MEET FORMAT: The meet will be conducted in a trials/finals format. In the evening
there will be 3 heats: a bonus, consolation and a final heat in that order in all events,
except the two distance events and the relays. The top heat of the woman’s and men’s
1650 free will be swum at finals, as well as the relays. The Meet Director reserves the
right to run some slower heats of the relays in the prelim session, if the number of entries
creates too long of a finals session. This will be determined after the entry deadline.
There will be no 2 per lane competition.
SITE: Boston University’s Fitness and Recreation Center includes a 10-lane by 16-lane
competition pool with the ability to change from meters to yards using a movable
bulkhead. The depth slopes from 7 feet to 13.5 feet. The course will be set in short course
(25) yards, thus allowing 10 lanes with non-turbulent lane lines for competition and an
additional five to six lanes for continuous warm up in the diving end of the pool. The
facility is equipped with a Daktronics Timing System, touch pads, and a ten lane
electronic scoreboard. Spectator seating is available for approximately 400 spectators.
Directions to the Aquatics Center and parking instructions may be found later in this
notice. The competition course has not been certified in accordance with 104.2.2C(4).
COURSE: Short course yards (25 yards).
CUT PROTOCOL: If a session is over-subscribed, the following changes will take place
in the meet format:
Every effort will be made to work with non-LSC teams to reduce entries and accept and
accommodate qualifying swimmers. Bonus swims of non-LSC will be cut first.
If necessary, there will be a lottery of those non-LSC teams in accordance with the usual
practices of New England Swimming. Out of LSC teams that are cut from the meet will
have their entry fee returned.
Relays will be moved to the preliminary sessions.
Clubs will be notified of changes by Friday, December 7, 2012.
RESERVE THE RIGHT TO MAKE CHANGES: Once a meet is sanctioned, changes
can be made to the meet invitation before the meet, only with the approval of the
Technical Chair, Mariella Allard. If changes need to be made once the meet begins, the
Meet Committee will make the decision, after consulting with the Technical Chair, and
will present it to the coaches at a coaches meeting.

MEET COMMITTEE: The meet committee will be made up of the Meet Director,
Meet Referee, The Senior Chair, another coach and one athlete. The five members shall
be from separate teams.
ADAPTED SWIMMING: Any current athlete members of USA Swimming with a
disability, as defined by USA Swimming Rules and Regulations, may enter this meet if
they have the qualifying times. If modifications to USA Swimming rules are necessary
then the coach or athlete must notify the meet referee and meet director of any disability
prior to competition
WEATHER PROTOCOL: If weather or facility conditions make it impossible to
follow the original timeline of events, the Meet Director and Meet Referee have a right to
make changes to the meet sessions. The Meet Director will notify the teams of the
changes with as much notice as possible. Cancellation of the meet, or session, is a
decision of the Meet Director, Meet Referee and the Meet Committee
EVENTS: See attached list.
ELIGIBILITY: All contestants must be 2012or 2013 USA Swimming registered
athletes. Any swimmer registered with USA Swimming and with qualifying times is
eligible to swim in this meet. All swimmers must be registered before the entry is
submitted. Teams that enter unregistered swimmers will be subject to a fine of $100
per unregistered swimmer. New England teams entering the meet are required to check
their entries with the online registration check tool on the New England Swimming web
site. Please contact the New England Swimming Office for registration information:
[email protected]. Any swimmer who is entered with incorrect swimmer
information, or an incorrect or no ID, or is unregistered, will be scratched from the
meet until corrections are made.
Any swimmer entered in the meet must be certified by a USA Swimming member coach
as being proficient in performing a racing start or must start each race from within the
water. When unaccompanied by a member-coach, it is the responsibility of the swimmer
or the swimmer’s legal guardian to ensure compliance with this requirement.
ENTRY INFORMATION:
Qualification period: December 15, 2011 through December 4, 2012.
Seeding order: SCY, SCM, LCM. Bonus events are seeded last.
Entry Fees: $7.50 for individual events, $25 for relay events (add $0.50 for non-
electronic entries).

Swimmer participation fee: $10 per swimmer (including relay only swimmers)
New England Travel Surcharge: $2 per swimmer (including relay only swimmers)

Any club that sends a late TEAM entry is subject to a $100 fine, if the entry is accepted.
The decision to accept the entry is the sole discretion of the Meet Director.
Entry Limits: Swimmers may compete in a maximum of three (3) individual events per
day (including time trials) and a maximum of seven (7) individual events in the meet (not
including time trials).
BONUS EVENTS: Any swimmer entered with one (1) qualifying time may compete in
qualifying bonus events up to the meet maximum of seven (7) individual events.

USA Swimming Teams/Athletes must enter this meet on-line at
www.usaswimming.org/ome. On-line entries will be accepted from Thursday, October
18th until Tuesday, December 4th at 11:59 pm EST. You will be required to pay for on-
line entries with a check. Once you check out of the entry on OME, you will send the
cover/liability waiver page, and a copy of your online entry, with a check (made payable
to GMSC) by SATURDAY, DECEMBER 8th to:

an eligibility report. It is the coach’s responsibility to know the events your athlete is
qualified for. You can modify your entry on-line by adding to the original entry. You
may not delete an on-line entry. Once you complete your on-line entry, you will be sent
confirmations via e-mail by the OME program. Please print this report and include it with
your payment, and keep a copy for yourself.

hard copy of the entry (including signed entry cover page and waiver) and payment to the
entry chairperson, Carol Healey, Senior Meet Entry, 47 May Street, Needham, MA

All entries must be complete and accurate and must use full names and registration
numbers from USA Swimming registration. All entries must include a completed and
signed entry cover sheet and waiver. No refunds for entries that are accepted or entries
that are rejected due to improper entry (i.e., meet fees will not be returned or credited to
new entries for scratches or errors or unverifiable times). Deck entries will only be
accepted based on clerical errors by the entering team or the meet host. Please include the
email address of your team’s contact(s) so all future meet correspondences can be sent to
this email address.
SWIMS Database-Proof of Time
Times from the USA Swimming Sanctioned, Approved, and Observed competitions will
be in SWIMS, the national times database. Times in the database are not automatic
entries to the meet but must meet qualifying time standards. All individual entry times
must be made prior to the entry deadline and must be proven prior to the scratch deadline
for that event through the SWIMS database.
Do not ask to change entry times or events after the entry deadline. No deck entries will
be accepted.
RELAYS: Up to two (2) relay entries per team can be entered. The Meet Director reserves the right
to limit teams to one (1) relay entry for the 800 Free Relay after entries are received.
200 Free Relays must be entered with 400 Free Relay times. If they aren’t, they will be
changed to your team’s 400 relay equivalent.
Relay teams must have achieved the qualifying time. If a team has a qualifying relay then
it may use any swimmer entered into the meet, including relay-only swimmers, on the
relay. If a team uses aggregate times to qualify a relay, then only those swimmers used to
qualify the relay may swim on the relay team. Teams are subject to a $100 fine, per
swimmer, if a non-aggregate swimmer is used to fill a relay entered with aggregate times.
All relays will be swum as timed finals. The top 2 heats of women’s relays followed by
the top 2 heats of men’s relays will swim slowest to fastest. All other relays will then
swim fastest to slowest alternating men and women. The Meet Director reserves the right
to run some heats of relays during the prelim session if the timeline, after entries are
received, indicates it would be beneficial.
Relays must be positively checked-in by the end of the prelims session, the day of the
event, and the relay cards must be turned in by 7:00 PM to the clerk of course. Relay
name or order changes may be done at the clerk of course table until the event is called.
There will be a 10 minute break between events and relays.
TIME TRIALS: Time trials will be available at the discretion of the Meet Director and
the Meet Referee and if time allows, after the Trials sessions on Friday, Saturday, and
Sunday. All time trial swimmers must provide two timers for their swims. Time trials are
$10 for individual events and $40 for relays. Swimmers cannot swim more than 3
individual events per day, including time trials.
Sign-up for time trials is at the Clerk of Course table. Time trials are open to any
swimmer registered with USA Swimming.
Time Trial swimmers not already entered in the meet must notify the entry chair by
Tuesday, December 11th, of their intent to do a time trial and provide their USA
Swimming registration information. Time Trial swimmers not already entered in the meet
also must pay the swimmer participation fee of $10 in addition to the time trial fee of $10
per event. These fees can be paid at the Clerk of Course table on the day of the time trial.
DISTANCE EVENTS: The 1000 Free and 1650 Free are timed finals. Both events will
be swum fastest to slowest, alternating heats of women and men. The fastest heat of
women and men in the 1650 Free will be swum at the beginning of the finals on Sunday.
All of the other heats will be conducted during prelims. All distance swimmers must
provide at least 2 timers with watches and 1 counter for their swims.
The 500 Free and the 400 IM may be seeded in an A and B flight format. If flighted,
there will be 5 heats in each A flight. It will be swum slowest to fastest with the women’s
event first, followed by the men’s event. The B flight will be swum fastest to slowest,
alternating heats of women and men.
All swimmers in these two events must provide at least 2 timers. Both of these events
will follow the scratch rules below. The 500 Free and 400 IM will NOT be positive
check-in events: the swimmer must be scratched according to individual event guidelines.
SCRATCHES DEADLINES: Scratch forms will be located at the clerk of course table on
deck.
• Thursday, 5:15 pm: Positive check-in for Thursday distance events (1000 freestyle and
800 Free Relay).
• Thursday, 6:30pm: All Friday events. Scratches for Friday events may also be made via
telephone to Mariella Allard (508-633-8821) until Thursday at 6:30pm.
• Friday, 6:30pm: All Saturday events.
• Saturday, 6:30pm: All Sunday events
• Sunday, 10:30am: Positive check-in for 1650 Free
Thursday – Saturday Positive check-in for relays before the end of the prelims session.
7:00pm: relay cards due.
• Scratches, for the meet, can be e-mailed to Carol Healey ([email protected]) by
6:30 PM on Thursday. Write SCRATCH: ―your team name‖ in the subject of the email
POSITIVE CHECK IN: All 1000, 1650 Freestyle swimmers and all relays must
confirm their intention to participate with a positive check-in for those events. Failure to
check-in will result in a swimmer not being seeded into the event.
Swimmers seeded in the finals heat of the 1650 Free may request that the Clerk of Course
seed them in the prelims heat. Any such requests must be made prior to the deadline for
positive check in and are dependent upon finding a swimmer to fill their place.
SPECIAL SCRATCH NOTES:
1. Coaches and swimmers are expected to understand the scratch, verification and relay
rules before the meet begins.
2. Any swimmer who fails to compete in an individual event heat in which he/she is
entered and has not been scratched will be barred from further competition for that day,
including relays and time trials. The swimmer will be also automatically scratched from
his/her remaining events unless the clerk of course has been notified of the swimmers
intention to compete by 6:30 PM.
NOTE: Finals are considered continuation of events starting with trials.
3. Any swimmer who competes in an preliminary heat and qualifies for Finals and fails to
notify the clerk of course of his/her intention to withdraw from finals within 30 minutes
of the posting of the results and qualifiers for that event, and does not compete nor is
excused by the Meet Referee, will be barred from all subsequent competition in the meet,
including relays and time trials.
4. On Sunday, any team whose swimmer competes in an individual heat and qualifies for
Finals and fails to notify the clerk of course of his/her intention to withdraw from the
finals within 30 minutes of the posting of the results and qualifiers for that event, and
does not compete nor is excused by the meet referee, will be fined $100. The meet referee
may waive the fine, if based on his judgment, the swimmer was ill or the reason for
missing the final was beyond the control of the swimmer.
VERIFICATION: All entry times not in the SWIMS database must be verified before
the meet by sending hard copies of the meet results (highlight the time in question) to the
entry chair with your waiver and entry fee payment. Any swimmer unable to verify entry
time will be barred from the rest of the meet.
RULES: Current USA Swimming rules will govern all competition. Decisions by the
meet referee will be final unless a written protest is lodged within 30 minutes of the heat
swum. All swimmers, coaches and officials will follow the USA Swimming code of
conduct under article 304 of the USA Swimming rules and regulations. Any violation of
such policy will be reported to the Meet Referee and the New England Swimming office
for further review and/or action
DECK ACCESS: Only athletes, coaches, officials, and official meet staff are permitted
on the pool deck. All non-athletes on the pool deck must display their USA Swimming
registration card at all times. Individuals without their USA Swimming registration card
will be removed from the pool deck, and will be subject to a fine by New England
Swimming.
WARM UP: USA Swimming warm-up policies will be in effect for the meet. Diving
will be prohibited during warm-ups in the warm-up/down pool at all times during the
meet. One way sprint lanes will be announced during warm-ups for starting practice only.
Coaches must instruct their swimmers to obey these rules. Failure to comply with a
designated safety marshal’s orders could result in disciplinary action. All swimmers
participating in the meet without a USA Swimming registered coach shall report to the
referee before warm-ups prior to each session.
SAFETY:
Only USA Swimming registered swimmers, coaches, authorized meet and Boston
University personnel will be allowed on deck. Proper credentials are required.
Diving will be prohibited during warm-ups except in specifically announced one-
way sprint lanes. There will be no diving in the warm-up and warm-down areas at
any time.
All swimmers must enter the competition pool at the starting end.
No shaving is permitted at the competition site.
Swimmers must wear approved swim wear and, due to facilities regulations, will
not be allowed to wear jewelry or other accessories unless under their swim cap
such as necklaces, exposed earrings, toe and finger rings.
No glass containers are permitted within the facility, especially on the pool and in
the restroom areas.
Swimmers must be under the supervision of a coach. If a swimmer arrives at the
meet without a coach, the swimmer should notify the referee before he/she warms
up. The referee will assign the swimmer to a registered coach for warm-ups.
Use of audio or visual recording devices, including a cell phone, is not permitted
in changing areas, rest rooms, locker rooms or on deck.
No flash photography at the start of any race.
Absolutely no swimming under the bulkhead at any time.
Absolutely no meet participant is allowed on the diving boards at the diving end
of the pool or in the Recreation Pool and Spa at any time. Use of the diving
boards is strictly prohibited.
Absolutely no meet participant, swimmer, coach, or observer is allowed in other
parts of the fitness facility unless accompanied and/or approved by authorized
University personnel.
Except where venue facilities require otherwise, changing into or out of swimsuits other than in locker rooms or other designated areas is not appropriate and is prohibited
Failure to abide by these rules and any other rules that may be announced or posted by
meet officials during the meet may result in ejection from the facility.
Meet officials will watch for swimmers or meet spectators who violate facility
regulations. Horseplay will not be tolerated. Parents must supervise younger children in
attendance at the meet. Meet officials have the authority to dismiss swimmers and
spectators from the grounds. Coaches are responsible for communicating this to both
swimmers and parents. No pets of any kind are permitted within the complex. Boston
University, Greenwood Memorial Swim Club, and New England Swimming are not
responsible for lost or stolen items.
PHOTOGRAPHERS: As per USA Swimming and New England Swimming policy, the
only photographers allowed on the pool deck at any time during the meet (including
during warm ups) must be professional photographers contracted by GMSC or press
photographers who have been approved in advance by the Meet Director and have been
properly credentialed. Email the Meet Director with questions and requests.
AWARDS: Medals will be awarded for the first 8 places, in individual events, and
medals for the first three places in relays.
The top eight high point winners for women, and men, and top three teams will be
awarded a plaque. Individual high point distance awards will be given to the top 3 female
and male swimmers. The high point ceremony will take place on Sunday evening at the
conclusion of the session. Coaches are responsible for making sure their swimmer is
present to receive their award.
Please note that only finals, consolation, and bonus heats (30th
place) will be scored for
team awards and open high point awards. Only 2 relays per team, per event will score.

The awards ceremony will consist of only announcing the results of the Championship
Final heat immediately upon completion of that event. Awards for all events will be
available at the designated awards table upon request of the swimmer during the meet.
READY ROOM: A Ready Room will be used at this meet prior to each ―A‖ final
event. Each swimmer participating in the ―All finalists must report to the Ready Room
10 minutes preceding the event.
RESULTS: Event results will be posted on the pool deck and in the spectator area
immediately after each event.
ADMISSION:
$5.00 per session, no charge for Thursday evening session
PROGRAMS: $3.00 per session. No program on Thursday night but heat sheets will be
posted.
HOSPITALITY: Coaches and officials will be served food during Trials and Finals
sessions. Cold drinks and snacks will be available throughout the meet.
VENDOR: A swimming equipment vendor will be selling suits, goggles, and other
accessories for Friday and Saturday only.
FOOD: A concession stand will be in operation for the duration of the meet: No Food or
Drink will be allowed into the facility.
LOCKER ROOMS: The locker room area will be strictly for use by properly
credentialed individuals. Do not leave locks on lockers overnight. Do not leave valuables
in your locker. Neither Boston University nor Greenwood Memorial Swim Club nor New
England Swimming is responsible for lost or stolen property.
MEDICAL ASSISTANCE: Medical assistance will be provided at the facility. If you
require medical assistance, please notify a facility lifeguard, or a member of the meet
staff. The closest hospital and emergency room is Mt. Auburn Hospital, 300 Mt. Auburn
Street, Cambridge MA 02138.
TIMERS AND OTHER WORKERS: According to New England Swimming policy,
GMSC will make timing assignments for this meet based on the size of your team’s
entry. Please be cooperative and punctual. We need the full cooperation of all teams,
large and small, to adequately run this meet. All teams will be given timing/work
assignments based on the number of entries. Teams treating this meet as a team travel
meet need to assure that they have enough parental workers at the meet to fulfill their
team obligation. The timing assignments will be posted on the web page with ample time
to get workers.
All swimmers in the 1000, 1650, 500 free and 400IM are reminded that they must
provide at least 2 timers and 1 counter for the distance events.
“NO SHOW” WORKERS: If a team does not provide the timers it has been assigned at
a championship meet, the team will be fined $100 per incident and will not be allowed to
enter swimmers in another New England meet until the fine(s) is paid. This can be
appealed to the Board of New England Swimming and is enforced only if the meet
management has properly assigned timers based on the number of swimmers a team has
entered in the meet.
OFFICIALS: Officials are requested to help with the pre-meet planning for this meet by
stating their availability to help as soon as possible. Please provide the information
requested on the APPLICATION TO OFFICIATE for this meet, found on the New
England Swimming web site, www.newenglandswimofficials.com. Host Team officials
are reminded that they also need to submit an application. All applications that are
received by the meet entry deadline, December 4, 2012, will count towards the work
requirements for the official's team. Please do not submit an application within three days
of the meet. "Walk-on" officials are always welcome and will be assigned to positions
that are not filled.
The uniform for all preliminary sessions and all timed final sessions will be navy blue
bottoms with white polo shirts. The Uniform for all Finals Sessions will be khaki
bottoms and navy blue polo shirts.
All briefings will begin 45 minutes prior to the start of each session.
COACHES NOTES: All coaches should check-in with the control table upon arrival at
the pool. Coaches' information will be available at the beginning of warm-ups at each
session from the office. These will include the heat sheets for that session and any notes
that may be needed. There will be a coaches meeting at 10:10 AM on Friday, and after
that, when needed.
Coaches are responsible for the behavior of their swimmers at all times. Any damage to
the premises or equipment is the responsibility of those doing the damage. Swimmers,
parents, coaches, and spectators are restricted to the pool, spectator stands and concession
area.
No smoking is permitted inside the building.
Boston University and New England Swimming will not assume responsibility for lost or
stolen articles.
Parents are in charge of supervising younger children in attendance at the meet.
Meet Staff will be patrolling the facility and locker rooms and will have the authority to
dismiss swimmers and spectators immediately from the facility. There will be no
exceptions.
Coaches are responsible for communicating this to both swimmers and parents.
PARKING: There is ample parking available in the Agganis Arena garage that is
adjacent to the Fitness and Recreation center. As Boston University is an urban campus
with many competing events, parking is limited. Metered on-street parking is discouraged
as there are few of these spaces and they are frequently monitored and ticketed. Click
here for Aquatic Center Parking Map that gives directions and illustrates how to access
the Agganis Arena garage. The rate for each day is $1.00 per hour with a maximum of
$8.00 for the day; however, if there are conflicting events on Friday, Saturday, or Sunday
evenings at the Agganis Arena, all cars must leave the garage by 5:00 PM or they will be
required to pay the $25.00 event parking rate. At this time, no events are planned for that
weekend, but Boston University reserves the right to modify its parking terms and will
make every effort to provide sufficient notification.
If your team will be traveling by chartered bus, due to City of Boston regulations, buses
are not permitted to double park or idle on City streets. Bus parking is $40 per day and,
due to limited space availability, must be pre-approved. You must inform the Entry
Chairperson and Meet Manager of your team’s need for bus parking prior to arrival in
order for us to inform you of the oversized vehicle requirements in and around the Boston

Relay Events: Relays are to be swum as timed-final events with a limit of two relays per team. All relay teams
must positively check-in by the announced scratch deadline the day of the event. The 200 relays will be swum
in prelims and the 400’s and 800 will be in finals. Relays that do not check-in by the scratch deadline will be
scratched. Complete relay information is stated in the Meet Announcement.
Thursday Distance Events (1000 freestyle): The 1000 freestyle will be swum fastest-to-slowest, alternating
heats of women and men.
Sunday Distance Events (1650 freestyle): The fastest heat of the women’s and men’s 1650 freestyle will swim
with the evening finals. All other heats will be swum fastest-to-slowest, alternating heats of women and men, at
the end of the morning preliminaries session, after the 200 Ind Medley. These events are timed finals.
