Genesis is the result of over 20 years experience in the industry, making use of the latest technology to bring you a professional and feature rich system. Developed in consultation with a number of independent petrol retailers, Genesis gives you the benefit of a system that has undergone extensive on-site evaluation and testing at fully operational sites.

As an independent back office system, Genesis provides solutions for your individual business needs. Our policy of continued development and enhancement gives you peace of mind that you will have a state-of-the-art product well into the future. Most enhancements to the system are a direct result of customer feedback and consultation.

Genesis is a highly efficient management tool designed specifically for the forecourt industry. The software is modular and capable of multi-user and multi-site operation.

As a modular system, you can select the features that suit your exact requirements. Further modules can be added at any time. This gives you a system with the flexibility to grow as your business grows. In addition to the standard modules a number of smaller ‘Plug-In’ components are available. These are designed to simplify the system for people who do not require such functionality and yet still make available enhanced features for those that do. Examples of available ‘Plug-In’ components include: Account and Loyalty Card printing (using the Genesis Card Printer), Sales analysis by Time frame, Staff record keeping.

Genesis includes a variety of exporting and external reporting capabilities. This gives you the ability to import data into 3rd party accounting systems and analysis software, such as Sage and Crystal Reports.

The system needs to be connected to an electronic Point Of Sale System (POS) for maximum functionality. We support a number of different POS systems and are happy to add more where possible. Once connected, it is possible to download Stock, Sales, Accounting data, Loyalty Transactions and much more from your POS, reducing manual entry to a minimum. Please note that some features are only available with specific POS Systems, please contact us to ensure your POS is compatible with the features you specifically require.

Genesis Dry Stock Control system

Stock Maintenance allows stock items to be created or amended and updates sent to the EPOS. Each stock item can have: multiple barcodes and item prices, multiple supplier support, fixed or required margins, departments, sub-departments and much more. Each item can have its own Shelf Edge Label Size and format. Price Linking allows similar products such as 500ml soft drinks to have the same price, if one goes up they all go up! Product Linking allows the sale of a single product to reduce stock from more than one item, this is especially useful for Hot Food counters and in-store Deli’s where say a Bacon Bap is made up of more than one item. User defined Seasons control the ordering and automatic addition and deletion of seasonal items from the live stock file. Genesis maintains a reference database of thousands of products which means entering new products is often as simple as scanning the barcode. If Genesis finds the barcode in its reference database details such as the description, supplier codes, box size etc are automatically entered. There is enhanced support for Multi-site environments, making it quick and easy to setup / view products over Multiple sites.

Ordering Stock is Simple and Flexible with Genesis. Orders can be manually keyed, scanned in or completely automated. When using the automated ordering it is only necessary to tell the system which items you require (i.e. by supplier or department), the expected delivery date and how long you wish the order to last. Using past sales history Genesis will calculate your average daily sales (allowing for unusual peaks or out of stock situations), using this average, the current stock quantity, the delivery dates and any minimum shelf levels, Genesis can very accurately calculate the stock required. Once the order has been calculated the user can amend items if required to take advantage of promotions etc.

Once the order is complete it can be sent to your supplier using, telephone, conventional fax, faxed directly from your PC via Genesis or sent electronically to one of a number of supported suppliers such as Spar and Palmer & Harvey McLane. Some suppliers also support receiving of electronic delivery notes and product updates.

When the goods arrive the order is passed to goods in and can simply be amended with any shortages or price changes as necessary. Orders can also be manually keyed or scanned in using one of the optional hand held terminals.

Key Features

Shelf Edge Labelling made easy. Genesis supports a number of dedicated Label printers as well as production of labels on any standard A4 Printer. A number of different label sizes and types are supported. Custom label designs are also available. For example some shelves may have less room than others and therefore require a smaller size or self adhesive label. Labels can be produced on an ad-hoc basis or completely automated. When using the automated feature Genesis monitors each product and when relevant information such as barcode or price changes the item is flagged for a new label, all you need to do at a convenient time is tell the system to print labels that have changed.

Goods In. Incoming stock can be entered electronically from Orders, a Hand Held Terminal, Supplier Electronic Delivery Notes or manually from paper delivery notes or invoices. When entering items manually, you can enter the suppliers stock code, barcode, your stock code, part of the description or use the flexible search engine to find the product quickly and easily. If the item does not exist it can be simply added to stock without having to leave the current goods in session. With each item the system displays the margins warning you of low or high values. Also the sytem shows if an item price has gone up or down and by how much. Using these pointers you can check margins and change the selling price as necessary, which will in turn update the EPOS systems and print revised shelf edge labels. Depending on the source of the delivery data the system will show up to 3 columns (Ordered Qty, Invoiced Qty & Delivered Qty), in this way the system highlights differences between what was Ordered, Invoiced & Delivered. The system features links to external accounting systems such as Sage Line 50 and allows entry of other non-stock costs by nominal code. Other features include bottom line discounts and document scanning.

Stock Counting is simple and comprehensive. Stock counts can be manually keyed or electronically entered from one of the supported Hand Held Terminals. Stock counting can be completed in real-time (providing the EPOS system has the necessary support). When using a hand held terminal it is possible for several people to count at once and Genesis will consolidate the results. Specify which items you are counting and anything not counted is assumed zero stock. Comprehensive variance and gain / loss analysis reports are available.

Hand Held PC Barcode Scanners. Genesis supports a number of low cost PC barcode scanners. These have a number of uses, including: finding stock items, entering new stock items, entering deliveries and entering orders.

Key Features

Sale or Return made simple. Genesis includes a feature dedicated to monitoring Sale or Return (S.O.R) items. It is important to monitor S.O.R items to ensure the required margins are maintained and any stock losses can be quickly and easily identified. When you receive an invoice from an S.O.R supplier, you need only enter the supplier and period to which the invoice relates and Genesis will calculate how many items have been sold in this period. Once these have been adjusted for the actual invoice amount it is easy to see margins and stock losses.

Flexible Searching. Genesis has a flexible search engine, which allows searching on one or more fields for virtually any condition. This can be used to simply track down stock items or perform more complex searches such as highlighting dead stock, negative stock, low margins and virtually anything else you can think of.

Genesis includes comprehensive reporting. Reports can be viewed on screen, printed or exported to a number of different file formats. Some reports also include graphical analysis.

Management Analysis Reports. These reports are not restricted in any way, they include the flexible search engine and can be produced for any given period (for example the sales analysis report can be produced for 1 week, 1 month, 3 months, 2 days or whatever period you require). Advanced Wireless Hand Held Terminal. Genesis supports the very latest in Wireless Hand Held Terminals running Microsoft Windows CE.NET 5.0 to give Real-Time Stock Monitoring and Adjustment.

Making use of Ultra Thin Client technology the Hand Held Terminal (H.H.T) is in direct connection to Genesis using 802.11b/g Wireless Networking, there is no need to upload or download data as the data on the H.H.T is live. Even in a multi-site environment with the use Broadband and Virtual Private Networking (VPN) it is possible to use the H.H.T with live data from any remote site.

The Barcode scanner is capable of reading Barcodes from over 1 metre away and supports both Item and Outer (TUC) Barcodes. Along with manual entry of SKU codes and Barcodes gives a very fast and flexible approach to data entry.

The H.H.T has a large colour Touch-Screen display 240x320 pixels. Using the stylus supplied (or small fingers!) Much of the software can be operated via simple touch screen buttons.

In addition it supports a Li-ion Rechargeable Battery (Up to 10 Hours operation and 3 Hour charge time), Ergonomic single handed operation and weighing in at only 360g.

The unit comes complete with a USB Data / Charging Cradle, Li-ion Battery, Wrist Strap, Hand Strap and a Touch Screen Stylus. The Data / Charging cradle is used for charging the device and also installing software updates.

The is designed to keep tight control over stock gains or losses and also to provide a high level of margin and profitability analysis.

Simple to use. When the wet stock system is connected to an EPOS system and electronic tank gauges the only user entry required is fuel deliveries. Sales and tank gauge readings are taken automatically by the system.

Auto Calculation and Correction. Genesis automatically re-calculates the entire Wet Stock Analysis, adjusting for any alterations that are made at any time. For example it is possible to correct a delivery entered 2 weeks prior and Genesis will re-calculate stock balances and variances accordingly.

Flexible Configuration. Genesis can be configured to almost any site layout, supporting up to 99 fuel grades, 99 tanks (Including linked tanks), 99 pumps and 4 nozzles per pump.

Gain / Loss Analysis. Detailed analysis of any gains / losses can be viewed for each tank over any period. The HSG41 report analyses each tank showing opening stock, sales, deliveries, closing stock, gauge reading, variance (litres), % variance against sales and % variance against purchases. All shown for each day within the analysis period. A graphical analysis showing trends is also available.

Temperature & Water Level Analysis. The HSG41 report also includes opening stock temperature, Closing stock temperature and temperature variance. A graphical analysis showing temperature trends against gain / loss variances is also included.

Genesis includes comprehensive reporting. Reports can be viewed on screen, printed or exported to a number of different file formats. Some reports also include graphical analysis.

Fast and Simple to use. Promotions are quickly and easily setup. You can specify Start and End Date / Time. You can keep previous promotion scenarios and enable them as often as required.

Genesis Promotions Module

MultiBuy Promotions. Consumers can purchase multiples of the same product at a discounted rate. For example, Buy 1 Get 1 Free or 3 for 2. It is simple and flexible to setup allowing you to specify how many of each item the consumer buys and how many they actually pay for.

Simple Discount Promotions. Using this promotion type gives you the ability to discount any products by a given percentage. For example 25% off Mobil One 4ltr.

Combination Promotions. These are used to create promotions that cover a number of different products within the same offer. For example Buy any 3 for 99p, whilst it could be any 3 from a list of 10 different items. Again Genesis has no limits, you may use as many items as you like to define the promotion.

Exclusive Combination Promotions. This is essentially the same as Combination Promotions with one important difference, the consumer must purchase different items to get the promotion. For example if the offer was any 3 for 99p the consumer would not be allowed to buy 3 (or even 2) of the same item, they would have to choose 3 different items.

Genesis Cash Reconciliation system

Fast and Easy to use. When connected to an EPOS system the sales and receipts are transferred from the EPOS, the operator only needs to count the receipts (cash, cheques etc) and enter any adjustments. The system will show the variances and calculate the amount over / short. Should the need arise to alter the sales due to cashier or EPOS error the system will also recalculate all the totals including VAT analysis. The reconciliation report also includes statistical analysis of figures such as quantity and percentage of each transaction type.

Accounting Links. Genesis supports a number of links to external accounting systems such as Sage Line 50. The configuration is flexible and includes features like the ability to group specific credit card receipts together under one nominal / sales ledger account in order to match up with how payments are received in to the bank.

The Genesis Local Account Card system is designed to replace the extensive manual paperwork involved in having local account customers. Each customer is issued with one or more account cards, these are used at the point of sale like any other credit or petrol card.

This is probably the most time saving option within Genesis and compared to a manual system is a dream come true for any user. On a daily basis you only need to update any changes to accounts or cards and enter any customer payments. At the end of the required invoicing period (eg. the end of each month) the Invoice Generation option creates invoices and card transaction summaries for each account, these need only be placed in window envelopes and that's it, job done!

A Comprehensive Sales Ledger is included, featuring: invoicing, statements, payments, aged debtors, account history, transaction history, direct debit payments, credit card payments, credit limits and much more.

Purchase Restrictions can be configured for each card, this will give you the flexibility to restrict types of purchase for certain users, for example the owner of a business could have an open card that allows all purchases, whilst their employees could have cards restricted to fuel & oil only.

Discounts and Surcharges can be applied on an account level. Where a discount or surcharge is given for fuel this can be applied on a volume basis if required, such that the customer only receives the discount when he has purchased over a given number of litres for the Invoicing period (eg. 2p per litre discount when you have used over 500 litres this month). Discounts can also be given on shop department sales, with varying rates for each department.

Invoice / Statement Messages can be customised as required, for example ‘Special Offers’ or ‘Seasons Greetings’.

Genesis includes many flexible, high quality and high presentation reports. The search facilities include basic functions and comprehensive searches which will allow you to find almost anything. Some of the reports included are: invoices & statements, invoice summary, aged debtors, outstanding invoices, account customer details, account cards issued, card transaction analysis, payment analysis, manual voucher entry, and BACS. B.A.C.S (Direct Debit) is supported for a number of different banks / 3rd party BACS software systems. Once the invoices have been generated there is a simple BACS function that creates a file for the required customer accounts. Once complete, the accounts can be automatically paid. Please contact us for details of supported banks / software.

Credit Cards are also supported as a method of paying accounts.

The system includes an account customer specific Loyalty Scheme called 'Premium Points'. Each account can be configured to issue a set number of points per amount spent, which are shown each month on the customers invoice / statement. It is possible to configure each account with their own level of points, such that more valuable customers receive a higher number of points for their continued loyalty. You can also assign Schemes such as ‘Taxi’ or ‘Holiday Club’. You decide the redemption value for points issued (eg. 50 points = a free Car Wash, whilst 50,000 points might = a Holiday for two?).

A Card Bureau Service is available for the production of account cards, these can be of a standard design or customised with your own artwork, company logo etc and can be either simply numbered or customised with your Customer’s name, Vehicle registration number etc.

The ‘Genesis Card Printer Plug-In’ is an optional software component along with the ‘Genesis Card Printer’ that gives you the facility to produce account cards on site. Input the account and card details, click on “Print Card” and within a few seconds the card is produced ready for immediate use. The design of cards produced is restricted only by your imagination as the Genesis card printer can use a variety of artwork formats including digital photographs! Genesis also supports multiple card designs so that you can issue different design cards to different account types such as a Corporate or Staff Card In addition if you have a supported Webcam you can also take photographs which can be printed on the cards for additional security.

The Genesis Kard Loyalty module is a plastic card based loyalty system. When used in conjunction with your POS system, Genesis Kard collects sales data and issues points based on those sales. At the end of the chosen accounting period (eg. monthly) the system will issue a statement, showing balance brought forward and transactions for the current period.

Customers can be a member of a specific ‘Genesis Kard Scheme’. The system supports an unlimited number of user defined schemes (eg, Staff Card, Taxi Club, Holiday Club, Council Card etc). Each scheme can have default points assigned and its own card format. When used with the Genesis Card Printer each card format can have its own design including customer photographs. Whilst each scheme has default points assigned, each customer can have specific points assignments.

Points can be defined down to Fuel Grade and Shop Department level. You specify the spend level and points issued for that spend (eg. For every £5.00 spent the system issues 10 points). Bonus points can also be issued once a given spend level for the period has been reached. In this way if a customer spends over £200 in the current period you can either issue a one off additional bonus of say 500 points or increase their points to 12 instead of 10 for every £5.00 spent.

Statements can be issued either showing total points or a monetary equivalent (eg. If a customer has a total of 5,000 points and you decide each point is worth 1 penny, the statement will show a balance of £50.00). If you choose to work with points only, the system will produce a redemption voucher for the customer to complete requesting the appropriate rewards. Rewards are entirely under your control you decide how many points are issued and what rewards are given in exchange (eg. Free Car Wash, Service, Weekend Break For Two). If you choose to work on a monetary basis, the system produces a redemption voucher which can be completed to request either Spending vouchers (for your organisation or maybe M&S etc) or a cheque to that value.

Monetary Redemption Vouchers can also be printed by the system at the time the statements are produced. This eliminates the need for customers to request redemption vouchers or rewards. Either £5.00, £10.00 or £20.00 vouchers can be printed and any remaining balance is carried forward to the next accounting period (eg. If a customer has a balance of £36.25 the system will issue 7 £5.00 vouchers and carry £1.25 forward to their next statement). For security each voucher is printed with a barcode, which can be scanned and used to verify that it has only been used once.

The system includes a variety of Reports. General reports are used to monitor the day to day running of the system, whilst Analysis reports can be used to monitor both the success and security of the loyalty system.

With Genesis Visual Kard your customers will have good reason to use you every time.

Visual Kard is a Loyalty system based on a special plastic card with an updatable display panel. The main benefit of Visual Loyalty is the ability to offer your customers ever changing promotions without the local competition being able to match them. You can in effect drop your fuel price by 3p per litre without the competition knowing. Promotions can be updated as often as required. Each promotion can have a fixed or rolling expiry date to encourage your customers to use you more often.

The system uses a special card reader / writer, placed at the point of sale and linked to your Genesis back office PC. New customers or replacement cards can be registered and activated instantly.

Once the customer has completed a transaction, their Visual Kard is updated with the current promotion for that customer (eg, 2p off per litre when you spend over £10.00 Expires 10/07/02). Assuming todays date is 03/07/02, the customer must return within seven days to receive the discount. Upon their return they hand over the card to obtain the discount and the card is once again updated with the current promotion.

Several different promotions can be run simultaneously and customised to each customer. For example Company Car owners are unlikely to be interested in fuel promotions, so in this case they would always be offered shop promotions (eg. Free can of Coke when spending over £20.00 Expires 10/07/02).

We offer two different card technologies. The first is much like any other plastic credit card with a display panel on the lower portion of the card. The second is a less expensive thinner plastic card with a large display area (almost the entire card face). Both card types can be customised with your artwork and the credit card style card can be used with the ‘Genesis Card Printer Plug-In’ for in-house production of varying designs.

Each visit by the customer is recorded in the Genesis database and comprehensive analysis reports are available to monitor the performance of the loyalty system, allowing future promotions to be targeted with precision for maximum impact. In addition because customers have to apply and you have their address details etc, you can further mail customers with other offers such from Car Sales or Servicing.

The ‘Genesis Card Printer Plug-In’ is an optional software component along with the ‘Genesis Card Printer’ that gives you the facility to produce visual loyalty cards on site. Input the card details, click on “Print Card” and within a few seconds the card is produced ready for immediate use. The design of cards produced is restricted only by your imagination. Genesis also supports multiple card designs so that you can issue a different design to different loyalty schemes such as a Company Car owner or Taxi Card.

Detailed analysis of sales for any ‘Time Frame’, by period, department, payment method and many more combinations (eg, sales of unleaded between 07:00 and 09:00 for the last month).

An add-on to the Contacts Database, allowing staff employment details to be managed within Genesis. This includes the ability to scan in related documents such as driving licences, copies of previous P45s etc.

Using a low cost Digital Web Camera (Webcam) you can take security photographs of staff or customers, which are recorded in Genesis and can be printed on any genesis plastic card.

Genesis Card Printer

Along with the ‘Genesis Card Printer’ this Plug-In gives you the facility to produce Local account cards, Staff cards, Genesis loyalty cards and Genesis Visual loyalty cards on site. Once the relevant details have been entered, you need only click on “Print Card” and within a few seconds the card is printed and the Mag-Stripe encoded ready for immediate use. The design of cards produced is restricted only by your imagination as the Genesis card printer can use a variety of artwork formats, including digital photographs! Genesis also supports multiple card designs so that you can issue different design cards to different account types, such as a Corporate or Staff Card. In addition if you have a supported Webcam you can also take photographs which can be printed on the cards for additional security.

Shelf Edge Labelling

Genesis supports a number of dedicated Label printers as well as production of labels on any standard A4 Printer. A number of different label sizes and types are supported. Custom label designs are also available. For example some shelves may have less room than others and therefore require a smaller size. Labels can be produced on an ad-hoc basis or completely automated. When using the automated feature Genesis monitors each product and when relevant information such as Barcode or Price changes the item is flagged for a new label, all you need to do at a convenient time is tell the system to print labels that have changed.

Available for local account customer payments. A number of different Banks / 3rd party BACS software systems are supported. Once invoices have been generated there is a simple BACS function that creates a file for the required customer accounts. Once complete, the accounts can be automatically paid. Please contact us for details of supported banks / software.

Available for automated local account customer payments and any general office based EFT transactions. Once invoices have been generated there is a simple credit card payment function that submits an EFT transaction for the required customer accounts. Once complete, the accounts can be automatically paid off. The system can also be used in place of a Credit card / PDQ Terminal for any EFT transactions. Please note additional fees such as a monthly polling / processing fee will apply.

Our Support Team is manned by staff with a high level of experience in both the industry and technical aspects of our software, operating systems, computer and peripheral hardware. Whilst our support is here to cover our software we are usually happy to assist (where possible) with other PC issues effecting the day to day running of our software (although we reserve the right to make an additional charge if necessary for this service).

Annual E-Mail Support. Unlimited low cost support Mon - Fri via E-Mail only; response time within 24 hours. This option is useful for user questions and simple problems. Fixes can not be guaranteed and Software upgrades are not included (it may be necessary to purchase a software upgrade in order to resolve an issue).

Annual Standard Support and Upgrades. Unlimited telephone and remote support, including all software updates and upgrades. Available Mon - Fri, 09:00 to 17:00, response time normally within 0 to 2 working hours. This is the recommended option for most users, it will keep you up to date with the latest enhancements and fixes. Using the remote connection there are few problems that can not be diagnosed or resolved remotely.

Priority Support. This is an addition to the standard option above and is available 24 hours a day, 7 days a week.

On-site Support. This service is available if necessary and is charged per visit. With our remote support this is only required in very rare cases.

Pre-Paid Per Incident Support. Telephone and remote support for users who require the comfort of assistance in emergencies, but consider their usage to be very low, Pre-paid support incidents can be purchased in advance in blocks of 3 incidents. An incident is considered to be a single problem until resolved, whether it requires 5 minutes or 5 hours of support time. Fixes can not be guaranteed and Software updates are not included. It may be necessary to purchase a software upgrade in order to resolve an issue.

Critical Per Incident Support. Telephone and remote support for users who require emergency assistance, but consider day to day support unnecessary. Critical Support Incidents must be paid for over the telephone by credit card. An incident is considered to be a single problem until resolved, whether it requires 5 minutes or 5 hours of support time.
