come back to it later.

• Application details confirmed by user (>=18) (The person has confirmed their personal details. The application can proceed.)

• Declined – mandatory data missing (The person’s CadetNet record is missing one or more pieces of mandatory data. The record will need to be fixed, then the person withdraws their application and reapplies. The application cannot proceed until their record is fixed.)

• Withdrawn (The person has withdrawn their application. They can reapply.)

• Approved by Unit (The person can attend the activity.)

• Attended (The person attended the activity and will be included in the head count for the NZCF 20.)

• Did not attend (The person did not attend the activity and will NOT be included in the head count for the NZCF 20.)

Note 1: You can only update the personnel who have a status of ‘NOK Approved’ (<18 years of age) or ‘Application details confirmed by user’ (>= 18 years of age).

Click on the ‘Save’ button under ‘Unit Service History’.

For a split second you may see the ‘Saved’ pop-up confirmation but then almost immediately you will see the following:

The reason is that if you have set a date less than or equal to today the person is no longer a member of the Unit, so you no longer have permission to view their details.

13 Select ‘Unit Personnel’ under the ‘Unit Administration’ Menu and you will be returned to the Unit list and the person will no longer be in the list.

C. Annex C – Quick Guide for a Cadet Applying to Attend an Authorised Activity

Step Action

1 Visit https://cadetnet.org.nz using the Google Chrome browser and click the “Log In” menu item in the navigation bar.

2 Log in using your email address and password. (If you can’t remember, click

on “Lost your password?” underneath the log in box.)

Click on ‘CadetNet’ at the top right to access the CadetNet Menu items.

Click on ‘ATP’ in the horizontal menu.

5 Click on the course or activity you want to apply for in the long list. Note: this is only national activities – for unit activities go to ‘Unit Training’ in the horizontal menu.

A box should pop up with a button to Apply as Student – it should be right at the bottom. Click it! (Note: don’t click the other button or you will be applying as a staff member!)

This should send an email to your Next of Kin who needs to give you permission to go on the course. Tell them to check their inbox for an email from [email protected] and to click the green button in the email.

If they can’t find it in their Inbox have them check their SPAM folder.

8 Your Next of Kin will be taken to a browser window. Make sure it’s the Google Chrome browser and that you are not still logged in from before.

Get them to enter your date of birth and click the button to confirm.

10 Read through the page with your details and update anything that is incorrect. An email will be sent to your Unit Commander and they will change it.

Scroll down to accept the three statements at the bottom and click the Confirm application button to accept.

Great! You have now applied for an Authorised Activity.

The process for a Unit Activity is basically the same, but is accessed via the “Unit Training”

menu option.

D. Annex D – Quick Guide for a Next of Kin Approving a Cadet to Attend an Activity

Make sure that Google Chrome is your default browser before you start.

Note: If you are reading this on a screen you can click HERE for the instructions for setting your default browser.

2 If anyone else has used the same computer to access CadetNet, make sure they have logged out before you start.

3 In Google Chrome, navigate to your email provider online webmail (e.g. outlook.com, gmail.com, mail.yahoo.com etc.) and log in to view your inbox inside of the Google Chrome browser.

Locate and open the email from [email protected] (the subject line should say Approval required for course application as student). Make sure the email opens inside the Google Chrome browser or it may not display properly.

If they can’t find it in their Inbox have them check their SPAM folder.

Find the green Approve button at the bottom of the email and click it. The email should look a bit like this picture.

6 You should be taken to a new tab inside of the Google Chrome browser showing a page of CadetNet.

Enter the date of birth of the cadet who has applied to attend the activity, and click the button to confirm. This will take you to a new page with all the details of the cadet.

Check all the details that appear on the page. If anything is out of date or incorrect, please correct it now (by editing the information on the page) to ensure the activity organiser has the right information so that the cadet is safe on the activity.

10 Click on the green Approve application button to give your permission for the cadet to attend the activity.
