An Emergency Response Colour Code Information Card should be attached to your id badge lanyard and must be worn at all timesMCRI employees working off site must:Be aware of the Emergency Procedure for that siteAttend the relevant Emergency Management training set out by that site

Emergency ManagementEmergency Management Information is located at each fire zone.The Emergency Management Information provides information on: The Emergency Procedures & CodesZone Warden/sFirst Aider/s Find these people and introduce yourself

Familiarise yourself with the location of Emergency equipment such as Safety Showers, Eyewash Stations, Spill Kits, First Aid Kits, Fire Extinguishers, Break Glass Alarms & the Warden Intercom Point (WIP) phones.

Call Switchboard on 777 and state:Your nameThe Emergency Code (refer to tags)Your locationLocation the emergencyAny other relevant details

The switchboard operator will announce the emergency indicating the type, specific location and zone.

These announcements and tones can be isolated to individual zones. If an area is required to be evacuated, the alert and evacuation tone will sound.

Zone WardenThe Duties of a zone warden are; Move anyone from imminent dangerInitiate immediate evacuation as necessary and prepare for total evacuation Constantly liaise with Chief Warden via WIP phoneNominate General Wardens (any staff member) to assist in the evacuation Confirm the area has been evacuated with Chief Warden via WIP phoneAwait further instructions

If a nominated Zone Warden is not present, any MCRI person must be prepared to take control of a situation and act as Zone Warden

During an Emergency, you may be asked by your Zone Warden to take on the role of the General Warden,for example you may be asked to stand by a lift to prevent people entering the area of the incident. If you do not feel comfortable assisting, communicate this with the Zone warden at that time.

An evacuation will be notified by the following tones:

A pulsed on/off toneThis alerts the occupants to the existence of an emergency situation and that they should standby for the evacuation tone or PA instructions. It also serves to alert Zone Wardens to prepare for a possible evacuation

A burst of tone rising in frequency. This pattern repeats and is the instruction for the occupants to evacuate the hospital under zone warden instructions.

13Non-Medical Emergency Response (First Aid)

Medical EmergencyMedical EmergencyIn the event of a life threatening Injury/Illness: Call 777 for the Medical Emergency Team (MET) Clearly state your location, for example:East Building Level 5, MCRI Wet Labs, Zone AWest Building Level 4, MCRI Offices, Zone BDesignate co-workers to meet MET at lifts & entrances to areaOrganise the nearest First Aider for support Medical Emergency South BuildingCall Ambulance Victoria Direct on 0-000Note: To aid in Establish an agreed access point with the Ambulance service Contact Spotless Security to inform them of the situation 9345 921Designate co-workers or arrange Security to meet the Ambulance at the main entrance of RCH to access South Building.Organise the nearest First Aider for support

15Health and Safety RepresentativesMCRI have Health and Safety Representatives (HSRs) these people represent employees concerns about health and safety to EHS and management. They are elected from their peers not management.Names of HSRs are displayed on the EHS notice boards on each floor

Consultation ProcedureMCRIs Consultation procedure is on i-Know Link to Consultation Procedure.The Workplace Health and Safety committee meets bimonthly. If you have any issues you wished raised that this committee contact your health and safety representative.

17Risk ManagementIt is not possible to completely eliminate risks but we can deal with them to the best of our abilityBy analysing risks you are able to identify actions that you can take to minimise the impact those risks will have. Your group leader will be able to show you the risk management documentation for your area.The reporting and investigation of incidents , hazards and near misses is done through the i-manage system on the intranet. Once logged in the health and safety button is on the right hand side of the screen.

Dealing with EHS issues MCRI has an EHS Issue Resolution Procedure which can be found on i-know link to EHS Issue Resolution Procedure

When an issue arises;Inform your supervisor / HSR Fill in an incident report this is done through i-manage under the health and safety tab on the RHS of your screen.Consult with team members and attempt to resolve satisfactorilyIf you and your HSR are not satisfied that the issue has been resolved it may be escalated to Senior Management with support from HSRs/EHS to get the issue resolvedIf you and your HSR are still not satisfied that the issue is resolved a PIN ( Provisional Improvement Notice) can be issued and are available from Victorian Worksafe website.

19Incident/Hazard ReportingIncidents happen despite safety measures. It is important to reduce the chance of incidents by introducing control measuresLearning from the mistake and introducing further measures to improve safety will reduce the likelihood of reoccurrence The Incident report is located on i-manage and can be found on the right hand side of the screen once you have logged in. Fill in the required fields and submit the form. The investigation is completed by your line manager with help from EHS department if required.

20Common Hazards Safe Manual HandlingThe biggest cause of injuries in Victorian workplaces is Manual HandlingManual handling means using your body to exert force to handle, support or restrain any object, including people or animals. E.g. repetitive tasks such as typing, operating machinery and lifting, pushing and carrying any heavy item . One of the biggest concerns at MCRI is repetitive strain injuries that accumulate over time,often related to poor posture and work place set up.A good source of information on stretches and setting up your workstation comfortably is contained in the EHS portal page Manual handling and Ergonomics

21Equipment such as an office compactus or centrifuges have hazards which require specific controls. You should ensure:That hazards have been identifiedStaff are trained and deemed competent before they use the equipment without direct supervisionThere are documented safety protocols for the use of the equipmentMaintenance and servicing is performed and documentedHazard Management: safe plant and equipment

22General SafetyOther issues that can affect health and safety are : slip trips and falls - consider appropriate footwear and remember to hold on to rails when using the stairs Be concerned with your personal safety and security park in well lit areas where possible, and consider your safety after dark. Trust your instincts! Before using equipment ensure that you have received training on its use

23Electrical safety Before you use electrical equipment, there are a number of precautions you should take:Make sure all electrical equipment used has been safety tagged and tested for compliance (tested for insulation, earth circuit ,visual inspection etc)Dont bring in personal electrical equipment that hasnt been testedEnsure you do not use double adapters or overloaded power-boardsCheck that plugs are properly inserted into sockets

24Workers Compensation/Injury ManagementIf injured at work or if you have a personal injury that impacts your ability to perform your duties:Seek medical treatmentReport any work related injury or illness to supervisor and complete incident report. The MCRI Return to Work Co-ordinator Jenny Beach -will develop a Return to Work Plan so that workers can continue working on modified duties or return to work as soon as possibleDetails are outlined in MCRI Return to Work Procedure

Employee Assistance Program (EAP)This is a confidential counselling service for employees and their eligible family members, paid for by MCRI (with no cost to the employee). The service is provided by an independent, professional organisation Davidson Trahaire Corpsych (DTC). EAP offers short term, solution focused counselling. EAP can help with a broad range of issues including : relationships, work/life balance, bereavement, career transition, addictions, anxiety/stress etc. Manager Assist is an EAP advisory service that assists managers and team leaders with situations related to employees by giving strategies, suggestions and options .Link to EAP Information page25
